What is the best daycare management software in 2026?
Daycare software lives or dies on billing: tuition, autopay and the subsidy money from your state. The parent app comes right after.
A missed subsidy authorization or a late autopay run, and your cash flow takes the hit. Meanwhile, parents judge your center by the app on their phone.
The short answer. brightwheel is the best all-round pick for a single center. Procare wins when subsidies drive your revenue. iCare is the one with published prices and a three-month trial. Playground adds payroll, and Famly suits a small private-pay center.
What other lists skip: most top-ranked tools hide their price. We read every pricing page and tell you which vendors publish a number and which make you book a call.
The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.

5 daycare management tools compared
The ranking follows the reader of this page: an owner or director of a licensed childcare center or preschool in the US, from one site to a small group. Every tool here bills tuition and handles subsidies inside the product.

How we compared and scored
This page answers one question: which software should a US childcare center use to bill families and agencies, run the classroom and keep parents informed, without surprises on price?
The core criterion is billing with subsidies. We only ranked tools whose own site shows subsidy handling in billing. Lillio, popular for its parent app, stays off the ranking because we could not confirm subsidy billing on its site.
Billing and subsidies weigh 30%, because that is where money is lost. The family app and classroom tools, then ease of setup, count 20% each, because staff and parents use them daily. Price transparency, then support and data, weigh 15% each, because that is where contracts surprise you.
We also read App Store ratings and reviews for every parent app, since that is the part of the software your families actually see.
- Billing and subsidiesTuition plans, autopay, subsidy and agency billing, tax statements.30%
- Family app and classroomParent app, daily reports, check-in, ratios, learning tools.20%
- Ease of setupOnboarding, migration, trial length, staff training.20%

