Overview

What the Payhip Zapier integration actually does

Payhip lets creators sell digital products, physical goods and memberships straight to their audience. The integration is one-way: Zapier watches your Payhip store for five kinds of events and hands each one to another tool, such as your mailing list, your bookkeeping sheet or your team chat.

Three results creators build first. A buyer list: New Sale adds each buyer, of a paid or a free product, to your email tool so the next launch reaches them. A member roster: New Membership Subscription and Cancel Membership Subscription keep a sheet or a community tool in line with who actually pays. A refund watch: Refund flags each refunded product sale in your bookkeeping, so the month's figures do not overstate revenue.

Now what Zapier does not do here. It cannot write into Payhip: there is no action, so no Zap creates a product, issues a coupon or refunds a buyer. There is no search step either, so a Zap cannot look up an existing Payhip customer. All five triggers are polling ones, none instant, so events reach your other tools at the next check rather than the second they happen.

Before you settle on a tool, the Zapier alternatives page is worth a look before you build your first Zap.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are, plainly.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Payhip offers five.
Action
What the Zap does once it has started: the step that writes, sends or moves something. Payhip has none; they run in other apps.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
Polling vs instant
Polling: Zapier asks the app for new items on a timer. Instant: the app reports the event itself. All Payhip triggers poll.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise. It needs a paid plan.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter turns a Zap into one, and it then needs a paid plan.
Cost

What a Payhip Zap really costs

Payhip itself never costs a task. The bill comes from the actions in your other tools.

  • Free plan100 tasks a month, unlimited Zaps
  • Zap size on free2 steps: one trigger, one action
  • Trigger checksFree, never billed
  • Payhip premium? No, available on the free plan

A trigger never uses a task, and Zapier checking Payhip for new sales costs nothing either, however often it looks. Each action that succeeds counts as one task; an action that fails is not counted. Since Payhip has no actions, all your tasks are spent in other apps. A Zap that adds a buyer to your list and logs the sale in a sheet spends two tasks per sale, free products included. On the free plan, each Zap holds two steps only: one trigger, one action. A filter or a second action needs a paid plan, and so does a shorter check interval.

Connect

Connect Payhip to Zapier in three steps

  1. 01

    Open the connection dialog

Go to the Apps page of your Zapier account and click + Add connection. A connection is your Payhip account linked once, then reused by every Zap that starts from Payhip.

  2. 02

    Choose Payhip

Type Payhip in the search box of the dialog, pick it, then click Add connection. You need an existing Payhip account; the dialog does not create a store for you.

  3. 03

    Sign in and allow access

Sign in to Payhip in the tab that opens and grant Zapier access. If the store belongs to someone else, ask for access to the sales and memberships you want the Zap to read first.

First Zap

Your first Zap: welcome each new member

GoalWhen someone joins a Payhip membership, add them to your community sheet and send a welcome email.

  1. 01

    Pick the trigger

Build a new Zap, choose Payhip as the app and New Membership Subscription as the event, then select the Payhip connection you made earlier.

  2. 02

    Test on a real member

Run the test. Zapier brings back the three most recent membership sign-ups of your store, so you map the next steps on a real person.

  3. 03

    Add the sheet row

Add the first action in your spreadsheet app and drop the values from the trigger into the columns. Test the step and read what came back before going on.

  4. 04

    Add the welcome email

Add the second action in your mail app. Two actions make a multi-step Zap, so this version needs a paid plan; on the free plan, keep only one of them.

  5. 05

    Publish

Publish the Zap to switch it on. New members are picked up at the next check, which happens every 15 minutes on the free plan.

Triggers

The 5 Payhip triggers

5 events start a Zap when something happens in Payhip. Zapier checks for them at the interval your plan allows.

1

Cancel Membership Subscription

Polling trigger

In Zapier“Triggers when a subscriber cancels a membership or a subscription.”

Starts your Zap when a subscriber cancels a membership or a subscription in Payhip. It is the signal to close doors you opened when they joined.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
remove the person from a private community or mark them as former members in your roster sheet.
Watch out
nothing is undone automatically; each tool you granted access in needs its own action to take it back.
2

New Membership Subscription

Polling trigger

In Zapier“Triggers when a customer subscribes to a membership or a subscription.”

Fires when a customer subscribes to one of your Payhip memberships or subscriptions. It is the counterpart of the cancellation trigger above.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
invite the new member to your community space, add them to a members-only email list, or log them in a sheet.
Watch out
pair it with Cancel Membership Subscription, or your roster only ever grows.
3

New Sale

Polling trigger

In Zapier“Triggers when a new transaction occurs. A paid transaction or a free transaction.”

