What the PATLive Flex Zapier integration does
The PATLive Flex Zapier integration takes the messages that PATLive Flex receptionists write after a call and passes them to your other tools, through Zapier, a service that runs automations between apps without code. A receptionist answers for you, notes the message, and Zapier carries it to whoever needs it next.
Three results make it worth setting up right away. The person on duty hears about a call where they already work: New Receptionist Message starts the automation and the message lands in the team chat or an inbox. Callers become contacts, because the same message can create or update a record in your CRM. And nothing slips through on busy days, since every message can also be logged as a row in a sheet you review later.
What Zapier does not do here matters just as much. PATLive Flex has a single trigger and no action or search in Zapier: an automation cannot send instructions to the receptionists, change your call settings or look up an earlier message. Messages taken before the automation was switched on never come back. And the service itself, 24/7 call answering, stays configured in PATLive Flex, not in Zapier.

Zapier words you will meet on this page
Seven terms in plain words. The rest of the page uses them without explaining them again.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event takes place.
- Trigger
- The event that starts a Zap, here a new receptionist message in PATLive Flex. Once the Zap is on, Zapier waits for it.
- Action
- The step that does the work after the trigger: it writes, sends or changes something in an app. Here it always lives in another app.
- Task
- What Zapier bills: one action completed successfully. The number on your plan is a count of those, nothing else.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself. The PATLive Flex trigger is instant.
- Filter
- A step that lets the Zap carry on only when the incoming item meets your condition, and stops it right there otherwise.
- Connection
- Your PATLive Flex account linked to Zapier one time, then reused by every Zap that starts from PATLive Flex.
What a PATLive Flex Zap really costs
The trigger never costs a task, so PATLive Flex itself never eats into your Zapier plan. Your count comes from the actions in the other apps.
- Trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, unlimited Zaps
- Free plan Zap size2 steps: one trigger, one action
- Premium appNo
PATLive Flex is not a premium app (the kind Zapier keeps for paid plans and trials), so it works from the free plan. Each action that succeeds counts as one task; one that fails counts nothing. The free plan gives 100 tasks a month, with Zaps of two steps only: one trigger, one action. A second action or a filter makes the Zap multi-step, which needs a paid plan. The interval grid below concerns polling triggers, so it never slows this one.
Connect PATLive Flex to Zapier in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need a PATLive Flex account first, plus access to anything in it you do not own and want a Zap to read.
- 02
Pick PATLive Flex
Type PATLive Flex in the search box of the dialog, select it in the results, then click Add connection. Zapier sends you on to PATLive Flex so you can sign in.
- 03
Sign in and grant access
In the tab that opens, sign in with the PATLive Flex account whose messages the Zap should pick up, then grant Zapier access. The connection is saved and reused by every Zap built on it.
Your first Zap: send each call message to the team and the CRM
GoalWhen a receptionist takes a message, alert the team in chat and log the caller in the CRM.
- 01
Build: choose the trigger
In the editor, pick PATLive Flex as the app that starts the Zap, New Receptionist Message as the event, then select the connection you added earlier.
- 02
Test the trigger
Run the trigger test. Zapier brings back the three most recent receptionist messages, so you map the next steps on a real call rather than on empty boxes.
- 03
Add the team alert
Add your chat app as the first action and map the message details from the test item into the post. On the free plan, the Zap stops here: one trigger, one action.
- 04
Log the caller
Add your CRM as a second action and map the caller into a contact record. Two actions make the Zap multi-step, so this version needs a paid plan and uses two tasks per message.
- 05
Test, then publish
Test each action once and read what came back. Then click Publish to switch the Zap on. Only messages taken after that moment will start it.
The PATLive Flex trigger
1 event starts a Zap when something happens in PATLive Flex, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Receptionist Message
Instant triggerIn Zapier“Triggers when a new Receptionist Message is created.”
Each new message a PATLive Flex receptionist creates after a call starts this Zap with that message. It is the one door between the answering service and the rest of your tools: whatever the receptionist wrote down can now travel to the people who must act on it, instead of waiting in one more inbox.
When a PATLive Flex Zap breaks
Zapier links no help article and no limit of its own to PATLive Flex. What breaks here is what breaks on any Zap, read through the life of a phone line.
Three cases to read before you publish. For anything else, keep Zapier troubleshooting at hand.
No backlog
A Zap only reacts to what happens after it is switched on. Messages taken last week never reach it, so copy them over by hand if you need them.A wave of calls
If a large batch of messages lands at once, Zapier's flood protection can hold the events back instead of running the Zap on each of them.Tasks on a busy line
Every message that reaches an action costs a task there. On the free plan's 100 monthly tasks, a busy line can run out before the month is over.
