Overview

What the Outline Zapier integration does for your wiki

The Outline Zapier integration links Outline, a knowledge base and wiki for teams, to Zapier, the service that runs automations between apps. A newly published page can start work in another tool, and other tools can write pages into Outline, so knowledge lands where people read it without copy and paste.

The list is short, so each operation carries a lot. Announcing new knowledge: New Document starts a Zap that posts the title in your team chat or adds it to a reading list sheet. Writing from elsewhere: Create Document turns a meeting summary, a support answer or a form submission into a page in the right collection. Linking the two: a new page in one collection produces a companion page in another, such as a review checklist.

What Zapier does not do here is just as clear. There is no trigger for an edited page and no action to update, move or delete a document. Outline offers no search step on Zapier either, so a Zap cannot look up an existing page. The single trigger is a polling trigger: on the free plan, a new page shows up at the next 15-minute check. And a Zap never reaches back: pages published before you switch it on stay out of it.

If you are still comparing tools, the n8n vs Zapier comparison and the Zapier training are there too.

Vocabulary

Zapier vocabulary in plain words

A handful of words come back on every Zapier screen. Here they are once, in ordinary language.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it: here, a document published in Outline.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, such as a new page.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan is a count of those.
Polling vs instant
Polling: Zapier checks the app on a timer and keeps only new items. Instant: the app itself calls Zapier when the event happens.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What an Outline Zap really costs

Zapier does not reserve Outline for paid plans: it runs from the free plan. What you spend is tasks, and only one thing produces them.

  • Trigger and checks0 tasks
  • Completed action1 task
  • Failed action0 tasks
  • Free plan100 tasks a month, two-step Zaps

The New Document trigger never costs a task, and Zapier checking Outline for new pages is free however often it looks. Each Create Document that works counts as one task; one that fails is not counted. The free plan gives 100 tasks a month, unlimited Zaps and a check every 15 minutes, but two-step Zaps only. Adding a filter, or a second action, makes the Zap multi-step, and that needs a paid plan.

Connect

Connect your Outline account in three steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. A connection is your Outline account linked to Zapier once, then reused by every Outline step in every Zap.

  2. 02

    Pick Outline

Type Outline in the search box of the dialog, choose it from the results, then click Add connection. You need an Outline account of your own to go further.

  3. 03

    Sign in and grant access

Outline opens in a new tab. Sign in, then grant Zapier access to the account. If your Zaps will write into collections you do not own, check first that this account has write access on them.

First Zap

Your first Outline Zap: a companion page for every new document

GoalWhen a document is published in Outline, the Zap checks it against your condition and creates a companion document in another collection.

  1. 01

    Pick the trigger

Start a new Zap, choose Outline as the app that starts it and New Document as the event, then select your Outline connection.

  2. 02

    Test the trigger

Run the trigger test. Zapier brings back the three most recent items from your Outline account, so you map the next steps on a real page rather than an empty sample.

  3. 03

    Add the filter

From the plus icon, add a Filter step and fill its three boxes: field, rule, value. Set it so the companion pages your Zap creates can never pass, or the Zap will feed itself.

  4. 04

    Add Create Document

Add Outline as the action and choose Create Document. Pick the target Collection, then fill Title, Text and Publish, mapping values from the page the trigger brought back.

  5. 05

    Test, then publish

Test each step and read what came back. When the companion page looks right, click Publish to switch the Zap on. With its filter, this Zap is multi-step and runs on a paid plan.

Triggers

The Outline trigger on Zapier

1 event starts a Zap when something happens in Outline. Zapier checks for them at the interval your plan allows.

1

New Document

Polling trigger

In Zapier“Triggers when a new document is published.”

A page published in your Outline workspace starts the Zap, with the document handed to the steps that follow. Drafts are not the point here: the trigger is about pages that went live, which makes it a clean signal that new knowledge is available to the team.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
new process pages, onboarding guides or release notes should be announced in the team chat or logged in a tracking sheet.
Watch out
a Create Document step in the same Zap that publishes its page can wake this trigger again.
Actions

The Outline action on Zapier

Outline gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Document

Action

In Zapier“Creates a document.”

