Overview

What the PDF-app Zapier integration actually does

The PDF-app Zapier integration lets a Zap, the automation you build on Zapier, hand a file to PDF-app and get the processed version back. It is a toolbox of 27 actions: conversion, merging, splitting, compression, encryption, OCR and a few AI jobs. There is no event inside PDF-app that can start the Zap, so something else always goes first.

Three typical outcomes. A finished document from a template: Create PDF From HTML turns data from a form or a sheet into a PDF with your page format and margins. A lighter, safer file: Compress PDF shrinks it, then Add or Remove PDF Password locks it before it goes out. Data pulled out of paperwork: OCR - Optical Character Recognition 2.0 or Extract Data From PDF read tables and text from scans so the next step can store them.

What Zapier does not do here: it cannot notice a new file inside PDF-app, because the app exposes no trigger. Nor does it pick files up from wherever they sit. Almost every action wants a URL to the file, and for Google Drive that URL has to be a direct download link, not the sharing link.

The second thing to know is the 30-second rule. Many actions offer an asynchronous mode for long jobs: you get a job ID instead of the file, and a later step with Return Async Job Result fetches it. That second step makes the Zap longer, and on Zapier length has a price. If you are still weighing tools, the n8n vs Zapier comparison sits next to our Zapier review.

Vocabulary

Zapier words you will meet on this page

Eight terms, in plain English. Each one shows up in the editor while you build a PDF-app Zap.

Zap
The automation itself: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. PDF-app has none, so the trigger always comes from another app.
Action
What the Zap does once it has started. All 27 PDF-app operations are actions: they write, convert or send a file.
Task
The unit Zapier bills: one action that completes successfully. Your plan counts these and nothing else.
Polling vs instant
A polling trigger is checked on a timer, at an interval set by your plan. An instant trigger is reported by the app the moment it happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Connection
Your PDF-app account linked to Zapier once, then reused by every PDF-app step in every Zap you build.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What a PDF-app Zap really costs

Zapier bills tasks, and a task is one action that works. The trigger costs nothing, and checking for new data costs nothing either, however often Zapier looks.

  • Trigger0 tasks
  • Each successful action1 task (a few actions take more)
  • Failed actionNot counted
  • Free plan100 tasks a month, two-step Zaps only
  • PDF-appNot a premium app

PDF-app is not a premium app, so it runs on the free plan: 100 tasks a month, unlimited Zaps, polling every 15 minutes. The catch is the two-step ceiling. A free Zap is one trigger plus one action. The asynchronous pattern needs a PDF-app action and then Return Async Job Result, so it is multi-step and needs a paid plan, and each step that succeeds counts as its own task. A failed action is not counted.

Connect

Connect PDF-app to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an existing PDF-app account before you start, since Zapier only links accounts, it does not create them.

  2. 02

    Pick PDF-app

Type PDF-app in the search box of the dialog, select it, then click Add connection. A new tab opens on the PDF-app side so you can sign in with your usual credentials.

  3. 03

    Grant access

Sign in and allow Zapier to use the account. The connection is now stored and every PDF-app step in any of your Zaps reuses it, so you only do this once per account.

First Zap

Your first PDF-app Zap, step by step

GoalEach new row in a sheet becomes a PDF built from an HTML template, then gets compressed before you send it on.

  1. 01

    Build: pick the trigger

Start a new Zap and choose the app and event that start it. Here, a new row in Google Sheets. PDF-app cannot be the first step, because it has no trigger.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent rows of the connected sheet, so you map fields on real data rather than on a guess.

  3. 03

    Add Create PDF From HTML

Add PDF-app as the action and choose Create PDF From HTML. Set the page format, margins and orientation, and map the row values into your template.

  4. 04

    Add Compress PDF

Add a second PDF-app action, Compress PDF, and map the file URL produced by the previous step. This makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test each step, then publish

Test every step once and read what came back. When the PDF looks right, publish the Zap to switch it on. From then on, each successful action counts as one task.

Actions

The 27 PDF-app actions in Zapier

PDF-app gives you 27 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

AI Chat & Analyzer

Action

In Zapier“This function uses advanced AI to analyze inputs like images, text, or JSON, performing tasks such as data structuring, detecting personal information, extracting key details, summarizing, and generating actionable insights.”

Sends text, images or structured data to an AI model that can summarize, extract key details, structure content or spot personal information.

When to use it
a short summary of every inbound PDF report posted to your team channel.
Watch out
the asynchronous switch is required, so decide it before you test.
2

AI Image Generator

Action

In Zapier“Generate beautiful images using our advanced AI Image generator.”

