Kyvio 2 Zapier integrationAutomate Kyvio 2 with Zapier.

The Kyvio 2 Zapier integration offers 4 triggers and 1 action. The triggers watch your Smart Membership members, lessons, Smart Product sales and shared assets; the action hands a customer access to a product. Here is what each does, what it costs and where it trips.

Overview

What the Kyvio 2 Zapier integration is for

It connects your Kyvio 2 account, where creators sell courses and products through Smart Memberships and Smart Products, to the rest of your tools. A sale, a new member or a finished lesson can start work elsewhere, and a sale made somewhere else can open a Kyvio 2 product to the buyer.

Three results worth building. Buyers who land in your other tools: New Smart Product Purchase passes each sale to your email list or your accounting sheet. Access granted without a manual step: when someone pays on another checkout, Give Access to Smart Product adds them as a customer and opens the product. Progress you can act on: Member Completes Lesson in SM lets you send a nudge, a certificate request or a survey once a lesson is done.

The limits are clear. There is one action only, so Zapier cannot remove access, edit a member or refund a sale. There is no search step, so a Zap cannot look up whether a customer already exists. And all four triggers are polling ones: Zapier checks Kyvio 2 on a timer, so nothing arrives the very second it happens.

Vocabulary

Zapier vocabulary in one minute

Six terms carry this whole page. Here they are without jargon.

Zap
The automation you set up on Zapier: one trigger, followed by one or more actions that run every time that event occurs.
Trigger
The event in an app that kicks off the Zap. Once the Zap is on, Zapier keeps watching for that one event.
Action
The work the Zap does after it starts: the step that creates, sends or unlocks something for you, here or in another app.
Task
What Zapier bills. Every action that completes successfully is one task, and your plan allows a set number of them per month.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only what it has not seen yet.
Filter
A step that lets the Zap carry on only when the data meets your condition, and stops it quietly every other time.
Cost

What a Kyvio 2 Zap costs to run

Kyvio 2 is not a premium app, so the free Zapier plan can use it. You pay in tasks, and only actions consume them.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap size2 steps: one trigger, one action
  • Premium appNo, available on every plan
  • Kyvio 2 triggers4 polling, 0 instant

The trigger never costs a task, and neither does Zapier checking Kyvio 2 for news, however often it looks. Each successful action counts once, so granting access to one buyer is one task. A failed action is not billed. The free plan stops at two steps, one trigger and one action: add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Since every Kyvio 2 trigger is a polling one, the interval below decides how quickly a sale or a new member shows up.

Connect

Connect Kyvio 2 to Zapier in 3 steps

  1. 01

    Start a new connection

Open the Apps page of your Zapier account and click + Add connection. A connection is your Kyvio 2 account linked once and then reused by every Zap step that talks to it.

  2. 02

    Pick Kyvio 2

Search for Kyvio 2 in the dialog, select it and click Add connection. Zapier then opens a separate tab where Kyvio 2 asks you to sign in with your usual account.

  3. 03

    Sign in and allow access

Log in to Kyvio 2 in that tab and let Zapier use the account. You need a Kyvio 2 account, plus read or write rights on any site or product you do not own and want the Zap to reach.

First Zap

Your first Zap: a bonus product for every buyer

GoalEvery Smart Product buyer also gets access to a second product you choose, with no manual step.

  1. 01

    Set the trigger

Create a Zap, choose Kyvio 2 and the New Smart Product Purchase event, then your connection. It is a polling trigger, so Zapier checks it on your plan's interval: every 15 minutes on the free one.

  2. 02

    Test with a real sale

Run the test. Zapier pulls back the three most recent purchases from your account, so you map the next steps on an actual buyer.

  3. 03

    Grant the bonus

Add Give Access to Smart Product, map the buyer's email and first name from the test sale, then choose the bonus product. Test it and check the buyer's access in Kyvio 2.

  4. 04

    Publish

Click Publish. With one trigger and one action, this Zap fits the free plan. Every Smart Product sale now grants the bonus; narrowing it to one product takes a filter, and a paid plan.

Triggers

Kyvio 2 triggers

4 events start a Zap when something happens in Kyvio 2. Zapier checks for them at the interval your plan allows.

1

Member Completes Lesson in SM

Polling trigger

In Zapier“Triggers when a member completes lesson In Smart Membership.”

Starts the Zap when one of your members finishes a lesson inside a Smart Membership, so you can react to real progress rather than to sign-ups.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
tag the student in your email tool and send the next module's reminder, or log course progress in a sheet for your coaching calls.
Watch out
you must choose a site when you set it up, so one Zap follows one membership site; a second site needs its own Zap.
2

New Kyvio Asset Shared

Polling trigger

In Zapier“Triggers when a new kyvio asset shared.”

