It turns RocketReach, a directory of professional contact details that claims more than 250 million people across 6 million companies, into the starting point of a Zap: the automation you build on Zapier. A contact gets added on the RocketReach side and the Zap runs, with no copy and paste in between.

Three results justify the setup. A prospect list that reacts on its own: New Contact fires the moment someone joins your RocketReach contacts, so the next step runs while the lead is still fresh. A second lookup without opening the tool: Find a Person searches RocketReach by keyword, name, title or company, and hands what it found to the next step. Contacts created from elsewhere: Create Contact adds a contact in RocketReach when another Zap decides it should exist.

Now the limits nobody spells out. Three operations is a narrow menu: no update, no delete, no list management. And the obvious idea, a Zap that fires on a new contact and then creates one, writes exactly where its own trigger looks, so it starts itself again and again. Keep Create Contact for Zaps that begin in another tool.

The New Contact trigger costs nothing, however many contacts arrive. Each action that succeeds is one task, and an action that fails is not counted. RocketReach is not a premium app, so the free plan accepts it: 100 tasks a month, unlimited Zaps, and two steps per Zap. The polling grid of 15 minutes on Free does not touch this trigger, because it is instant. Add a filter or the Find a Person search after it, though, and the Zap becomes multi-step, which means a paid plan.

    In Zapier, open Apps and click + Add connection. Have your RocketReach account ready, with access to any shared contacts that belong to someone else on your team.

    Find RocketReach

    Search RocketReach by name in the dialog, select it and click Add connection. Sign in to RocketReach in the tab that opens, using the account the Zap should work with.

    Grant Zapier access to that account. The connection is now saved, and every RocketReach step you add later, in any Zap, picks it up without asking again.

    Create the Zap

    Create a Zap and pick RocketReach with New Contact as the trigger. Test it: Zapier brings back the three most recent contacts so you map on a real record.

    Add the filter

    Click the plus icon and add Filter. Pick a field the trigger brought back, the rule, and the value to compare with. A number rule on a text field never passes.

    Add the search

    Add a RocketReach step and choose Find a Person. Map what the trigger brought back into its fields, then decide what happens if nothing matches.

    Test each step

    Run each step once and read what came back before going further. If the filter stops your test contact, check the rule before blaming the trigger.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, an empty search stops the Zap and skips the steps that needed it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. RocketReach offers no such variant on Zapier, so you will not see it on Find a Person.
  3. If multiple search results are found?
    Several people match? Keep the first one, which is the default, stop the Zap, or hand all of them to the next step.
When it breaks

When a RocketReach Zap goes wrong

Zapier documents no RocketReach-specific error. What breaks is how Zaps work in general.

Four cases cover nearly every surprise. None is specific to RocketReach, and our Zapier troubleshooting page goes through the usual fixes.

  • Existing contacts never fire

    A Zap only reacts to what happens after it is switched on. The contacts you saved last quarter will not run through it: that backlog is a separate job.
  • The Zap restarts itself

    Create Contact after New Contact writes where the trigger looks. Each run creates a contact that fires the next run, and the monthly tasks vanish.
  • A big batch is held back

    Add a huge list of contacts at once and Zapier's flood protection can hold the batch back rather than start a long run of Zaps in a row.
  • No match stops everything

    If Find a Person finds nobody and the empty-result setting is off, the Zap stops there and every step that depended on the search is skipped.

01Is the RocketReach Zapier integration free?
Yes, within the free plan's limits. RocketReach is not a premium app, so a free Zapier account can use it: 100 tasks a month, unlimited Zaps, and Zaps of two steps, one trigger and one action. The New Contact trigger costs no task at all. Once you add a filter or the Find a Person search, the Zap becomes multi-step and a paid plan is required. Your RocketReach subscription is a separate matter that this page does not cover.
02How many tasks does a RocketReach Zap use?
One task per action that completes, and none for the trigger. A Zap that fires on New Contact and then writes into another tool uses one task per contact. Failed actions are not counted. Count the actions each run carries before choosing a plan. The thing to watch is the loop: if the action creates a RocketReach contact, the trigger fires again and the count climbs fast. A filter that stops a run costs nothing either.
03Is the RocketReach trigger real time?
Yes. New Contact is an instant trigger: RocketReach tells Zapier the moment a contact is added and the Zap starts right away. The plan grid, 15 minutes on Free, 2 on Professional and 1 on Team or Enterprise, only applies to polling triggers, so it never slows this one down. In the editor, a Zap built on an instant trigger shows a lightning bolt. That makes RocketReach one of the cases where the free plan loses nothing on speed.
04What does it take to connect RocketReach to Zapier?
A RocketReach account and the standard connection flow. Open Apps in Zapier, click + Add connection, pick RocketReach, sign in to it in the tab that opens and grant access. If the Zap touches contacts that a teammate owns, the account you connect needs access to them. The connection is stored once and every RocketReach step reuses it. Then add a fresh contact to test the trigger, since older ones will not show up.
05Why does a RocketReach Zap keep running by itself?
Because it probably writes where it listens. A Zap that starts on New Contact and then uses Create Contact adds a contact in RocketReach, which fires New Contact again, which creates another one. Zapier warns that this kind of loop eats the task count quickly. Keep Create Contact for Zaps that start in another tool, and if you need both in one flow, put a filter that lets only some contacts through.
06What if the RocketReach operation you need is missing?
Then Zapier does not offer it: the editor shows one trigger, one action and one search for RocketReach, nothing more. There is no update, no delete and no find-or-create variant. The usual way around it is to let RocketReach do what it does here, signal new contacts and find people, and hand the rest to the tool that will hold the data afterwards, where more operations are often available. Check the list on Zapier again before building.

Pick by criterion rather than by name.
