What the PlanSo Forms for WordPress Zapier integration does
PlanSo Forms is a form builder you can run on its own or through its WordPress plugin. On Zapier it does one thing, and does it fast: when someone submits one of your forms, PlanSo tells Zapier, and a Zap carries the answers to whatever tool should act on them next.
Every contact request in your CRM. New Submission paired with a CRM action turns the contact form on your site into a lead record your sales team can work without anyone copying the answers by hand or retyping a phone number.
A quote request your team actually sees. Send each submission to the chat channel or the task board your sales team watches, so every request lands where someone acts on it.
A running log of every answer. Write each submission into a spreadsheet to keep a history you can sort, filter and share without opening WordPress.
What Zapier does not do with PlanSo: there is no action and no search step. A Zap cannot create a form, edit an entry or look up an old submission inside PlanSo; the data only flows out. Also, only the forms people send after your Zap goes live are covered. If you are still choosing an automation tool, the Zapier review and the Make vs Zapier page are worth a look.
Zapier terms, explained once
Seven words come back across the page. Each gets one plain sentence here.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event that starts a Zap. With PlanSo, there is only one: someone submits one of your forms.
- Action
- What the Zap does once started: the step that writes, sends or moves something for you, always in another app here.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is a count of those.
- Instant trigger
- A trigger the app reports itself: PlanSo calls Zapier when a form comes in, so nothing waits for a timed check.
- Filter
- A step that lets the Zap carry on only when the submission meets the condition you set, and stops it otherwise.
- Connection
- Your PlanSo account linked to Zapier once, then reused by every Zap that starts from one of your forms.
What a PlanSo Zap costs you
A form arriving never costs a task: the trigger is free. What counts is each action that succeeds after it, and an action that fails is not billed.
- Form submitted (trigger)0 tasks
- Each successful action1 task
- Free plan100 tasks a month, 2-step Zaps
- Paid plan required for this appNo
The free plan includes 100 tasks a month and Zaps of two steps, one trigger and one action. A form going to one CRM fits. Add a second destination or a filter, and the Zap becomes multi-step, which needs a paid plan. PlanSo is available on the free plan. The interval grid below concerns polling triggers only; New Submission is instant, so it fires straight away on every plan. A few apps and actions use more than one task when they complete, so check the destination step before you plan.
Connect PlanSo Forms to Zapier in 3 steps
- 01
Open Apps and add a connection
Go to the Apps page of your Zapier account and click + Add connection. In the dialog, type PlanSo Forms for WordPress and choose it from the results.
- 02
Log in to PlanSo
Click Add connection. A tab opens on PlanSo: sign in with the account that owns the forms you want to automate. If a colleague or an agency built them, get access to their account first.
- 03
Grant Zapier access
Approve the access Zapier asks for. The connection then appears on your Apps page, and every Zap you start from a PlanSo form lets you select it rather than log in again.
Your first Zap: from contact form to CRM and team chat
GoalEach PlanSo submission becomes a CRM contact, and the sales channel gets a short heads-up.
- 01
Pick the trigger
In the editor, choose PlanSo Forms for WordPress as the app that starts the Zap, then New Submission as the event, and select your connection.
- 02
Test with real submissions
Run the trigger test. Zapier brings back the three most recent submissions of the account, so you map the next steps from real answers rather than a blank sample.
- 03
Create the CRM contact
Add your CRM as the next step and map the form answers into the contact. On the free plan, this single action is where your Zap ends.
- 04
Alert the sales channel
Add a chat message as a second action. With two actions the Zap is multi-step and needs a paid plan, so skip this step if you stay on free.
- 05
Test, then publish
Test each step and read the result. Click Publish: from now on, every form sent on your site starts the Zap with no wait.
The PlanSo Forms for WordPress trigger
1 event starts a Zap when something happens in PlanSo Forms for WordPress, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Submission
Instant triggerIn Zapier“Triggers when a form is submitted”
Fires each time a visitor sends one of your PlanSo forms, and passes the answers to the steps that follow. It is the whole integration: every Zap you build with PlanSo starts here, whether the form is a contact request, a booking or a survey.
When a PlanSo Zap breaks
Zapier lists no help article and no specific limit for PlanSo Forms for WordPress. The problems below come from Zapier's general rules.
Four cases explain most of what goes wrong. If a run still fails after that, open the Zapier troubleshooting page.
Last month's forms never arrive
A Zap reacts only to submissions sent after it is switched on. Entries that already exist in PlanSo stay where they are; moving them is a separate job.A burst of submissions gets held back
When a form suddenly receives a huge batch, after a campaign or a spam attack, Zapier's flood protection can hold it back instead of running every entry. The filter rejects every form
Filter rules are typed: a text rule works only on text, a number rule only on numbers. Picking the wrong type is why a filter never lets a form through. The second destination will not publish
The free plan only builds two-step Zaps. A second action or a filter makes the Zap multi-step, and you need a paid plan to switch it on.
