What the Patient Communicator Zapier integration does
The Patient Communicator Zapier integration passes what your patients do in Patient Communicator to the other tools of your practice, through Zapier, a service that runs automations between apps without code. A patient confirms, fills a form, texts you or books online, and Zapier carries that event wherever your team works.
Three results cover the usual needs. A booking lands where the team plans its day: New Online Appointment starts the automation and a calendar or a sheet receives the slot. Front-desk staff hear about patient texts without watching one more screen, because New Incoming SMS can relay each message to the team chat. And a filled-in form or a confirmed visit is recorded the moment it exists, thanks to New Online Form and New Appointment Confirmation.
What Zapier does not do here is just as clear. Patient Communicator offers no action and no search in Zapier: an automation cannot send a text, book a slot or look up a patient in it. The app only ever starts things. Nothing that happened before the automation was switched on comes back either. And since these are patient events, decide with care which details you let travel to other tools.

Zapier words you will meet on this page
Seven terms in plain words. The rest of the page uses them without explaining them again.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event takes place.
- Trigger
- The Patient Communicator event that starts a Zap, like a new online booking. Once the Zap is on, Zapier waits for it.
- Action
- The step that does the work after the trigger: it writes, sends or changes something in an app. Here it always lives in another app.
- Task
- What Zapier bills: one action completed successfully. The figure on your plan counts those and nothing else.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself. All four here are instant.
- Filter
- A step that lets the Zap carry on only when the incoming item meets your condition, and stops it there otherwise.
- Connection
- Your Patient Communicator account linked to Zapier once, then reused by every Zap that starts from Patient Communicator.
What a Patient Communicator Zap really costs
The trigger never costs a task, so Patient Communicator itself never eats into your plan. Your bill comes from the actions in the other apps.
- Trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, unlimited Zaps
- Free plan Zap size2 steps: one trigger, one action
- Premium appNo
Patient Communicator is not a premium app (the kind Zapier keeps for paid plans and trials): it works from the free plan. Each action that succeeds counts as one task; one that fails counts nothing. The free plan gives 100 tasks a month, with Zaps of two steps only: one trigger, one action. A second action or a filter makes the Zap multi-step, which needs a paid plan. The interval grid below concerns polling triggers, so it never slows these four.
Connect Patient Communicator to Zapier in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need a Patient Communicator account first, plus access to anything in it you do not own and want a Zap to read.
- 02
Pick Patient Communicator
Type Patient Communicator in the search box of the dialog, select it in the results, then click Add connection. Zapier sends you on to Patient Communicator to sign in.
- 03
Sign in and grant access
In the tab that opens, sign in with the practice account the Zap should listen to, then grant Zapier access. The connection is saved and every later Patient Communicator trigger reuses it.
Your first Zap: put online bookings in the team calendar
GoalWhen a patient books online, add the slot to the team calendar and alert the front desk.
- 01
Build: choose the trigger
In the editor, pick Patient Communicator as the app that starts the Zap, New Online Appointment as the event, then select the connection you added earlier.
- 02
Test the trigger
Run the trigger test. Zapier brings back the three most recent online bookings of the account, so the next steps are set on a real one. With none yet, book a test slot first.
- 03
Add the calendar step
Add your calendar app as the first action and map the booking details from the test item into the event. On the free plan, stop here: one trigger and one action.
- 04
Add the alert
Add a second action that posts to the front desk in your team chat. Two actions make the Zap multi-step, so this one needs a paid plan, and each run uses two tasks.
- 05
Test, then publish
Test each action once and read what came back. Then click Publish to switch the Zap on. Only bookings made after that moment will start it.
The 4 Patient Communicator triggers
4 events start a Zap when something happens in Patient Communicator, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.
New Appointment Confirmation
Instant triggerIn Zapier“Triggers when a patient confirms an appointment.”
A patient confirming an appointment starts this Zap. It turns a yes from the patient into something your team can see outside Patient Communicator, without anyone ticking a box by hand.
New Online Form
Instant triggerIn Zapier“Triggers when a patient fills a new Online Form for your Patient Communicator account.”
Each time a patient fills in an online form on your Patient Communicator account, the Zap starts with that form. It is the trigger for paperwork: intake questions and anything else you ask patients to fill in before a visit.
New Incoming SMS
Instant triggerIn Zapier“Triggers when a new SMS is received in your Patient Communicator account.”
A text received on your Patient Communicator account starts this Zap. Replies from patients stop living on one screen at the front desk and reach the people who can actually answer them.
New Online Appointment
Instant triggerIn Zapier“Triggers when a new Appointment is scheduled in the Online Scheduler for your Patient Communicator account.”
When a patient books through the Online Scheduler of your Patient Communicator account, the Zap starts with that new appointment. It is the trigger behind the example Zap on this page.
When a Patient Communicator Zap breaks
Zapier links no help article and no limit of its own to Patient Communicator. What breaks here is what breaks on any Zap, read through a practice's day.
Three cases to read before publishing. For the rest, keep Zapier troubleshooting close.
No backlog
A Zap only reacts to what happens after it is switched on. Last week's bookings and forms never reach it; moving them is a separate job.A flood after an import
If a large batch of appointments or messages lands at once, Zapier's flood protection can hold the events back instead of running the Zap on each.Task count on a busy line
Every relayed text or form costs a task in the next app. On the free plan, a busy SMS line can use up the 100 monthly tasks before the month ends.
