Overview

What the Open Letter Connect Zapier integration actually does

Open Letter Connect turns a template into physical mail: postcards, letters, folded mailers and pen-written letters, printed and posted on demand. The integration lets Zapier, the tool that chains apps together, place those orders for you each time something happens in another app. Every order goes to a US address.

A postcard after each purchase. Send Postcard takes a saved template and the buyer's address from your store, and one card leaves per order. Nobody exports a list at the end of the week.

A letter that looks written by hand. Send Real Penned Letter and its professional twin put a pen-written note in front of a client who just signed, using the envelope style you picked.

A campaign fed by your forms. Send Campaign drops each new lead into a mailing campaign you already built in Open Letter Connect, so the sequence is the same for everyone.

What Zapier does not do here. Nothing in Open Letter Connect can start a Zap: the app has no trigger, so you cannot react to an order being placed or a piece being mailed. It has no search either, which means a Zap cannot look up a past order. Every Zap begins in another app and ends with a piece of mail.

Vocabulary

Zapier vocabulary in one minute

Eight words show up on every Zapier screen. Here is what each one means when the last step is a letter.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap. Open Letter Connect has none, so the trigger always comes from another app, such as your store or CRM.
Action
What the Zap does once started. Here, each of the nine actions prints and mails one piece to one recipient.
Task
The unit Zapier bills: one action your Zap completes successfully. One letter placed through Zapier is one task.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by its app the moment the event happens.
Filter
A step that lets the Zap continue only when what arrived meets your condition, for example a US address, and stops it otherwise.
Search step
A step that looks up something already stored in an app so later steps can reuse it. Open Letter Connect offers none.
Connection
Your Open Letter Connect account, linked to Zapier once, then reused by every action that mails something.
Cost

What it really costs in tasks

Open Letter Connect is not a premium app, so it works on the free plan. This section counts Zapier tasks only, not what the app charges for print and postage.

  • Trigger0 tasks
  • Each piece mailed1 task
  • Free plan100 tasks a month
  • Free plan Zap size2 steps

The trigger, in whichever app starts the Zap, never costs a task, and Zapier checking for new items costs nothing either. Each Open Letter Connect action that goes through counts as one task; an order that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. Adding a filter to keep only US addresses, or a second mailing, makes it a multi-step Zap (anything beyond a trigger plus one action), which needs a paid plan. The interval grid below applies to the trigger app when its trigger is a polling one.

Connect

Connect Open Letter Connect to Zapier in three steps

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. You need an Open Letter Connect account, or access to the shared one your team mails from.

  2. 02

    Pick Open Letter Connect

Type Open Letter Connect in the search box of the dialog, select it, then click Add connection. A new tab opens on the Open Letter Connect side for the sign-in.

  3. 03

    Sign in and grant access

Sign in to Open Letter Connect in that tab and grant Zapier access to the account. The connection is saved and reused by all nine actions in every Zap you build.

First Zap

Your first Zap: a personal letter for each new US contact

GoalMail a personal letter to every new CRM contact whose address is in the United States.

  1. 01

Set the trigger in your CRM

Start a new Zap, pick HubSpot and the New Contact event, connect the account and test it. Zapier brings back the three most recent contacts so you can map a real one.

  2. 02

    Keep US addresses only

Add a Filter step from the plus icon and set it to pass only contacts with a US address. The filter makes the Zap multi-step, so it needs a paid plan.

  3. 03

    Choose the letter

Add Open Letter Connect with Send Personal Letter, then pick the template, the postage type and the envelope style. All three are required.

  4. 04

    Map the address

Map the contact's address into the four address fields: line 1, city, state and zip code. Each part goes in its own field, not one block of text.

  5. 05

    Test, then publish

Test the step once and read what came back before going further. Then publish the Zap to switch it on; contacts created before that moment get no letter.

Actions

The 9 Open Letter Connect actions

Open Letter Connect gives you 9 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Radius Mail - Single Order

Action

In Zapier“Place a single Radius Mail order for a recipient using your selected mailing options and order details.”

Places one Radius Mail order from a starting address. The Zap sends the street, city, state and zip, plus a filter type and whether to exclude the addresses above from the mailing list.

When to use it
a real estate agent wants an order placed around each new listing.
Watch out
when the template carries an offer add-on, the order also requires an Offer Percentage, a share of the estimated property value.
2

Send Self-Mailer (Bi-Fold, Tri-Fold)

Action

In Zapier“Create and mail a self-mailer.”

Builds a folded mailer, bi-fold or tri-fold, from a template in your account and sends it to one recipient. Unlike the postcard, it also asks you to pick a postage type.

When to use it
a folded price sheet for each lead who asks for your rates through a web form.
Watch out
both the template and the postage type are required, so settle the postage before you start mapping.
3

Send Campaign

Action

In Zapier“Create and mail a campaign.”

Instead of a template, this one asks for a campaign already set up in your Open Letter Connect account, then mails it to the address the Zap supplies.

When to use it
every lead from a landing page enters the same mailing campaign, without anyone copying addresses.
Watch out
the campaign must exist before the Zap can select it in the required campaign field.
4

Send Real Penned Letter

Action

In Zapier“Create and mail a real penned letter.”

Sends a letter written with a real pen rather than printed, from a template you prepared. Unlike the printed letters, it asks for no postage type: only the template and an envelope style.

When to use it
a personal note to a client the day their deal closes.
Watch out
like every action here, it only accepts a US address.
5

Send Personal Letter

Action

In Zapier“Create and mail a personal letter.”

