Overview

What the PDF Maker - Automate Documents Zapier integration does

The PDF Maker - Automate Documents Zapier integration lets a Zap, the automation you build on Zapier, produce a document from a template you designed in Google Docs. It offers two actions: one fed by any earlier step, one fed by an Airtable record. It has no trigger, so another app always opens the Zap.

Three typical outcomes. An invoice per sale: Create Document takes values from the step before, an order or a form for instance, and drops them into your invoice template. A report per Airtable record: Create Document Using Airtable reads one record by its ID and fills a template prepared for Airtable. A batch of letters with one design: the same template serves every run, so the layout stays identical from one document to the next.

What Zapier does not do here: it cannot react to anything in PDF Maker, which offers no trigger and no search. It does not design the template either. That work happens in Google Docs and in PDF Maker, before you open the Zap editor, and the two actions only list templates already set up for the right kind of data.

The list is short, two actions, so the value sits in the template you prepare and in what the Zap does with the document afterwards. Still comparing platforms? See our Zapier review and the Make vs Zapier comparison.

Vocabulary

Zapier terms, explained simply

Eight words you will meet in the editor while setting up PDF Maker.

Zap
The automation itself: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a new record. PDF Maker offers none, so another app supplies it.
Action
What the Zap does once it has started. Both PDF Maker operations are actions that create a document.
Task
The unit Zapier bills: one action that completes successfully. Your plan counts these and nothing else.
Polling vs instant
A polling trigger is checked on a timer set by your plan. An instant trigger is reported by its app the moment it happens.
Filter
A step that lets the Zap go on only when the incoming data meets your condition, and stops it otherwise.
Connection
Your PDF Maker account linked to Zapier once, then reused by every PDF Maker step in all your Zaps.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter turns it into one, and it then needs a paid plan.
Cost

What a PDF Maker Zap costs

The trigger never costs a task, and Zapier checking for new data costs nothing either. You pay for actions that succeed.

  • Trigger0 tasks
  • Each successful action1 task (a few actions take more)
  • Failed actionNot counted
  • Free plan100 tasks a month, two-step Zaps
  • PDF MakerNot a premium app

PDF Maker - Automate Documents is not a premium app, so it runs on the free plan: 100 tasks a month, unlimited Zaps, a check every 15 minutes on polling triggers. A free Zap holds two steps, one trigger and one action, which is enough to create a document. Emailing it or filtering which records qualify adds a step, makes the Zap multi-step and calls for a paid plan. A failed action is not counted.

Connect

Connect PDF Maker - Automate Documents to Zapier

  1. 01

    Open Apps

In your Zapier account, go to Apps and click + Add connection. Create your PDF Maker account beforehand, because Zapier only links an account that already exists.

  2. 02

    Pick the app

Search for PDF Maker - Automate Documents in the dialog, select it and click Add connection. A tab opens on the PDF Maker side so you can sign in to your account.

  3. 03

    Grant access

Sign in and let Zapier use the account. The connection is saved, and both PDF Maker actions reuse it in every Zap you build later, without asking you to sign in again.

First Zap

Your first PDF Maker Zap

GoalEach new Airtable record that meets your condition produces a client report from a Google Docs template.

  1. 01

    Build: choose the trigger

Create a Zap and pick the app and event that start it, here a new Airtable record. PDF Maker cannot be the first step since it has no trigger.

  2. 02

    Test with real records

Run the trigger test. Zapier returns the three most recent records of the base, so you set up the next steps on real data.

  3. 03

    Add a filter

Add a filter so only the records that meet the condition you set go further. A filter makes the Zap multi-step, so this version needs a paid plan.

  4. 04

    Add Create Document Using Airtable

Choose PDF Maker, then Create Document Using Airtable. Pick your template and map the record ID from the trigger into Record Id.

  5. 05

    Test, then publish

Test each step and open the document that came back. When it is right, publish the Zap to switch it on. Each report costs one task.

Actions

The 2 PDF Maker - Automate Documents actions in Zapier

PDF Maker - Automate Documents gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Document

Action

In Zapier“Create a document from a template”

Fills a template with values from earlier steps and returns the finished document, ready for the next step to send or store.

