What is the best HVAC software in 2026?

Scheduling is the easy part. Maintenance agreements are where HVAC software earns its price.

Most HVAC software roundups list the same names and copy the same starting prices. Few tell you which plan actually unlocks maintenance agreements, what five techs really cost, or which apps work in a basement with no signal. That is the angle here: we compared five tools on recurring service plans, field reports, offline use and real price per crew.

The short answer: Housecall Pro for a residential shop that sells maintenance plans (on MAX). Jobber for a small crew that wants to start fast. Synchroteam for commercial work with custom job reports. Service Fusion for a growing crew that wants unlimited users at a flat price. Tradify for installers who track job costs.

Looking for field service software across all trades? Our ranking of field service management software covers that.

How we ranked

How we compared and ranked

HVAC is not general contracting. A large share of revenue comes back every year through maintenance agreements, the work is seasonal (AC in spring and summer, heating in fall and winter), and techs often work where phones lose signal. So we looked first at how each tool handles recurring service, then at what it really costs for a crew.

We read official pricing pages, plan comparison tables and user reviews, with a focus on the negative ones. Scores for Housecall Pro, Jobber, Synchroteam and Tradify match our field service software ranking, so a tool carries the same score everywhere on the site.

What is not ranked, and why. ServiceTitan, FieldEdge, Workiz and FieldPulse show up in most US HVAC roundups, but none of them prints a price on its pricing page: Workiz asks you to request pricing, FieldPulse sends you to a custom quote. We only rank tools whose price you can check yourself.

Best HVAC software for residential maintenance plans

Housecall Pro

4.1/5

Housecall Pro prices by team size. You get one user on Basic for $59 a month on an annual bill or $79 month to month, up to five on Essentials at $149 ($189), and eight on MAX at $299 ($329). Each person past eight adds $35. The free trial lasts 14 days, runs on MAX, and asks for no card.

For HVAC, the plan that matters is MAX. Recurring service plans (the maintenance agreements that bring a homeowner back for an AC tune-up in spring and a furnace check in fall) are listed on MAX only. On Basic and Essentials, you schedule those visits by hand.

Its strength is everything around the job: online booking on every plan, QuickBooks sync from Essentials, and tools to bring past customers back. For a shop that lives on repeat residential work, that is where the money is.

The limit: owners complain about slow answers from support and about bugs after some updates. And going from Essentials to MAX doubles the bill, from $149 to $299.

Tip: run the trial on MAX (it is the default) and set up two real maintenance plans before deciding whether the $150 jump is worth it.

Standout features
  • Recurring service plans on MAX
  • Online booking on every plan
  • Team pricing instead of per-seat
+Pros
  • ✓Built for residential service
  • ✓Full MAX access during the trial
  • ✓QuickBooks sync from Essentials
−Cons
  • ✗Service plans only on MAX
  • ✗Support response times criticized
  • ✗User caps per plan
Verdict

The best fit for a residential shop that grows through maintenance plans, as long as you budget for MAX.

Best HVAC software for small shops

Jobber

4.1/5

Jobber is where a lot of small US home service businesses start. Core is $49 a month for a single user; Connect starts at $139 and Grow at $199 once a team joins. Adding someone costs $29 a month, and the 14-day trial gives you Grow features without asking for a card.

For an HVAC owner, Jobber covers the basics cleanly: quotes the homeowner approves online, a schedule your techs see on their phones, and invoices that go out from the job. It is quick to set up, which is why so many small shops start here.

Watch the pricing page closely: the first months and annual billing carry introductory discounts, so the entry price is not what you pay a year later. Payments taken through Jobber are charged 2.9% plus 30 cents each. On Reddit, one small HVAC owner sums it up as a tool he uses but does not really like; the recurring gripes are the bill rising with every new user and support tickets that take time.

Tip: ask what the plan will cost after the intro period ends and compare that figure, not the headline price, with Housecall Pro.

Standout features
  • Fast setup for small crews
  • Online quote approval
  • Clear per-user add-on price
+Pros
  • ✓Easy for new techs
  • ✓Strong feature set for the price
  • ✓No card needed for the trial
−Cons
  • ✗Renewal price above intro offers
  • ✗Cost climbs per user
  • ✗Offline mode not advertised
Verdict

The safest first HVAC software for a small crew; recheck the fit once maintenance agreements become a big share of revenue.

