What the ProfitWell Zapier integration actually does

It keeps ProfitWell's subscription figures in line with what happens in your other tools. Zapier, the automation service, watches an app such as your billing system or CRM; when a customer signs up, changes plan or leaves, a Zap writes that change into ProfitWell, or asks ProfitWell what that customer is worth.

Three results teams build with it. Revenue figures that include every signup: a paid subscription recorded in a billing tool or a CRM goes in through Add Customer, with the plan, its interval and its value. Upgrades and cancellations that land on the right date: a plan change recorded elsewhere runs Upgrade/Downgrade Subscription, and a cancellation form runs Churn Subscription, each with its effective date. MRR at hand when it matters: before a support agent answers, Get Customer Info pulls the customer's MRR and plan from an email address.

What Zapier does not do with ProfitWell: nothing that happens in ProfitWell can start a Zap, because there is no trigger. A churn spotted in ProfitWell will not alert anyone through Zapier. There is no search step either; the one lookup available is an action, which matters for cost, as the next sections explain.

An action that fails is not counted. The free plan gives 100 tasks a month, unlimited Zaps, polling every 15 minutes and no premium apps; ProfitWell is not one, so it runs for free. The catch: free Zaps have two steps. Looking up a customer's MRR and then posting it somewhere is two actions, so a multi-step Zap on a paid plan, and it costs two tasks per run. On paid plans polling triggers check every 2 minutes on Professional and every minute on Team and Enterprise.

Connect ProfitWell to Zapier in three steps

    Open the Apps page

    In your Zapier account, open Apps and click + Add connection. Search for ProfitWell in the dialog and select it. Every later Zap that writes to ProfitWell reuses this one connection.

    Sign in to ProfitWell

    Click Add connection. ProfitWell opens in a new tab; sign in with the account that holds your subscription data. If you work on a company account you do not own, make sure you have write access to it first.

    Grant access

    Approve the access Zapier asks for. The ProfitWell connection then appears in your Apps list and can be picked in the action step of any Zap. Nothing else needs setting up.

First Zap

Your first Zap: every paid signup counted in ProfitWell

    Create the Zap

    Start a new Zap. For step one, pick your billing tool and its new-subscription event, then connect that account the same way you connected ProfitWell.

    Test the trigger

    Run the test. Zapier brings back the three most recent subscriptions of the connected account; choose a real one with an email, a plan and an amount, so the mapping uses true values.

    Add Add Customer

    Add the action, choose ProfitWell and Add Customer, then your connection. Map the email, the plan ID, the interval (month or year), the value and the start date from step one.

    Test the action

    Run the action test, then look for the customer in ProfitWell. Check the plan and the value read the way your finance team expects before you switch anything on.

    Click Publish. From now on each new subscription adds one customer and uses one task. Subscribers who signed up before publishing are not sent; moving them is a separate job.

when a customer changes seats or tier in the tool where your sales team records deals.
Watch out
it needs the subscription alias, the new plan, its interval, value and effective date, so the trigger must carry all five.
When it breaks

When a ProfitWell Zap breaks

Zapier ties no help article to ProfitWell, so these are the failures every Zap can meet. On revenue data, they cost more than a missed alert.

A wrong MRR figure does not need a crash: a Zap that did exactly what it was told, at the wrong moment or twice, is enough. Four general cases are worth knowing; for the rest, see the Zapier troubleshooting page.

  • Past subscribers are missing

    A Zap only reacts to what happens after it is published. Customers who signed up before are never added, so backfilling ProfitWell is a separate job.
  • A migration floods the Zap

    When the billing tool suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back instead of writing it all.
  • No double counting from polling

    On a polling trigger Zapier remembers what it has already seen, so the same subscription does not add the same customer twice.
  • A loop that inflates usage

    A Zap that writes back into the place its own trigger watches sets itself off again and again, spending a task on every turn.

01Is the ProfitWell Zapier integration free?
Yes, on Zapier's side. ProfitWell is not a premium app, so it works on the free plan, with 100 tasks a month and unlimited Zaps. The real limit is the size of the Zap: two steps on the free plan, one trigger and one action. Adding a customer from a new subscription fits. Looking up MRR and then sending it to another tool is two actions, which needs a paid plan. ProfitWell's own account conditions sit outside Zapier and are not covered here.
02How many Zapier tasks do ProfitWell actions use?
One per action that succeeds, and that includes Get Customer Info, because the lookup is an action on this app rather than a search step. The trigger in the other app is free, and so are Zapier's checks for new items. A failed action is not counted. A Zap that adds every new subscriber uses one task per signup; a Zap that looks up MRR and then posts it uses two per run. Count a typical month before you pick a plan.
03Does ProfitWell update in real time through Zapier?
That depends on the app that starts the Zap, because ProfitWell has no trigger. If that app has an instant trigger, it tells Zapier the moment a subscription changes and ProfitWell is updated straight away, on any plan. 04What does it take to connect ProfitWell to Zapier?
A ProfitWell account holding your subscription data, and a Zapier account. Open Apps, click + Add connection, search for ProfitWell, then sign in in the tab that opens and grant access. The connection is saved once and every Zap reuses it. If the ProfitWell account belongs to someone else in the company, you need write access to it, since three of the four actions change data. Ask the account owner for it before you build the Zap.
05Why does ProfitWell not accept the plan interval?
Because Add Customer and Upgrade/Downgrade Subscription only take two values for the interval: month or year. If the app that starts the Zap sends another word, such as monthly or annual, that value do not match what ProfitWell expects. The fix is to make sure the field you map holds month or year, and to run the action test on a real subscription of each kind before publishing. The same rule holds for both actions, so one mapping fix often serves two Zaps.
06What if the ProfitWell operation you want is not there?
Then Zapier does not offer it, and no hidden menu will reveal it. The integration has four actions: add a customer, change a subscription, churn a subscription and read a customer's MRR. It has no trigger, so a Zap cannot start from something happening in ProfitWell, and no search step.
