Overview

What the Overlay AI Zapier integration is for

The Overlay AI Zapier integration sends three kinds of events from Overlay AI to other apps: flow activity, verification images and acknowledgements from people who checked an object's status. It runs in one direction. Overlay AI starts the Zap, another tool does the work. No code, and Overlay AI works on the free plan.

Three results teams build first. An audit trail without paperwork: New Acknowledgement adds a row to a sheet each time someone confirms they checked an object. A photo record in the right place: New Verification Image files each picture taken in Overlay AI into a shared folder or a ticket. And a team kept in the loop on procedures: Flow / Flow Step Completed posts to your chat app when flow activity happens.

All 3 triggers are instant. Overlay AI warns Zapier itself, so the free plan's waiting time between checks never applies.

What Zapier does not do for Overlay AI: it cannot write anything back. There is no action to start a flow, assign a person or record a check, and no search to look up an object. Overlay AI is always where the Zap begins, and the rest of the work happens in the tools your team already uses. Events from before the Zap was switched on are not picked up either.

Vocabulary

Zapier vocabulary in one minute

Seven words you will meet in the editor. One read and the rest of the page is easy going.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it; here, an event inside Overlay AI.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, in a tool other than Overlay AI.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan gives you a set number.
Instant vs polling trigger
An instant trigger is reported by the app as the event happens. A polling trigger is checked by Zapier on a fixed timer.
Filter
A step that lets the Zap continue only when what arrived meets a condition you set, and stops it every other time.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then requires a paid plan.
Cost

What it really costs

Zapier bills tasks, not Zaps. The Overlay AI trigger costs nothing; each successful action in another tool does.

  • Overlay AI trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, 2 steps per Zap
  • Overlay AI on the free planYes, not a paid-only app

One task per successful action: a Zap that logs an acknowledgement in a sheet and posts a chat message uses two tasks per check. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps, one trigger and one action. A filter or a second action means a paid plan. Plans also set how often Zapier checks polling triggers; Overlay AI has none, so the grid is listed for reference.

Connect

Connect Overlay AI to Zapier in three steps

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. You need an Overlay AI account, plus access to any flow or object you do not own but want the Zap to read.

  2. 02

    Find Overlay AI

Search for Overlay AI in the dialog, select it, then click Add connection. The connection is your Overlay AI account linked to Zapier once, then reused by every Zap built on it.

  3. 03

    Sign in and grant access

Sign in to Overlay AI in the tab that opens and allow Zapier to access the account. The connection then shows in your Zapier list, ready for a first Zap.

First Zap

Your first Zap: log every acknowledgement and tell the team

GoalEach time someone acknowledges an object's status in Overlay AI, the check lands in a sheet and the team gets a message.

  1. 01

    Build: pick the trigger

Start a new Zap, choose Overlay AI as the app and New Acknowledgement as the event, then select the connection you set up a moment ago.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent acknowledgements of the account, so you map the next steps on a real check instead of a blank.

  3. 03

    Add the log

Add your spreadsheet app as the first action and map the acknowledgement details sent by Overlay AI into the columns of your audit sheet.

  4. 04

    Add the message

Add your chat app as a second action with a short note for the operations channel. Two actions make this a multi-step Zap, which runs on a paid plan.

  5. 05

    Test, then publish

Test each action once, check the sheet and the channel, then click Publish to switch the Zap on for every acknowledgement that follows.

Triggers

Overlay AI triggers on Zapier

3 events start a Zap when something happens in Overlay AI, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Flow / Flow Step Completed

Instant trigger

In Zapier“Triggers when a user is tasked to a flow.”

Covers flow activity in Overlay AI. The editor labels it as a completed flow or flow step, while Zapier's own description speaks of a user being tasked to a flow, so test it before relying on one reading.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a site manager wants the shift lead told in the team chat whenever flow activity happens on a procedure, without opening Overlay AI.
Watch out
look at the three test items to see which event they actually show before you write a message that says completed.
2

New Verification Image

Instant trigger

In Zapier“Triggers when a picture is taken. (TBD)”

Starts the Zap when a picture is taken in Overlay AI. Each image becomes a piece of evidence you can file somewhere your team already looks.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a facilities team wants every verification photo attached to a ticket or saved in a shared folder, so an inspector can find it later without an export.
Watch out
Zapier still marks this trigger's description as to be defined, so check with a test what each image event actually carries.
3

New Acknowledgement

Instant trigger

In Zapier“Triggers when a user acknowledges they have checked the status of an Object.”