3
Best for commercial HVAC service with custom reports

Synchroteam

4.1/5

Synchroteam is built to dispatch jobs and bring back clean reports. Standard costs $39 per user per month billed annually or $49 monthly, and includes everything except route optimization. Premium, at $64 or $79, adds it. The first admin is free, so you only pay for techs.

For HVAC, the value is the custom job form. You add the fields your work needs: refrigerant type and amount, equipment model and serial, pressure readings. The tech fills it on site, gets a signature and photos, and the report goes out signed. That record is what you reach for when a customer or an auditor asks.

Accounting connectors are included, with two-way sync for QuickBooks Online. The trial lasts 14 days with no credit card. One line in the terms to know: a paid month is not refunded.

The limits: GPS tracking is basic, and a dispatcher cannot reassign a job from the mobile app, only from a computer.

Tip: start monthly for the first two months, then switch to annual. The gap is $10 per tech per month.

Standout features
  • Fully custom job forms
  • First admin seat free
  • Two-way QuickBooks Online sync
+Pros
  • ✓Well-rated support
  • ✓No long contract on monthly
  • ✓Trial without a card
−Cons
  • ✗No reassigning from mobile
  • ✗Basic GPS
  • ✗No refunds
Verdict

A strong pick for commercial HVAC work where the job report matters as much as the schedule.

Best HVAC software with unlimited users

Service Fusion

3.9/5

Service Fusion flips the pricing logic of this list: you pay per company, not per tech. Starter is $208 a month on an annual bill ($245 month to month), Plus $325 ($382) and Pro $533 ($627). Every plan carries unlimited users, and the monthly option has no contract.

That changes the math once your crew grows. Eight techs on Jobber or Synchroteam add up seat by seat; on Service Fusion Starter, the eighth tech costs the same as the first: nothing extra. Below four or five techs, the flat fee is the expensive option.

For maintenance agreements, Service Fusion has a service agreement feature tied to the customer record, with recurring jobs for seasonal tune-ups. The billing side is where tiers matter: recurring invoicing is included on Pro only and sold as an add-on on Starter and Plus. QuickBooks integration is on every plan; GPS fleet tracking is an add-on.

The limit: there is no self-serve trial, only a demo, and the pricing page says nothing about offline use in the field app.

Tip: if you bill agreements monthly, price Plus with the recurring invoicing add-on against Pro before you choose. The gap between the two plans is $208 a month on annual billing.

Standout features
  • Unlimited users on every plan
  • QuickBooks integration on every plan
  • Service agreements tied to the customer record
+Pros
  • ✓Flat price that does not grow per tech
  • ✓No contract on monthly billing
  • ✓Personalized onboarding included
−Cons
  • ✗Recurring invoicing included on Pro only
  • ✗No free trial, demo only
  • ✗Offline use not advertised
Verdict

The cheapest option per tech once your crew passes six or seven people; overpriced for a two-truck shop.

5
Best simple job management for HVAC trades

Tradify

4.0/5

Tradify is made for trade crews, not for large dispatch rooms. You pay per user: $47 a month on Lite, $51 on Pro and $61 on Plus, with a Custom plan on request. All features are open during the 14-day trial.

Every plan includes scheduling with Google Calendar sync, quoting and invoicing, online and card payments, and Xero and QuickBooks Online sync. Techs use iOS and Android apps to add photos, videos and notes to each job, and fill in their timesheets there.

For an HVAC installer, the timesheet and job costing side is the draw: you see whether the furnace swap you quoted at eight hours took eight hours.

Two things you will not find on its pricing page: a customer signature on the job sheet and an offline mode. If your maintenance customers expect signed proof of each visit, check both during the trial.

Tip: multiply by your whole crew before you compare. Five techs on Pro come to $255 a month, more than Housecall Pro Essentials.

Standout features
  • Timesheets and job costing in every plan
  • Xero and QuickBooks Online sync
  • Google Calendar sync
+Pros
  • ✓Simple for trade crews
  • ✓Every feature in the trial
  • ✓Clear per-user pricing
−Cons
  • ✗Signature on site not advertised
  • ✗Offline mode not advertised
  • ✗Bill rises with every tech
Verdict

A clean option for installers who want to know if each job made money; weaker for signed maintenance reports.

What matters for HVAC

Three things HVAC software reviews skip

Generic field service reviews judge tools on scheduling. Here is what changes the outcome for an HVAC business.

Which plan unlocks maintenance agreements?

