What's the best building maintenance software in 2026?

Five CMMS tools scored for offices, schools, retail networks and campuses, plus the quote-only vendors worth knowing.

Short answer: it depends on how many buildings you run. For one site and a crew to win over, go with MaintainX: free requesters, Essential at $20 per user per month. For a portfolio with a price you can budget, Fiix includes multi-site from Professional at $75. If lots of people need a login, Maintenance Care is $250 a month for unlimited users. Watch the number one trap: several big CMMS vendors only unlock multi-site on Enterprise.

For a building portfolio, the entry price isn't what decides. What decides is which plan unlocks multi-site, and what you pay for occupants and vendors. The "Multi-site and requesters" column tells you right away.

Our method

How we compared and ranked

We started from a facilities manager's real week: several buildings, occupants reporting problems, contractors showing up unannounced, inspections on fixed dates. For each tool we read the official pricing page plan by plan, looking for where multi-site, free requesters, recurring PMs and the API kick in. Then we read the most critical user reviews from real estate and facilities teams.

A tool is ranked only if it publishes a price. FMX, Limble and Mobility Work don't, so they appear below, unranked. Scores for MaintainX, Fiix, UpKeep and SafetyCulture come unchanged from our main CMMS ranking.

1
Best for a single building and a crew that hates software

MaintainX

4.5/5

MaintainX keeps the top score in our comparison because technicians actually use it. One buyer picked it "because it was the simplest for technicians who aren't comfortable with computers." For buildings, the second reason matters just as much: requesters are unlimited and free on every plan. A paid user is someone who logs in to work orders. Tenants, front desk staff and branch managers can report a leak at no cost.

The catch: multi-site is Enterprise only, and Enterprise is custom-priced. Basic caps you at 2 active recurring work orders, and Essential allows only 3 work orders with procedures per month. Unlimited procedures, meters, inventory, purchase orders and the REST API come with Premium at $65, roughly 3.25 times the Essential price.

Standout features
  • Unlimited free requesters on all plans
  • Unlimited recurring work orders from Essential
  • Best-rated mobile app in our comparison (4.7)
+Pros
  • ✓Fast adoption, even by reluctant crews
  • ✓You pay for people who log in, not occupants
  • ✓Free plan to pilot one building
−Cons
  • ✗Multi-site only on Enterprise
  • ✗Reminders fire once a task is overdue, not before (real estate users)
  • ✗Some KPIs need an Excel export
Verdict

The best pick for one site and a crew you need to win over. If you run a portfolio, get the Enterprise quote before you sign Essential, or look at Fiix and Maintenance Care.

2
Best published price with multi-site included

Fiix

4.2/5

Fiix, from Rockwell Automation, does something rare: multi-site starts on Professional at $75 per user per month, with the price on the page. With MaintainX and UpKeep you need Enterprise and a negotiation. If you have to defend a budget line before a vendor call, that matters.

The Free plan gives you 25 active PMs with no card, for a limited number of users Fiix doesn't specify. Basic at $45 removes the PM cap. Its inventory and analytics score (4.4) is the best in our list. The weak spots are the mobile app, less smooth than MaintainX, and support (3.6). The API is Enterprise only, as a paid add-on.

Standout features
  • Multi-site from Professional, public price
  • Unlimited PMs from Basic
  • Best inventory and analytics score (4.4)
+Pros
  • ✓Budget you can calculate without a demo
  • ✓Free plan with 25 active PMs
  • ✓Strong for recurring inspections
−Cons
  • ✗API only on Enterprise, paid add-on
  • ✗Lite License for operators sold separately, custom
  • ✗Weaker support score (3.6)
Verdict

The safest choice for several buildings when you want the price up front. Plan on $75 per technician who logs in, and check in the demo how occupants submit requests.

3
Best flat price for large teams across many sites

Maintenance Care

4.0/5

Maintenance Care breaks the per-seat model. Its main plan costs $250 a month with unlimited users and multi-facility included, based on yearly pricing. With ten technicians, building engineers and site leads who all need access, it is the only public price in our list that doesn't climb with headcount.

