Overview

What the Myphoner Zapier integration actually does

It lets Zapier react when a Myphoner lead changes outcome, and lets other tools add or edit leads in your calling lists. Zapier runs automations called Zaps: each one waits for an event in one app, then does something in another. Here the event can be a lead won, lost, archived or flagged for a call back.

A running log of won deals. New Winner hands every won lead to the next step, so a spreadsheet or a CRM gets a new row without anyone copying it across. One trigger, one action: that fits the free plan.

New leads that land in the right list. Create Lead drops a lead into the Myphoner list you pick, straight from whatever app collects contacts. Callers find it in their queue instead of in an inbox.

Outcomes set from outside Myphoner. Search for Lead finds a lead from a phone number or an email, then Mark Lead as Winner, Mark Lead as Loser or Mark Lead for Call Back records the result. A search makes the Zap multi-step, so this one needs a paid plan.

What Zapier does not do here: it does not go back over leads that were already won or lost before the Zap was switched on, and none of the 5 actions deletes a lead. Each trigger also watches the list you choose, not your whole account.

Vocabulary

Zapier vocabulary, in plain words

Seven words come back on every line of this page. Here is what each one means for a Myphoner user.

Zap
The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap, such as a lead marked as a winner. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that creates, updates or marks a lead for you.
Task
The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those.
Polling vs instant trigger
A polling trigger is checked on a timer. An instant one is reported by the app itself, so nothing waits. All Myphoner triggers are instant.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up a lead that already exists, so the steps after it can use what it found.
Cost

What a Myphoner Zap costs you

The trigger never costs a task. Waiting for a lead to be won, lost or archived is free; only a completed action is billed.

  • Premium appNo, Myphoner works on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • Trigger costNone, only successful actions count
  • Myphoner triggers4, all instant

Each action that succeeds counts once, so a Zap with three actions eats three times what a one-action Zap does. An action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below is how often Zapier checks a polling trigger; it does not apply to the four Myphoner triggers, which are all instant.

Connect

Connect your Myphoner account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Myphoner account linked once, then reused by every step that talks to Myphoner.

  2. 02

    Pick Myphoner

Type Myphoner in the search box of the dialog, select it, then click Add connection. A new tab opens on the Myphoner sign-in screen, where the rest happens.

  3. 03

    Sign in and grant access

Log in to Myphoner in that tab and allow Zapier to use the account. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

First Zap

Your first Zap: log every won lead

GoalEach lead marked as won in Myphoner becomes a row in your spreadsheet, but only when it meets the condition you set.

  1. 01

    Build the trigger

Create a Zap, choose Myphoner and the New Winner event, select your Myphoner connection, then pick the List the trigger should watch.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map fields on a real lead, not a placeholder.

  3. 03

    Add the filter

From the plus icon, add Filter and set the field to look at, the rule and the value. A filter makes the Zap multi-step, so this step needs a paid plan.

  4. 04

    Add the spreadsheet step

Pick your spreadsheet app and its create-row action, then map the lead fields from the trigger into the columns you want.

  5. 05

    Test, then publish

Run each step once and read what came back. When the new row looks right in your spreadsheet, click Publish to switch the Zap on.

Triggers

Myphoner triggers in Zapier

4 events start a Zap when something happens in Myphoner, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Archived Lead

Instant trigger

In Zapier“Triggers when a lead is archived (marked 'archive').”

Starts your Zap when a lead in the list you choose gets the archive outcome, so the record can leave your other tools too.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you clean a list in Myphoner and want the same leads updated in your other tools without a second pass by hand.
Watch out
the List setting is mandatory, and the test only shows sample data once that list holds at least one lead.
2

Call Back

Instant trigger

In Zapier“Triggers when a lead is marked for 'call back'.”

Fires when someone flags a lead in the watched list for a call back, which gives you a hook to plan the follow-up elsewhere.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a caller promises to ring back and you want a reminder or a calendar entry created from that flag, not from memory.
Watch out
like every trigger here, it watches one List you set; leads flagged in another list are not seen by this Zap.
3

Lost Lead

Instant trigger

In Zapier“Triggers when a lead is lost (marked 'loser').”

Reacts to a lead marked as a loser in the list you pick and passes that lead to the next step of the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
lost leads should go into a separate sheet, so nobody calls them again by mistake.
Watch out
a list with no leads gives an empty test, because Myphoner needs at least one lead there to show sample data.
4

New Winner

Instant trigger

In Zapier“Triggers when a lead is won.”

Kicks off when a lead in your chosen list is won, which makes it the natural start of any reporting or hand-off Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a won lead has to reach the people who deliver, or a log that tracks results, without someone retyping it.
Watch out
it only sees leads won after the Zap is published; earlier wins stay where they are.
Actions

Myphoner actions in Zapier

Myphoner gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Lead

Action

In Zapier“Creates a new Lead.”

Adds a fresh lead to the Myphoner list you name, filled with the data your trigger carried.

When to use it
contacts collected in a form or another app should appear in a calling queue, ready to dial.
Watch out
the List is mandatory; without it the step cannot run.
2

Mark Lead as Loser

Action

In Zapier“Marks a given lead as a loser.”

Sets the loser outcome on a lead you point to by its Myphoner Lead ID.

When to use it
a contact declines through another channel and you want Myphoner to stop offering that number.
Watch out
the Lead ID is mandatory, so put Find Lead or Search for Lead before this step to fetch it.
3

Mark Lead as Winner

Action

In Zapier“Marks a given lead as a winner.”

Records a win on a given lead, identified by its Lead ID, from an event that happened outside Myphoner.

