Overview

What the 360io Zapier integration actually does

360io is a white-label client platform used by clinics and service businesses for booking, payments, messages and documents. Hooking it to Zapier means one of two things: 360io starts an automation when a note or a contact appears, or another app pushes a contact or a company into 360io without anyone retyping it.

Three results come up again and again. First, a live contact list somewhere else: New or Updated Contact sends every new or edited 360io contact to a spreadsheet, a mailing tool or your accounting app. Second, a team that hears about notes as they are written: New Note pushes each fresh note into a chat channel or a task list, so the person on duty reads it without opening 360io. Third, a client file that fills itself: Create or Update Contact takes a form entry or a booking from another tool and writes the contact into 360io, while Create Company opens a company record with its main contact attached.

Now the part Zapier keeps quiet. There is no search step for 360io, so a Zap cannot look up an existing 360io record and reuse it. There is no trigger on payments, appointments or documents either, even though 360io handles all three. And nothing on the Zapier side can delete or archive a record. If your plan leans on any of that, check it before building.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself, the moment the event happens.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it otherwise.
Connection
Your 360io account linked to Zapier once, then reused by every step in every Zap that touches 360io.
Cost

What a 360io Zap really costs

Short version: the trigger is free, every action that succeeds is billed, and 360io works on the free plan.

  • Free plan100 tasks a month, 2-step Zaps only
  • 360io triggers2 instant, 0 polling
  • Premium appNo, works on the free plan
  • BilledEach successful action, never the trigger

The trigger never costs a task, and neither does Zapier listening for new data. Each action that goes through counts once, so a Zap with three actions uses three times what a one-action Zap uses. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter or a second action and you have a multi-step Zap, which needs a paid plan. Since both 360io triggers are instant, the plan's checking interval does not slow them down.

Connect

Connect your 360io account to Zapier

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need a 360io account first, plus read or write rights on any record you do not own yourself.

  2. 02

    Pick 360io

Type 360io in the search box of the dialog, select it from the list, then click Add connection. A new browser tab opens on the 360io side to sign you in.

  3. 03

    Sign in and allow access

Log in to 360io in that tab and grant Zapier access to the account. The connection now shows on your Apps page, and every Zap that uses 360io can pick it.

First Zap

Your first 360io Zap, step by step

GoalCopy every new or edited 360io contact that has an email into a spreadsheet.

  1. 01

    Build the trigger

Create a Zap, choose 360io as the app and New or Updated Contact as the event, then select the connection you just made.

  2. 02

    Test it on real data

Run the trigger test. Zapier fetches the three most recent contacts from your account, so you map fields on a real record rather than a guess.

  3. 03

    Add the filter

Click the plus icon, add Filter, and set the field, the rule and the value. Pick a text rule for an email, or the filter never lets anything through.

  4. 04

    Add the action and map

Add the spreadsheet step, then drag the 360io fields (name, email, phone) into the matching columns. Test that step once and read the result.

  5. 05

    Publish

Click Publish to switch the Zap on. With a filter it is a multi-step Zap, so this version needs a paid plan; drop the filter to stay free.

Triggers

360io triggers

2 events start a Zap when something happens in 360io, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Note

Instant trigger

In Zapier“Trigger when a new note created.”

Each time someone writes a note in 360io, this trigger hands it to Zapier, and your Zap can forward it, log it or turn it into a to-do somewhere else.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a front desk that writes a follow-up note after a client visit and wants the practitioner pinged in the team chat without checking 360io.
Watch out
the Zap only sees notes written after you publish it, so older notes stay where they are.
2

New or Updated Contact

Instant trigger

In Zapier“Triggers when a contact is created or updated.”

This one fires on two events at once: a contact added to 360io, and a contact whose details change. That makes it the right base for keeping a copy of your client list in sync elsewhere.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a mailing list or a finance tool that must hold the same email and phone as 360io.
Watch out
a Zap that sends this contact back into 360io with Create or Update Contact edits it again, which fires the trigger again, and the loop eats your tasks.
Actions

360io actions

360io gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Company

Action

In Zapier“Create a new company”

Opens a new company record in 360io together with the person you deal with there. Five fields are mandatory: first name, last name, email, phone and company name.

