Pdfless Zapier integrationAutomate Pdfless with Zapier.
The Pdfless Zapier integration gives you 0 triggers, 1 action and 0 searches. One move only, but a useful one: whenever another app records something new, Pdfless fills one of your templates and produces the PDF, with nobody copying data by hand.

What the Pdfless Zapier integration does for you
It connects Pdfless, a document service that combines HTML and CSS layouts with your own data to produce PDFs, to the rest of your tools through Zapier. A Zap (an automation on Zapier: one event that starts it, then the steps it runs) asks Pdfless for a document each time that event happens.
With a single action, the results are variations on one theme. A document per form answer: a registration, a request or an order captured elsewhere becomes a PDF through Generate PDF. A document per new deal or customer: the same action, fed by your CRM, produces a quote or a welcome letter from the template you designed in Pdfless. A document that travels further: because Generate PDF is a step like any other, what it returns can feed a following step, provided your plan allows more than two steps.
Now the limits, which are the real story here. Pdfless has no trigger on Zapier, so it can never start a Zap on its own: another app must do it. It has no search, so a Zap cannot look up an existing document or template. And there is no second action: no deleting, no listing, no editing. The design work happens inside Pdfless; Zapier only asks for the result. If you are deciding between platforms, see Make vs Zapier.
For a broader view of the tool before you build, the Zapier review is a good starting point.
Zapier terms, explained for Pdfless
Seven words appear throughout this page. Here is each one, in plain English, as it applies to a Pdfless Zap.
- Trigger
- The event that starts a Zap. Pdfless offers none, so the trigger always belongs to another app: a form, a CRM, a sheet.
- Action
- What the Zap does once it runs. With Pdfless there is exactly one: producing a PDF from your template.
- Task
- What Zapier bills you for: one action that succeeds. Every PDF generated through Zapier is one task on your plan.
- Polling trigger
- A trigger that Zapier checks on a timer, asking the other app for anything new. Most triggers on Zapier work like this.
- Instant trigger
- A trigger the app reports itself, calling Zapier when the event happens. Your Pdfless Zap then starts without waiting.
- Filter
- A step that only lets the Zap continue when incoming data meets your rule, so you skip PDFs nobody needs.
- Connection
- Your Pdfless account linked to Zapier once, then reused by every Pdfless step you add to any Zap.
How much a Pdfless Zap costs
The trigger costs nothing, wherever it comes from. Zapier bills only the actions that go through.
- Free plan100 tasks per month, unlimited Zaps
- Steps on the free plan2 (one trigger, one action)
- Premium appNo, Pdfless runs on every plan
- Pdfless triggersNone: the other app sets the pace
Each Generate PDF run that succeeds is one task; one that fails is not counted. Pdfless is not a premium app, so it works on the free plan: 100 tasks a month and unlimited Zaps, but every Zap is capped at two steps, one trigger and one action. A Pdfless Zap fits exactly. Add a filter or another step and it turns multi-step, which needs a paid plan. Start speed depends on the other app's trigger and, when it polls, on the grid below.
Connect Pdfless to your Zapier account
- 01
Go to Apps
From your Zapier account, open Apps and click + Add connection. Have your Pdfless account ready beforehand, since the connection needs an existing one to sign in to.
- 02
Select Pdfless
Search for Pdfless in the dialog, pick it and click Add connection. A separate tab opens on the Pdfless side, where the two accounts are actually linked together.
- 03
Sign in and grant access
Log in to Pdfless in that tab and let Zapier use your account. If the templates you want belong to a teammate, make sure your account has access to them before you build.
Build your first Pdfless Zap
GoalEach time a form receives a new answer, produce a PDF from your Pdfless template, but only for answers that ask for one.
- 01
Build: choose the starting app
Create a Zap and pick the app whose event should start it, here a form tool. Pdfless cannot start a Zap, so this step always belongs to someone else.
- 02
Test the trigger
Run the test. Zapier pulls the three most recent items from that account, so you can map Pdfless using a real answer rather than placeholders.
- 03
Add a filter
Add a Filter step, set the field to check, the rule and the value. This makes the Zap multi-step, so this version needs a paid plan.
- 04
Add Generate PDF
Add Pdfless with Generate PDF, and map the answer's values into your template. Test the step and check the document it produced.
- 05
Publish
Happy with the result? Click Publish to switch the Zap on. From now on, each new answer that passes the filter gets its PDF.
The Pdfless action
Pdfless gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Generate PDF
ActionIn Zapier“Generate a PDF based on template”
Fills one of your Pdfless templates with the data mapped from earlier steps and produces the matching PDF. The layout stays in Pdfless; the Zap supplies the content.
When a Pdfless Zap breaks
Zapier links no help article to Pdfless and publishes no limit specific to it.
What breaks is therefore Zapier's general behavior, felt through the app that starts the Zap. Three cases cover most surprises. For anything else, head to Zapier troubleshooting.
No PDF for anything older
The Zap ignores everything that existed before you published it. Past answers or orders need a separate one-off job if they must get their document.A loop that burns tasks
If a later step writes back into the place your trigger watches, the Zap keeps setting itself off and generating PDFs, which eats your task count fast.A bulk import gets held back
When the starting app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the trigger back instead of producing every PDF.