Entry prices hide this. At Housecall Pro, recurring service plans are listed on MAX only, at $299 a month billed annually. At Service Fusion, recurring invoicing is included on Pro and sold as an add-on below it. Synchroteam Standard includes contract management. Before comparing $49 with $59, find the tier that runs your agreements, then price that tier for your whole crew.

Will it work where your techs work?

Basements, attics and mechanical rooms kill signal. Housecall Pro includes offline viewing on every plan. Jobber, Tradify and Service Fusion do not advertise offline use on their pricing pages. Test it in the worst basement on your route during the trial, not at the office.

Is your refrigerant paperwork covered?

Under EPA Section 608, anyone who maintains, services, repairs or disposes of equipment that could release refrigerant must be certified, by type: Type I for small appliances, Type II for high-pressure and Type III for low-pressure systems. Techs keep a copy of their certificate at the place of business, and appliances holding 50 pounds or more carry extra recordkeeping duties. Your software will not certify anyone, but it can hold each tech's certification type and capture refrigerant type and amount on every job form.

  • Find the tier that includes maintenance agreements before comparing prices.
  • Price that tier for your whole crew, not one user.
  • Write down the month-13 price, not the intro offer.
  • Test the app offline in a real basement.
  • Add refrigerant type, amount and each tech's EPA 608 type to the job form.
  • Check how payments and accounting sync are billed.

Move your maintenance customers into new software without losing one

Switching fails at the same point almost every time: importing the customer and equipment list. Here is the order that works.

01

Build one clean customer and equipment list

First

Customer, address, equipment type, make, model, install date, last visit, agreement price. That spreadsheet is what you import. Without it, your trial turns into data entry instead of a real test.

Must-have columns
Customer, address, equipment, last visit
02

Set each agreement's visit months

Agreements

Two visits a year is the common pattern: cooling in spring, heating in fall. Put the months in a column before import, so the software schedules them right the first time.

03

Build your job form once

Field

Checklist, photos, signature, and for refrigerant work, type, amount and equipment serial. Have your most senior tech review it: they will fill it in hundreds of times a year.

04

Decide how agreements are billed

Cash

Upfront yearly, monthly, or per visit. Upfront helps cash flow before the busy season. Monthly lowers the barrier for homeowners. Pick one and set it in the software before you sell the next plan.

05

Run one tech for two weeks

Team

One tech, a real route, two weeks. You will see fast whether the app holds up offline, whether reports reach customers, and whether invoices go out without retyping. Then roll out to the crew.

06

Turn on renewal reminders

Revenue

An agreement that lapses quietly is the most expensive leak in an HVAC business. Set reminders a month before each renewal and make one person responsible for the list.

FAQ · 6 questions

HVAC software · FAQ

  • Is ServiceTitan worth it for a small HVAC company?
Hard to say from the outside, because ServiceTitan publishes no price list on its site and sells through a sales call. For a shop with fewer than ten techs, Jobber or Housecall Pro covers scheduling, invoicing and maintenance plans at a price you can read before talking to anyone; ask ServiceTitan for a written quote and compare it with those.
  • What is the cheapest HVAC software that is still usable?
Jobber Core at $49 a month for one user, or Synchroteam Standard at $39 per user per month billed annually, with the first admin free. Both include a 14-day trial with no card. Neither is a free plan: there is no free tier in this ranking that holds up for a working HVAC business.
  • Which HVAC software handles maintenance agreements best?
Housecall Pro on its MAX plan, where recurring service plans are listed. Service Fusion ties service agreements to the customer record, with recurring invoicing on Pro. Synchroteam includes contract management from Standard. Whatever you pick, set each agreement to bring the customer back twice a year: AC in spring, heating in fall.
  • Does HVAC software need to work offline?
Yes, if your techs work in basements, attics or mechanical rooms. Housecall Pro includes offline viewing on every plan. Jobber, Tradify and Service Fusion do not advertise offline use on their pricing pages, so check it during the trial.
  • How much does HVAC software cost for five techs?
Roughly $150 to $300 a month depending on the tool. Housecall Pro Essentials is $149 billed annually for up to five users, Synchroteam Standard $195 billed annually, Service Fusion Starter $208 with unlimited users, Tradify Pro $255, and Housecall Pro MAX $299 if you need service plans.
  • Can HVAC software track refrigerant use?
Through custom job forms, yes. Synchroteam lets you add fields for refrigerant type, amount recovered or added, and equipment serial, so each visit leaves a signed record. That matters because EPA Section 608 adds recordkeeping duties for appliances holding 50 pounds or more of refrigerant.