Fires when a new asset is shared in your Kyvio account, giving the following steps the details of what was shared.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keep a running log of what your team shares, or alert a channel so a colleague can review the asset.
Watch out
Zapier's description of this trigger is a single short line, so run a test on a real shared asset to see what it actually returns before you map anything.
3

New Member Added to SM

Polling trigger

In Zapier“Triggers when new member added to Smart Membership.”

Picks up each person newly added to a Smart Membership, whatever brought them in, and hands their details to the next step.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
welcome every new member through your newsletter tool, or add them to a community platform you run outside Kyvio 2.
Watch out
this trigger also needs a site picked at setup, and members who joined before the Zap was published are never sent.
4

New Smart Product Purchase

Polling trigger

In Zapier“Triggers when a new Smart Product Purchase happened.”

Fires on each new purchase of a Smart Product, which makes it the starting point for anything that should follow a sale.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
record every order in your bookkeeping sheet, or unlock a bonus product with the Kyvio 2 action.
Watch out
a launch day with many sales can return a large batch at once, and Zapier's flood protection may hold part of it back.
Actions

Kyvio 2 action

Kyvio 2 gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Give Access to Smart Product

Action

In Zapier“Add customer and give access to any Smart Product”

Adds someone as a customer in Kyvio 2 and opens one of your Smart Products to them, as if they had bought it there.

When to use it
you sell through another checkout, a webinar tool or a marketplace, and want buyers to find their course ready in Kyvio 2.
Watch out
the email, the first name and the product are all required, so a source that does not carry a first name will make the step fail.
When it breaks

When the Kyvio 2 Zap breaks

Zapier attaches no help article to Kyvio 2. The failures below are the ones every Zap runs into, seen through this app's operations.

Most of them only show up once the Zap is live. If yours goes quiet with no obvious reason, see our Zapier troubleshooting page.

  • Past members and sales stay behind

A Zap only sees what happens after you switch it on. Members, lessons and purchases already in Kyvio 2 are not picked up; moving them is a separate job.
  • Access that triggers itself

If the action writes into the very place the trigger watches, the Zap can set itself off again and again and burn tasks. Run one test sale and watch what comes back.
  • Launch-day batches held back

When a big launch or import returns a huge batch at once, Zapier's flood protection can hold the items back instead of running them all.
  • The same sale never runs twice

On a polling trigger, Zapier remembers what it has already seen, so the same purchase never starts the Zap a second time, even if it shows up again in a later check.

FAQ

Kyvio 2 Zapier integration: frequent questions

01Is the Kyvio 2 Zapier integration free?
Yes, the free Zapier plan works with it. Kyvio 2 is not a premium app, so a free account gets 100 tasks a month and as many Zaps as you want. The limit is size: a free Zap has one trigger and one action, nothing more. If you need a filter to pick one product, or a second action, you move to a paid plan. Your Kyvio 2 subscription is separate and Zapier does not change it.
02How many tasks does a Kyvio 2 Zap use?
One for each action that succeeds. The trigger is free, and so is every check Zapier makes on Kyvio 2 for new members, lessons or sales. A Zap that grants access to a product uses one task per buyer. One that also adds the buyer to a sheet uses two. A failed action is not counted against your plan, so a broken step does not drain your monthly allowance, but it also does not do the work.
03Does Kyvio 2 send data to Zapier in real time?
No. All four Kyvio 2 triggers are polling triggers: Zapier asks Kyvio 2 for new items at a fixed interval. On the free plan that interval is 15 minutes, on Professional it is 2 minutes, and on Team and Enterprise it is 1 minute. So a sale can take up to one interval to reach the next step. On paid plans you can also run a check by hand from the editor when you are testing.
04What does it take to connect Kyvio 2 to Zapier?
A Kyvio 2 account, plus read or write access to any site or product you do not own and want the Zap to reach. You connect it once from the Apps page of Zapier with Add connection, sign in to Kyvio 2 in the tab that opens and grant access. Every later Zap reuses that connection. Two triggers will also ask you to choose a site, so have your membership site ready first.
05Why does Give Access to Smart Product fail?
Usually because a required field arrives empty. The action needs an email, a first name and a product, all three. Many checkouts and forms only collect an email, and a missing first name stops the step. Map a field that is always filled, or add a fixed value. The product must also exist in your Kyvio 2 account already, since the Zap picks from what is there and cannot create one.
06What if the Kyvio 2 operation you need is not offered?
Then this integration cannot do it for now. Kyvio 2 on Zapier offers four triggers and one action: no way to remove access, update a member, refund a purchase or search for a customer. The usual answers are to handle that part inside Kyvio 2 by hand, or to check with a specialist whether another automation platform covers it. Asking Kyvio 2 support whether more operations are planned also helps.
07Zapier, Make or n8n for Kyvio 2?
Decide on criteria rather than on a winner. Zapier is the quickest to set up and already covers the main Kyvio 2 events. Make tends to fit long scenarios where you watch the cost of every run. n8n suits teams who want to host it themselves and have someone technical to maintain it. Check which Kyvio 2 operations each platform offers before you commit, because coverage is not the same everywhere.
