What the Outbound. by Why Bravo Zapier integration does
Outbound. is a sales tool built around a team's outreach, where each piece of work is recorded as an activity. The Zapier integration links those activities to your other tools: they can flow out to them, and activities logged elsewhere, in a CRM for example, can flow in.
Three results people build with it. A running log outside the app: New Activity starts the Zap and a sheet or a chat channel receives each new activity, so a manager follows the effort without opening Outbound. CRM work that shows up in Outbound.: Create Activity records an activity, with a description as its notes, when a deal moves or a call is logged in your CRM, which is exactly the job the app designed it for. The right action every time: Find Action fetches the action the activity must be linked to, and Find Player finds a person by email or ID, before Create Activity runs.
Now what Zapier does not do here. There is one trigger, for new activities only: nothing else in Outbound. can start a Zap. The action creates, it never edits or deletes. And both searches keep only the first match they find, so a vague search can quietly pick the wrong player.
The trigger works by polling, so on a free plan new activities reach your Zap with a delay set by your plan. If you are weighing platforms, n8n vs Zapier and Zapier agency are worth a look before you build.
Zapier vocabulary in one minute
Eight words you will see in the editor, in plain English. The rest of the page uses them without defining them again.
- Zap
- The automation itself: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something in an app for you.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer, like New Activity. An instant trigger is reported by its app the moment it happens.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something already stored in an app, such as a player, so the next steps can use what it found.
- Connection
- Your Outbound. account linked to Zapier once, then reused by every step that talks to Outbound.
What an Outbound. by Why Bravo Zap really costs
Outbound. by Why Bravo is not one of the apps Zapier keeps for paid plans: it works on the free plan.
- TriggerNever billed
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps only
- New ActivityPolling, interval set by plan
The trigger never costs a task, and neither do the checks Zapier runs for new activities, however often they happen. Each action that succeeds counts once; one that fails does not. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. Add Find Player, a filter or a second action, and it becomes a multi-step Zap that needs a paid plan. New Activity is a polling trigger, so the grid below sets how often Zapier looks for new activities.

- 02
Pick the app
Type Outbound in the search box of the dialog, select Outbound. by Why Bravo, then click Add connection. A new tab opens on the app side so you can sign in.

Your first Outbound. by Why Bravo Zap, step by step
GoalCopy the new Outbound. activities that meet your condition into a shared team sheet.
- 01
Set the trigger
Create a Zap, choose Outbound. by Why Bravo as the starting app and New Activity as the event, then select the connection you added earlier.
- 02
Test with real activities
Run the trigger test. Zapier brings back the three most recent activities of the account, so you can pick a real one and see what it carries.
- 03
Add the filter
From the plus icon, add Filter, then set the value to check, the rule and the value to compare with. The filter makes this a multi-step Zap, so it needs a paid plan.
- 04
Add the sheet row
Add Google Sheets with Create Spreadsheet Row, pick the sheet, and map the activity details from the test into its columns. Keep it to a few columns at first.
- 05
Test, then publish
Test each step once and read what came back before going further. When the row looks right, click Publish to switch the Zap on.

The Outbound. by Why Bravo searches
2 search steps look for data that already exists in Outbound. by Why Bravo, so a later step can use it.
A search step finds something that already exists in Outbound. and hands it to the next steps. The searches sit at the bottom of the action-event list, under SEARCH. Three settings decide what happens when the result is not clean.
Find Action
SearchIn Zapier“Finds a action based on name.”
Looks up one of your Outbound. actions by its label and passes it to the next step, typically Create Activity.
Find Player
SearchIn Zapier“Finds a player based on Outbound ID, name or email.”
Finds a player by Outbound. ID, email, first name or last name, so later steps work with the right person.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet? This box turns a search into find-or-create. Outbound. by Why Bravo offers no such variant, so neither search can create a missing item.
- If multiple search results are found?Keep the first, stop the Zap or pass them all on. Here, both searches state that only the first result found is used.
When an Outbound. by Why Bravo Zap breaks
Zapier attaches no help article to Outbound. by Why Bravo and lists no limit of its own, so the traps below are the general ones.
Each case can be spotted before it costs tasks or fills Outbound. with wrong activities. Go through them before you publish, and keep Zapier troubleshooting close for the day a Zap stops.
Past activities are never picked up
A Zap only reacts to what happens after you switch it on. Activities created before that stay out; moving that backlog is a separate job.A Zap that keeps setting itself off
A Zap started by New Activity that runs Create Activity in the same account sets itself off again and again, and burns through your tasks.A sudden flood of activities
If New Activity suddenly returns a huge batch, after a bulk import for example, Zapier's flood protection can hold the Zap back. The same activity is not counted twice
On this polling trigger, Zapier remembers the activities it has already seen, so one activity does not start the Zap a second time.
