Parashift Zapier integrationAutomate Parashift with Zapier.
The Parashift Zapier integration gives you 1 trigger and 7 actions, with no search step. The trigger spots processed documents, and the actions upload files, read the extracted data in three formats and mark documents as exported.

What the Parashift Zapier integration does for you
Parashift reads documents for you: invoices, forms or scans go in, and structured data comes out after extraction and classification. Linking it to Zapier closes both ends of that loop. Files from your other tools flow into Parashift on their own, and the data it extracts flows back out to your spreadsheets, accounting or CRM, without anyone downloading and retyping.
Three results come back often. An inbox that feeds the extractor: a file lands in another app, and Upload Document or Upload Batch sends it to Parashift. Extracted values that land where you work: Check for New Documents spots documents in the status you picked, then Get Document Information (CSV Format) or one of its siblings hands over the data. A clean queue: Set Document as Exported flags each processed document once its data has left, so your team sees what is done.
The limits, plainly. The only trigger is a polling one, so the Zap starts on Zapier's next check, never at the very moment a document is ready. There is no search step, and no action deletes or edits a document. Upload Document takes only PDF and image files. And a Zap never goes back to documents processed before you switched it on, so the backlog needs its own plan.

Zapier vocabulary in one minute
Seven words explain everything below. Each is defined once here, then simply used.
- Zap
- The automation you set up in Zapier: one trigger, then one or more actions that run each time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier keeps watching for it.
- Action
- The step that does the work after the trigger: it writes, sends or moves something in an app on your behalf.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance counts those.
- Polling vs instant
- Zapier checks a polling trigger on a timer, while an instant trigger is reported by the app the moment it happens.
- Filter
- A step that lets the Zap go on only when the incoming data meets your condition, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
What a Parashift Zap really costs
Parashift is not reserved for paid plans: it runs on the free plan. Your bill follows the actions, not the trigger.
- Trigger checksfree, never counted
- Each successful action1 task
- Failed actionnot counted
- Free plan100 tasks a month, 2-step Zaps
- Filter or second actionmulti-step Zap, paid plan
Check for New Documents never costs a task, however often Zapier checks. Each action that succeeds counts as one, so reading a document and then flagging it exported costs two tasks per document. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but stops each Zap at two steps and checks the trigger every 15 minutes. A second action, a filter or a search makes it a multi-step Zap, which needs a paid plan, where the trigger is checked more often.
Connect your Parashift account to Zapier
- 01
Start from the Apps page
In your Zapier account, open Apps and click + Add connection. You need a Parashift account, plus read or write access on any documents you do not own and want a Zap to handle.
- 02
Choose Parashift
Type Parashift in the search box of the dialog, select it, then click Add connection. A new tab opens on the Parashift side, where the two accounts get linked.
- 03
Sign in and grant access
Sign in to Parashift in that tab and allow Zapier to use the account. The connection is stored, and every Parashift step in every Zap reuses it from now on.
Your first Parashift Zap, step by step
GoalSend the values of every processed invoice to a spreadsheet, then mark the document as exported.
- 01
Build: set the trigger
Create a Zap, choose Parashift and Check for New Documents, then set Status to the stage your documents reach once processed, such as done.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent matching items of the connected account, so you map the next steps on a real document.
- 03
Read the values
Add Get Document Information (CSV Format), set the same Status, and decide whether to skip the header. This hands over the extracted values in a spreadsheet-friendly shape.
- 04
Write the row
Add your spreadsheet app as the next action and map each value into its column. This is now a multi-step Zap, so it runs on a paid plan.
- 05
Close the loop
Add Set Document as Exported and map the Parashift ID from the trigger. Your team then sees in Parashift which documents have already left the queue.
- 06
Test, then publish
Test each step and read what came back before going further. Then Publish to switch the Zap on. For larger document flows, a Zapier agency can build and maintain them.
The Parashift trigger
1 event starts a Zap when something happens in Parashift. Zapier checks for them at the interval your plan allows.
Check for New Documents
Polling triggerIn Zapier“Triggers when a new document is available, which depends on the defined filters.”
Starts the Zap when a new document becomes available in Parashift under the filter you defined, mainly the document status. It is the only way for Parashift to open a Zap, so most outbound flows begin here.
The 7 Parashift actions
Parashift gives you 7 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Get Documents
ActionIn Zapier“Receives all documents to a defined filter”
Returns every document that matches a filter, mainly a status, so later steps can work through the list.
Get Document Information (CSV Format)
ActionIn Zapier“Receive document information according to an Parashift ID other filters. Export format is CSV, with focus on values”
Hands over the extracted values of a document as a CSV export, focused on the values themselves rather than the extraction details.
Get Document Information (Parashift Format)
ActionIn Zapier“Receive document information according to an Parashift ID other filters. Export format is Parashift JSON, including all information, e.g. coordinates, prediction rate, ...”
Delivers the full Parashift view of a document, including details such as coordinates and prediction rates next to the values.
Get Document Information (Short Format)
ActionIn Zapier“Receive document information according to an Parashift ID other filters. Export format is shortened Parashift JSON”
Gives a trimmed version of the Parashift format: the document data without the full extraction detail.
Set Document as Exported
ActionIn Zapier“Set the flag exported to a document in status "done"”
Puts the exported flag on a document whose status is done, so everyone can tell it has already been sent onward.
Upload Batch
ActionIn Zapier“Uploads a new batch of documents to the Parashift Platform. Page separation of chosen upload profile will occur.”
Pushes a batch of documents in one go; Parashift then splits the pages according to the upload profile you chose.
Upload Document
ActionIn Zapier“Uploades a new file (base64 coded) to the Parashift Platform. Document ID will be received as response.”
Sends one file to Parashift for processing and gets its document ID back. Name, encoded file, upload configuration, validation choice and training choice are all required.
When a Parashift Zap breaks
Zapier attaches no help article to Parashift and lists no Parashift-specific limit. What breaks is general Zapier ground, plus the status filter.
Four cases account for most failing Parashift Zaps. Each one is easy to avoid once you know it. For the wider list, see Zapier troubleshooting.
Earlier documents never come through
A Zap only reacts to what happens after it is switched on. Documents processed before that are not picked up; moving that backlog is a separate job.An upload loop
A Zap that starts on Check for New Documents and uploads a file back into Parashift creates a new document, which can start the Zap again and again and burn through your tasks.A bulk import gets held back
After a large batch or a migration, a trigger that suddenly returns a huge number of documents can be paused by Zapier's flood protection. The same document twice? No
Zapier remembers what a polling trigger has already seen, so one document does not start the Zap twice. A missing run usually means the status filter, not a duplicate.