Create Document writes a new page into an Outline collection from data gathered in earlier steps. Notes, answers and summaries produced in other tools end up in the wiki without anyone pasting them.

When to use it
a meeting tool produces a summary, or a support answer is approved, and the result belongs in the team knowledge base.
Watch out
Collection, Title, Text and Publish are all required, so every run must carry a body text, not only a title.
When it breaks

When an Outline Zap breaks

Zapier links no help article to Outline and lists no limit specific to the app. What goes wrong comes from the way Zapier itself works.

Four cases to know before you publish a wiki Zap. To trace a run that failed, there is a page on Zapier troubleshooting.

  • Older pages are not picked up

A Zap only reacts to what happens after it is switched on. Documents published before that stay untouched; moving the existing wiki is a separate job.
  • The Zap keeps feeding itself

New Document plus Create Document writes where the trigger watches. Each published copy starts the Zap again and burns through your tasks unless a filter stops it.
  • A bulk import is held back

After a migration or a bulk import of pages, New Document can return a huge batch at once. Zapier's flood protection can then hold that batch back.
  • One new page, one run

On a polling trigger, Zapier keeps track of what it has already seen, so the same published document never starts the Zap twice.

FAQ

Outline and Zapier: questions people ask

01Is the Outline Zapier integration free?
Yes on the Outline side: Zapier does not reserve the app for paid plans, so it works on the free plan. That plan gives 100 tasks a month and unlimited Zaps, with one hard limit: each Zap stops at two steps, one trigger and one action. New Document followed by a message in another tool fits inside it. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. No prices are given here, because the plan grids change too often to publish.
02How many tasks does an Outline Zap use?
One per action that completes, and none for the trigger. Zapier checking Outline for newly published documents costs nothing, however often it looks. A Zap with a single Create Document spends one task per run; an action that fails is not counted. On the free plan, the ceiling is 100 tasks a month. The fastest way to burn through it is a Zap that starts on New Document and publishes a new page in the same workspace, since each copy can start the Zap again.
03Does Outline work in real time on Zapier?
No. New Document is a polling trigger: Zapier goes to Outline on a timer and keeps what is new. The interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can change how often it checks and run a check by hand from the editor while you test. No setting turns a polling trigger into an instant one, because the type comes from the app itself, not from the Zap.
04What does it take to connect Outline to Zapier?
An Outline account, plus write access on any collection you do not own but want a Zap to fill. The connection takes three moves: open Apps in Zapier and click + Add connection, search for Outline and confirm with Add connection, then sign in to Outline in the tab that opens and grant access. Every Outline step reuses that connection afterwards. Since Create Document asks for a Collection, the account must see the collections you plan to write into.
05Why does an Outline Zap create pages again and again?
Because it writes where its own trigger watches. A Zap that starts on New Document and then runs Create Document can publish a page that New Document picks up at its next check, and the cycle repeats. Every lap costs a task. The fix is to break the circle: put a filter between the two steps so the pages your Zap creates can never pass, or write somewhere the trigger does not look. The filter makes the Zap multi-step, so it runs on a paid plan.
06What if the Outline operation you need is not on Zapier?
Then Zapier does not offer it: the editor shows the whole list, 1 trigger and 1 action, with no search step. Edited pages, moved pages and deletions have no operation on Zapier, and a Zap cannot look up an existing document either. Check first whether New Document or Create Document covers the job with a different angle. If the missing piece blocks the project, that is the moment to compare tools rather than force a fragile workaround.
07Zapier, Make or n8n for Outline?
It depends on your criteria, not on a winner. Look at what each tool exposes for Outline: on Zapier, 1 polling trigger and 1 action, and no search. Look at billing: Zapier counts one task per completed action and nothing for the trigger. Look at the shape of your flow: a trigger plus one action fits the free plan, anything with a filter needs a paid one. Then weigh those points against what the other two tools offer for the same wiki flow.
