Overview

What the PitBullTax Software Zapier integration does

PitBullTax Software is a web app for tax professionals (CPAs, attorneys, enrolled agents) who handle IRS tax resolution. With Zapier, new clients, case changes, activity notes and files in PitBullTax can feed your other tools, and those tools can push clients, cases and documents back in.

Three results firms usually set up. Intake without retyping: a web form or a scheduling tool runs New Prospect Client, so the lead is in PitBullTax before the first call. Case tracking that tells people: Updated Case Status posts each status change to the team chat or the client's email thread. Documents in one place: Upload New File drops a signed form from your e-signature tool into the right PitBullTax folder.

Now what Zapier does not do here. There is no search, so a Zap can't look up a PitBullTax client and read their record halfway through. Nothing deletes a client, a case or a file. And every trigger is polling: Zapier asks PitBullTax for new items at a fixed interval (15 minutes on the free plan), so none of them reacts at the instant something changes. For case updates that need a same-minute reaction, a paid plan shortens the wait but does not remove it.

If you are weighing the options before you start, Make vs Zapier and Zapier agency are useful starting points.

Vocabulary

Zapier vocabulary, in plain words

Eight words you will see in the editor. Each is explained here once and used as is afterwards.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it: a new client, a case change, a file.
Action
What the Zap does once started: the step that writes, sends or moves something for you, such as opening a case.
Task
The unit Zapier bills: one action your Zap completed successfully. Your plan counts those and nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer set by your plan. An instant one is reported by the app itself. PitBullTax only polls.
Filter
A step that lets the Zap go on only when the incoming data meets a condition you set, and stops it otherwise.
Connection
Your PitBullTax account linked to Zapier once, then reused by every PitBullTax step in every Zap you build.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter turns it into one, and it needs a paid plan.
Cost

What a PitBullTax Software Zap really costs

Zapier bills tasks, and only successful actions produce them. Checking PitBullTax for new items costs nothing, however often it runs.

  • Trigger check0 tasks
  • Each successful action1 task
  • Free plan100 tasks / month, 2-step Zaps
  • Premium appNo

A Zap that sees a new client and opens a case uses one task per client. Add a chat message and it uses two. An action that fails is not counted. PitBullTax is not a premium app, so it works on the free plan: 100 tasks a month, unlimited Zaps, two steps each. A second action or a filter makes the Zap multi-step and needs a paid plan. Because all 7 triggers poll, the plan also sets how quickly a Zap notices a change, as the grid below shows.

Connect

Connect your PitBullTax Software account in three steps

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. You need a PitBullTax account, plus access to any client data you don't own that the Zap should touch.

  2. 02

    Find PitBullTax Software

Type PitBullTax in the search box of the dialog, select PitBullTax Software, then click Add connection. Zapier opens a new browser tab for the sign-in.

  3. 03

    Sign in and grant access

Log in to PitBullTax in that tab and allow Zapier to use the account. The connection is saved, and every PitBullTax trigger and action in your Zaps reuses it.

First Zap

Your first Zap: tell the team when a case status moves

GoalEach time a case status is updated in PitBullTax, post it in the team chat and email the person in charge.

  1. 01

    Pick the PitBullTax trigger

In the editor, choose PitBullTax Software as the app that starts the Zap and Updated Case Status as the event, then select your connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent case status updates of your account, so the next steps are mapped on a real case.

  3. 03

    Add the chat message

Add your team chat app, pick the channel and write the message using the case details from the trigger. Test it and read what came back.

  4. 04

    Add the email

Add your email app and draft the note to the person in charge. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Publish

Click Publish to switch the Zap on. Status changes made from now on are picked up at your plan's interval; earlier ones are not.

Triggers

PitBullTax Software triggers

7 events start a Zap when something happens in PitBullTax Software. Zapier checks for them at the interval your plan allows.

1

Updated Case Status

Polling trigger

In Zapier“Updated Case Status From PitBullTax Applications.”