Runs on every new transaction in your store, paid or free. A free download counts as a sale here, which is good for list building and bad for revenue reports.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
add buyers to your email tool, or log orders in the sheet you use for your accounts.
Watch out
free products start the Zap too, so add a filter on paid transactions if you only want revenue, which needs a paid plan.
4

New Product

Polling trigger

In Zapier“Triggers when you add a new digital or physical product.”

Reacts when you add a new digital or physical product to Payhip. It follows your catalog, not your customers, so it fires far less often than the sales triggers.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
announce a launch in your team chat, or add the product to a catalog sheet your partners read.
Watch out
products you created before publishing the Zap are not picked up, so fill the catalog sheet by hand once.
5

Refund

Polling trigger

In Zapier“Triggers when a transaction is refunded for a digital product or a physical product. Not a membership.”

Catches a refunded transaction on a digital or a physical product. Memberships are left out: a refunded membership does not start this Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
mark the sale as refunded in your bookkeeping sheet, or remove the buyer from a follow-up sequence.
Watch out
for members who leave, rely on Cancel Membership Subscription instead, since this trigger never sees them.
When it breaks

When a Payhip Zap breaks

Zapier documents no Payhip-specific error or rate limit. The problems you will meet come from Zapier's general behavior with a polling app.

Four cases cover most of what goes wrong. If a Zap still misbehaves, the Zapier troubleshooting page is the next stop.

  • Past buyers are never added

A Zap only reacts to what happens after you publish it. Sales, members and products from before that never reach it; moving them is a separate job.
  • The welcome arrives late

All five triggers poll. On the free plan Zapier checks every 15 minutes, so a new member can wait until the next check for their email.
  • A big launch stalls the Zap

When a trigger suddenly returns a huge batch, after an import or a big launch, Zapier's flood protection can hold the runs back.
  • A sale is not processed twice

Zapier remembers what it has already seen on a polling trigger, so one sale does not start the Zap twice. Two Zaps on New Sale are another story.

FAQ

Payhip Zapier integration: frequent questions

01Is the Payhip Zapier integration free?
Yes. Payhip is not a premium app on Zapier, so it works on the free plan: 100 tasks a month, unlimited Zaps and a check every 15 minutes. The limit is the size of each Zap. On the free plan a Zap holds one Payhip trigger and one action in another app, nothing more. Adding a buyer to your list fits. Adding them and logging the sale in the same Zap does not, because a second action or a filter makes the Zap multi-step, and that needs a paid plan.
02How many Zapier tasks does a Payhip Zap use?
The Payhip trigger uses none, and Zapier checking your store for new events is free however often it looks. Each action that succeeds afterwards counts as one task, and an action that fails is not counted. Since Payhip has no actions, every task is spent in another app. Note that New Sale also fires on free products, so a store with many free downloads can spend more tasks than its revenue suggests.
03Is Payhip on Zapier real time?
No. All five Payhip triggers are polling triggers: Zapier asks Payhip for new items at a fixed interval, then keeps only what it has not seen before. That interval depends on your plan: 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. The type is set by the app and cannot be changed in the editor. On paid plans you can also run a check by hand from the editor while you test.
04What does it take to connect Payhip to Zapier?
A Payhip account and a Zapier account. On the Apps page of Zapier, click + Add connection, type Payhip in the dialog and pick it, then click Add connection. Sign in to Payhip in the tab that opens and grant Zapier access to the account. If the store belongs to someone else, you also need access to the sales and memberships the Zap should read. The connection is then reused by every Payhip Zap you build.
05Does the Payhip Refund trigger cover memberships?
No. Refund fires on refunded transactions for digital or physical products only, and memberships are explicitly left out. If a member leaves, the event to watch is Cancel Membership Subscription, which fires when a subscriber cancels a membership or a subscription. A store that sells both products and memberships therefore needs two Zaps to track everything that ends: one on Refund, one on the cancellation trigger. Each of them can run on the free plan.
06What if the Payhip event you need is not in the list?
Then Zapier cannot start a Zap on it today. The five triggers on this page are the whole Payhip offer on Zapier, with no action and no search. A workaround is to start from the closest event and add a filter that only lets the right cases through, for instance paid sales only, which makes the Zap multi-step and needs a paid plan. The list can change when Payhip publishes a new version of its Zapier app, so check the app page again later.
07Zapier, Make or n8n for Payhip?
Decide on criteria rather than on a ranking. First, check that each tool offers the Payhip events you need: on Zapier, five polling triggers and nothing that writes back into Payhip. Second, look at billing: Zapier counts one task per successful action and nothing for the trigger. Third, weigh the delay you accept: on Zapier it follows the check interval of your plan. Fourth, count steps: beyond two, Zapier needs a paid plan. Compare the other tools on those points.
