malma Zapier integrationAutomate malma with Zapier.
The malma Zapier integration offers 0 triggers, 1 action and 0 searches. One action is enough for one clear job: hand a new lead to a malma AI phone agent when another tool records it, without anyone retyping a name or a number.

What the malma Zapier integration actually does
malma runs AI phone agents: they call leads, qualify them and book appointments. The Zapier side is narrow and honest about it. It gives you one action, Create Lead, which drops a person into malma and assigns them to one of your agents. Everything else starts in another app.
Here is what that single action produces once it sits at the end of a Zap (an automation on Zapier: one starting event, then one or more steps that run each time it happens).
A call queue that fills itself. Someone fills in the contact form on your site, and Create Lead passes their first name, last name, email and phone to the agent you chose. Nobody copies a row by hand before the agent can dial.
One agent per source. Because the Agent field is set per Zap, two Zaps with two different sources can feed two different agents. The routing lives in the Zap, not in someone's head.
Only the leads worth a call. Put a filter between the source and malma, and only the entries that pass your condition become leads. That one extra step makes the Zap multi-step, so it needs a paid plan (more on that below).
What Zapier does not do for malma. There is no malma trigger, so a finished call, a qualified prospect or a booked meeting cannot start a Zap. There is no search either, so a Zap cannot look up a lead that is already in malma, and no action updates or removes one. If you want the call outcome pushed somewhere else, this integration will not carry it. Our n8n vs Zapier and Make vs Zapier comparisons help you judge the other platforms on your own criteria.
Zapier vocabulary in one minute
Eight words you will meet in the editor. Each one is explained once here, then used as is on the rest of the page.
- Zap
- The automation you build: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. malma has none, so your Zap always starts in another tool.
- Action
- What the Zap does once started: the step that writes, sends or moves something. Here, Create Lead is the action.
- Task
- The unit Zapier bills: one action that completes successfully. Your plan counts tasks, not Zaps or checks.
- Polling vs instant
- A polling trigger is checked on a timer for new items. An instant trigger is reported by the app itself the moment the event happens.
- Filter
- A step that lets the Zap continue only when what arrived meets your condition, and stops it quietly otherwise.
- Connection
- Your malma account linked to Zapier once, then reused by every Zap step that talks to malma.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
What a malma Zap really costs
malma is not a premium app on Zapier, so it works on the free plan. The bill is counted in tasks, and only Create Lead spends them.
- Premium appNo, available from the free plan
- Free plan100 tasks a month, two-step Zaps only
- Billed per lead1 task per successful Create Lead
- Failed actionNot counted
The trigger in the other app never costs a task, however often Zapier looks for new items. Each lead that Create Lead manages to create counts as one task; an attempt that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter in front of malma and the Zap becomes multi-step, which means a paid plan. The interval grid below only matters if the trigger of your source app is a polling one; malma itself has no trigger for it to apply to.
Connect your malma account to Zapier
- 01
Open the connections page
In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. You need a malma account first, set up before you start here.
- 02
Pick malma and confirm
Type malma in the dialog, select it, then click Add connection. A new browser tab opens on malma's side so you can sign in with the account whose agents should receive the leads.
- 03
Sign in and grant access
Log in to malma in that tab and grant Zapier access to the account. The connection then appears in your list, and every Zap that uses Create Lead reuses it without asking again.
Your first Zap: website form to malma call queue
GoalEvery contact form submitted on your site becomes a malma lead, assigned to the agent that should call it.
- 01
Build the trigger
Create a Zap and pick your form tool with its new-submission event. Testing it brings back the three most recent submissions of the connected account, so you map fields on a real entry.
- 02
Add the filter
Add a Filter from the plus icon, then set its three boxes: the field to look at, the rule and the value. Only matching submissions continue. This step makes the Zap multi-step.
- 03
Add Create Lead
Choose malma and Create Lead, pick the agent, then map first name, last name, email and phone from the submission. All five fields are required, so none can stay empty.
- 04
Test the malma step
Run the action once and read what came back before going further: the agent and the four contact fields should match the submission you picked.
- 05
Publish
Click Publish to switch the Zap on. From then on, each new submission that passes the filter becomes one lead and costs one task when it works.
The malma action on Zapier
malma gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

When a malma Zap breaks
Zapier attaches no help article to malma, and its page lists no limit specific to the app. What breaks is what breaks on every Zap, seen from the malma side.
Four cases are worth knowing before you publish. If a Zap still misbehaves, our Zapier troubleshooting page is the next stop.
Old contacts never reach malma
A Zap only reacts to what happens after it is switched on. Leads collected before publishing are not picked up, and moving that backlog is a separate job.A Zap that feeds itself
A Zap that writes into the very place its own trigger watches sets itself off again and again, and each loop burns a task on Create Lead.A bulk import held back
When your source suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those items back instead of creating every lead. The same contact twice
On a polling trigger, Zapier remembers what it has already seen, so one entry does not start the Zap twice.
