What the Mews Zapier integration does for you

It connects Mews, the cloud system hotels use to run reservations, guests and billing, to the other tools of your property. You build a Zap (the automation itself: one trigger, then one or more actions that run every time the trigger event happens). Mews can start the Zap on a booking, a check-in or a closed bill, and it can create reservations, guests and orders when the Zap asks.

Three results hotels build first. Front desk tasks that write themselves: New Reservation Event starts the Zap on a booking, check-in or check-out, and Create New Task puts the follow-up in Mews. Direct bookings without retyping: a booking request from your website runs Search Customer by Email, Id or Name, then Create Reservation. Accounting that keeps up: New Closed Bill sends each settled bill to the spreadsheet your accountant works from.

Now what Zapier does not do here. None of the six triggers is instant: Zapier checks Mews at your plan's interval, so a check-in is picked up at the next check. Most actions ask for Mews identifiers (customer, rate, category, service), which a form or a spreadsheet rarely carries, so searches end up in many Zaps. Dates must be written in UTC, in ISO 8601 format. And nothing on the list cancels or deletes a reservation; you can only change its dates.

Each action that succeeds counts once, and one that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: New Reservation Event then Create New Task fits. Most Mews actions need an identifier, though, and the search that finds it makes the Zap multi-step, which needs a paid plan. A busy hotel also produces many reservation events, and each one runs the Zap. The interval grid below applies to all six Mews triggers.

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Mews account linked once, then reused by every step that uses the app.

    Pick Mews

    Search for Mews in the dialog, select it and click Add connection. You need a Mews account, plus read or write access on anything you do not own yourself and want the Zap to touch.

    Sign in and grant access

    Sign in to Mews in the tab that opens, with the account of the property the Zap should work on, then grant Zapier access. Every Mews trigger, action and search can then use this connection.

First Zap

Your first Zap: a Mews task for the reservations that matter

    Create the Zap

    Create a Zap and pick Mews with New Reservation Event, then fill its required Time Filter. The filter makes three steps, so this Zap needs a paid plan.

  2. 02

    Test the trigger

    Run the test. Zapier brings back the three most recent reservation events from your account, so you set up the next steps on a real booking rather than on a blank.

  3. 03

    Add the filter

    Click the plus in the editor and pick Filter. Fill the three boxes: the field to look at, chosen from what the test returned, the rule, and the value. A text rule only works on text.

    Create the task

    Add Mews with Create New Task. Fill Name and Deadline, both required; the deadline goes in UTC, in ISO 8601 format, so check the value the test produces.

    Test, then publish

    Test each step and look for the task in Mews. When it looks right, publish the Zap to switch it on. Only reservation events after that will flow through.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap there, and the steps that needed it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    On apps that offer it, ticking it turns the search into a find-or-create. Mews offers no such variant, so a missing guest is never created by a search.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Mews Zap breaks

Zapier attaches no help article to Mews, and no limit specific to the app is on record. What breaks is the usual Zapier ground, which a property with many daily events meets quickly.

  • Earlier bookings never come through

    A Zap only reacts to what happens after you switch it on. Reservations and bills already in Mews stay where they are; moving that history is a separate job.
  • A Zap that keeps restarting

    As a general precaution, a Zap that writes into the place its own trigger watches can set itself off again and burn through your tasks. Check the pair you chose before you publish.
  • An import stalls

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back rather than run everything.
  • The same event does not run twice

    Zapier keeps track of what it has already seen on a polling trigger, so the same item never starts the Zap a second time.

01Is the Mews Zapier integration free?
Yes, within the free plan's limits. Mews is not one of the apps Zapier reserves for paid plans, so a free account can use it. The free plan gives 100 tasks a month and an unlimited number of Zaps, each limited to one trigger and one action. A reservation event that creates a Mews task fits. Most Mews actions need an ID from a search, though, and a search makes the Zap multi-step, which requires a paid plan.
02How many tasks does a Mews Zap use?
One per action that succeeds, and nothing for the trigger or for the checks Zapier makes. The catch is volume: New Reservation Event fires on bookings, check-ins and check-outs, so one stay can run the Zap several times, and each run counts every action that completes. A filter that keeps only one kind of event saves tasks. An action that fails is not counted against your plan. Plan your 100 free tasks around the busiest periods of your property.
03Does Mews send updates to Zapier in real time?
No. All six Mews triggers are polling triggers: Zapier asks Mews for new events at a set interval and keeps only what it has not seen yet. That interval is 15 minutes on Free, 2 minutes on Professional and 1 minute on Team and Enterprise. On paid plans you can change how often a polling trigger checks, and run a check by hand from the editor. The type is set by Mews itself and cannot be switched from the editor.
04What is needed to connect Mews to Zapier?
An account on Mews, plus read or write access on anything you do not own yourself and want the Zap to touch. From the Apps page of Zapier, click + Add connection, search for Mews, pick it and click Add connection. Sign in to Mews in the tab that opens and grant access. The connection is then shared by every Mews trigger, action and search in your Zaps. You do it once per account, not once per Zap.
05Which date format does Mews expect in a Zap?
Dates in UTC, written in ISO 8601 format. Create Reservation, Create New Task, Create Availability Block and Search for Current Rate Prices all have date fields described that way. A date typed in a form, in local time and another format, may not be read the way you expect. Test the step and read what comes back: it shows whether Mews accepted the value before the Zap runs for real.
06What if the Mews operation you want is not listed?
Check the Mews page on Zapier, which shows the current triggers, actions and searches. Note what is missing today: no action cancels or deletes a reservation, and no search finds a company. Mews offers no advanced request action on Zapier either, so anything outside these 23 operations cannot be reached from a Zap with this app, and another tool is the next place to look.