When to use it
a B2B signup form that should become a company account in 360io without manual entry.
Watch out
a blank phone number is enough to make the step fail.
2

Create or Update Contact

Action

In Zapier“Add or update a contact to database”

Writes a person into the 360io database, or refreshes them if they are already there. It asks for a name, a last name and an email, nothing more.

When to use it
a booking taken on another website or a lead from an ad form that should land in 360io as a client.
Watch out
each successful run is one task, update or not.
When it breaks

When a 360io Zap breaks

Zapier lists no help article and no rate limit specific to 360io. What breaks is the usual Zapier list.

These four cases cover most of the support tickets you will open. For a wider checklist, see the Zapier troubleshooting guide.

  • Old records are ignored

A Zap only reacts to what happens after you switch it on. Contacts and notes that already existed are never picked up; moving them is a separate job.
  • The contact loop

Writing a contact into 360io from a Zap triggered by New or Updated Contact edits that contact, which starts the Zap again and burns through tasks fast.
  • A bulk import gets held back

After a mass import or a migration into 360io, a sudden huge batch can be paused by Zapier's flood protection instead of flowing through.
  • Duplicates and instant triggers

Zapier remembers what it has already seen on a polling trigger, so one item does not start the Zap twice. Both 360io triggers are instant, so that memory is not what decides here.

FAQ

360io Zapier integration: questions

01Is the 360io Zapier integration free?
Yes, as long as your Zap stays at two steps. 360io is not a premium app, so it runs on Zapier's free plan. That plan gives you 100 tasks a month and as many Zaps as you like, but each Zap is limited to one trigger and one action. The moment you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. You also need your own 360io account, since Zapier only connects to an account you can sign in to.
02How many tasks does a 360io Zap use?
One per successful action, nothing for the trigger. A New Note trigger followed by one action costs one task each time a note is written. If the Zap has three actions, it costs three tasks per note. An action that fails is not counted, and Zapier waiting for new notes or contacts is free however often it happens. Watch the contact loop: a Zap that writes back into 360io from New or Updated Contact keeps firing and spends tasks with every turn.
03Does 360io trigger Zaps in real time?
Yes. Both 360io triggers, New Note and New or Updated Contact, are instant: 360io tells Zapier as soon as the event happens, so the Zap starts right away. The checking interval tied to each Zapier plan only applies to polling triggers, which 360io does not have. That means a free plan reacts as fast as an Enterprise plan here. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What does it take to connect a 360io account?
A 360io account, plus read or write rights on any record you do not own and want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for 360io, click Add connection, then sign in to 360io in the tab that opens and grant access. The connection is saved once and reused by every Zap that uses 360io afterwards, so you do not repeat the sign-in for each new Zap.
05Why does Create Company keep failing?
Usually because a required field arrives empty. Create Company refuses to run without five values, and the phone number is the one that goes missing most, next to first name, last name, email and company name. Forms often leave it optional. The first lead who skips it breaks the step. Make the field mandatory in the source form, or map a default value in the Zap. Create or Update Contact is lighter: it only needs a name, a last name and an email.
06What if the 360io operation you need is not there?
Then Zapier cannot do it for 360io today. The integration covers four operations only: two triggers on notes and contacts, two actions that create a company or create and update a contact. There is no search step, no trigger on payments, appointments or documents, and no delete. A workaround is to start the Zap from the other app involved, if that app has the trigger you want, then finish with one of the two 360io actions.
07Zapier, Make or n8n for 360io?
It depends on your criteria rather than on a winner. Zapier offers 360io as a ready-made app with 2 instant triggers and 2 actions, set up without code, and the free plan covers a two-step Zap. If you need more steps per scenario, a different pricing model or to host the tool yourself, compare Make and n8n on those points. Check first whether the tool you are considering offers a ready-made 360io module.
