What is the best car rental software in 2026?

A spreadsheet calendar, paper contracts and a scratch you spot three days after the return: good software fixes all three. The wrong one adds a subscription and a setup fee.

Car rental software runs the whole rental cycle: availability, booking, contract, pickup and return inspection, deposit, invoice and fleet maintenance. If you want everything in one tool at a published price, RentSyst is our top pick: €55 a month excl. VAT for up to 15 vehicles, with online booking, card authorization for deposits and free setup. If you rent in Spain or need a multilingual booking engine with no per-booking commission, look at Mybooking (from €79 a month plus VAT). If you want the lowest bill of all, Easy Web Rent charges $299.99 a year for up to 25 vehicles.

Most top results for this search are directories that rank vendors without a single verified price. The best-known US names (HQ Rental Software, RENTALL, Rent Centric, Wheelbase) don't show a readable subscription price on their own sites, so we describe them separately instead of copying numbers from third parties.

The 5 platforms side by side

Rank follows score. Look at the billing column first: a flat fee per fleet band and a per-vehicle price give very different bills at 30 cars. Four of the five vendors show their prices in euros (RentSyst has a dollar switch we did not read); we keep euros rather than guess a conversion.

Our method

How we compared and scored

This page is for independent rental operators, agencies running a few dozen cars, and repair shops that rent vehicles on the side. It covers short-term car and van rental. Managing a company fleet (your sales team's cars) is a different job with its own ranking: fleet management software for small business.

Two filters decided who got ranked. First, the job: the software must handle availability, booking, the rental agreement and inspections. Second, transparency: a price you can read on the vendor's own pricing page. That second filter is harsh in this market, where most pricing sits behind a demo form. It is also why two French vendors, Lexio and Fleetee, sit in a US-facing ranking: we checked Coastr, RentWorks, Rent Centric and Rently for a US alternative with an official price and found none we could read. If you rent in the US, start with RentSyst and Easy Web Rent; Lexio and Fleetee only make sense for operators in France. Peer-to-peer hosting on Turo or Getaround is another model again; platform hosts mostly need a lockbox or a connected device, not agency software.

We reread each vendor's pricing page, then user reviews, negative ones first. Rental features carry the most weight, because that is where you win or lose time at every pickup and return.

Most complete at a published price

RentSyst

4.4/5

RentSyst is cloud rental software sold internationally, with a multilingual interface and a price switch between euros and dollars on its site (we quote the euro prices we read). Its key difference: every plan has the same features. You never pay to unlock online booking or payments; you pay for fleet size. Up to 15 vehicles it's a flat €55 a month excl. VAT, then a per-vehicle price that drops with volume.

Every plan includes a booking engine for your website, online payments, card authorization (a hold on the customer's card, the cleanest way to handle a deposit), a contract editor with digital signature, pickup and return inspections, damage and fine management, OTA and broker connections, an API and Peppol e-invoicing. Locations and manager accounts are unlimited, and setup is free.

Run the numbers at your size: 10 cars cost €55 a month excl. VAT; 30 cars €90 (30 times €3) and 50 cars €150, if the per-vehicle rate applies to the whole fleet, which the vendor's calculator will confirm. Past about 15 vehicles, nothing else on this list gives you this much for the money in euros.

The catch: users praise very fast support, but find the accounting module basic, so keep your accounting tool. Some developers note gaps in the API (no endpoint for a single vehicle), and the WordPress plugin offers little customization.

Standout features
  • Same features on every plan; only fleet size changes the price
  • Online booking and payments included
  • Card authorization for deposits
  • Unlimited locations and managers
  • Free setup
  • Peppol e-invoicing
+Pros
  • ✓€90 a month excl. VAT for 30 cars, online booking included
  • ✓Nothing to unlock to take payments online
  • ✓Support described as very fast in reviews
−Cons
  • ✗Accounting module rated basic
  • ✗GPS billed separately (€2.50 a month excl. VAT integration fee, device extra)
  • ✗API gaps and a rigid WordPress plugin
Verdict

The best pick once your fleet passes ten cars and you want to take payments and deposit holds online without add-ons. In the demo, ask to see a return inspection on a phone: it's the screen your team will open most.

