What the Google Chat Zapier integration actually does

It turns events from your other tools into messages your team reads in Google Chat. Something happens elsewhere (a booking, a payment, a form), Zapier picks it up, and the Create Message action writes a titled message into the room you chose. That is the whole surface: one way in, nothing coming back out.

Three things people build with it, all on that same action. A booking feed: each new meeting on the calendar tool lands in the sales room, so nobody has to forward the confirmation email. A payment alert: when the billing app records a sale, the finance room gets a short line instead of someone refreshing a dashboard. A support ping: a form marked urgent drops straight into the room of whoever is on duty.

Now the limits, because they decide whether this page is for you. Zapier offers no trigger for Google Chat, so a new message in Chat can never start a Zap. There is no search either: a Zap cannot look up a room, a person or an older message. And the action only creates. Editing, deleting or reacting to a message is not on the list.

Every message the Zap posts successfully counts as one task. The trigger in the other app costs nothing, however often Zapier checks it.

A post that fails is not counted. Google Chat is not a premium app, so the free plan covers it: 100 tasks a month and unlimited Zaps. The catch is the two-step ceiling. Add a filter so only urgent items reach the room and the Zap becomes multi-step, which needs a paid plan. Google Chat itself has no trigger, so the speed of each message depends on the other app. If that trigger polls, its delay follows the grid below. If it is instant, the grid does not apply.

Connect Google Chat to Zapier in three steps

    Open the connections page

    In your Zapier account, go to Apps and click + Add connection. A dialog opens: type Google Chat in the search box and pick it from the list of results.

    Sign in with Google

    Click Add connection. A new tab asks you to sign in to the Google account that belongs to the workspace where your rooms live. Use a work account, not a personal one, if the rooms are on the company domain.

    Grant access and check

    Approve the access Zapier requests. The connection then appears under Apps and every future Google Chat step reuses it. You need write access to any room you do not own and want the Zap to post in.

    Pick the trigger app

    Start a new Zap and choose Calendly with its booking event as the trigger. Connect the account, then run the test: Zapier brings back the three most recent bookings so you map on real data.

    Add a filter

    Add a Filter step from the plus icon. Pick the field holding the meeting type you saw in the test, the rule, and the value of your demo. Remember: this step makes the Zap multi-step.

    Add Create Message

    Add Google Chat with Create Message as the action. In the room field, pick the sales room; it only appears once the Zapier bot has been added there with allowzaps.

    Write title and text

    Both are required. Map into them the values you spotted in the Calendly test, a short label for the title and the useful details for the text. Short beats complete in a busy room.

    Test, then publish

    Run the action test and open the room to read the real message. If it looks right, click Publish. From then on, each new demo booking posts on its own.

  • The room is missing from the list

    The Zapier bot is not in that room, or it was added without the allowzaps command. Add it, run the command, then reload the field.
  • An empty title or text

    Both fields are required. If the mapped value from the trigger is blank on some items, the step fails for those items and no task is counted.
  • Old items never arrive

    A Zap only reacts to what happens after it is switched on. Bookings or rows that existed before publishing are never posted to the room.
  • A bulk import goes quiet

    When the trigger app suddenly returns a huge batch, after an import for example, Zapier's flood protection can hold it back, so those messages never reach the room on their own.

01Is the Google Chat Zapier integration free?
Yes. Google Chat is not a premium app, so it works on the free plan, which gives 100 tasks a month and unlimited Zaps. The limit to know is the shape of the Zap: on the free plan it has two steps, one trigger and one action. A Zap that posts to Chat straight from a trigger fits. The moment you add a filter or a second action, it becomes a multi-step Zap and Zapier asks for a paid plan.
02How many tasks does posting a message use?
One per message that goes through. The trigger in the other app never costs a task, and neither do the checks Zapier runs to look for new items. A Create Message step that fails, say because the title came through empty, is not counted against your plan. So a Zap that posts every new booking uses as many tasks as bookings that reached the room. If the same Zap also adds a row in a spreadsheet, each run then counts two.
03Can a Google Chat message start a Zap in real time?
No. Zapier offers no trigger for Google Chat, so nothing written in a room can start a Zap, instant or not. The only way to use this app is as the end of the line: start from a trigger in another tool and post with Create Message. How fast the message arrives depends on that other trigger. If it is instant, the post follows straight away whatever the plan. If it polls, it waits for the next check, every 15 minutes on the free plan and 2 on Professional.
04What do you need to connect Google Chat to Zapier?
A Google account with access to Chat, plus write access on any room you do not own and want the Zap to post in. The connection itself goes through the Apps page: Add connection, sign in with Google, grant access. Then comes the step people miss. Inside each target room, the Zapier bot must be added and set up with the allowzaps command. Until then, that room does not appear in the room field of Create Message, even though the connection works.
05Why does a Chat room not show up in Zapier?
Because the Zapier bot is not set up in it. The room field of Create Message only lists rooms where the bot has been added and configured with the allowzaps command. A working connection is not enough on its own. Open the room in Google Chat, add the Zapier bot, send it the allowzaps command, then go back to the editor and refresh the field. Repeat for every room the Zap should be able to post in, since the setting is per room.
06What if the Google Chat operation you want is not there?
Then Zapier cannot do it with this app today. The list is short: one action, Create Message, and no trigger or search. Reading messages, editing or deleting them, or reacting when someone posts are all out of reach. Two options remain. You can rethink the flow so Chat stays the place where alerts land, with the logic living in the trigger app. Or you can look at a tool that talks to Google Chat differently, after checking what it really offers for this app.
07Zapier, Make or n8n for Google Chat?
Decide on criteria, not on a ranking. Start with direction: on Zapier, Google Chat can only receive messages, so if your flow must react to what people write in Chat, it does not fit. Then setup effort: Zapier needs one connection plus the bot and its allowzaps command in each room. Then cost: one task per message, and the free plan stops at two steps.