Mails a printed letter in an envelope, based on a template, to one person. It asks for three choices before any address: template, postage type and envelope style.

When to use it
a welcome letter for every new member of a gym, a club or a practice.
Watch out
the address is split into line 1, city, state and zip, so each part needs its own mapping.
6

Send Postcard

Action

In Zapier“Create and mail a postcard.”

Prints a postcard from one of your saved templates and mails it to the address the Zap passes in. Along with Send Campaign, it asks for the fewest choices: one template, then the recipient's address.

When to use it
a thank-you card after the first order of each new customer in your online store.
Watch out
the template has to exist in Open Letter Connect first, since the template field is required.
7

Send Professional Letter

Action

In Zapier“Create and mail a professional letter.”

The business-style counterpart of the personal letter: same three required choices (template, postage type, envelope style), sent to the address that comes from the trigger app.

When to use it
a formal follow-up after a quote is marked as signed in your sales tool.
Watch out
Open Letter Connect verifies and corrects each address at no charge, so the printed address can differ slightly from the one you sent.
8

Send Real Penned Professional Letter

Action

In Zapier“Create and mail a real penned professional letter.”

The professional version of the pen-written letter. You choose a template and an envelope style, and the Zap fills in where it goes.

When to use it
a formal welcome to a new business account once its first invoice is paid.
Watch out
there is no postage type to pick, but leaving the envelope style empty blocks the step, since it is required.
9

Send Snap Pack Mailer

Action

In Zapier“Create and mail a snap pack.”

Mails a snap pack built on one of your templates, with the postage type you choose. The Zap supplies the recipient's address, and Open Letter Connect takes care of printing and posting it.

When to use it
a renewal reminder for each customer your CRM flags as due.
Watch out
postage type is required here too, which is not the case on Send Postcard.
When it breaks

When it breaks

Zapier attaches no help article to Open Letter Connect, and no rate limit for the app is documented. What can go wrong comes from the fields the actions require and from how Zapier works in general.

Four cases are worth knowing before the first letter goes out. If a Zap still misbehaves, go to Zapier troubleshooting.

  • Only US addresses go through

Every mailing action accepts US addresses only. Without a filter in front, a contact from abroad reaches the action anyway and the order cannot be placed.
  • Past contacts never get mail

A Zap only reacts to what happens after it is switched on. Customers or leads already in your other app receive nothing; mailing that backlog is a separate job.
  • A bulk import can be held back

When a big batch lands in the trigger app at once, after an import or a migration, Zapier's flood protection can hold it back instead of mailing each one.
  • Offer add-on on Radius Mail

If the Radius Mail template carries an offer add-on, the order needs an Offer Percentage. A Zap mapped without it stops at that step.

FAQ

Questions people ask before connecting Open Letter Connect

01Is the Open Letter Connect Zapier integration free?
On the Zapier side, yes. Open Letter Connect is not a premium app, so the free plan can use it, with 100 tasks a month and unlimited Zaps. Each free Zap is limited to two steps, which here means a trigger in another app and one mailing action. A filter or a second action turns it into a multi-step Zap that needs a paid plan. What Open Letter Connect charges for printing and postage is separate and not covered on this page.
02How many tasks does each letter or postcard use?
One task per mailing action that goes through. The trigger in the starting app never costs a task, and Zapier checking for new items costs nothing either. A Zap that mails one postcard per order spends one task per order. A Zap that sends a postcard and then a letter to the same person spends two. An order that fails is not counted. A few apps take more than one task per action, so keep an eye on your monthly count.
03Does the mail go out in real time?
It depends on the app that starts the Zap, because Open Letter Connect has no trigger of its own. If that app's trigger is instant, the action runs right away. If it is a polling trigger, Zapier checks on a timer set by your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Once the action runs, the order sits with Open Letter Connect, and how long printing and posting take is up to the app.
04What does it take to connect Open Letter Connect to Zapier?
An Open Letter Connect account, plus access to anything you do not own yourself and want the Zap to use. The connection takes three moves: open Apps in Zapier and click + Add connection, pick Open Letter Connect, then sign in and grant access. Before building, prepare the templates, and the campaign if you plan to use Send Campaign, since the actions require them. One saved connection serves all nine actions.
05Can Open Letter Connect mail outside the US through Zapier?
No. Each mailing action states that only US addresses are allowed, and the address is entered in four fields: line 1, city, state and zip code. If your source app holds international contacts, put a filter before the action so only US addresses reach it; that filter makes the Zap multi-step and needs a paid plan. Open Letter Connect also verifies and corrects US addresses for free, so small differences on the envelope are normal.
06What if the Open Letter Connect operation you need is not there?
Then Zapier cannot do it for this app today. Open Letter Connect offers nine actions and nothing else: no trigger to start a Zap when something happens in the app, and no search to find a past order. Every Zap has to start in another app. The app page on Zapier lists every available operation, so check it before planning around a missing one. What falls outside those nine actions stays a manual job inside Open Letter Connect.
07Zapier, Make or n8n for Open Letter Connect?
Choose on criteria, not on a ranking. On Zapier, the facts are simple: the app is not premium, it only receives orders, and the free plan stops at a trigger plus one action. A flow such as one order, one postcard fits the free plan. A flow that filters on US addresses or mails several pieces needs a paid plan. On the Make or n8n side, the first check is whether Open Letter Connect appears in their app list at all.