Best for multilingual direct bookings

Mybooking

4.3/5

Mybooking is a Spanish platform built in Menorca for rental companies in tourist areas. Its booking engine works in seven languages, which matters when half your customers are foreign visitors. You pay a monthly plan, Lite at €79 or Standard at €164 (both plus VAT), and no commission per booking, monthly or annual.

You get digital contracts, check-in, invoices, and automatic emails and WhatsApp messages to customers. For operators in Spain, Mybooking also sends rental data automatically to SES Hospedajes, the Interior Ministry system that Royal Decree 933/2021 requires for vehicle rentals. That alone saves Spanish agencies a daily chore.

The catch: prices are in euros plus Spanish VAT, and the product is clearly built for the Spanish market first. Fleets over 100 vehicles or with several sites move to a custom quote. Outside Spain and tourist markets, RentSyst gives you more features for less.

Standout features
  • Booking engine in 7 languages
  • No commission per booking
  • Automatic SES Hospedajes reporting for Spain
  • Customer messages by email and WhatsApp
  • 14-day trial
+Pros
  • ✓Clear monthly plans, no booking fee
  • ✓Built for tourist-area rentals
  • ✓Spanish legal reporting handled
−Cons
  • ✗Priced in euros plus Spanish VAT
  • ✗Custom quote past 100 vehicles or several sites
  • ✗Fewer advanced features than RentSyst for the price
Verdict

The pick for a rental company in a tourist area that wants direct bookings in several languages without paying a cut on each one. If you operate in Spain, the automatic SES Hospedajes reporting settles it.

Best French vendor

Lexio

4.2/5

Lexio is French software for professional car and van rental, hosted in France, with a French interface. From Starter (€89 a month excl. VAT up to 10 vehicles) you get the calendar, fleet records, invoicing, auto-generated PDF contracts and pickup and return inspections with time-stamped photos: the proof you need when a customer disputes a scratch.

Pro (€179) adds fines, claims, maintenance alerts, real-time GPS tracking, dynamic pricing, AI scanning of ID cards and licenses, remote signature, monthly rentals and Stripe payment links. Business (€299) adds an online booking site, unlimited users and a REST API. Lexio also issues Factur-X e-invoices and guarantees a full CSV export of your data, even after you cancel.

The catch: it's a young product, still in its launch phase, built for the French market. The booking site only comes with Business, and we only recorded the 1 to 10 vehicle band; the 11 to 25, 26 to 50 and 51 to 80 bands are on its pricing page selector. Its pricing page doesn't describe card holds for deposits, so check how deposits work in the demo.

Standout features
  • Time-stamped photo inspections from Starter
  • Hosted in France, CSV export even after cancellation
  • AI scan of ID and license (Pro)
  • Real-time GPS included in Pro
  • Factur-X e-invoicing
+Pros
  • ✓Clean contracts and inspections from the entry plan
  • ✓No add-on modules sold separately
  • ✓No commitment on monthly billing
−Cons
  • ✗French-only market focus
  • ✗Booking site only on Business (€299 excl. VAT)
  • ✗Higher fleet bands on the selector of its pricing page, quote past 80 vehicles
Verdict

A strong choice if you rent in France and care most about contracts and inspections that hold up. Outside France, RentSyst or Mybooking fit better.

Cheapest French entry plan

Fleetee

4.1/5

Fleetee is French rental software that handles cars, vans and even bikes. Its Manager plan costs €49 a month excl. VAT under 20 vehicles, with no commitment: pre-filled contracts, rates, maintenance, quotes and invoices, multiple branches and reports.