Reacts when a user confirms in Overlay AI that they have checked the status of an object. It turns a quick tap on the floor into a record somewhere else.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a quality lead wants a dated log of every check in a spreadsheet, ready for an audit, without anyone copying entries by hand.
Watch out
each acknowledgement runs every action in the Zap, so a busy site adds tasks fast on the free plan's 100 a month.
When it breaks

When an Overlay AI Zap breaks

Zapier attaches no help article to Overlay AI and the source lists no limit specific to the app. These are the general traps, applied to workspace checks.

Most surprises come from how the Zap is built, not from Overlay AI. Four cases are worth a check before you depend on it. If a Zap still misbehaves, see Zapier troubleshooting.

  • Earlier events are not picked up

A Zap only reacts to what happens after it is switched on. Flows, images and acknowledgements already in Overlay AI stay out; moving them is a separate job.
  • A busy shift eats the task count

Each event runs every action in the Zap. With two actions, every acknowledgement costs two tasks, and the 100 tasks of the free plan can go quickly.
  • A sudden batch gets held back

When a trigger suddenly sends a huge batch, after an import or a migration for example, Zapier's flood protection can hold it back instead of running all of it.
  • A filter that never passes

Filter rules are typed. A text rule on a number, or a number rule on text, and the condition is never met: the Zap stops at the filter every time.

FAQ

Overlay AI Zapier integration: frequently asked questions

01Is the Overlay AI Zapier integration free?
Yes, for two-step Zaps. Overlay AI is not reserved for paid plans on Zapier, so the free plan can use its 3 triggers, with 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: one trigger and one action. If you want a sheet row and a chat message, or a filter on certain events, the Zap becomes multi-step and needs a paid plan. You also need an Overlay AI account to connect it.
02How many tasks does an Overlay AI Zap use?
One task per successful action, nothing for the trigger. A Zap where New Acknowledgement adds a row to a sheet uses one task per check. Add a chat message as a second action and each check costs two. An action that fails is not counted. Since every acknowledgement, image or flow event runs the Zap, your task use follows the activity on site, so size the plan on your busiest weeks.
03Do Overlay AI triggers fire instantly?
Yes, all 3 of them. Flow / Flow Step Completed, New Verification Image and New Acknowledgement are instant triggers: Overlay AI tells Zapier the moment the event happens, and the Zap starts straight away. The plan grid that sets how often Zapier checks polling triggers, 15 minutes on the free plan, does not apply here. In the editor, a Zap built on an instant trigger shows a lightning bolt, an easy way to confirm it.
04What does it take to connect Overlay AI to Zapier?
An Overlay AI account and a Zapier account. In Zapier, open the Apps page, click + Add connection, search for Overlay AI, sign in in the tab that opens and grant access. If the Zap must read flows or objects you do not own, your user needs access to them. Before testing, make sure the account already holds at least one event of the kind you picked, since the test pulls the three most recent items.
05Does Flow / Flow Step Completed fire on completion or on assignment?
The source is ambiguous, so test before you rely on it. The editor names the trigger Flow / Flow Step Completed, while Zapier's description of the same trigger says it fires when a user is tasked to a flow. Run the trigger test and look at the three most recent items it brings back: they show which event your account actually sends. Write your downstream message to match what you see, not the label alone.
06What if the Overlay AI operation you need is not on Zapier?
Then Zapier cannot do it for Overlay AI today. The integration has 3 triggers and nothing else: no action to start a flow, assign someone or record a check, and no search to look up an object. Anything that must be written into Overlay AI stays a job inside the app. What Zapier does well here is carry flows, images and acknowledgements out to other apps, which offer far more actions. If writing into Overlay AI matters most, compare other automation tools.
07Zapier, Make or n8n for Overlay AI?
Choose on criteria rather than reputation. On Zapier, Overlay AI offers 3 instant triggers and no actions, works on the free plan, and each run is billed per successful action in your other tools. The free plan limits Zaps to two steps. Check whether each tool offers the Overlay AI events you need, whether any can write back into the app, how each bills a run, and who on your team will maintain the automation.
