Overview

What the Paid Memberships Pro Zapier integration actually does

Paid Memberships Pro is a WordPress plugin for running a membership site: it protects content, registers users and takes recurring payments. On Zapier, it reports two kinds of events (a member's level changing, an order being added or updated) and offers three actions on membership levels. That is the full scope, and it is narrower than the plugin itself.

Three outcomes site owners build with it. A welcome or goodbye sequence: Membership Level Changed starts a Zap that emails the member, adds them to a list or alerts your team. An order log outside WordPress: Order Added or Updated copies each order into a spreadsheet or your accounting tool. Access granted from elsewhere: a sale in another shop runs Change a User's Membership Level, and the buyer gets their level without you touching the dashboard. It can even create the WordPress user on the way.

Now what Zapier does not do for this plugin. Both triggers poll, none is instant, so on the free plan a level change can wait up to 15 minutes before the Zap sees it. There is no search step: a Zap cannot look up a member or a level by name. And nothing here touches protected content or recurring payment settings.

Vocabulary

Zapier vocabulary, in plain words

Eight words come up on every Zapier page. Here they are once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for it to happen.
Action
What the Zap does once it has started: the step that writes, sends or changes something for you.
Task
The unit Zapier bills: one action your Zap completes successfully. The allowance on your plan is a count of those.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. Both triggers here work this way.
Instant trigger
A trigger the app reports itself: it calls Zapier the moment the event happens. Paid Memberships Pro offers none.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter turns it into one, and it then needs a paid plan.
Cost

What a Paid Memberships Pro Zap really costs

Paid Memberships Pro is not reserved for paid Zapier plans: it runs on the free one. What limits you there is the polling interval and the number of steps.

  • Trigger checkFree, however often
  • Successful actionCounted as a task
  • Failed actionNot counted
  • Free plan allowance100 tasks per month
  • Instant triggersNone, both poll

Zapier checking your site for level changes or orders costs nothing, however often it looks, and the trigger never costs a task. Each action that succeeds counts as one task, whether it is a Paid Memberships Pro action or a step in another app. A failed action is not counted. The free plan gives you 100 tasks a month, checks every 15 minutes and builds two-step Zaps only. Add a filter to react to one level only, and you need a paid plan.

Connect

Connect Paid Memberships Pro to Zapier in three steps

  1. 01

    Open your connections

Go to the Apps page of your Zapier account. A connection is your Paid Memberships Pro site linked to Zapier once, then reused by every step that uses it, so you do this only once.

  2. 02

    Add Paid Memberships Pro

Click + Add connection, search for Paid Memberships Pro in the dialog and pick it, then click Add connection. A new browser tab opens for you to sign in.

  3. 03

    Sign in and grant access

Sign in to your site's account in that tab and grant Zapier access. Use an account that can manage members, since the actions change other people's membership levels, not only your own.

First Zap

Your first Paid Memberships Pro Zap: greet every level change

GoalEach time a member moves to a new level, an email goes out, but only for the level you care about.

  1. 01

    Pick the trigger

Create a Zap, choose Paid Memberships Pro and the event Membership Level Changed, then select the connection you set up earlier.

  2. 02

    Test it on real members

Run the test. Zapier brings back the three most recent level changes from your site, so you build the rest on a real member, not on a blank example.

  3. 03

    Add a filter

From the plus icon, add a filter: field, rule, value. Use a number rule if you compare level IDs, a text rule for names. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the email

Add the action in your email tool and map the member's details from the trigger into the message. Test it once and check the email really arrived.

  5. 05

    Publish

Click Publish to switch the Zap on. From then on, Zapier checks your site at the interval of your plan and sends one email per matching change.

Triggers

Paid Memberships Pro triggers on Zapier

2 events start a Zap when something happens in Paid Memberships Pro. Zapier checks for them at the interval your plan allows.

1

Membership Level Changed

Polling trigger

In Zapier“Triggers when a user's membership level changes.”

Starts the Zap when a user's membership level changes on your site: someone joins a level, moves to another one or loses theirs. It is the event behind most onboarding and offboarding flows, because it tells you who changed and in which direction.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a member upgrades and your newsletter tool, your community space or your team should know about it.
Watch out
if the same Zap also runs Change a User's Membership Level, each change it makes is a new change for this trigger, and the Zap can loop.
2

Order Added or Updated

Polling trigger

In Zapier“Triggers when a new order is added or updated in Paid Memberships Pro.”

Every new order in Paid Memberships Pro sets this one off, and so does every update to an existing order. That second case matters: one purchase can produce more than one run as the order moves along, so plan the steps that follow with that in mind.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
you keep orders in a spreadsheet, a bookkeeping tool or a sales channel, outside WordPress.
Watch out
because updates fire too, a filter is often needed to keep only the order states that interest you, and that means a paid plan.
Actions

Paid Memberships Pro actions on Zapier

Paid Memberships Pro gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a Membership Level Object

Action

In Zapier“Use this action to create a new membership level object in your Paid Memberships Pro site.”

