What the Outplay Zapier integration does for a sales team
The Outplay Zapier integration links Outplay, a sales engagement tool for personalized emails, calls and social touches, to Zapier, the service that runs automations between apps. Prospect activity in Outplay can start work in your CRM, your chat or your sheets, and leads from elsewhere can land in Outplay sequences without manual import.
Three results come up again and again. Leads that start their outreach on their own: a form or an enrichment tool feeds Save Prospect, which creates or updates the prospect and adds it to a sequence. Replies and meetings that reach the people who need them: Mail Received and Meeting Booked post the news to the account owner or log it in the CRM. A clean do-not-contact list: Optout Prospect writes each opt-out to the other tools that might email the same person.
What Zapier does not do here matters too. There is no search step, so a Zap cannot look up an existing Outplay prospect before acting, and there is no delete action. Both actions are create-or-update, which makes them handy but also easy to loop: Update Prospect fires on the very changes Save Prospect makes. On the bright side, all six triggers are instant, so the free plan's 15-minute check never slows them down. And a Zap does not reach back: prospects created before you switch it on stay out of it.
If you are still weighing tools, the Make vs Zapier comparison and the Zapier review are there too.
Zapier vocabulary in plain words
A handful of words come back on every Zapier screen. Here they are once, in ordinary language.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it: here, a reply or a booked meeting in Outplay.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you, such as saving a prospect.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan is a count of those.
- Polling vs instant
- Polling: Zapier checks the app on a timer and keeps only new items. Instant: the app itself calls Zapier when the event happens.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
What an Outplay Zap really costs
Zapier does not reserve Outplay for paid plans: it runs from the free plan. What you spend is tasks, and only completed actions produce them.
- Trigger0 tasks
- Completed action1 task
- Failed action0 tasks
- Free plan100 tasks a month, two-step Zaps
An Outplay trigger never costs a task. Each action that works counts once, so a Zap that runs Save Prospect after Meeting Booked spends one task per meeting; a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but two-step Zaps only: a filter or a second action makes the Zap multi-step, and that needs a paid plan. The interval grid below applies to polling triggers, and Outplay has none, so its triggers fire straight away on every plan.
Connect your Outplay account in three steps
- 01
Open the Apps page
In your Zapier account, open Apps and click + Add connection. A connection is your Outplay account linked to Zapier once, then reused by every Outplay step in every Zap you build.
- 02
Pick Outplay
Type Outplay in the search box of the dialog, choose it from the results, then click Add connection. To go further you need an Outplay account of your own to sign in with.
- 03
Sign in and grant access
Outplay opens in a new tab. Sign in, then grant Zapier access to the account. If your Zaps will touch prospects or sequences you do not own, check first that this account has read or write access on them.
Your first Outplay Zap: replies routed to the right sequence
GoalWhen a prospect replies by email in Outplay, the Zap checks a condition you choose and saves the prospect into the follow-up sequence.
- 01
Pick the trigger
Start a new Zap, choose Outplay as the app that starts it and Mail Received as the event, then select your Outplay connection.
- 02
Test the trigger
Run the trigger test. Zapier brings back the three most recent items from your Outplay account, so you map the next steps on a real reply rather than an empty sample.
- 03
Add the filter
From the plus icon, add a Filter step and fill its three boxes: the field to look at, the rule, the value to compare with. Use a text rule for text and a number rule for numbers.
- 04
Add Save Prospect
Add Outplay as the action and choose Save Prospect. Map the prospect details from the reply, and give the Sequence Identifier of the follow-up sequence the prospect should join.
- 05
Test, then publish
Test each step and read what came back. When the prospect lands in the right sequence, click Publish to switch the Zap on. With its filter, this Zap is multi-step and runs on a paid plan.
Outplay triggers on Zapier
6 events start a Zap when something happens in Outplay, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.
Mail Received
Instant triggerIn Zapier“Triggers on receiving a mail from Prospect in Outplay.”
A prospect writes back, Outplay records the email, and your Zap starts with that reply in hand. For an outbound team, this is the moment that matters most, and the one nobody wants buried in a shared inbox.
Meeting Booked
Instant triggerIn Zapier“Triggers when meeting is booked.”
When a prospect books a meeting, this trigger hands the booking to your Zap. It is the hand-off point between prospecting and selling, where the account executive needs context fast.
Prospect Note Added
Instant triggerIn Zapier“Triggers when new note is added to a prospect.”
Each new note on an Outplay prospect starts the Zap. Notes are where reps leave the context that never fits a field: objections, timing, who else to loop in.
New Prospect
Instant triggerIn Zapier“Triggers when Prospect is created in Outplay.”
A prospect created in Outplay sets this trigger off. It lets other tools know someone new has entered your outreach.
Optout Prospect
Instant triggerIn Zapier“Triggers when Prospect has opted out in Outplay.”
A prospect asks not to be contacted, Outplay records the opt-out, and this trigger passes that prospect to your Zap so nobody has to remember it by hand.
Update Prospect
Instant triggerIn Zapier“Triggers when Prospect is updated in Outplay.”
Any change to an existing prospect in Outplay launches this Zap, with the updated record attached. It is the broadest Outplay trigger and the easiest one to keep in sync with a CRM.
Outplay actions on Zapier
Outplay gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Save Prospect
ActionIn Zapier“Create or Update Prospect and Adds to Sequence based on the provided Sequence Identifier”
Save Prospect creates the prospect if it is new, updates it if it already exists, and adds it to the sequence named by its Sequence Identifier. One step does the import and the enrolment.
Save Scheduler Lead
ActionIn Zapier“Create or Update a Lead in Scheduler Module.”
This action creates or updates a lead in Outplay's scheduler module, the part that handles meeting booking. Leads captured elsewhere reach the scheduler without a copy and paste.
When an Outplay Zap breaks
Zapier links no help article to Outplay and lists no limit specific to the app. What goes wrong comes from the way Zapier itself works.
Three cases to know before you publish a prospecting Zap. To trace a run that failed, there is a page on Zapier troubleshooting.
Earlier prospects are not picked up
A Zap only reacts to what happens after it is switched on. Prospects, replies and opt-outs from before you published stay untouched; moving that backlog is a separate job.The Zap keeps starting itself
Update Prospect or New Prospect as the trigger, Save Prospect as the action: the Zap writes where its trigger watches, starts again and burns through your tasks.A bulk import is held back
Importing a big prospect list can make New Prospect return a huge batch at once. Zapier's flood protection can then hold that batch back instead of running it.
