What the Memberspot Zapier integration does for a course business

The Memberspot Zapier integration lets your other tools act on your Memberspot course platform. Another app starts the Zap, a sale, a form or a refund, and Zapier then grants or removes course access, sets expiry dates, stores custom data on a member or reads their progress.

Three results cover most course setups. Access after a sale: your checkout tool starts the Zap and Grant Access opens the course, creating the member if they do not exist yet. Access closed on a refund: Revoke Access removes the course while keeping the member's progress, so nothing is lost if they come back. Progress in your CRM: Find User by Mail fetches the member, then Users Course Progress List by User Id returns where they stand, ready to be written into another tool.

What Zapier does not do here. Memberspot has no triggers on Zapier, so it cannot start a Zap: no event fires when someone finishes a lesson or signs up. Every Memberspot Zap begins in another app. Many actions also want a user ID rather than an email, which means a search step first.     Open your connections

    In Zapier, open the Apps page of your account and click + Add connection. A connection is your Memberspot account linked to Zapier once, then reused by every step that needs it.

    Search for Memberspot in the dialog, select it, then click Add connection. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

Your first Zap: open a course after each sale and confirm by email

    Create a Zap and choose your checkout tool's sale event as the trigger. Check on that app's Zapier page whether its trigger is instant or polling.

    Run the test. Zapier brings back the three most recent items of that account, so you map fields on a real sale. Note where the buyer's email sits.

    Add Grant Access

Grant Access

Changes the state of one member's access to one offer, by uid and offer ID. It is the fine-grained switch for a single person.

When to use it
a payment problem reported by your billing tool should pause that member's access.

State is required; check at test which values Memberspot accepts.

Set Order State by Order Id

Action

In Zapier“Sets the state of all accesses with a specific orderId for all users that have this orderId. If active is not supplied, the acceses get deleted from the users. All users with the given orderId will be affected.”

Changes every access tied to one order ID, for every member who holds it. One step, possibly many people.

When to use it
a group or team order is canceled and everyone on it should lose access at once.
Watch out
per its description, if the state is not set to active, the accesses get deleted from those users.

The Memberspot search

1 search step looks for data that already exists in Memberspot, so a later step can use it.

A search step sits at the bottom of the action list, under the SEARCH heading of Action event. It finds an existing record so later steps can use it; some fields offer + Add search step to insert one just before. Adding it makes the Zap multi-step.

Find User by Mail

Search

In Zapier“Searches for a user by his mail and returns details.”

Looks up a Memberspot member from their email and returns their details. It is the bridge between tools that know emails and actions that want a uid.

When to use it
before Set Access Expires or any by-ID action, when only the email is known.
Watch out
check at test that the uid is among the details returned before mapping it.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. Memberspot offers no such variant on Zapier, so you will not see it on Find User by Mail.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When it breaks

When a Memberspot Zap breaks

Zapier attaches no help article to Memberspot and lists no rate limit for it. What breaks comes from Zapier's general rules and from a few actions that do more than their name says.

  • No catch-up on the past

    A Zap only reacts to what happens after it is switched on. Sales and refunds from before stay out; giving those buyers access is a separate job.
  • Progress wiped by Delete Access

    Delete Access erases the member's course progress. Revoke Access closes the course and keeps progress. Pick by whether the member might come back.
  • One order, every member

    Set Order State by Order Id touches all members with that order, and deletes their accesses when the state is not active.
  • An unknown email creates a member

    Grant Access creates the member when the email matches none. Check at test that your checkout passes the email the person uses on Memberspot.
  • Flood protection after an import

    A trigger that suddenly returns a huge batch, after a bulk import or a migration, can be held back by Zapier's flood protection.
  • A Zap that sets itself off

    A Zap that writes into the place its own trigger watches can start itself again and again and burn tasks. Check this when the trigger app is also written to.

01Is the Memberspot Zapier integration free?
Yes, for two-step Zaps. Memberspot is not a premium app on Zapier, so the free plan can use it. That plan gives 100 tasks a month and an unlimited number of Zaps, each with one trigger and one action. A sale in your checkout tool followed by Grant Access fits. As soon as you add Find User by Mail, a filter or a confirmation email, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a Memberspot Zap use?
One task for each action that succeeds, and nothing for the trigger in your other app. A sale followed by Grant Access costs one task per buyer; adding a confirmation email makes it two. Find User by User Id and the progress list actions are actions too, so they count each time they succeed. An action that fails is not counted. Each sale runs the whole Zap again, so multiply the actions per run by your monthly sales to check you stay under 100 on the free plan.
03Can Memberspot start a Zap in real time?
No, Memberspot has no triggers on Zapier, so it never starts a Zap at all. The Zap starts in another app: your checkout tool, a form, your billing tool or a spreadsheet. Whether that start is immediate depends on that app's trigger. If it is instant, the Zap runs right away on any plan. If it is a polling trigger, Zapier checks it on your plan's interval, every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise.
04What does it take to connect Memberspot to Zapier?
An account on Memberspot, plus read or write access on anything you do not own yourself and want the Zap to touch. You connect it once from the Apps page of Zapier with + Add connection: pick Memberspot, sign in in the tab that opens and allow access. Before building, create the courses and offers your actions will point to, and note their IDs, since the by-ID actions ask for offer, course or chapter IDs.
05Revoke Access or Delete Access: which one after a refund?
Revoke Access, if the buyer might come back one day. It removes the member's access to the course but keeps their progress in the courses, so the history is still there if they buy again. Delete Access removes the access and deletes the progress in the courses. Keep Delete Access for clean-ups, test accounts or explicit deletion requests. The same logic applies to orders: Revoke Order Access is the softer one, Delete Order Access the definitive one.
06What if the Memberspot operation you need is not listed?
Then Zapier cannot do it with this app, and no setting adds it. Check first whether two steps cover it: Find User by Mail followed by a by-ID action replaces an email version that does not exist, for example. What is missing entirely is any trigger, so nothing in Memberspot can start a Zap. The Memberspot page on Zapier shows the current list of operations, so check it there before you plan around a gap.
07Zapier, Make or n8n for Memberspot?
Choose from your flow, not from a ranking. On Zapier, Memberspot only acts, so first check that your flow starts in another app; if you need Memberspot events to start it, Zapier cannot do that here. Then count steps: an email-based Grant Access fits the free plan, while a by-ID action needs a uid; if your trigger only carries an email, that means a search first and therefore a paid plan. Price that same written flow on each tool before deciding.
