What is the best invoicing software in 2026?
The answer depends less on features than on two numbers: how many clients you bill, and how they pay you.
Most "best invoicing software" lists read like feature catalogs. They skip what actually decides your bill: client caps on cheap plans, per-user add-ons, and the payment fees that quietly take more than the subscription.
We compared official pricing pages and user reviews, then ranked seven tools by the kind of business they fit. The short answer: FreshBooks for most service businesses. QuickBooks Online if your accountant already uses it. Wave to invoice for $0. Xero if your team will grow. Zoho Invoice for a free tool shared by two people. Invoice Ninja for open source. Stripe Invoicing if you want no subscription at all.
The ranking is editorial: a sponsored placement is always labeled on its card, and no affiliate link changes a score.

The 7 tools ranked with their entry price
Rank reflects fit for the widest range of small businesses, not score alone. A tool that serves one niche brilliantly sits below one that carries you from first client to first hire.

How we compared and ranked
People searching for the best invoicing software range from a freelancer sending three invoices a month to a firm with a bookkeeper and ten staff. We ranked by fit, then scored each tool on five weighted criteria.
We read the official pricing and feature pages of nine vendors, their payment fee schedules and user reviews, with extra attention to complaints. Scores match our other rankings, so a tool has the same score everywhere on the site.
Also reviewed but not ranked: Square Invoices, whose pricing page does not list plan prices in a readable way, and PayPal, which is a payment button more than an invoicing tool.