The free plan is a tasting menu: 2 users, 3 PMs, 5 assets, 3 vendors and no multi-facility. The API is reserved for Enterprise Elite. Before you commit for a year, have two technicians work in it during the free plan: it's the quickest way to know whether the crew will adopt it.

Standout features
  • Unlimited users at a flat price
  • Multi-facility included on the paid plan
  • Free plan to try it
+Pros
  • ✓Budget stays flat as the team grows
  • ✓Every site lead can log in
  • ✓All buildings in one account
−Cons
  • ✗Yearly pricing
  • ✗API only on Enterprise Elite
  • ✗Free plan too small for a real portfolio
Verdict

The cheapest option once more than four or five people need a login across several sites. With one or two seats, MaintainX or Fiix cost less.

4
Best for letting vendors close their own work orders

UpKeep

3.9/5

UpKeep solves a classic facilities headache: the contractor who fixes something and leaves no record. View-only users, requesters and third parties are free, and a vendor can update a work order from a public link without logging in. Your elevator or HVAC contractor fills in their own report.

Read the plan grid closely. Preventive maintenance starts on Premium at $55, so Essential won't cover recurring inspections. Offline mode comes with Professional, and multi-site and API are Enterprise only. Onboarding is extra: $500, $1,500 (Quickstart, 45 days) or $5,000.

Standout features
  • Free requesters and vendors
  • Work order updates through a public link
  • Strong support score (4.3)
+Pros
  • ✓Contractors document their own work
  • ✓Free view-only access for leadership
  • ✓Guided onboarding available
−Cons
  • ✗PMs only from Premium ($55)
  • ✗Multi-site and API only on Enterprise
  • ✗Onboarding fees up to $5,000
Verdict

A good fit if your building runs on contractors. For a portfolio, the Enterprise quote is unavoidable: compare it with Maintenance Care's flat price.

5
Best for rounds and inspections

SafetyCulture

3.8/5

SafetyCulture starts from inspections: building rounds, safety walks, punch lists. Its mobile app is one of the best rated in our comparison (4.5). The free plan covers up to 10 seats with 5 active templates, and Premium costs $24 per seat per month billed annually.

Two things make it interesting for a portfolio: per-site pricing with unlimited users (custom quote) and an API with 50,000 calls a month on Premium. But asset management is "limited" on Free and automated maintenance needs Premium. The 2.9 for inventory and analytics says it plainly: a great inspection tool, a light CMMS.

Standout features
  • Free up to 10 seats
  • Per-site pricing, unlimited users (custom)
  • Top-rated inspection app (4.5)
+Pros
  • ✓Ideal for scheduled rounds
  • ✓Generous free plan
  • ✓API included on Premium
−Cons
  • ✗Limited asset management on Free
  • ✗Automated maintenance only on Premium
  • ✗Weak inventory and analytics (2.9)
Verdict

Pick it if your work is mostly rounds and inspections. To plan maintenance across a full asset register, Fiix or MaintainX go further.

Facilities CMMS tools without public pricing

These names come up in every facilities search. None publishes a price, so we don't score them. Some still deserve a call, especially for schools and large portfolios.

01

FMX: built for schools and facilities

US

FMX prices by the users who manage or close tasks; requesters and contractors are not billed. Public K-12 schools are priced by enrollment with unlimited users. It adds room scheduling and interactive floor maps, on an annual renewable contract with a one-time setup fee.

Our tip: ask for the setup fee in writing and whether room booking is in the base price.

Limble: one site until Enterprise

Limble offers Standard, Premium+ and Enterprise through a calculator with no prices shown. Standard and Premium+ are limited to a single site; multi-site, maps and multi-site reports are Enterprise. Standard has no offline mode or inventory and caps procedure work orders at 3 a month.

What a CMMS costs for 10 buildings and 5 technicians

None of the top results runs this math. Take a common case: 10 buildings, 5 technicians who log in, occupants who submit requests, and per-site tracking. Figures come from official pricing pages, before tax and add-ons.

MaintainX: $1,200 a year, without multi-site

Essential at $20 billed annually: 5 × 20 × 12 = $1,200 a year with free requesters. Per-site tracking needs Enterprise. Premium ($65) takes you to $3,900, still without multi-site.