When to use it
invoices or certificates triggered by an order, a payment or a form, where the data travels inside the Zap.
Watch out
the template list only shows templates set up for this kind of incoming data, not your Airtable ones.
2

Create Document Using Airtable

Action

In Zapier“Create a document from a template using airtable”

Builds a document from a template designed for Airtable, reading the record you point it to with its ID.

When to use it
project summaries or client reports kept as rows in an Airtable base.
Watch out
Record Id is required, so map it from the trigger rather than typing a fixed value that would produce the same document every time.
When it breaks

When a PDF Maker Zap breaks

Zapier ties no help article to this app. The cases below come from its required fields and from Zapier's general rules.

Most problems come from the template or from what reaches the action, not from the generation itself. If a run fails anyway, our Zapier troubleshooting page is the next stop.

  • The template is missing from the list

Each action lists only templates made for its data source. An Airtable template does not show in Create Document, and the reverse is also true.
  • The same document again and again

Record Id is required on the Airtable action. Typed as a fixed value instead of mapped from the trigger, it rebuilds the same record on every run.
  • Old records never processed

A Zap only reacts to what happens after you switch it on. Records created before that get no document; handling the backlog is a separate job.
  • A Zap that feeds itself

If the Zap writes back into the table its trigger watches, the change can start it again and again, and it burns through your tasks fast.

FAQ

PDF Maker - Automate Documents Zapier integration: FAQ

01Is the PDF Maker - Automate Documents Zapier integration free?
On the Zapier side, yes. PDF Maker - Automate Documents is not a premium app, so it works on the free plan with 100 tasks a month and unlimited Zaps. A free Zap is one trigger and one action, which is exactly what it takes to create a document. Sending that document by email, or adding a filter, makes the Zap multi-step and requires a paid plan. What PDF Maker charges for its own account is not shown on Zapier, so check it on the PDF Maker side.
02How many tasks does a PDF Maker document use?
One task per document in most cases, because creating it is one action. The trigger from the other app costs nothing, and Zapier checking for new records costs nothing either. A Zap that creates a document and then emails it uses two tasks per run. A failed action is not counted against your plan. Zapier also notes that a few apps and actions take more than one task when they complete, so count from real runs rather than from assumptions.
03Does PDF Maker work in real time with Zapier?
PDF Maker has no trigger, so timing depends on the app that starts the Zap. If that trigger is instant, the other app reports the event itself and the Zap runs straight away on any plan. If it is a polling trigger, Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The type belongs to the starting app and cannot be changed in the editor, so check it there before you promise a quick document.
04What do you need to connect PDF Maker to Zapier?
A PDF Maker account and at least one template. In Zapier, open Apps, click + Add connection, search for PDF Maker - Automate Documents, click Add connection, sign in on the tab that opens and grant access. Template is a required field on both actions, and each action only lists templates made for its own data source, so prepare one for the right source first. For the Airtable action, the Zap also needs the ID of the record to use.
05Why does a template not appear in the PDF Maker action?
Because each action shows only the templates built for its data source. Create Document lists templates meant for data coming from earlier Zap steps, while Create Document Using Airtable lists templates meant for Airtable. A template made for one source stays invisible in the other action. Check which source the template was created for in PDF Maker, then choose the matching action in the Zap rather than switching templates around.
06What if the PDF Maker action you need does not exist?
PDF Maker - Automate Documents offers two actions, both of which create a document from a template. Anything beyond that, sending the file, storing it or updating a record with it, belongs to another app's action placed after the PDF Maker step. Each of those extra actions costs a task and makes the Zap multi-step, so it needs a paid plan. If the gap is in the document itself, the fix usually lives in the template.
07Zapier, Make or n8n for PDF Maker - Automate Documents?
Decide on criteria rather than on a ranking. On Zapier, this app is not premium, so creating one document per run fits the free plan, while sending or filing that document adds a step that needs a paid plan and costs a task. Check whether the other tools offer the same two template actions, including the Airtable one if you rely on it, then compare how each bills against the number of documents you produce.
