Overview

What the onpreo Zapier integration does for a real-estate team

Connecting onpreo to Zapier lets Zapier, an automation tool, watch your onpreo workspace and act on it for you. Each automation is called a Zap: one event starts it, then one or more steps write somewhere. For agents and brokers, that's the bridge between the CRM and the rest of the office, without retyping contacts.

A property file for every new seller. New Seller Contact starts the Zap and Create Real Estate opens a deal tied to that contact, so the agent never starts from an empty screen and the seller is already on the deal.

Inbound leads that end up in onpreo. A web form or another app feeds Create Contact, and Create Real Estate Note keeps the text of the request on the property it concerns.

Buyer records kept current. Get Contact by E-Mail finds the person you already have, then Update Contact corrects that record instead of adding a duplicate of the same buyer.

What Zapier doesn't do here: there's no trigger for a new property or a new note, no delete action, and no search step in Zapier's sense (Get Contact by E-Mail is filed among the actions). Both triggers are instant, so the plan you're on never slows them down. To weigh other tools, the comparisons are Make vs Zapier and n8n vs Zapier.

Vocabulary

The Zapier words this page uses

Eight terms, in plain English. Once defined here, they're used as is.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. With onpreo, it's a new buyer or a new seller showing up in your workspace.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like creating an onpreo contact.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan's allowance counts those.
Polling vs instant
Polling: Zapier checks the app on a timer for new items. Instant: the app reports the event itself. Both onpreo triggers are instant.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Connection
Your onpreo account linked to Zapier once, then reused by every step of every Zap that touches onpreo.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter turns a Zap into one, and it then needs a paid plan.
Cost

What an onpreo Zap really costs

The trigger never costs a task, and neither does Zapier waiting for new data. Only an action that goes through is billed; one that fails isn't.

  • Tasks on the free plan100 per month
  • Zaps on the free planUnlimited
  • Steps per Zap on the free plan2 (one trigger, one action)
  • Premium appNo

Each successful action counts on its own, so two onpreo actions in one Zap use twice the tasks of one. onpreo isn't a premium app (Zapier keeps those for paid plans), so it works on the free plan. The catch: free Zaps stop at two steps. Add a filter or a second action and you need a paid plan. The interval grid below only concerns polling triggers, which onpreo doesn't have, so its two instant triggers behave the same on every plan.

Connect

Connect onpreo to Zapier in three steps

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. A dialog opens with a search box. You only do this once: every later Zap reuses the same onpreo connection.

  2. 02

    Pick onpreo

Type onpreo in the dialog, select it, then click Add connection. You need an onpreo account, plus read or write access on any record you don't own yourself and want a Zap to touch.

  3. 03

    Sign in and grant access

A new tab opens on onpreo. Sign in with the account your Zaps should act on, then grant Zapier access to it. From there, onpreo appears among the accounts you can pick in any step.

First Zap

Your first Zap: a property file for each new seller

GoalEach new seller in onpreo gets a real-estate deal opened on their contact, when the condition you set is met.

  1. 01

    Build: pick the trigger

Start a new Zap, choose onpreo as the app that starts it and New Seller Contact as the event. Pick your onpreo connection and enter the Workspace ID.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real seller rather than on a guess.

  3. 03

    Add a filter

Add a Filter step from the plus icon and set three boxes: the field to look at, the rule, the value. Use a text rule on text and a number rule on numbers, or it never passes.

  4. 04

    Add Create Real Estate

Add the onpreo action Create Real Estate. Give it a Deal Name and point Contact Id at the seller from the trigger test. Test the step and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. With its filter, this is a multi-step Zap and needs a paid plan. Only sellers created after publishing will start it.

Triggers

onpreo triggers on Zapier

2 events start a Zap when something happens in onpreo, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Buyer Contact

Instant trigger

In Zapier“Triggers when a new buyer is registered or transferred.”

Starts your Zap each time a buyer lands in onpreo, whether that buyer was registered there or transferred into the workspace. It's the entry point for anything a new prospect should set off in your other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
push each new buyer into the spreadsheet or the mailing list your team already works from, so nobody retypes the contact.
Watch out
the Workspace ID is required, and the trigger only watches the workspace you name there. Buyers who arrived before the Zap was published never start it.
2

New Seller Contact

Instant trigger

In Zapier“Triggers when a new seller is created through onpreo.”

Kicks off a Zap whenever a new seller is created through onpreo. This is the trigger for the listing side of the business, where a new owner should set work in motion for the agent in charge.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
open a property file with Create Real Estate for every new seller, or alert the agent in the tool the team reads first.
Watch out
it also asks for the Workspace ID, as a required field. Before you add Create Real Estate, check in the test that the contact it hands over is the one the deal should sit on.
Actions

onpreo actions on Zapier

onpreo gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a new contact in onpreo.”

Adds a fresh contact to onpreo from data that arrived in another app. It's how a lead captured somewhere else reaches your CRM without anyone typing it.

When to use it
the contact form on your agency site collects a name and an e-mail address; each submission becomes an onpreo contact.
Watch out
Name of Contact and E-Mail are both required, so a submission without an e-mail can't go through.
2

Create Real Estate

Action

In Zapier“Create real estate in onpreo”

Opens a real-estate record in onpreo, tied to a contact through Contact Id and labeled with a Deal Name.