Fiix: $4,500 a year, multi-site included

Professional at $75: 5 × 75 × 12 = $4,500. The only per-seat price in our list with multi-site and no quote.

Maintenance Care: $3,000 a year for everyone

$250 a month on yearly pricing: $3,000 whether 5 or 25 people log in, multi-facility included.

UpKeep: $3,300 plus onboarding

Premium: 5 × 55 × 12 = $3,300, plus onboarding if you buy it. Multi-site still needs Enterprise.

  • Are requesters and occupants free?
  • Is multi-site in the plan you're paying for?
  • Can vendors close work orders without a seat?
  • Are recurring PMs unlimited?
  • Does the app work offline in basements?
  • Are there onboarding or setup fees?
Pitfalls

Five facilities CMMS pitfalls

A building CMMS rarely fails because of the software. It fails on the wrong plan, messy data or a crew that never bought in.

01

Signing a plan that handles one site

Most expensive

MaintainX, UpKeep and Limble keep multi-site for Enterprise. You find out when you add building number two.

Fix: get it in writing before the trial. Fiix includes it from Professional, Maintenance Care from $250 a month.

02

Paying a seat for every occupant

In a building, far more people report problems than fix them. Per-requester billing blows up the budget.

Fix: confirm requesters are free (MaintainX, UpKeep, FMX) and put a QR code in each room so requests arrive tagged to the right location.

03

Missing a compliance inspection

Fire safety, elevators, electrical: these come back on fixed dates. Build each as a recurring PM per building and attach the inspector's report.

Fix: check the recurring cap first: only 2 on MaintainX Basic, and none on UpKeep Essential.

04

Importing a badly named portfolio

Multi-site rollouts fail more often on data standards than on software: three names for one building, assets with no floor or room.

Fix: lock the site, building, floor, room, asset hierarchy in a spreadsheet before any import.

05

Keeping the paper form "just in case"

One buyer dropped a CMMS after two years because it "created more work than it saved." Common complaints: too many steps for a simple work order, checklists unreadable on a small screen, a scanner that fails offline.

Fix: involve two technicians in week one, retire paper on cutover day, and post completion rates by team.

FAQ · 7 questions

Building maintenance software FAQ

  • What is building maintenance software?

It's a CMMS organized around sites, buildings, floors and rooms: it collects occupant requests, schedules preventive work and inspections, tracks vendors and keeps each asset's history. Compared with a manufacturing CMMS, there are fewer machine meters and far more contractors and recurring compliance checks.

  • Is there a free CMMS for facilities management?

Yes, to get started. MaintainX Basic is free but limited to 2 active recurring work orders, Fiix Free allows 25 active PMs, SafetyCulture covers up to 10 seats and Maintenance Care Free 2 users and 5 assets. None of these free plans handles multiple sites.

  • Which CMMS handles multiple buildings?

Fiix includes multi-site from Professional ($75 per user per month) and Maintenance Care from $250 a month with unlimited users. MaintainX, UpKeep and Limble reserve it for Enterprise, priced on quote.

  • Do I have to pay for every person who submits a request?

Not with every vendor. MaintainX and UpKeep keep requesters unlimited and free, and FMX doesn't bill requesters or contractors. Always ask: if every occupant needs a paid seat, the bill climbs fast across a portfolio.

  • What's the difference between a CMMS and a BMS?

A building management system controls HVAC, lighting and ventilation in real time and raises alarms; a CMMS organizes and records the human work. Linked through an API, a BMS alarm can open a work order, but the API usually sits on higher plans (Premium at MaintainX and SafetyCulture, Enterprise at Fiix and UpKeep).

  • Which CMMS works best for school districts?

FMX prices public K-12 schools by enrollment with unlimited users and adds room scheduling, on quote. If you need a public price, Maintenance Care's $250 a month with unlimited users is the closest flat-rate alternative.

  • How long does a facilities CMMS rollout take?

The software is quick; the data isn't. UpKeep sells a 45-day Quickstart and Mobility Work promises three weeks or less. Budget most of your time for naming sites and assets cleanly before import, which is where multi-site rollouts slip.