When to use it
the deal closes in another tool, a signed form for example, and the calling list should reflect it.
Watch out
no Lead ID, no step; a search placed before it can fetch one.
4

Mark Lead for Call Back

Action

In Zapier“Marks a given lead for call back, optionally at a specific time.”

Flags a lead for a call back, optionally at a specific time, using its Lead ID.

When to use it
a prospect asks to be called later through another channel and the request should land back in Myphoner.
Watch out
the Lead ID is required and the specific time is optional; a search placed before this step can fetch the ID.
5

Update Lead

Action

In Zapier“Updates an existing lead in myphoner.”

Changes the fields of an existing lead once you tell it the List and the Lead ID.

When to use it
a contact edits their details somewhere else and the calling record should carry the new ones.
Watch out
Myphoner needs the List first to know which fields can be updated, then the Lead ID; a search step gives you the ID.
Searches

Myphoner searches in Zapier

2 search steps look for data that already exists in Myphoner, so a later step can use it.

A search step finds a lead that already exists and hands what it found to the next steps. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Any search makes the Zap multi-step, so it needs a paid plan. Three settings decide what happens next.

1

Find Lead

SearchFind or create

In Zapier“Lookup a Lead in myphoner based on a specific field with a matching value.”

Looks for a lead in one List by matching a specific field against a value you give it.

When to use it
you hold a precise value, an email copied from a form say, and need the Lead ID for a later step.
Watch out
the List is mandatory. The editor also shows Find or Create Lead: it is this same search with the create box ticked, not an extra operation.
2

Search for Lead

SearchFind or create

In Zapier“Lookup a Lead in myphoner based on free text search.”

Runs a free-text search across one or more Lists, over all lead data and lead history.

When to use it
all you have is a phone number or a fragment of a name, and you are not sure which field holds it.
Watch out
both List(s) and Search String are required. Its Find or Create Lead line is the same search with the create box ticked.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there. Switched on, the Zap carries on with nothing found.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: it drops the setting above and asks for the fields needed to create the missing lead.
  3. If multiple search results are found?
Three ways out when several leads match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a Myphoner Zap breaks

Zapier lists no help article for Myphoner, so the cases below come from how Zapier behaves with every app, plus the one setting this integration asks for on each trigger.

Read the four cases before you publish. If a Zap still misbehaves, our Zapier troubleshooting page is the next stop.

  • Older leads are never picked up

A Zap only reacts to what happens after it is switched on. Leads won or archived earlier stay out; moving that backlog is a separate job.
  • The trigger test comes back empty

Each trigger watches one List, and Myphoner needs at least one lead in it to show sample data. Pick a list that already holds a lead.
  • A Zap that keeps restarting

As a general precaution, a Zap that writes into the place its own trigger watches can set itself off again and burn through tasks. Check at test.
  • A big import is held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.

FAQ

Myphoner Zapier integration: questions people ask

01Is the Myphoner Zapier integration free?
Yes, for simple Zaps. Myphoner is not a premium app, so it works on the free plan, which gives you 100 tasks a month and as many Zaps as you like, each limited to two steps: one trigger, one action. New Winner into a spreadsheet row fits that. The moment you add a search such as Find Lead, a filter or a second action, the Zap becomes multi-step and needs a paid plan. That matters here, because three of the five actions want a Lead ID, and a search placed before them can fetch it.
02How many tasks does a Myphoner Zap use?
One per successful action, per run. The trigger costs nothing, so a won lead that waits for Zapier is free. If that won lead then creates one spreadsheet row, that is one task. A Zap that searches for the lead and then marks it as a winner counts the action that succeeds; a few apps and actions take more than one task, so check the count after your first runs. An action that fails is not counted against your plan.
03Do Myphoner triggers fire in real time?
Yes. All four, Archived Lead, Call Back, Lost Lead and New Winner, are instant: Myphoner tells Zapier the moment the outcome changes, so the Zap starts right away on any plan, and the editor shows a lightning bolt on them. The interval grid of the plans does not apply to them. When Myphoner sits in the action step, though, the speed depends on the trigger of the other app, so check that trigger on its own page.
04What does it take to connect Myphoner to Zapier?
A Myphoner account, plus read or write access on anything you do not own yourself and want the Zap to touch. You then add the connection from the Apps page of Zapier with + Add connection, sign in to Myphoner in the tab that opens and grant access. The connection is made once and reused by every Myphoner step in every Zap you build. If a step later fails on access, check that the account you connected can read or write the lists involved.
05Why does the Myphoner trigger test show no sample lead?
Because the list you picked is empty. Every Myphoner trigger asks which List to watch, and Myphoner needs at least one lead in that list to show sample data. Choose a list that already holds a lead, run the test again, and Zapier brings back recent items so you can map real fields. The same List choice limits the live Zap: leads in other lists are not watched. Check the list setting first whenever a test looks wrong.
06What if the Myphoner operation you need is not there?
Then Zapier cannot do that step with Myphoner as things stand. Open the Myphoner page on Zapier, which shows the current list of triggers, actions and searches. Sometimes a mix covers the gap: a search to fetch the Lead ID followed by Update Lead can replace an action that does not exist. If nothing fits, compare what the other automation tools offer for Myphoner before building a workaround. Whatever you choose, test the chain once before publishing.
07Zapier, Make or n8n for Myphoner?
It depends on your criteria, not on a winner. On Zapier, Myphoner offers four instant triggers, five actions and two searches, and two-step Zaps run on the free plan. Check first that the exact operation you need exists on each tool. Then compare how each one bills a run, how many steps you will chain, and who on your side will maintain the scenario once it is live. Write those answers down before you start building anything.
