Ostana Zapier integrationAutomate Ostana with Zapier.
The Ostana Zapier integration gives you 0 triggers, 2 actions and 0 searches. It only writes into Ostana: a sale or a sign-up in another tool can add a member to your loyalty programme, or record a loyalty event with its amount.

What the Ostana Zapier integration is for
Ostana runs loyalty and engagement programmes for small businesses. The Zapier integration feeds that programme from your other tools: it creates members and records loyalty events. It works in one direction only. Nothing that happens in Ostana can start a Zap, so the starting point is always another app.
Three results shops usually build. A loyalty base that fills itself: a new customer in your store or booking tool becomes an Ostana member through Create Member, with no export and import. Points that follow sales: each paid order logged elsewhere becomes a loyalty event with its amount through Create Loyalty Event. A sign-up form that counts: someone who joins your newsletter at the counter can land in the loyalty programme at the same time.
What Zapier does not do here. There is no Ostana trigger, so nothing that happens inside Ostana can alert your team, your CRM or your email tool through Zapier. There is no search either, so a Zap cannot check whether a member already exists before creating one. And nothing in the integration edits or deletes what it has written: corrections happen in Ostana.

Zapier vocabulary in one minute
Seven words come back on every line of this page. Here they are in plain English.
- Zap
- The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. With Ostana, the trigger always comes from another app, such as your store.
- Action
- What the Zap does once started: the step that writes, sends or moves something for you. Both Ostana operations are actions.
- Task
- The unit Zapier bills. One task equals one action your Zap completes successfully; your plan counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is pushed by its app the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming item meets your condition, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
What an Ostana Zap really costs
Ostana is not reserved for paid plans: it works on the free one. You pay in tasks, and the trigger in the other app costs nothing.
- Trigger (other app)Free, never counted
- Successful Ostana action1 task
- Free plan100 tasks a month, two steps per Zap
- Ostana accessFree plan included
Each Ostana action that succeeds is one task; a failed one is not counted. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action. A store order that creates one loyalty event fits. Creating the member and the loyalty event in the same Zap, or adding a filter, makes it multi-step and needs a paid plan. How fast it runs depends on the trigger of the other app: the interval grid applies when that trigger is a polling one.
Connect your Ostana account to Zapier
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your Ostana account linked once, then reused by every step that writes into Ostana.
- 02
Find Ostana
Type Ostana in the search box of the dialog, select it and click Add connection. You need an existing Ostana account first; Zapier does not create one for you.
- 03
Sign in and grant access
Sign in to Ostana in the tab that opens and let Zapier use the account. If the loyalty programme belongs to someone else, get write access on it first, since both operations write.
Your first Ostana Zap, step by step
GoalWhen your online store records an order, let only paid ones through and add a loyalty event in Ostana with the order amount.
- 01
Build: pick the trigger
Create a Zap and start it with your store app and its new order event. Ostana has no trigger of its own, so the Zap always starts in another tool.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent orders of the connected store, so you can map the next steps on a real order.
- 03
Add the filter
Add a Filter step that lets only paid orders through. A filter makes the Zap multi-step, so this version needs a paid Zapier plan.
- 04
Add the Ostana action
Pick Ostana and Create Loyalty Event, select your Ostana connection, then map the order total into the required Amount box.
- 05
Test, then publish
Test the action once and check the event in Ostana. When it looks right, publish the Zap to switch it on for the next orders.
The 2 Ostana actions
Ostana gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Member
ActionIn Zapier“Creates a new member within Ostana platform with input from previous steps.”
Signs a customer up to your Ostana loyalty programme the moment they show up in another tool, typically your store or booking app, so nobody re-types names at the counter.
Create Loyalty Event
ActionIn Zapier“Creates a new loyalty event within Ostana platform with input from previous steps.”
Turns a purchase made somewhere else into activity in the programme, with the amount spent attached, so the customer's loyalty keeps pace with what they buy.
When an Ostana Zap breaks
Zapier publishes no Ostana-specific limit or error message, so the traps below are the general ones. They matter here because the trigger lives in another app.
Read them before you publish. If a run still fails, the Zapier troubleshooting page is the next stop.
Past orders are not sent
A Zap only reacts to what happens after you switch it on. Orders and customers from before stay outside Ostana; loading that history is a separate job.Bulk imports get held back
If your store imports a big batch of orders at once, the trigger returns a huge batch and Zapier's flood protection can hold it back instead of running each one.No double counting on polling
When the store trigger is a polling one, Zapier remembers what it has already seen, so the same order does not create two loyalty events.
