Overview

What the Patriscope Zapier integration actually does

Patriscope is an asset management tool where an organization keeps track of its users, its projects and the things it owns. Zapier links it to your other apps through a Zap, an automation made of one starting event and one or more steps that run each time that event happens. Here, Patriscope is always on the receiving end: it gets written to, it never starts anything.

Three results people build with it. A people roster that stays in sync: a new hire logged in your HR sheet or form becomes a Patriscope account through Create User, and a leaver gets their login switched off through Update User. An asset register that fills itself: a purchase recorded elsewhere lands in Patriscope through Create Asset, and later changes go through Update Asset. A work queue fed from outside: a request from a form or a helpdesk turns into a project, task, ticket or conformity control through Create Collaboration.

Now the part the app page skips. Zapier has no trigger for Patriscope, so nothing that happens inside Patriscope can start a Zap. There is no search either, which means a Zap cannot look up an existing Patriscope record before writing. And there is no delete action: removing a user or an asset stays a manual job (deactivating a user is possible, deleting one is not). The app is also flagged beta by Zapier.

If you are weighing other tools for the same job, the n8n vs Zapier and Make vs Zapier pages are there.

Vocabulary

The Zapier words you will meet here

Eight terms cover the whole page. Each one is defined once, then used as is.

Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or changes something for you, such as creating a user in Patriscope.
Task
The unit Zapier bills. One task is one action the Zap carried out successfully, and your plan counts those.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for its latest items at a fixed interval and keeps only what it has not seen before.
Instant trigger
A trigger the app reports by itself, the moment the event happens, so the Zap does not wait for the next scheduled check.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it quietly otherwise.
Search step
A step that looks up something already stored in an app, so the steps after it can reuse what it found. Patriscope offers none.
Multi-step Zap
Any Zap with more than one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a Patriscope Zap really costs

Patriscope is not reserved for paid plans, so it works on the free plan of Zapier. What you pay for is the number of actions that go through.

  • Free plan100 tasks a month, unlimited Zaps, two steps per Zap
  • BilledEach Patriscope action that succeeds
  • Not billedThe trigger, the checks, failed actions
  • App statusAvailable on the free plan, beta

The trigger in the other app never costs a task, and neither do the checks Zapier runs to look for new data. Each Patriscope action that succeeds counts as one task; one that fails is not counted. A Zap that creates a user and then updates an asset therefore costs two tasks per run. The free plan stops at two steps, one trigger and one action: adding a filter or a second Patriscope action turns the Zap into a multi-step Zap, which needs a paid plan.

Connect

Connect your Patriscope account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps. This is where every connection lives: your account of an app, linked to Zapier once, then reused by every step that uses that app.

  2. 02

    Add Patriscope

Click + Add connection, type Patriscope in the dialog, pick it from the list, then confirm with Add connection. A new tab opens on the Patriscope side.

  3. 03

    Sign in and grant access

Sign in to Patriscope in that tab and allow Zapier to use the account. You need a Patriscope account, plus read or write access on anything you do not own yourself and want the Zap to touch.

First Zap

Your first Zap: new hires become Patriscope users

GoalEach new row in an onboarding sheet creates the person in Patriscope, but only for rows marked as confirmed.

  1. 01

    Pick the starting app

Start building the Zap and choose the tool that starts it, here a Google Sheets trigger on your onboarding sheet. Patriscope cannot fill this slot, since it has no trigger.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent rows of the connected sheet. Pick a real one, so the mapping in the next steps uses live data.

  3. 03

    Add the filter

From the plus icon, add a Filter step and set the field, the rule and the value. A text rule only works on text, so pick it for a status column.

  4. 04

    Add Create User

Add Patriscope, choose Create User, then map the first name, last name, email and group columns into the four required fields.

  5. 05

    Test, then publish

Test the action and read what came back. Then Publish the Zap to switch it on. With the filter, this is a multi-step Zap, so it needs a paid plan. The Zapier training page is there for going further.

Actions

The 6 Patriscope actions

Patriscope gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Asset

Action

In Zapier“Creates a new asset in the system”

Adds a new item to the Patriscope inventory, so equipment or any owned resource gets its own record without anyone typing it twice.

When to use it
a purchase approved in your finance or procurement tool should appear in the asset register right away.
Watch out
nothing checks for an existing record first, since the app has no search, so a repeated source row means a duplicate asset.
2

Create Collaboration

Action

In Zapier“Creates a new collaboration (Projet/Task/Ticket/Conformity Control) in the system.”

Opens a new collaboration in Patriscope, which covers four kinds of work item: a project, a task, a ticket or a conformity control.

When to use it
a request submitted through a web form becomes a ticket the team can pick up inside Patriscope.
Watch out
one action covers four kinds of work item, so check which kind the step creates before you publish.
3

Create User

Action

In Zapier“Creates a new user in the system”

Gives someone a Patriscope account, with their name, email address and the groups they belong to.

