Overview

What the Pledge It for Charities Zapier integration actually does

Pledge It for Charities runs online fundraising for nonprofits, mostly peer-to-peer and virtual fitness campaigns. Connected to Zapier, it becomes a source: each time something new lands in a campaign, a Zap can carry it into another app. It only reads. Nothing goes back into Pledge It.

Three typical outcomes, each tied to one real trigger. A thank-you list that fills itself: New Donor picks up each new donation record so your email or CRM tool can greet the donor. A team roster that stays current: New Fundraiser spots every person who joins a campaign and hands them to your onboarding sheet or chat channel. A finance log you can trust: New Transaction only fires once a donation is actually charged, which is the one you want for bookkeeping.

Now the part the app page does not spell out. Zapier offers no action for this app: you cannot create a donor, edit a campaign or refund anything from a Zap. There is no search step either, so a Zap cannot look up an existing donor. And all three triggers work by polling, so nothing arrives the second it happens. If you need to write into Pledge It, Zapier is not the tool for that part.

Vocabulary

Zapier words, in plain English

New to Zapier? These eight words cover everything on this page.

Zap
The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap. Here, a new donor, a new fundraiser or a charged donation in your campaign.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only the unseen ones.
Instant trigger
A trigger the app reports itself, the moment the event happens. None of the Pledge It triggers work this way.
Filter
A step that lets the Zap go on only when the incoming item meets your condition, and stops it otherwise.
Connection
Your Pledge It account linked to Zapier once, then reused by every step that needs that app.
Cost

What it really costs

Pledge It for Charities is not a premium app, so it runs on the free plan. The trigger never costs a task, and neither does Zapier checking for new items, however often it looks.

  • Free plan100 tasks a month, unlimited Zaps
  • Zap size on free2 steps: one trigger, one action
  • Trigger cost0 tasks
  • Premium appNo

You pay with tasks, one per action that succeeds. A donation copied into one sheet costs one task; add a Slack message and the same donation costs two. A failed action is not counted at all. The free plan stops at two steps: one trigger and one action. A filter or a second action makes the Zap multi-step, and a multi-step Zap needs a paid plan. On a trigger-only app like this one, that two-step limit is usually the first wall you hit.

Connect

Connect your Pledge It for Charities account

  1. 01

    Open your Apps page

In Zapier, go to the Apps page of your account and click + Add connection. A dialog opens: type Pledge It for Charities in the search box and pick it from the list.

  2. 02

    Sign in to Pledge It

Click Add connection. A new tab opens on Pledge It for Charities. Sign in there with the account that runs your campaigns. If some campaigns belong to someone else, that account needs access to them.

  3. 03

    Grant access

Allow Zapier to reach the account. From then on, the connection is reused by every Zap you build on this app, so you only do this once per Pledge It account.

First Zap

Your first Zap: log every charged donation

GoalEach donation charged in one campaign lands as a new row in a spreadsheet.

  1. 01

    Pick the trigger

Create a Zap, choose Pledge It for Charities as the app and New Transaction as the event. Select your connection, then the campaign the Zap should watch.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items from your account, so you map fields on a real donation instead of a guess.

  3. 03

    Add the action

Add Google Sheets as the action, pick Create Spreadsheet Row, then map what the trigger returned into the columns of your sheet. Two steps in total, so this Zap runs on the free plan.

  4. 04

    Test, then publish

Test the action and check the row it wrote. Then click Publish to switch the Zap on. Only donations charged after that point will come through.

Triggers

The 3 Pledge It for Charities triggers

3 events start a Zap when something happens in Pledge It for Charities. Zapier checks for them at the interval your plan allows.

1

New Donor

Polling trigger

In Zapier“Triggers when a new donation is created.”

Starts your Zap when someone makes a new donation in the campaign you picked, and hands that donor record to the next step. It reacts to the donation being created, not to the payment going through.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you want to welcome or thank donors in your email tool, whatever happens with their card later.
Watch out
the trigger needs a Campaign ID, so one Zap watches one campaign; a second campaign means a second Zap.
2

New Fundraiser

Polling trigger

In Zapier“Triggers when a new fundraiser is added to the campaign.”

