What the PipeOne.me Zapier integration actually does
PipeOne.me is a messaging CRM: customers reach a company through its PipeOne number, a chat app, the website or a QR code. Hooking it to Zapier means a message or a status change in PipeOne.me can set off work in your other tools, and those tools can push contacts, users, notes and texts back into PipeOne.me.
Three results people usually build. First, a customer file that stays current: a form or a store order elsewhere runs Create or Update Contact, so the person already exists when they text you. Second, a context note for your agents: Create Internal Note pins something your other tools know onto the contact, visible to the team only. Third, an outbound text: Send a SMS Message fires a confirmation or a reminder from your PipeOne number when something happens in another app.
Now the limits. There is no search on this app, so a Zap can't look up an existing PipeOne.me contact and read it back. Nothing deletes, archives or closes a conversation either. And only two events can start a Zap: a new message from a contact, or a conversation whose status changed. A new contact created inside PipeOne.me starts nothing.
If you are weighing tools before building, n8n vs Zapier is a good place to start.
Zapier vocabulary, in plain words
Eight words you will see in the editor. Each one is explained once here, then used as is on the rest of the page.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a message or a status change.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you, like texting a contact.
- Task
- The unit Zapier bills. One task is one action your Zap carried out successfully; your plan counts those, nothing else.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
- Connection
- Your PipeOne.me account linked to Zapier once, then reused by every step of every Zap that touches PipeOne.me.
- Multi-step Zap
- Any Zap with more than one trigger and one action. A second action or a filter makes one, and it needs a paid plan.
What a PipeOne.me Zap really costs
Zapier bills tasks, and only the actions make them. A PipeOne.me message arriving costs nothing on its own.
- Trigger0 tasks
- Each successful action1 task
- Free plan100 tasks / month, 2-step Zaps
- Premium appNo
Each action that succeeds counts once, so a Zap that updates a contact and then sends a text uses two tasks per run. An action that fails is not counted. PipeOne.me is not a premium app, so it works on the free plan: 100 tasks a month, as many Zaps as you like, but two steps each (one trigger, one action). Add a second action or a filter and the Zap needs a paid plan. The interval grid below only concerns polling triggers; both PipeOne.me triggers are instant and skip it.
Connect your PipeOne.me account in three steps
- 01
Open Apps and add a connection
In your Zapier account, go to the Apps page and click + Add connection. You need a PipeOne.me account first, plus access to anything you don't own that the Zap should touch.
- 02
Find PipeOne.me
Type PipeOne.me in the search box of the dialog, pick it from the results, then click Add connection. Zapier then opens a new tab where the PipeOne.me sign-in happens.
- 03
Sign in and grant access
Log in to PipeOne.me in that tab and allow Zapier to use the account. From then on every PipeOne.me step in your Zaps reuses this connection, so you only do this once.
Your first Zap: file and greet every customer who texts
GoalWhen a customer texts your PipeOne number, make sure the contact exists, then send an acknowledgment from the same number.
- 01
Pick the trigger
In the editor, choose PipeOne.me as the app that starts the Zap and New Message as the event, then select the connection you added earlier.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent messages of your account, so you map the next steps on a real one rather than an empty shell.
- 03
Add the contact action
Add Create or Update Contact. Fill the name and the mobile phone from the message data, keeping the phone in E.164 format, and test the step to see the contact come back.
- 04
Add the reply
Add Send a SMS Message, point the contact phone to the same number and type your text. This second action makes it a multi-step Zap, so it needs a paid plan.
- 05
Publish
Click Publish to switch the Zap on. It reacts to messages that arrive from now on; anything received before stays where it is.
PipeOne.me triggers
2 events start a Zap when something happens in PipeOne.me, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.
New Message
Instant triggerIn Zapier“Triggers when the contact sends a message.”
A contact writes to you and the Zap starts with that message in hand, ready for the steps that follow. It is the natural entry point for anything that should react to a customer reaching out through PipeOne.me.
New Status Conversation
Instant triggerIn Zapier“Triggers when a conversation status has changed.”
Rather than reacting to what customers say, this one watches the lifecycle of a conversation: each time its status changes in PipeOne.me, the Zap runs. That makes it the hook for follow-up work once an agent has moved a thread along.
PipeOne.me actions
PipeOne.me gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Internal Note
ActionIn Zapier“Create a Internal note to contacts. It's visible for only agents/users. You can define destinations by groups or individual contact”
Pins a note on a contact, found by mobile phone, that only your agents and users can read. The customer never sees it.
Create or Update Contact
ActionIn Zapier“Create or Update a contact with basic informations”
Adds a person to PipeOne.me, or refreshes them if they already exist, from a full name and a mobile phone.
Create or Update User
ActionIn Zapier“Create or Update user with basic infos.”
This one is about your team, not your customers: it sets up or updates a PipeOne.me user with name, email, password and mobile phone.
Send a SMS Message
ActionIn Zapier“Send a SMS message to a defined contact using Pipeone.”
Texts a contact from your PipeOne number: you give the recipient's mobile phone and the message body, the step sends it.
When a PipeOne.me Zap breaks
Zapier publishes no help article specific to PipeOne.me, so the traps below are the general ones, read through this app.
Two families of trouble: what a Zap does not do on its own, and data that does not match what a PipeOne.me field asks for. If you get stuck, Zapier troubleshooting walks through the usual fixes.
Old messages are not picked up
A Zap only reacts to what happens after you publish it. Messages and status changes from before stay untouched; moving that history is a separate job.The Zap feeds itself
A Zap that writes into the very place its trigger watches sets itself off again and again, and burns through your task count fast.A bulk import gets held back
When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those runs back.Required formats are not met
Phones must be E.164 and user passwords need 8+ characters, an uppercase and a special character. A failed action is not billed, but nothing is written.