The ranking is editorial: a sponsored placement is always labeled on its card, and no affiliate link changes a score.
FreshBooks
FreshBooks is built around the way service businesses bill: track time, attach expenses, turn both into an invoice, send automatic reminders. It also handles estimates, deposits and recurring invoices, and it keeps light bookkeeping underneath so your accountant is not starting from a shoebox.
The catch is the client cap, which most roundups skip. Lite at $23 a month covers only 5 billable clients. Plus at $43 covers 50, Premium at $70 removes the cap. Every extra team member adds $11 a month. A three-person firm on Plus pays $65 a month, or $780 a year. Ignore the promo price on the pricing page: it lasts four months.
Where it falls short: product businesses with stock will find it thin, and the per-user add-on adds up past five people.
- Time and expenses flow into invoices
- Automatic payment reminders
- 30-day trial without a card
- ✓Easiest invoicing on this page
- ✓Strong support reputation
- ✓Clear plans by number of clients
- ✗Lite stops at 5 billable clients
- ✗$11 per extra team member
- ✗Thin for inventory-based businesses
The best pick for most service businesses. Count your active clients before choosing a plan: that number, not features, decides the price.
QuickBooks Online
QuickBooks Online is accounting first. Invoices, estimates, recurring billing and online payments post straight into your books, and it has the deepest app ecosystem here. If your CPA asks which software you use, this is the answer they hope for.
Budget on regular prices, not the promo banner: Simple Start costs $38 a month for one user, Essentials $85 with three users, Plus $140 with five. A free plan for one user also exists, which is enough to send invoices while you decide.
The trade-off is weight. If all you do is invoice, you pay for a ledger, reports and settings you will rarely open.
- Invoices post directly to the books
- Largest integration catalog here
- Free plan for one user
- ✓What most US accountants already know
- ✓Recurring invoices and payments built in
- ✓Scales to inventory and projects
- ✗Expensive for invoicing alone
- ✗Promo pricing hides the real cost
- ✗Steeper learning curve
Pick it when invoices and accounting must live together. Start on the free plan and upgrade only when your bookkeeper needs more.
Wave
Wave's Starter plan costs nothing and sends unlimited invoices and estimates. That is rare: most free plans cap clients or invoices.
Wave makes its money on payments, so read the fee line. On Starter, a card payment costs 2.9% + $0.60. Pro, at $19 a month, drops the fixed $0.60 on your first 10 card payments each month, so the most it saves you is $6 a month. Pro pays for itself through its other features (automation, bank feeds), not through card fees.
The limit: support is lighter than paid tools, and the bookkeeping side is basic once you hire.
- Unlimited invoices on the free plan
- Estimates included
- Pro at $190 a year
- ✓Truly free for invoicing
- ✓Simple to set up
- ✓Clear card fees
- ✗$0.60 fixed fee per card payment on Starter
- ✗Light support
- ✗Outgrown once you have a team
The best way to invoice for $0. Upgrade to Pro for automation, not to save on card fees.
Xero
Xero charges per plan, not per user. Early at $27 a month, Growing at $59 and Established at $97 cover everyone who needs access. For a five-person team, that beats every per-seat tool on this page.
Early is an entry plan with tighter limits; Growing, at $708 a year, is the realistic one if you invoice every week. Invoices, quotes, reminders and bank reconciliation are all there, and accountants outside the US often prefer it.
The weak spot is support, which runs online only. Payroll costs extra.
- Unlimited users on every plan
- Bank reconciliation built in
- Strong accountant network
- ✓Price does not grow with headcount
- ✓Good value for money
- ✓Solid integrations
- ✗Online-only support
- ✗Early plan is limited
- ✗Payroll costs extra
The smart pick if headcount will grow. Budget on Growing, not Early.
Zoho Invoice
Zoho Invoice is free and stays free, with no paid tier listed on its pricing page. You get two users, three projects, two organizations and up to 500 invoices a year, which covers most small service businesses.
The detail nobody mentions: free invoices carry a Powered by Zoho Invoice line. If that bothers your clients, or if you outgrow 500 invoices, Zoho points you to Zoho Billing or Zoho Books instead.
Its limit is depth. Support is lighter, and the jump to a paid Zoho product changes the tool you work in.
- Two users for free
- 500 invoices a year
- Part of the wider Zoho suite
- ✓Free with a second user
- ✓Projects and time on the free plan
- ✓Easy move to Zoho Books
- ✗Zoho branding on free invoices
- ✗500-invoice yearly cap
- ✗Light support
The best free option for two people. Check the branding line on a test invoice before you send the first real one.
Invoice Ninja
Invoice Ninja is open source: use the hosted version or install it on your own server. The hosted Free plan covers 5 clients; Pro, at $14 a month or $140 a year, lifts the cap and adds branding and automation. Enterprise starts at $18 a month for one or two users.
For a paid hosted plan, $140 a year is the lowest price on this page, and self-hosting keeps your data entirely in your hands.
The trade-off is polish: setup takes longer than FreshBooks, and support is lighter.
- Open source, self-hosting possible
- Pro at $140 a year
- Recurring invoices and client portal
- ✓Lowest paid price here
- ✓Full data control
- ✓Feature-rich for the price
- ✗Free plan limited to 5 clients
- ✗More setup
- ✗Lighter support
Great value if you do not mind some setup. Self-host only if someone on your team can maintain it.
Stripe Invoicing
Stripe Invoicing has no monthly fee. You pay 0.4% of each paid invoice on Starter, or 0.5% on Plus, which adds quotes, on top of payment fees. If you already sell through Stripe, invoices sit next to your other payments and subscriptions.
The tip that changes the math: push clients toward bank debit. A $2,000 invoice paid by card costs $58.30 in card fees; paid by ACH Direct Debit, the fee is capped at $5. Add $8 of invoicing fee either way.
Its limit: it is a payments tool, not accounting software. You still need a ledger, and the dashboard assumes some comfort with Stripe.
- No subscription
- ACH fee capped at $5
- Same dashboard as your other Stripe payments
- ✓Pay only when you get paid
- ✓Strong API and integrations
- ✓Cheap bank payments
- ✗Card fees add up on large invoices
- ✗No bookkeeping
- ✗Support is mostly self-serve
Ideal when Stripe already runs your payments. Offer ACH on every large invoice.
The right pick for your situation
Four situations cover most readers. For each: where to look first, the alternative, and the trap.
Profiles
Solo freelancer
$0 to $23/moYou need clean invoices, reminders and online payment. Wave does it for $0 with unlimited invoices. FreshBooks Lite at $23 a month adds time tracking, as long as you bill 5 clients or fewer.
The trap: paying for full accounting when you send ten invoices a month. QuickBooks makes sense once a bookkeeper is involved.