Fires when a new fundraiser joins one of your campaigns. This is the peer-to-peer side of Pledge It: the people who raise money on your behalf, rather than the people who give it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a team captain wants every new runner or walker added to a roster sheet or announced in the team chat.
Watch out
you must choose a Campaign when you set it up; a fundraiser who signs up for another campaign will not appear here.
3

New Transaction

Polling trigger

In Zapier“Triggers when a donation is successfully charged.”

Kicks off a Zap once a donation has been successfully charged. Of the three, it is the only one that tells you money actually moved, so it suits anything financial.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
your treasurer wants a running log of confirmed gifts for reconciliation, without exporting reports by hand.
Watch out
like New Donor, it needs a Campaign ID, and a donation that is created but never charged will not show up here.
When it breaks

When it breaks

Zapier attaches no help article to this app, and no app-specific limit is documented. What follows are the general Zapier limits that apply to these three triggers.

With a trigger-only app, trouble usually comes from timing and history rather than from errors. If a Zap looks broken, check these four cases first, then the Zapier troubleshooting page.

  • Older donations never show up

A Zap only reacts to what happens after you switch it on. Donations and fundraisers that already existed are not picked up; moving that backlog is a separate job.
  • A big import gets held back

If a campaign suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back instead of running them all.
  • No duplicates, by design

Zapier remembers what it has already seen on a polling trigger, so the same donor or transaction does not start the Zap twice, even if it is checked again.
  • A filter means a paid plan

On the free plan a Zap holds two steps only. Adding a filter or a second action turns it into a multi-step Zap, which asks for a paid plan.

FAQ

Pledge It for Charities Zapier integration: FAQ

01Is the Pledge It for Charities Zapier integration free?
Yes. Pledge It for Charities is not a premium app on Zapier, so all three triggers work on the free plan. That plan gives 100 tasks a month and unlimited Zaps, with one limit people often miss: each Zap holds two steps, one trigger and one action. A filter, a search or a second action turns the Zap into a multi-step Zap, and that needs a paid plan. No price is quoted here because the plan grids change often; check them on Zapier before you upgrade.
02How many tasks does a Pledge It Zap use?
The trigger itself costs nothing. Zapier checking your campaigns for new donors, fundraisers or transactions is free too, however often it looks. You are billed one task per action that completes successfully. A Zap that copies each charged donation into one spreadsheet uses one task per donation. Add a second action, such as a chat message, and it uses two. An action that fails is not counted against your plan.
03Does it work in real time?
No. All three Pledge It triggers are polling triggers: Zapier checks the app at a fixed interval and keeps only the new items. The interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The type is set by the app and cannot be changed from the editor. On paid plans, you can also run a check by hand from the editor when you need a result right away.
04What does it take to connect a Pledge It account?
You need a Pledge It for Charities account, plus access to the campaigns you want the Zap to watch if you do not own them yourself. The connection takes three moves: add it from the Apps page with + Add connection, sign in to Pledge It in the tab that opens, then grant Zapier access. Each trigger then asks you to pick a campaign, so the account must be able to see it.
05Why does a new Zap ignore donations made before it was published?
Because a Zap only reacts to what happens after it is switched on. Zapier does not go back through the campaign history, so donors, fundraisers and transactions that already existed are never picked up. When you test the trigger you will see the three most recent items, but that is only for mapping fields. Moving older records is a separate job, done outside the Zap, before or after you publish it.
06What if the operation you need is not available?
Then Zapier cannot do it for this app today. The editor offers three triggers (New Donor, New Fundraiser, New Transaction) and nothing else: no action and no search. A Zap can read from Pledge It and push data elsewhere, but it cannot create, update or look up anything inside Pledge It. If your process needs that, plan for it outside Zapier, or handle that step by hand in Pledge It itself.
07Zapier, Make or n8n for Pledge It for Charities?
Decide by criteria rather than by brand. On Zapier, this app is read-only: three polling triggers, no action, no search, and it runs on the free plan as long as each Zap stays at two steps. So the questions are: do you need to write back into Pledge It, do you need data faster than your plan's polling interval, and how many steps will your Zap need? Then check whether the other platform offers a connector covering those exact needs.
