Overview

What the Pitchit Zapier integration does for your inbound leads

Pitchit uses AI to qualify inbound leads coming from all your channels, so your team does not have to sort them by hand. Connecting it to Zapier turns what Pitchit learns about a lead (a reply, a new priority, a booked meeting) into a starting point for work in your other tools, and lets those tools hand new leads to Pitchit.

Three results worth building. Sales hears about hot leads first: Lead Priority Update starts the Zap and a message lands where your reps already talk. A calendar your CRM agrees with: New Meeting Booked sends each new meeting to the tool that tracks your pipeline. Every lead goes through qualification: a form or an ad platform starts the Zap, and Add Lead to Pitchit passes the contact on, so no one slips past the AI. Each of these needs one trigger and one action, so it fits the free plan.

Now what this integration will not do. There is a single action and no search, so a Zap cannot look up an existing Pitchit lead, change one, or send a pitch on your behalf. The six triggers report; they do not let Zapier steer Pitchit. And none of the 7 operations reaches back to what happened before your Zap was switched on.

If you are still deciding on Zapier itself, our Zapier review covers it. To compare it with another tool, see Make vs Zapier.

Vocabulary

Zapier terms, in plain English

A short list of words Zapier uses everywhere. Read it once and the rest of the page goes faster.

Zap
An automation you build on Zapier: one event that starts it, then one or more steps that run each time the event happens.
Trigger
The event inside an app that starts a Zap. With the Zap switched on, Zapier waits for that event to occur.
Action
The step a Zap runs after it starts: it creates, sends or updates something in an app on your behalf.
Task
What Zapier bills you for: one action your Zap completed successfully. Plan allowances are counted in tasks.
Instant vs polling trigger
Instant: the app itself tells Zapier the moment something happens. Polling: Zapier checks the app on a timer. Pitchit only has instant triggers.
Filter
A step that lets the Zap go on only when the incoming item meets your condition, and stops it otherwise.
Connection
Your Pitchit account linked to Zapier once, then reused by every Pitchit step in all your Zaps.
Cost

What a Pitchit Zap really costs

Zapier counts tasks, not Zaps. A Pitchit trigger never costs a task, and Pitchit is not a paid-only app, so it works on the free plan.

  • Pitchit trigger0 tasks
  • Each successful action1 task
  • Free plan allowance100 tasks a month
  • Free plan Zap size2 steps (trigger + action)
  • Paid-only appNo

Every action that succeeds is one task; a failed action is not counted. Three actions in a Zap means three times the tasks of a single-action Zap. The free plan includes 100 tasks a month and Zaps of two steps: one trigger, one action. A filter or a second action turns it into a multi-step Zap, which needs a paid plan. The interval grid below only concerns polling triggers, and Pitchit has none of those.

Connect

Connect your Pitchit account to Zapier

  1. 01

    Open your connections

In Zapier, open the Apps page and click + Add connection. Have your Pitchit login ready, plus read or write access to anything in the account you do not own and want the Zap to use.

  2. 02

    Find Pitchit

Search for Pitchit by name in the dialog, pick it, then click Add connection. Zapier opens a new tab where Pitchit asks you to sign in. Keep it open.

  3. 03

    Sign in and grant access

Log in to Pitchit in that tab and allow Zapier to use the account. The connection then appears on your Apps page, and every Pitchit step reuses it. One connection is enough.

First Zap

Your first Pitchit Zap, step by step

GoalWhen Pitchit raises a lead to the priority you care about, your sales channel gets a message about it.

  1. 01

    Pick the trigger

Build the Zap with Pitchit as the app and Lead Priority Update as the event, then select your Pitchit connection. Every later Pitchit step reuses it.

  2. 02

    Test on real leads

Run the trigger test. Zapier returns the three most recent items from your account, so you can map the next steps on a real lead.

  3. 03

    Add the filter

Click the plus icon, add a Filter step and set it in Configure & test: the field to check, the rule and the value. The Zap is now multi-step and needs a paid plan.

  4. 04

    Add the message

Pick your chat app as the action, choose the channel, and map details of the lead from the Pitchit step into the message text.

  5. 05

    Test, then publish

Run the action once and check the message that arrived. Then publish the Zap to turn it on. Priority changes from that point on will start it.

Triggers

The 6 Pitchit triggers

6 events start a Zap when something happens in Pitchit, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

2

Lead Insights Update

Instant trigger

In Zapier“Triggers when there is a new information about a lead”

Fires whenever Pitchit learns something new about a lead. This is where the AI's work becomes visible outside Pitchit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keeping a lead's record in your CRM or a shared sheet up to date, so a rep opening the file sees what Pitchit found.
Watch out
a single lead can update several times, so each update costs one task per action in your Zap.
3

Lead Priority Update

Instant trigger

In Zapier“Triggers when a lead priority changes”

Reacts each time the priority of a lead changes in Pitchit. For a sales team, it is often the most useful event of the six.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
alerting the rep on duty in your chat tool, or moving the deal to another stage in your CRM, when a lead climbs to the level that matters.
Watch out
every change fires it, up or down, so put a filter right after it.
4

New Meeting Booked

Instant trigger

In Zapier“Triggers when a new meeting is booked.”