The price climbs with fleet size and features. Check (€73 under 20 vehicles) adds the Android and iOS app, digital inspections, e-signature and the in/out schedule. Full (€97) adds a rental website, the booking module and secure online payment. For 30 cars, count €89 on Manager, €133 on Check and €177 on Full.

The catch: the essentials of a modern rental desk (phone inspections, online booking) only come with the upper plans, and if Fleetee's team builds your site or booking module, a setup fee applies that isn't published. Digital key, GPS, mileage and fuel modules exist with no public price.

Standout features
  • €49 excl. VAT a month under 20 vehicles
  • Cars, vans and bikes in one tool
  • Inspection app and e-signature (Check)
  • Website and online booking (Full)
+Pros
  • ✓Lowest entry price of the French vendors
  • ✓Fleet bands make costs predictable
  • ✓Upgrade without switching tools
−Cons
  • ✗Phone inspections only from Check
  • ✗Unpublished setup fee if Fleetee builds your site
  • ✗Built for the French market
Verdict

Good value for a small French operator on a tight budget. Go straight to Check if your inspections are still on paper.

Lowest total cost

Easy Web Rent

3.9/5

Easy Web Rent replaces the old Easy Rent Pro products from a US vendor. Its model is unusual: one payment a year, no monthly fee, and the same features on every plan. Up to 25 vehicles you pay $299.99 a year, about $25 a month.

That buys the calendar, quotes, reservations, contracts, check-out and check-in with inspections, damage tracking, signatures, seasonal rates, payments and deposits, invoices, a customer booking site, multiple locations, a REST API and webhooks. The interface comes in six languages, including Spanish.

The catch: the product just changed name and model, and some directories still describe the old perpetual license, which no longer exists. Read the current pricing page, not a review, before you budget.

Standout features
  • Every feature on every plan
  • Annual billing, no monthly fee
  • Customer booking site included
  • Deposits and damage tracking
  • API and webhooks
+Pros
  • ✓Lowest yearly cost we found
  • ✓Phone support in the US
  • ✓14-day trial
−Cons
  • ✗Product in transition after the rename
  • ✗Older reviews describe a model that's gone
  • ✗Less depth than RentSyst on payments and OTAs
Verdict

The smart pick for a small operator who runs things alone and wants the lowest bill. During the trial, run one complete rental from quote to invoice before you pay the year.

How to choose

How to choose your rental software

Three questions rule out half the market: how many vehicles you rent, whether customers book online, and how you hold deposits.

1 to 10 cars

Easy Web Rent at about $25 a month is the cheapest full package. RentSyst at €55 excl. VAT adds card holds and OTA connections. In France, Fleetee (€49 excl. VAT) or Lexio (€89 excl. VAT).

15 to 50 cars

RentSyst's per-vehicle price wins: €90 a month excl. VAT for 30 cars with online booking. Easy Web Rent stays cheaper in total ($399.99 a year up to 100), with less depth.

Several locations

Check that locations and users are unlimited, as on every RentSyst plan. Ask how a car returned to another branch shows in the calendar.

Tourist area

Your customers book in their own language. Mybooking's engine runs in seven languages with no commission per booking.

Turo or Getaround host

You don't need agency software yet. The platform runs bookings and payments. Move to your own system when direct customers become a real share of your business.

Switching systems

Demand an export of customers, vehicles and rental history before you sign. Lexio guarantees CSV export even after cancellation: ask every vendor for the same promise in writing.

  • Flat fee per band, or price per vehicle?
  • Is the booking engine included, or only on the top plan?
  • How are deposits held: card authorization, payment link, or not at all?
  • Are inspections done on a phone with time-stamped photos and signature?
  • Is there a setup fee, and how much?
  • Is telematics included or billed per vehicle?
  • Can you export customers, vehicles and agreements if you leave?
  • Is there a free trial on your own bookings?