When to use it
right after New Seller Contact, so every seller already has a property file when the agent opens onpreo.
Watch out
a few fields carry German labels in the editor, such as Garten, Keller or Bewertung erstellen. Don't look for them under English names.
3

Create Real Estate Note

Action

In Zapier“Create note for incoming real estate lead”

Writes a note on an existing property, with a Title and a Description. Useful to keep the wording of an incoming lead next to the listing it's about.

When to use it
a request about one of your listings arrives by e-mail, and its text should sit on that property in onpreo.
Watch out
Real Estate Id is required, so an earlier step must already know which property the note goes on.
4

Get Contact by E-Mail

Action

In Zapier“Gets a contact by e-mail of a contact in onpreo.”

Fetches an onpreo contact from an e-mail address and hands it to the steps that follow. Zapier lists it among the actions, not as a search step.

When to use it
just before Update Contact, to find the Id of a person whose address is the only thing you have.
Watch out
chained with a second action, it makes a multi-step Zap, which means a paid plan.
5

Update Contact

Action

In Zapier“Update existing contact in onpreo”

Edits a contact that already exists in onpreo rather than adding a second record for the same person.

When to use it
a buyer corrects their details in your form tool, and the onpreo record should follow without a manual edit.
Watch out
Id, Name of Contact and E-Mail are all required, so the Zap has to know exactly which contact it's changing, typically through Get Contact by E-Mail just before.
When it breaks

When an onpreo Zap breaks

Zapier publishes no help article specific to onpreo, and no onpreo rate limit is documented. What breaks is the general Zapier behavior, applied to a CRM.

  • Nothing from before the Zap

A Zap only reacts to what happens after it's switched on. Buyers and sellers already in onpreo won't start it; moving that backlog is a separate job.
  • A Zap that sets itself off

If a Zap writes contacts into onpreo while its trigger watches onpreo contacts, it can start itself again and again and burn through your tasks fast.
  • Bulk imports held back

A large import or a migration can send a sudden batch to the trigger. Zapier's flood protection may hold that batch back instead of running everything.
  • A required field left empty

Without Workspace ID, Contact Id or Real Estate Id, the step can't do its job. An action that doesn't go through is not counted as a task.

FAQ

onpreo Zapier integration: frequent questions

01Is the onpreo Zapier integration free?
Yes. onpreo is not a premium app, so it works on Zapier's free plan. That plan gives you 100 tasks per month and an unlimited number of Zaps, but each Zap is limited to two steps: one trigger and one action. A Zap that adds a filter or a second action becomes a multi-step Zap and requires a paid plan. So New Seller Contact followed by Create Real Estate fits in the free plan, while the same Zap with a filter in between does not.
02How many tasks does an onpreo Zap use?
One task per action that completes successfully. The trigger costs nothing, and Zapier waiting for a new buyer or seller costs nothing either. A Zap that creates a contact and then a property note uses two tasks each time it runs, twice what a one-action Zap uses. An action that fails is not counted against your plan. A few apps and actions elsewhere take more than one task, so the count on your plan is the one to watch once several Zaps are live.
03Does onpreo start Zaps in real time?
Yes, both triggers are instant. New Buyer Contact and New Seller Contact are reported to Zapier by onpreo itself, so the Zap does not wait for a scheduled check. That also means the interval grid by plan, 15 minutes on Free and down to 1 minute on Team and Enterprise, does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. This type is set by onpreo and can't be changed from Zapier.
04What does it take to connect onpreo to Zapier?
An onpreo account, and read or write access on any record you don't own but want a Zap to touch. In Zapier, open the Apps page, click + Add connection, search for onpreo, then click Add connection. A tab opens where you sign in to onpreo and grant Zapier access. The connection is then reused by every Zap. Keep the Workspace ID of the workspace to watch at hand, because both triggers require it.
05Why does the onpreo trigger ask for a Workspace ID?
Because the trigger connects one workspace to Zapier, and the field is required on both New Buyer Contact and New Seller Contact. Buyers or sellers from that workspace are the ones that start the Zap. If the ID points to the wrong workspace, the Zap stays silent even though your team keeps adding contacts. Check the ID first whenever a published onpreo Zap never fires, then test the trigger again to see the three most recent items it brings back.
06What if the onpreo operation you need isn't available?
Then Zapier can't do it for onpreo today. The editor offers seven operations: two triggers, New Buyer Contact and New Seller Contact, and five actions covering contacts, properties and notes. There is no trigger for a new property or a new note, no delete action and no search step. A process outside that list has to stay manual on the onpreo side, or be checked against another automation tool that may expose different operations for the same CRM.
07Zapier, Make or n8n for onpreo?
Decide by criteria rather than by brand. On Zapier, onpreo is not premium, so it runs on the free plan; its two triggers are instant whatever the plan, and its five actions cover contacts, properties and notes. If your scenario fits in those operations and in two steps, Zapier is free to run. If it needs a filter or several actions, budget for a paid plan. If it needs an operation that is not in this list, check what the other tool offers for onpreo before choosing.