Generates images from a prompt. Width and height go from 320 to 4096 pixels and must be divisible by 16; square sizes such as 1024x1024 work best.

When to use it
a visual draft for each new blog idea logged in a tracker.
Watch out
more than one image (up to 5) requires asynchronous mode.
3

Generate Barcodes

Action

In Zapier“Generate customized Barcodes with specific sizez and text elements”

Creates barcodes from texts or URLs, with a width, a height and an optional text line placed left, right or center.

When to use it
labels for new stock items entered in a sheet or an inventory app.
Watch out
text placement and text padding are required even when you only want the bars.
4

Compress PDF

Action

In Zapier“Compresses PDF Files and reduce file sizes without sacrificing quality or document security”

Shrinks a PDF using a preset: /screen for the smallest file, /ebook for reading, /printer, or /prepress for the least compression.

When to use it
attachments that bounce because they are too heavy for email.
Watch out
image resolutions are required and capped at 400 DPI.
5

PDF to Excel CSV Text & Classification & PII Analysis

Action

In Zapier“Convert PDFs to Excel, CSV, or text while extracting tables and text with OCR. Our API integrates AWS Comprehend for entity classification, PII detection, and deeper insights.”

Pulls tables and text out of a PDF into Excel, CSV or text, and can flag names, organizations, places and personal information on the way.

When to use it
screening incoming documents for personal data before they are shared.
Watch out
switch on Exclude File Return when only the analysis matters.
6

Convert Docx or Excel to PDF

Action

In Zapier“Convert Word or Excel document into a PDF file.”

Takes a Word or Excel file by its URL and returns it as a PDF, ready to archive or send to someone who should not edit it.

When to use it
a contract drafted in Word that must leave the company as a fixed document.
Watch out
the file URL must be downloadable, which rules out a plain Google Drive sharing link.
7

Edit PDF

Action

In Zapier“Edit PDFs by adding or removing text, images, or signatures, deleting pages, and searching and replacing text.”

Changes an existing PDF: add or remove text, images or signatures, delete pages, search and replace text.

When to use it
stamping a reference number on every signed agreement before filing it.
Watch out
the source PDF must come from a downloadable URL, like every other file action here.
8

Encrypt File

Action

In Zapier“Encrypt or decrypt your files with AES 256, AES 192 or AES 128 algorithm”

Encrypts or decrypts any file with AES 256, AES 192 or AES 128.

When to use it
archives handed to a third party who holds the matching key.
Watch out
the key length follows the algorithm (32, 24 or 16 characters) and the IV is always 16 characters; a wrong length stops the step.
9

Excel / CSV to JSON

Action

In Zapier“Convert Excel and CSV spreadsheets into structured, machine-readable JSON data.”

Reads a spreadsheet or CSV and returns structured rows, one sheet or all of them, with headers taken from a row you pick.

When to use it
an export from a partner whose lines must be split into separate records later in the Zap.
Watch out
leave the first row as headers on, or the columns come back with generic names.
10

Extract Data From PDF

Action

In Zapier“Extract data from your PDF through templates”

Reads fixed zones of a PDF through a template you save on PDF-app.net, then returns what sits in each zone.

When to use it
invoices from one supplier that always share the same layout.
Watch out
the default template ID is only an example, so create your own before going live.
11

Create PDF From HTML

Action

In Zapier“Create a PDF using HTML templates.”

Feeds an HTML template to PDF-app and gets a PDF back, with the page format (A0 to A6), margins, orientation and optional header and footer you choose.

When to use it
quotes, invoices or certificates assembled from form or spreadsheet data.
Watch out
long documents may pass 30 seconds, so switch on asynchronous processing for those.
12

Convert Image to PDF

Action

In Zapier“Converts an image to PDF.”

Turns one or several images into a PDF. Give it the image URLs and it hands back a single document.

When to use it
photos of receipts or delivery slips that your accounting tool only accepts as PDF.
Watch out
each image must sit at a reachable URL, not inside an attachment PDF-app cannot open.
13

Image Editor

Action

In Zapier“Image editing by adding Watermark text, resizing, reformatting, rotating, or adjusting quality to fit specific needs.”

Edits pictures: watermark text, resizing, format changes, rotation, quality, plus vertical or horizontal flips.

When to use it
product photos that must match one size before they go to a shop.
Watch out
Keep Ratio is required, and turning it off can stretch the image.
14

Return Async Job Result

Action

In Zapier“Returns the Result of an async job”

Fetches the result and status of a job started in asynchronous mode, using the job ID that first step returned.