Watches one thing on a case: its status. When it changes in PitBullTax, the next check by Zapier picks it up and starts the Zap with that case.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
letting the client or the partner know that their resolution case has moved to the next stage.
Watch out
if you only care about status, prefer this to New or Updated Case, which reacts to any edit.
2

New Client / Prospect

Polling trigger

In Zapier“New Client From PitBullTax Applications.”

A new client or prospect lands in PitBullTax, and on its next check Zapier hands that record to the Zap. Edits to existing clients don't count here, only arrivals.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
adding each new prospect to your email follow-up sequence or your billing tool.
Watch out
clients that existed before you published the Zap are never sent, so import the backlog separately.
3

New File

Polling trigger

In Zapier“Triggers on a new new file.”

Every new file in the PitBullTax folder you name sets off the Zap, so documents can travel to your storage or your team without anyone downloading them.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
copying each file a preparer adds to a client folder into your firm's shared drive.
Watch out
Folder is required, so one Zap watches one folder; files elsewhere are ignored.
4

New or Updated Case

Polling trigger

In Zapier“Triggers when a case is created or updated in PitBullTax.”

Broader than the status trigger: it fires both when a case is created and when one is updated in PitBullTax, whatever the edit.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keeping a case register in a spreadsheet or a project tool in step with PitBullTax.
Watch out
a Zap that ends with Create or Update Case can wake this trigger again and loop, eating tasks each round.
5

New or Updated Client Activity Note

Polling trigger

In Zapier“New or Updated Client Activity Note From PitBullTax Applications.”

Activity notes are the running log on a client. This trigger catches a note when it is added and again when it is edited, then passes it to the Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
mirroring call notes into your CRM so the sales side sees what the tax team discussed.
Watch out
an edited note comes through again, so the receiving tool may get two versions of it.
6

Created or Updated Client

Polling trigger

In Zapier“Created or Updated Client From PitBullTax Applications.”

One trigger for both moments of a client's life in PitBullTax: when the record is created and whenever it is updated afterwards.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a full sync of clients towards your CRM, where both new records and changes must follow.
Watch out
pairing it with New or Update Client / Prospect in the same flow can make the Zap feed itself.
7

Updated Clients

Polling trigger

In Zapier“Updated Clients From PitBullTax Applications.”

Changes only: this one ignores new arrivals and starts the Zap when an existing client is updated in PitBullTax.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
pushing a corrected address or phone from PitBullTax to the mailing list that already holds that client.
Watch out
never let a Zap on this trigger end with Update Client / Prospect on the same record, or it loops.
Actions

PitBullTax Software actions

PitBullTax Software gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

New or Update Client / Prospect

Action

In Zapier“Creating a new client or updating an existing one”

Creates a client in PitBullTax, or updates the existing one, in a single step, which saves you deciding which case applies.

When to use it
a contact form that may come from a returning client as well as a first-timer.
Watch out
if the same Zap is started by a client trigger, it can set itself off again.
2

New Prospect Client

Action

In Zapier“Create a new prospect client in PitBullTax Application”

Adds a fresh prospect client to PitBullTax, nothing more. It never touches an existing record.

When to use it
intake from a landing page or a booking tool, where every entry is a new lead for the firm.
Watch out
there is no search to check for duplicates first, so a person who submits twice is created twice.
3

Create or Update Case

Action

In Zapier“Creates or updates a case in PitBullTax.”

Opens a case in PitBullTax, or brings an existing one up to date, from what earlier steps passed along.

When to use it
opening the case automatically once a new client has been picked up, so the preparer starts on a ready file.
Watch out
combined with New or Updated Case as the trigger, it can loop.
4

Update Client / Prospect

Action

In Zapier“Updates the client in the application if the entry with Record ID exists”

Edits a client that already exists in PitBullTax. You choose, in the required Update By setting, which field identifies the client to change.

When to use it
writing a new phone or status from your CRM back into PitBullTax.
Watch out
it only updates when a matching record exists; it does not create one.
5

Upload New File

Action

In Zapier“Uploads a File.”