When to use it
an IT team wants every new hire recorded in HR to get access on their first day, without a ticket.
Watch out
First name, Last name, Email and Groups are all required, and the step stops if one of them is empty.
4

Update Asset

Action

In Zapier“Updates an asset in the system by asset id or asset name”

Changes an asset that already sits in Patriscope, which you point to either by its asset id or by its asset name.

When to use it
a laptop reassigned in another tool should show its new state in the register too.
Watch out
matching by name is only as reliable as your naming, so two assets with the same name make the id the safer choice.
5

Update Collaboration

Action

In Zapier“Updates a collaboration in the system by collaboration id or collaboration name”

Edits a project, task, ticket or conformity control that exists already, found through its collaboration id or its collaboration name.

When to use it
a deal closed in your CRM updates the related Patriscope project without a manual edit.
Watch out
the source tool has to carry that id or exact name, otherwise the Zap has nothing to point at.
6

Update User

Action

In Zapier“Update a user in the system even by email.”

Modifies an existing Patriscope user, located by their current email address. Two optional settings turn the account on or off and grant or revoke login access.

When to use it
a departure logged in HR cuts the person's Patriscope login the same day.
Watch out
the email you send must be the one Patriscope holds now, not a new address the person moved to.
When it breaks

When a Patriscope Zap breaks

Zapier attaches no help article to Patriscope, and no limit specific to the app is documented. What breaks comes from how Zapier itself works.

These four cases cover the surprises you can see coming. For a Zap that already misbehaves, the Zapier troubleshooting page is the next stop.

  • The past is never picked up

A Zap only reacts to what happens after you switch it on. The users and assets already listed in your sheet stay out of Patriscope, and moving them is a separate job.
  • A Zap that sets itself off

If the Zap also writes back into the sheet or form its trigger watches, it starts itself again and again, and burns through your tasks fast.
  • A bulk import gets held back

After a mass import or a migration on the source side, the trigger can return a huge batch at once, and Zapier's flood protection may hold it back.
  • Duplicates come from the source

On a polling trigger Zapier remembers what it has seen, so one item never starts the Zap twice. A row copied and pasted, though, is a new item and creates a second record.

FAQ

Patriscope and Zapier: the questions people ask

01Is the Patriscope Zapier integration free?
Yes, Patriscope works on the free plan of Zapier, because Zapier does not reserve it for paid plans. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. A Zap that starts from a form and creates a Patriscope user fits. Add a filter or a second Patriscope action and the Zap becomes multi-step, which requires a paid plan. Note also that Zapier labels the app as beta.
02How many tasks does a Patriscope Zap use?
One task per Patriscope action that succeeds. The trigger in the other app costs nothing, and neither do the checks Zapier runs to find new data. An action that fails is not counted. So a Zap that creates a user uses one task per new person, and a Zap that creates a user then updates an asset uses two per run. On the free plan, 100 tasks a month means 100 successful actions, whatever the mix.
03Does Patriscope update in real time with Zapier?
It depends on the app that starts the Zap, because Patriscope has no trigger of its own. If that app offers an instant trigger, it reports the event to Zapier by itself and the plan interval does not apply. If it is a polling trigger, Zapier checks at a fixed interval set by your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Patriscope then receives the change at the next run.
04What does it take to connect Patriscope to Zapier?
A Patriscope account, and read or write access on anything you do not own yourself and want the Zap to change. The connection happens from the Apps page of your Zapier account: you add a connection, pick Patriscope, sign in to it in the tab that opens and grant Zapier access. After that, every step that uses Patriscope reuses that same connection, so you do it once. Check those access rights before the first test.
05Why does Update User not find the person?
Because Update User locates the person by the email address Patriscope holds right now. If the source tool sends a new address, or one with a typo, it does not point to the person you meant. Send the current email in the required field, and keep any new address for a later change. The same logic applies to Update Asset and Update Collaboration, which find their record by id or by name.
06What if the Patriscope operation you need is not there?
Then Zapier does not offer it today. The six actions are the full list: create or update an asset, a collaboration or a user. There is no trigger, so nothing in Patriscope can start a Zap, no search to look up a record, and no delete action. If your process depends on one of those, plan a manual step for it, or check whether another automation tool covers that operation before you build.
07Zapier, Make or n8n for Patriscope?
Judge by criteria, not by brand. On Zapier, Patriscope gives you six write actions, runs on the free plan, and is flagged beta. If your need is to push records into Patriscope from tools that already have good triggers, that fits. If you need Patriscope itself to start a workflow, or to look up records before writing, Zapier does not cover it, so check which operations each other tool offers for Patriscope.