When to use it
after any long conversion where you switched asynchronous processing on.
Watch out
it is a second action, so it costs a task and makes the Zap multi-step.
15

Merge PDFs

Action

In Zapier“Combine and merge PDFs into a Single PDF”

Combines two or more PDFs into a single file, in the order you list their URLs.

When to use it
a cover letter, a quote and terms of sale sent as one attachment.
Watch out
give at least two URLs, and use asynchronous mode when the stack is heavy.
16

OCR - Optical Character Recognition 2.0

Action

In Zapier“Smart OCR: Extracts structured data — text, tables, key-value pairs, images, layout, and signatures — from PDFs and images with high accuracy.”

Reads scans and images. You get plain text, tables, key-value pairs from forms, the layout with positions, and even detected signatures.

When to use it
scanned application forms whose answers belong in a CRM.
Watch out
every extraction type is a required yes-or-no switch.
17

Outline Text

Action

In Zapier“Outline all text in your PDF”

Turns all the text of a PDF into outlines, so the letters become shapes rather than editable characters.

When to use it
print files sent to a printer that may not have your fonts.
Watch out
once outlined, the text cannot be selected or searched any more.
18

Add or Remove PDF Password

Action

In Zapier“Add or remove PDF passwords for enhanced security and confidentiality.”

Locks a PDF with a password needed to open it, or removes that password from a file you can already open.

When to use it
payslips or medical reports that must not be readable by whoever forwards the email.
Watch out
the password travels through the Zap, so store it carefully.
19

PDF to HTML

Action

In Zapier“Convert your existing PDF into a precise and downloadable HTML file. Use this to design and refine your "HTML to PDF" templates effectively.”

Converts an existing PDF into a downloadable HTML file that mirrors its layout.

When to use it
you have a PDF you like and want to rebuild it as a template for Create PDF From HTML.
Watch out
this is a design helper rather than a production step, so it rarely belongs in a live Zap.
20

Convert PDFs to Images

Action

In Zapier“Converts PDFs to Images.”

Renders the pages of one or more PDFs as images you can drop into a post, a chat message or a preview.

When to use it
a thumbnail of each new brochure for your website or newsletter.
Watch out
many pages at once can exceed 30 seconds, so turn on the asynchronous option.
21

Convert PDF to DOCX

Action

In Zapier“Convert PDF documents into a DOCX file.”

Turns a PDF back into an editable Word file, so someone can rework the wording without retyping it.

When to use it
a supplier sends a PDF contract and your legal team wants to mark it up in Word.
Watch out
big files can pass the 30-second limit, so plan the asynchronous route for those.
22

Generate QR Codes

Action

In Zapier“Generate customized QR codes with specific sizes, colors, and branding elements”

Produces QR codes from URLs or texts, with the size, margin, pattern color, background color and output format set by you.

When to use it
a ticket or badge per registration, each one pointing to its own page.
Watch out
every one of those settings is required, so prepare defaults before mapping data.
23

Split PDF

Action

In Zapier“Split PDF in a required number of pages”

Cuts one PDF into several, with the number of pages per piece that you set.

When to use it
a batch scan of single-page forms that each need their own file.
Watch out
the page count per split is required, so the action cannot guess where one document ends.
24

Upload Temporary Files

Action

In Zapier“This function enables you to upload temporary files for processing from both URLs and binary sources (via presigned URLs). It also supports uploading zip files, extracting their contents, and providing individual presigned URLs for each extracted file. Uploaded files are stored securely with encryption, remaining accessible for 24-48 hours before automatic deletion. Upload links expire after 60 seconds, ensuring secure transfer, while download links remain valid for 1 hour.”

Puts a file, or the contents of a zip, on PDF-app storage and gives each one a link the other actions can read.

When to use it
a file coming from an app that offers no public URL.
Watch out
stored files disappear after 24 to 48 hours, and download links last one hour.
25

AI Text to Speech

Action

In Zapier“AI-powered text-to-speech conversion for creating lifelike audio from written content, enabled by AWS advanced AI technology.”

Reads written content aloud and returns an audio file, with a voice and an engine type you pick.

When to use it
an audio version of each new article for listeners on the go.
Watch out
synchronous mode stops at 3000 characters, and the field notes that some engines carry additional costs on the PDF-app side.
26

AI Text Translation

Action

In Zapier“AI-powered translation of text or documents into multiple languages using batch or synchronous processing, enabled by AWS's advanced AI technology.”

Translates text or documents into a target language set by its code, such as fr or es.

When to use it
product sheets that must exist in several languages for each market you sell in.
Watch out
long texts need asynchronous mode, which handles up to 500000 characters per operation.
27

Watermark

Action

In Zapier“Enhance your PDFs and images with customizable text and image watermarks. Image watermarks can be applied to images, while both text and image watermarks are supported for PDFs”

Stamps a text or image watermark on a PDF, or an image watermark on a picture, at one of nine positions.