Puts a file into PitBullTax, in the folder you set, under the name you give it.

When to use it
filing a signed engagement letter from your e-signature tool straight into the client's documents.
Watch out
File, Folder and File Name are all required; leave Folder empty only if the root is the right place.
When it breaks

When a PitBullTax Software Zap breaks

Zapier links no help article to PitBullTax, so the cases below are the general limits, seen through this app.

With seven polling triggers and update actions on the same records, the two classic risks are delay and loops. If a run fails, Zapier troubleshooting covers the usual fixes.

  • Old clients and cases are not sent

A Zap only reacts to what happens after it is published. Clients, cases and files already in PitBullTax are never picked up; moving that history is a separate job.
  • The Zap triggers itself

A Zap that writes into the very place its trigger watches, such as Updated Clients plus Update Client / Prospect, sets itself off again and again and burns tasks.
  • A bulk import is held back

When a trigger suddenly returns a huge batch, after importing many clients or a migration, Zapier's flood protection can hold those runs back.
  • Duplicates are filtered, edits are not

Zapier remembers what a polling trigger already saw, so one item doesn't start the Zap twice. An edited record on an Updated trigger counts as new, though.

FAQ

PitBullTax Software Zapier integration: FAQ

01Is the PitBullTax Software Zapier integration free?
Yes. PitBullTax Software is not a premium app, so its 7 triggers and 5 actions work on the free Zapier plan. That plan includes 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. A new client that opens a case fits. Adding a chat message or a filter to the same Zap makes it multi-step, which needs a paid plan. On the free plan, triggers are also checked only every 15 minutes.
02How many tasks does a PitBullTax Zap use?
One per successful action, nothing for the trigger. Zapier checking PitBullTax for new clients or case changes costs no task, however often it checks. When something is found and your Zap creates a case, that is one task. If it also sends an email, two. A failed action is not counted. The figure to watch is volume on the Updated triggers, which fire on every edit and can multiply runs on a busy client base.
03Are PitBullTax triggers real-time?
No. All 7 PitBullTax triggers are polling triggers: Zapier asks PitBullTax for new items at a fixed interval and keeps only what it has not seen. That interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans the interval can be changed, and a check can be run by hand from the editor. The type is set by the app and can't be switched to instant.
04What does it take to connect PitBullTax Software to Zapier?
A PitBullTax account you can sign in to, plus access to any client data you don't own that the Zap should read or change. From the Apps page of Zapier, click + Add connection, search for PitBullTax, click Add connection, sign in in the tab that opens and grant access. It is done once, and every PitBullTax step reuses that connection. Have your folder names ready too, since the file operations require one.
05How do you avoid a PitBullTax Zap that loops?
Never let a Zap write into what its own trigger watches. PitBullTax makes it easy to get wrong because triggers and actions cover the same records: Updated Clients with Update Client / Prospect, Created or Updated Client with New or Update Client / Prospect, New or Updated Case with Create or Update Case. Each write looks like a fresh update at the next check, the Zap runs again, and the task count climbs. Start such Zaps from another app, or from a trigger on a different record.
06What if the PitBullTax operation you need is not listed?
Then this integration can't do it, and it is better to know before building. PitBullTax offers 7 triggers and 5 actions on Zapier, with no search. Looking up a client mid-Zap, deleting a record or a file, or reacting instantly is out of reach. Options: rework the scenario so one of the existing actions covers the need, keep that step manual in PitBullTax, or check whether another automation tool offers what is missing for PitBullTax.
07Zapier, Make or n8n for PitBullTax Software?
Decide on criteria, not on a ranking. On Zapier the facts are these: 7 polling triggers, 5 actions on clients, cases and files, no search, a free plan of 100 tasks a month with two-step Zaps checked every 15 minutes. If those operations cover your workflow and you want no code, Zapier fits. If you need a search, an instant reaction or operations not listed here, compare what each tool offers for PitBullTax on that point. Your monthly volume of client and case changes drives the cost.
