Pipelean Zapier integrationAutomate Pipelean with Zapier.
0 triggers, 1 action, 0 searches. The Pipelean Zapier integration does one job: it creates a lead in Pipelean from what another app hands over. Below: what it costs in tasks, how to connect the account, a first Zap, and what breaks.

What the Pipelean Zapier integration actually does
It pushes new contacts into Pipelean without anyone retyping them. You build a Zap (an automation on Zapier: one starting event, then the steps that follow), it starts in another tool, and its last step is Create Lead in Pipelean. Pipelean is a conversational CRM, so the point is simple: get the lead in fast so the conversation can start.
Three results people build with it, all through that single action. Form answers turned into leads: someone fills in a contact form, and Create Lead files them in Pipelean with a name and a phone number. Spreadsheet rows turned into leads: a sales assistant pastes prospects from an event into a sheet, and each new row lands in the CRM. Bookings turned into leads: a meeting tool registers a call request, and the person behind it shows up in Pipelean ready to be contacted.
Now the honest part. Zapier offers nothing that starts from Pipelean: no event in Pipelean can open a Zap. It cannot look up a lead that already exists, and it cannot update or delete one either. The catalog holds one visible operation, Create Lead, and that is the whole surface. If your plan relies on reacting to a deal moving in Pipelean, Zapier is not the tool for that part (the Zapier review covers the platform as a whole).

Zapier words, in one minute
Seven words you will meet in the editor. Each one in plain English.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it to happen.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you. Create Lead is one.
- Task
- The unit Zapier bills. One task is one action your Zap carried out successfully; your plan counts those.
- Polling trigger
- A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only the ones it has not seen.
- Instant trigger
- A trigger the app reports on its own. It calls Zapier the moment the event happens, so nothing waits for the next check.
- Filter
- A step that lets the Zap carry on only when what arrived meets your condition, and stops it there otherwise.
- Connection
- Your Pipelean account linked to Zapier once, then reused by every step of every Zap that touches Pipelean.
What it really costs
Pipelean is not reserved for paid plans: it works on the free plan.
- Free plan100 tasks a month, unlimited Zaps
- Free plan Zap sizeTwo steps: one trigger, one action
- Cost of one new lead1 task, only if Create Lead succeeds
- Paid plan needed forFilters, searches, a second action
The trigger never costs a task, and neither does Zapier checking for new data. Each Create Lead that goes through counts as one task; one that fails is not counted. The free plan gives 100 tasks a month, but only two-step Zaps: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Bigger plans also check polling triggers more often, as the grid below shows.
Connect your Pipelean account
- 01
Open your apps
In Zapier, go to the Apps page of your account. You need a Pipelean account first, plus write access to wherever the leads should land if the workspace is not yours.
- 02
Add the connection
Click + Add connection, type Pipelean in the search box of the dialog and pick it from the list of apps. Then confirm your choice with Add connection to open the sign-in tab.
- 03
Sign in and allow access
Sign in to Pipelean in the tab that opens, then grant Zapier access to the account. The connection now shows on the Apps page and every Zap can reuse it.
Your first Zap: website form to Pipelean lead
GoalEvery contact form answer with a phone number lands in Pipelean as a new lead.
- 01
Pick the starting event
Pipelean has no trigger, so the Zap starts elsewhere. Choose the app that receives your leads and its event, here a new form answer. Whether it fires instantly or on a timer depends on that app.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent items of the connected account, so you can map the next steps on a real answer rather than a blank one.
- 03
Add the filter
Add a filter step and keep only answers where a phone number was filled in. Remember: a filter makes this a multi-step Zap, so it needs a paid plan.
- 04
Add Create Lead
Choose Pipelean, then Create Lead. Map the name and the phone from the form, and set the Servizio ID. The phone goes in without the plus sign, country code first.
- 05
Test, then publish
Test the action once and check the lead in Pipelean. Then publish the Zap to switch it on. From then on, each new answer that passes the filter becomes a lead.
The Pipelean action
Pipelean gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

Create Lead
ActionIn Zapier“Creates a New Lead in the system.”
Adds a fresh contact to your Pipelean CRM, with a name, a phone number and the Servizio ID it belongs to, so a conversation can start from there.
447979617162 rather than +44 and a leading zero. When it breaks
Zapier ties no help article to Pipelean, so the cases below come from how Zapier works in general, plus the one field rule the action spells out.
Most failures here are not Pipelean failing. They come from the starting app, from a field filled the wrong way, or from expecting a Zap to know about the past. When a Zap stalls, the Zapier troubleshooting page is where to start.
Old contacts never arrive
A Zap only reacts to what happens after you switch it on. Leads already sitting in a form or a sheet stay there; moving that backlog is a separate job.Phone number in the wrong shape
The Phone field asks for the country prefix followed by the number, digits only. A number typed with a plus sign, spaces or a leading zero does not match that format.A bulk import is held back
When the starting app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it back instead of creating every lead at once.No duplicate from a timed check
On a polling trigger, Zapier remembers what it has already seen, so the same form answer does not start the Zap twice and does not create the lead twice.