brightwheel
brightwheel is the name most directors hear first, and for good reason. Its parent app sits at 4.9 out of 5 on the US App Store across more than 155,000 ratings. That matters more than it sounds: the app is what parents judge you on every afternoon.
Behind the app, the billing side covers what a center needs: invoices and deposits, online bill pay, autopay, tuition plans, subsidy management and year-end tax statements for families. Attendance comes with digital check-in and check-out signatures and ratio tracking, and there are CACFP menu tools and licensing reports.
The catch is price. There is no number on the pricing page: you fill in a seven-step form (role, capacity, locations, contact details) and sales comes back with a quote. That makes it hard to compare without a call.
Its limit: subsidy management is listed, but if most of your families pay through state vouchers with copays, ask to see a full month of subsidy reconciliation in the demo, not just a parent invoice.
Tip: ask for the card and ACH processing rates in writing alongside the subscription. On a center billing six figures a year, the processing fee can cost more than the software.
- Parent app rated 4.9 on 155,000+ App Store ratings
- Autopay, tuition plans and subsidy management
- Ratio tracking and CACFP menus
- ✓Parents adopt it fast
- ✓Very quick to set up
- ✓Billing, attendance and learning in one tool
- ✗No public price
- ✗Subsidy-heavy centers should check reconciliation
- ✗Processing fees on top
The safest pick for most single-site centers. Get the subscription and the payment processing rates on the same written quote.
Procare
Procare's strength is accounting depth. Its product page lists sibling and family discounts, overtime and late pick-up fees, split parent fees and subsidy payments, plus annual tax statements.
That depth is the reason to pick it. When one child's tuition is split between two parents and a state agency, simpler apps start to need spreadsheets on the side. Procare handles those splits inside the ledger.
The parent app is not an afterthought either: Procare's childcare app holds 4.9 out of 5 on the US App Store from more than 166,000 ratings. Procare also processes payments itself, as a registered ISO of PNC Bank.
Its limit: more settings means more training. Directors who come from simpler tools need time to learn agency billing, and pricing only arrives after a demo.
Tip: bring your actual subsidy rate sheet and one family's split to the demo. Ask the rep to bill that family live, then run the agency report.
- Split parent and agency billing
- Late pick-up and overtime fees
- Payment processing in-house
- ✓Deepest subsidy accounting
- ✓Parent app rated 4.9 on 166,000+ ratings
- ✓Card and ACH processed in-house
- ✗Steeper learning curve
- ✗No public price
- ✗More than a small center needs
The one to beat if subsidies drive your revenue. A small private-pay preschool will pay for depth it never uses.
iCare
iCare is the rare childcare platform that prints its prices. A childcare center pays per location per month by capacity: $129 under 70 children, $199 from 71 to 150, $249 from 151 to 250. Above that, you talk to sales. There are no per-child fees and no paid add-on modules.
The trial is unusual too: three months on your real operation, with data migration and setup included and no payment up front. At the end, you move to an annual plan or leave.
Billing rules cover multi-child discounts, hourly and daily rates, subsidies and extras like late pick-ups. Discounts stack for groups: 10% off for paying yearly, and 5% to 10% off depending on the number of sites.
Its limit: the parent app is smaller (4.6 out of 5 on about 300 ratings), and the interface is less polished than brightwheel's. Parents will notice.
Tip: a three-month trial covers a full quarter of subsidy billing. Run it in parallel with your current tool and compare agency totals before you commit.
- Prices by capacity, published
- Three-month trial with migration
- No per-child fees
- ✓Budget you can plan
- ✓Subsidies in billing rules
- ✓Multi-site discounts
- ✗Smaller parent app
- ✗Less polished interface
- ✗Quote above 250 children
The best pick when budget clarity matters most. Check the parent app with a few real families during the trial.
Playground
Playground pitches itself as one system instead of four, and its homepage backs that with a director who cut four apps down to one. Billing, attendance, parent messaging, expense tracking and payroll built for childcare sit together.
On subsidies, the promise is specific: automatic reconciliation of subsidy ledgers, with reporting meant to be more accurate than manual tracking. That is the job that eats a director's evening at month-end.
Its limit: no price on the site. The pricing page asks for your program type and state, then books a demo. Compare its quote with iCare's published grid.
Tip: if you already run payroll elsewhere, price Playground with and without payroll. The all-in-one only pays off if you actually drop the other tool.
- Automatic subsidy ledger reconciliation
- Childcare payroll built in
- Expense tracking and budgets
- ✓Fewer tools to pay for
- ✓Strong on month-end subsidy work
- ✓Fits home-based to multi-site
- ✗No public price
- ✗Younger than Procare
- ✗Payroll worth it only if you switch
A strong pick for a center ready to replace its payroll tool too. Get the subsidy reconciliation demo on your own state's program.
Famly
Famly started in Europe and now sells in the US with a simple rule: you pay per child, with no hidden fees and no long contracts. The pricing page starts at $49 a month and moves with a slider for your enrollment.
Its strength is the classroom side: observations, learning journeys, lesson plans and custom curriculums. Billing covers in-app payments, batch billing and revenue forecasts, and Famly says it helps with subsidy management.
Its limit: subsidy support is described in one line, not as a full ledger, and the US parent app sits at 3.9 out of 5 on only 44 ratings. Subsidy-heavy centers should look higher in this list.
Tip: move the slider to your real enrollment before the demo. Per-child pricing is cheap at 20 children and adds up at 120.
- Public per-child pricing from $49 a month
- Learning journeys and curriculum tools
- Batch billing and revenue forecast
- ✓Price visible before any call
- ✓Strong for early learning
- ✓No long contract
- ✗Light on subsidy ledgers
- ✗Few US app ratings
- ✗Cost grows with enrollment
Good for a small private-pay center that cares about learning records. Not the first choice if vouchers fund most seats.
Pick by who pays your tuition
Two centers of the same size need different software if one is mostly private-pay and the other runs on state vouchers.
Mostly private-pay
You need clean invoices, autopay and a parent app families enjoy. brightwheel or Famly cover it, and price transparency matters more than ledger depth.
Mostly subsidies
You need agency rates, parent copays, authorization dates and a monthly reconciliation that matches what the state pays. Procare and Playground are built for that work.
Several sites
Look at consolidated reporting and multi-site discounts. iCare publishes 5% to 10% off by number of sites; others negotiate.
- Does billing split tuition between parents and an agency?
- Can it track subsidy authorizations and copays?
- What are the card and ACH processing rates?
- Is the price per child, per location or per capacity tier?
- How long is the trial, and is migration included?
- How is the parent app rated?
- Does it cover CACFP and licensing reports for your state?
- How do you export your data if you leave?
Other tools worth knowing
These come up in searches. They are not ranked, either because subsidy billing is not shown on their site or because they target another market.

Your questions about daycare software
How much does daycare management software cost?
Published prices start low: Famly from $49 a month, priced per child; iCare from $129 per location per month under 70 children. brightwheel, Procare and Playground quote after a demo. Add card and ACH processing fees, which can outweigh the subscription.
Which daycare software handles state subsidies best?
Procare has the deepest subsidy accounting, including split parent and agency billing. Playground automates subsidy ledger reconciliation. brightwheel and iCare include subsidies in billing; run a full month of agency billing in any demo.
Is there free daycare management software?
Not for full billing. Parent apps are free for families, but the center pays. The longest free trial we found is iCare's three months, with migration included.
Do I need separate software for a home daycare?
No. brightwheel and Playground both have plans for home-based programs. Pick on billing first: a home daycare with subsidy families still needs agency reports.
What should a daycare app do for parents?
Daily reports, photos, messaging, check-in signatures and online payment. Install the parent app yourself during the trial: ratings range from 3.9 to 4.9 out of 5 across the tools we compared.
How do I switch daycare software mid-year?
Switch right after a billing cycle closes. Ask what migrates (families, balances, subsidy authorizations), warn parents a week ahead, and keep the old system readable until the next invoice run checks out.
What about CACFP and licensing reports?
If you claim CACFP, look for menu and meal-count tracking: brightwheel lists it. For licensing, ratio tracking and attendance reports by room are the minimum. Rules differ by state, so bring your inspector's checklist to the demo.