Big names without public pricing

These tools top many US lists, but none shows a subscription price we could verify on its official page (HQ's pricing loads dynamically and we could not reread it). We describe them without numbers rather than copy third-party figures. Always ask for the monthly price and the setup fee in writing.

HQ Rental Software: the directory favorite

HQ leads most directories. Reviews praise hands-on support, but mention a real learning curve, a mobile app that needs work, and almost too many features for a small agency. Ask for the monthly price, the one-time setup fee and the telematics add-on, which is optional.

Tips

Six ways to pay less and avoid disputes

Drawn from vendor pricing pages and operator reviews, these tips usually cut the bill more than haggling does.

01

Price it at your peak fleet

A flat band wins at the bottom of the band, a per-vehicle price wins in the middle. At 30 cars RentSyst costs €90 a month excl. VAT and Fleetee Full €177. Run the math with your summer fleet, not your winter one.

02

Get the setup fee in writing

It's the cost directories skip. RentSyst lists free setup, but sells optional packs: configuration €100, training €50, onboarding €150, integration €300 on annual plans only; Fleetee charges if its team builds your site; vendors without public pricing often bill a one-time onboarding fee. Ask for the amount before the demo.

03

Budget telematics separately

GPS tracking is almost always extra: a €2.50 a month excl. VAT integration fee at RentSyst (confirm whether per vehicle or per account), device extra. Lexio bundles GPS in Pro without saying who supplies the box: ask.

04

Hold the deposit, don't charge it

A card authorization blocks the amount without taking it; you release it at return or capture the damage cost. A plain payment link takes the money, then you refund it: more fees, more work. RentSyst lists card holds on every plan.

05

Do the return inspection with the customer

Most disputes start with damage found after the customer has left. Walk around the car together, time-stamped photos and a signature on the phone, before you take the keys back. Shoot the same angles in the same order every time.

06

Check your payment fees

A French operator using Wheelbase found card processing fees hard to explain on invoices. Before you choose, compare online payment solutions and ask which processors the software supports.

FAQ

Car rental software: frequently asked questions

  • What is the best car rental software for a small business?

For under 25 cars, Easy Web Rent is the cheapest full package at $299.99 a year. If you want card holds and OTA connections, RentSyst costs €55 a month excl. VAT up to 15 vehicles. Both include online booking, which many rivals keep for their top plan.

  • How much does car rental software cost?

From about $25 to around €300 a month for 10 to 50 vehicles. The gap comes from the billing model: annual flat fee, flat fee per fleet band, or price per vehicle. Add setup and telematics, often billed separately, before you compare.

  • Is online booking and payment included?

Not always. RentSyst and Easy Web Rent include a booking engine on every plan. Fleetee keeps it for Full and Lexio for Business. Ask whether online payment also covers deposit holds, not just the rental fee.

  • Can I do paperless contracts and inspections?

Yes, on all five ranked platforms, though not always on the entry plan: Fleetee adds phone inspections from Check. Insist on time-stamped photos and a customer signature at both pickup and return.

  • Is GPS tracking standard in car rental software?

Rarely. Most vendors bill telematics as an add-on per vehicle, plus the device. Lexio includes GPS tracking in its Pro plan. Price the device, install and monthly fee together.

  • How do I compare pricing between vendors?

Price three fleet sizes (10, 30 and 50 cars), then add setup, telematics and payment processing. A flat plan that looks expensive can beat a per-vehicle plan at the bottom of its band.

  • Do I need rental software if I host on Turo or Getaround?

Not at first: the platform handles bookings, payments and contracts. You need your own software when you take direct bookings, since the platform won't manage those customers for you.

  • Is there free car rental software?

None of the ranked platforms has a lasting free plan, and Coastr, sometimes listed as free, shows no free plan on its pricing page, only a 14-day trial. Mybooking, Lexio, Fleetee and Easy Web Rent offer 14-day trials. A spreadsheet works for three cars, but it won't do photo inspections, signatures or deposit holds.