A lead books a meeting through Pitchit, and the Zap starts. It closes the gap between the AI's conversation and your calendar.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
creating the deal in your CRM, briefing the person who will take the call, or logging the meeting in a team sheet.
Watch out
the trigger requires a Campaign to be picked, so it only watches the campaign you choose.
5

New Pitch Sent

Instant trigger

In Zapier“Triggers when a new pitch is sent.”

Goes off when Pitchit sends a new pitch to a lead. You get a trace of every outbound message the tool writes for you.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
logging each pitch on the contact's timeline in your CRM, so the human team knows what was already said before they step in.
Watch out
on a busy campaign this one runs often, so watch your monthly task count.
6

New Reply Received

Instant trigger

In Zapier“Triggers when a new reply from a lead received.”

Here the event is a lead answering. Of all six triggers, it is the one closest to a real conversation starting.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
pinging the account owner, opening a follow-up task, or flagging the contact as engaged in your CRM, so a warm reply does not wait.
Watch out
replies that arrived before you published the Zap stay out of it.
Actions

The Pitchit action

Pitchit gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Lead to Pitchit

Action

In Zapier“Send Lead Information to Pitchit”

Hands a lead from another tool to Pitchit, so it goes through the same qualification as the leads Pitchit collects itself.

When to use it
a contact form, an event sign-up sheet or an ad platform starts the Zap, and this action passes the new contact on without anyone copying it across.
Watch out
it is the only action available, so updating a lead already in Pitchit is not possible from Zapier.
When it breaks

When a Pitchit Zap breaks

Zapier attaches no help article to Pitchit, so the cases below are Zapier's general limits, applied to how Pitchit works.

When a Pitchit Zap misbehaves, it is usually one of these three. For a broader checklist, see Zapier troubleshooting.

  • Old leads are not replayed

A Zap only reacts to events after you switch it on. Replies, meetings and priorities from before are never picked up; moving that history is a separate job.
  • A Zap that feeds itself

A Zap that starts on a Pitchit trigger and sends the same lead back with Add Lead to Pitchit writes where its own trigger watches. It can restart again and again and drain your tasks.
  • Bulk imports get held back

When a trigger suddenly returns a huge batch, after a mass import of leads for example, Zapier's flood protection can hold those runs back instead of firing them all.

FAQ

Pitchit Zapier integration: common questions

01Is the Pitchit Zapier integration free?
Yes, within the free plan's limits. Pitchit is not reserved for paid plans, so a free account can run it with 100 tasks a month and Zaps of two steps, one trigger and one action. The limit shows up fast: a filter or a second action makes the Zap multi-step, and that needs a paid plan. Since Lead Priority Update fires on every change, many useful Pitchit Zaps need a filter, so count on a paid plan for those.
02How many tasks does a Pitchit Zap use?
One task for each action that succeeds, and none for the trigger. A Zap that listens to New Reply Received and posts one message costs a single task per reply. Add a second action and each reply costs two. Failed actions are not counted. Triggers that can fire many times for one lead, like Lead Insights Update or New Pitch Sent, are the ones to watch, because each run bills every action again.
03Is the Pitchit integration real time?
Yes, for all six triggers. Every Pitchit trigger is instant: Pitchit reports the event to Zapier itself, and the Zap starts right away, whatever your plan. The interval grid that slows polling triggers on the free plan does not apply here. In the editor, a Zap built on one of these triggers shows a lightning bolt, which is the quickest way to confirm a trigger is instant. No setting changes that.
04What is needed to connect Pitchit to Zapier?
A Pitchit account you can sign in to, and read or write access to anything in it that you do not own but want the Zap to use. The connection starts from the Apps page of Zapier: add a connection, pick Pitchit, sign in in the tab that opens, and grant access. If you plan to use New Meeting Booked, create at least one campaign in Pitchit first, since that trigger requires one.
05Why can New Meeting Booked not be set up?
Usually because no campaign is available to pick. The trigger has a required Campaign box, and the Zap cannot move on until it is filled. If the connected Pitchit account has no campaign yet, or you lack access to the one you want, the list stays empty. Create or share the campaign in Pitchit, then come back to the trigger and run the test again. A test on a real meeting confirms the setup.
06What if a Pitchit operation is not on the list?
Then Zapier does not offer it, and the editor will not show it. The integration has 7 visible operations: six triggers that report events and one action that adds a lead. There is no way to search for a lead, edit one, or send a pitch from a Zap. When a workflow needs one of those, the step stays manual in Pitchit, or the job moves to another automation tool.
07Zapier, Make or n8n for Pitchit?
Decide on criteria, not on a ranking. First, check that the tool lists Pitchit and which events it exposes; on Zapier there are six instant triggers and one action. Second, count your steps: on Zapier, anything beyond one trigger and one action requires a paid plan. Third, estimate volume, because Zapier bills every successful action as a task. Run the same three checks on the other tool before choosing. None of them settles it alone.