Adds a brand-new membership level to your site. Only the level name is required, so the step stays short.

When to use it
you launch courses or cohorts from another tool and each one needs its own level on the site.
Watch out
it creates a level, it does not put anyone in it; that takes a second action.
2

Cancel a User's Membership Level

Action

In Zapier“Use this action to cancel a user's membership level.”

Removes a user's membership level, so they lose the access tied to it. The step asks for the ID of the level to cancel.

When to use it
a refund, a chargeback or a cancellation recorded in another tool should close access on the site too.
Watch out
without a search step, the level ID has to come from an earlier step or be typed in.
3

Change a User's Membership Level

Action

In Zapier“Use this action to change or cancel a user's membership level.”

Moves a user to the level whose ID you give. It can also create a new WordPress user account on the way, which is handy when the buyer has never visited your site.

When to use it
a payment or a form elsewhere should grant access to a level.
Watch out
entering 0 as the level ID cancels the membership instead of changing it.
When it breaks

When a Paid Memberships Pro Zap breaks

Zapier links no help article and no rate limit to Paid Memberships Pro. What breaks is general Zapier behavior, and on a membership site those cases hit members directly.

  • Existing members are never picked up

A Zap only reacts to changes after it is switched on. Members who joined before stay out of the Zap; sending them through is a separate job.
  • The Zap changes levels in a loop

Membership Level Changed plus Change a User's Membership Level in the same Zap: every change made by the action is a new change for the trigger, and tasks burn fast.
  • A bulk import gets held back

Import many members or orders at once, during a migration for example, and Zapier's flood protection can hold that batch back instead of running it all.
  • The same change twice? No

Zapier remembers what it has already seen on a polling trigger, so a given level change or order does not start the Zap twice across several checks.

FAQ

Paid Memberships Pro Zapier integration: frequent questions

01Is the Paid Memberships Pro Zapier integration free?
Yes. Paid Memberships Pro is not reserved for paid Zapier plans, so it works on the free one. That plan gives you 100 tasks a month, checks your triggers every 15 minutes and builds two-step Zaps: one trigger, one action. A Zap from Membership Level Changed to an email in another tool fits. Add a filter to keep a single level, or a second action, and the Zap becomes multi-step, which needs a paid plan. The plugin's own pricing is a separate matter.
02How many tasks does a Paid Memberships Pro Zap use?
One for every action that succeeds. The trigger is free, and Zapier checking your site for level changes or orders costs nothing, however often it checks. A failed action is not counted. Watch Order Added or Updated, though: it fires on updates as well as new orders, so one purchase can start several runs, and each run's actions count. A filter keeps the bill in line, at the price of moving to a paid plan.
03Does Paid Memberships Pro sync with Zapier in real time?
No. Both triggers, Membership Level Changed and Order Added or Updated, are polling triggers: Zapier goes to check your site at regular intervals instead of being told. The interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can also change how often it checks, and run a check by hand from the editor while you build and test the Zap.
04What does it take to connect Paid Memberships Pro to Zapier?
An account on your membership site, plus the right to manage what you want the Zap to touch: other users' levels are not yours, so you need access to change them. From the Apps page of your Zapier account, add a connection, search for Paid Memberships Pro, sign in in the tab that opens and grant access. Keep your level IDs at hand, since two of the three actions ask for one.
05How do you cancel a membership with Zapier?
Two ways, both based on the level ID. Cancel a User's Membership Level removes the level whose ID you give. Change a User's Membership Level does the same when you enter 0 as the level ID, which is useful if one Zap has to grant or remove access depending on the case. In both, nothing looks the ID up for you, because the app has no search step: it must come from an earlier step or be typed in.
06What if the Paid Memberships Pro operation you need is not on Zapier?
Then it is not available through Zapier today. The app offers two triggers, on level changes and on orders, and three actions on membership levels. Nothing reads or edits protected content or recurring payment settings, and no search finds a member or a level. That work stays in your WordPress dashboard. The editor lists the operations when you pick the app in a step, and that list matches the five described here.
07Zapier, Make or n8n for Paid Memberships Pro?
Decide on criteria, not on a ranking. On Zapier, Paid Memberships Pro runs on the free plan with two polling triggers and three level actions, which covers onboarding, order logging and access changes. Check three things elsewhere. Is the plugin available there, and with which operations? How fast must a level change reach the next step, given a 15-minute check on Zapier's free plan? And does your flow need a filter or several actions, which on Zapier means a paid plan?
