Persana AI Zapier integrationAutomate Persana AI with Zapier.
Persana AI Zapier integration: 1 trigger, 2 actions, 1 search. Everything happens in your Persana AI tables: your Zap (the automation you build) can watch for matching rows, add a row, update one, or look up row IDs before acting.

What the Persana AI Zapier integration actually does for you
Persana AI gives you B2B data on people and companies, organized in tables. The Zapier integration works on those tables: it can notice rows that match a text you choose, write new rows, update existing ones, and find the ID of a row so a later step can change it. Four operations, all built around rows.
Three outcomes, each tied to a real operation. Matching prospects that reach your CRM: Search Row Id watches a table for rows whose column matches your search text, and each new one can become a contact elsewhere. Leads from your forms that land in a Persana AI table: Add Row to Table writes them in, ready for the data work Persana AI does. A row that stays current: Search Row IDs finds the right row, then Update Row in Table changes it, so a status set in another tool shows up in Persana AI too.
Now the part the app page does not say. The only trigger is a polling one, so on the free plan your Zap only hears about new rows when Zapier checks, every 15 minutes. There is no instant option here. And everything goes through table rows: no trigger fires on other kinds of events, and no action exists outside the tables.
If you are weighing Zapier against other tools for row-based flows like this one, the Zapier review and the Make vs Zapier comparison are the places to look.
Zapier vocabulary in one minute
Seven words you will meet in the editor, in plain terms.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. On Persana AI, it is a new row matching your search text in a table.
- Action
- What the Zap does once it has started: the step that writes or changes something for you, like adding a row to a table.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan's quota counts exactly those.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items and keeping only what it has not seen. Persana AI's trigger works this way.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what it found.
What a Persana AI Zap really costs
The Search Row Id trigger costs nothing, however often Zapier checks the table. Only completed actions are billed.
- Trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
Each Add Row to Table or Update Row in Table that succeeds counts as one task; a failed one does not. Persana AI is not a premium app, so it works on the free plan: 100 tasks a month, Zaps of two steps, and a check every 15 minutes. Adding the Search Row IDs step, a filter or a second action makes the Zap multi-step, which needs a paid plan. On paid plans the check runs more often, and you can also run it by hand from the editor.
Connect Persana AI to Zapier in three steps
- 01
Open your Zapier apps
Go to the Apps page of your Zapier account and click + Add connection. A connection is your Persana AI account linked to Zapier once, then reused by every step that uses it.
- 02
Pick Persana AI
Type Persana AI in the search box of the dialog, select it, then click Add connection. You need an existing Persana AI account, with access to the tables you want the Zap to read or write.
- 03
Sign in and grant access
A new tab opens on Persana AI. Sign in with the account that holds your tables, then grant Zapier access. The connection appears in your apps list, ready for a Zap.
Your first Persana AI Zap
GoalEach new row matching your search text becomes a CRM contact, then the sales team gets a message.
- 01
Set the trigger
Choose Persana AI as the app that starts the Zap and Search Row Id as the event. Pick the table and the column from the dropdowns, then type the search text to match.
- 02
Test the trigger
Run the test: Zapier brings back the three most recent items of the connected account, so you map the next steps on a real row rather than a guess.
- 03
Add the CRM action
Add your CRM as the first action and map what the trigger returned. Test the step once and read what came back before going further.
- 04
Add the team message
Add the Slack step. This second action makes the Zap multi-step, so it needs a paid plan; on the free plan, stop at one action.
- 05
Publish
Publish the Zap to switch it on. From then on, each check that finds a new matching row starts it, and only successful actions count as tasks.
The Persana AI trigger
1 event starts a Zap when something happens in Persana AI. Zapier checks for them at the interval your plan allows.
Search Row Id
Polling triggerIn Zapier“Get filtered row ids”
This trigger watches one of your Persana AI tables for rows whose chosen column matches a text you set. Each row it has not seen before starts the Zap, and the rows it already handled are skipped, so the same prospect never runs through twice.
The 2 Persana AI actions
Persana AI gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Row to Table
ActionIn Zapier“Add row to a specific table.”
Writes a new row into the Persana AI table you pick from the dropdown, filled with what earlier steps brought in.
Update Row in Table
ActionIn Zapier“Update an existing Row in the table.”
Changes an existing row in a table. It needs the table and the ID of the row, which you rarely have by hand.
The Persana AI search
1 search step looks for data that already exists in Persana AI, so a later step can use it.
A search step sits inside a Zap, after the trigger, and hands what it finds to the steps that follow. In the editor, searches appear at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not a single clean match.
Search Row IDs
SearchIn Zapier“Search Row IDs using any text”
Looks through a table for rows matching any text you give it and returns their IDs, which is exactly what Update Row in Table needs.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet? This box turns a search into find-or-create. Persana AI offers no such variant on Zapier, so to add a missing row you need Add Row to Table in its own step.
- If multiple search results are found?Three ways out when several rows match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When a Persana AI Zap breaks
Zapier attaches no help article to Persana AI, and no limit specific to the app is documented. What breaks comes from Zapier's general limits, applied to table rows.
Go through these four cases before publishing. If a Zap still misbehaves, the Zapier troubleshooting page is the next stop.
Old rows never show up
A Zap only reacts to what happens after it is switched on. Rows already in the table are not picked up; moving them is a separate job.The Zap feeds itself
If Add Row to Table writes into the very table Search Row Id watches, each new row can start the Zap again and burn through your task count fast.A big import stalls
When the trigger suddenly returns a huge batch, after a bulk import into a table, Zapier's flood protection can hold it back.A row never runs twice
Zapier remembers the rows the polling trigger already saw, so editing an old row does not start the Zap again. That is by design, not a fault.