Per-user mathYou need shared access, time billing and reminders. FreshBooks Plus with two extra members costs $65 a month. Xero Growing costs $59 a month whatever your headcount.
The trap: comparing one-user prices. Run the numbers at the team size you expect next year. For a deeper small-team comparison, see our page on invoicing software for small business.

What getting paid actually costs
On a busy month, payment fees can cost more than the software. Three habits keep them down.
The tips
Offer bank payment on large invoices
Biggest savingOn Stripe, a $2,000 card payment costs $58.30; the same invoice paid by ACH Direct Debit costs at most $5. Put the bank option first on any invoice above a few hundred dollars.
- Stripe ACH
- 0.8%, capped at $5
Watch the fixed fee on small invoices
Small invoicesWave Starter charges 2.9% + $0.60 per card payment. On a $50 invoice, the fixed part is more than a third of the fee. Batch small jobs into one monthly invoice when the client agrees.
- Wave Starter
- 2.9% + $0.60
Budget on regular prices
Pricing pagesFreshBooks and QuickBooks both advertise steep discounts for the first months. Your second-year budget should use the regular price: $43 a month for FreshBooks Plus, $85 for QuickBooks Essentials.
- FreshBooks promo
- 4 months only
Three questions before you subscribe
Your invoice numbers, clients and history live in this tool. Switching later is possible but tedious, so ask these first.
How many clients will you bill?
FreshBooks Lite stops at 5 billable clients, Invoice Ninja Free at 5, Zoho Invoice at 500 invoices a year. Count active clients, not total contacts.
Who else needs access?
FreshBooks adds $11 per member, QuickBooks bundles users by plan, Xero never charges per user. At five people the gap is large.
Do you need accounting too?
If a bookkeeper files your taxes, invoices should land in their ledger: QuickBooks or Xero. If not, a pure invoicing tool is cheaper and simpler.
- Check the client or invoice cap on the plan you want.
- Price the plan at next year's team size.
- Compare card and bank payment fees.
- Confirm automatic reminders are on your plan.
- Check you can export clients and invoices.
- Send a test invoice to yourself before going live.

Tip: check the payment fees, since that is how free tools earn money; Wave charges 2.9% + $0.60 per card payment on Starter. Is invoicing software the same as accounting software?
No. Invoicing tools create, send and chase invoices; accounting software also keeps your ledger, reconciles the bank and produces tax reports. QuickBooks and Xero do both, FreshBooks sits in between, Wave, Zoho Invoice and Stripe Invoicing focus on getting paid. How much does invoicing software cost?
From $0 (Wave, Zoho Invoice, QuickBooks free plan) to about $40 a month for a typical paid plan. FreshBooks Plus is $43, Xero Growing $59. Payment fees come on top and often matter more than the subscription.Which invoicing software charges no monthly fee?
Stripe Invoicing charges 0.4% per paid invoice and no subscription. Wave Starter and Zoho Invoice are free as well, with payment fees or volume caps instead. How do I cut payment fees on invoices?
Offer bank payment first on large invoices: Stripe caps ACH Direct Debit at $5, while a $2,000 card payment costs $58.30. On small invoices, group jobs into a monthly invoice to avoid fixed per-payment fees. Can I switch invoicing software later?
Yes. Export clients, items and open invoices as CSV, keep the old account read-only until year end, and continue your invoice numbering in the new tool. Switching at the start of a fiscal year keeps reports clean.Do I need invoicing software if I only send a few invoices?
Not strictly, but a free tool still beats a word processor: numbering, reminders and online payment links are automatic, and you keep a searchable history for tax time.