When to use it
marking drafts as confidential before they reach a client folder.
Watch out
text watermarks only work on PDFs, not on images.
When it breaks

When a PDF-app Zap breaks

Zapier publishes no help article about PDF-app. The failures below come from the action settings themselves and from Zapier's general rules.

Most PDF-app problems start before PDF-app does anything: the file it receives cannot be opened, or the job takes longer than the step is allowed to wait. If a run fails anyway, our Zapier troubleshooting page is the next stop.

  • The 30-second wall

Synchronous jobs must finish within 30 seconds. Big conversions, merges or OCR runs need asynchronous mode, then Return Async Job Result to collect the file.
  • A link PDF-app cannot download

A Google Drive sharing link opens a viewer page, not the file. Without a direct download link, the action has nothing to process.
  • Temporary files that vanish

Upload Temporary Files keeps files for 24 to 48 hours, and download links stay valid for one hour. A later step that arrives too late finds nothing.
  • No catch-up on old files

A Zap only reacts to what happens after you switch it on. Documents that already existed are not processed; moving that backlog is a separate job.
  • A Zap that feeds itself

If the Zap saves its PDF in the very folder its trigger watches, the new file starts the Zap again and burns through your tasks fast.
  • Bulk imports held back

When a trigger suddenly returns a huge batch, after a migration for example, Zapier's flood protection can hold it back instead of converting everything.

FAQ

PDF-app Zapier integration: frequently asked questions

01Is the PDF-app Zapier integration free?
Yes, on the Zapier side. PDF-app is not a premium app, so it works on the free plan, which gives 100 tasks a month and unlimited Zaps. The limit is shape, not price: a free Zap is one trigger and one action. Adding a second PDF-app step, such as compressing after converting, or a filter, turns it into a multi-step Zap that needs a paid plan. What PDF-app itself charges is not covered by the Zapier listing, and one field even warns that some speech engines carry additional costs on the PDF-app side, so check your PDF-app account as well.
02How many Zapier tasks does a PDF-app action use?
One per action that succeeds, in most cases. The trigger from the other app costs nothing, and so does Zapier checking for new data. Each PDF-app action that completes counts on its own, so a Zap that converts, then compresses, then password-protects a file uses three tasks per run. A failed action is not counted. Watch the asynchronous route: starting a long job is one action and collecting it with Return Async Job Result is another, so that pattern costs two tasks. Zapier also notes that a few apps and actions take more than one task.
03Does PDF-app work in real time with Zapier?
PDF-app has no trigger, so its speed depends on the app that starts the Zap. If that trigger is instant, the other app reports the event itself and the Zap runs straight away on any plan. If it is a polling trigger, Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Once started, a synchronous PDF-app action has 30 seconds to finish. Longer jobs switch to asynchronous mode and return a job ID first.
04What do you need to connect PDF-app to Zapier?
An existing PDF-app account, nothing more on the Zapier side. Open the Apps page, click + Add connection, search for PDF-app, then click Add connection and sign in on the tab that opens. Grant access and the connection is saved for every Zap. In practice the bigger prerequisite is your files: almost every action expects a URL PDF-app can download. If a file sits in Google Drive, prepare a direct download link, or pass it through Upload Temporary Files first.
05Why does a PDF-app action fail on large files?
Because synchronous jobs stop at 30 seconds. A heavy merge, a long OCR run or a big conversion can go past that. The fix is the Asyncron processing switch present on most actions: set it to true and the step returns a job ID instead of the file. A later Return Async Job Result step uses that ID to fetch the output. That adds a step, so the Zap becomes multi-step and needs a paid plan, and it adds one task per run.
06What if the PDF-app action for a given job does not exist?
Start from the 27 actions in this list and see whether two of them chained cover the job: Convert PDF to DOCX followed by Edit PDF, for instance, or Split PDF then Watermark. If the gap is about where the file comes from, Upload Temporary Files gives PDF-app a link it can read. If the gap is about the start of the Zap, remember PDF-app has no trigger at all: the starting event always has to come from another app connected to Zapier.
07Zapier, Make or n8n for PDF-app?
Decide on criteria rather than on a ranking. On Zapier, PDF-app is not premium, so a single conversion per run fits the free plan. Count your steps: if most jobs need asynchronous mode or chain several actions, every Zap is multi-step and each action is a task, which sets your plan. Check that each tool lists the PDF-app operations you rely on before choosing, and weigh how you prefer to be billed against how many documents you process.
