The best mortgage CRM in 2026, for loan officers and brokers

A loan officer's CRM has one job: keep past clients, realtors and fresh leads talking to you until the next loan.

Search "mortgage CRM" and every page on the first screen is written by a vendor ranking itself first. Prices are buried behind "get a quote" buttons. We compared five CRMs on what a loan officer actually pays and gets: three built for mortgage, and two generic CRMs that small shops often use instead.

The short answer: BNTouch if you want a mortgage-native CRM with a price on the page, $165 a month for one user. Shape if you'd rather have an expert set it up for you. Bonzo if your day is texting and calling leads, $150 a seat. And Pipedrive or HubSpot if you're a solo LO who mostly needs to track realtor partners for little or no money.

5 mortgage CRMs side by side

The first three are built for mortgage: loan milestones, past-client marketing, realtor co-branding. The last two are generic sales CRMs you'd have to bend into shape. Prices are what each vendor shows publicly, per month.

How we scored

How we compared and scored

A mortgage CRM earns its keep between loans. Rates move, a past client wants to refinance, a realtor sends a buyer. The CRM's job is to make sure you're the one they call. So we looked at four things: how fast you reach a new lead, how well it nurtures past clients and partners, what it really costs for one LO and for a small team, and how painful it is to set up.

We read each vendor's pricing page and feature pages, then user reviews on Capterra and loan-officer comments quoted in industry roundups. Pipedrive and HubSpot keep the scores from our full reviews: they measure a CRM in general, not its fit for mortgage. The three mortgage CRMs get editorial scores set for this ranking, on the same five criteria.

One thing you'll notice: Shape hides its prices. Figures that float around for it come from directories or competitors, so we don't print them. We also left out Jungo, a Salesforce-based mortgage CRM: we couldn't reach an official page to check its offer. Ask for a written quote for your exact seat count.

1
Best all-in-one mortgage CRM with public pricing

BNTouch

4.1/5

BNTouch is one of the few mortgage CRMs that prints its price. Individual is $165 a month plus a one-time $125 activation fee, with room for 5,000 records. Team is $95 per user per month with a two-user minimum, so $190 a month for two, plus a $95 activation fee per user, and scales to 10 or 25 users. Enterprise is a quote.

What you get is a lot. Contact records for clients, realtors and referral partners, separate loan records for the same client, task reminders so no follow-up slips, and mass texting and email that still feel personal. Reviewers on Capterra keep coming back to the support team, which walks people through setup and migration.

The other side of "a lot" is clutter. Several reviewers say there are way too many options, setup took a while, and they feel they pay for features they never touch. One 3-star reviewer reports the whole system crashing about once a quarter. If you want something minimal, this isn't it.

Tip: do the math on year one, not month one. Individual costs 165 × 12 + 125 = $2,105 in the first year. Team for two costs 190 × 12 + 2 × 95 = $2,470. Ask whether the activation fee is waived on an annual commitment before you sign.

Standout features
  • Separate loan records under one client
  • Personalized mass texting and email
  • Partner and realtor contacts with their own campaigns
+Pros
  • ✓Price published, rare in this category
  • ✓Support praised in reviews
  • ✓Built for mortgage, not adapted
−Cons
  • ✗Activation fee on top of the monthly price
  • ✗Cluttered, long to configure
  • ✗Occasional outages reported by a user
Verdict

The safest pick for a solo LO who wants one mortgage system and a known bill. Budget a week to set it up properly.

Best if you want setup done for you

Shape

4.0/5

Shape sells three plans. Core is priced per user and works as a CRM foundation you extend with add-ons. Complete bundles everything for five users. Enterprise adds dedicated system administration and one-on-one strategic support. None of them has a public price: every plan is "get a quote".

What Shape does put in writing is the help. Every plan comes with a complimentary expert onboarding package, 24/7 AI chat support, email support, a phone line, live training webinars and video tutorials. For a team without an admin, that onboarding is the real product: someone builds your pipelines, lead funnels and surveys with you.

Add-ons cover landing pages and lead capture, social posting priced per user, and custom layouts and fields. That's the catch. Core plus three add-ons can quietly cost more than Complete, and you won't know until the quote lands.

Tip: ask for two quotes side by side, Core with the add-ons you need, and Complete. Then compare the yearly total, not the per-user line.

Standout features
  • Expert onboarding included on every plan
  • 24/7 AI chat plus email and phone support
  • Custom layouts, fields and lead funnels
+Pros
  • ✓Setup done with you, not by you
  • ✓Many support channels on every plan
  • ✓Scales from a few users to enterprise
−Cons
  • ✗No public price at all
  • ✗Add-ons stack up on Core
  • ✗Quote process slows down comparison
Verdict

A strong choice for a team that values done-for-you setup. Get the Complete quote even if you think Core is enough.

Best for texting and calling leads fast

Bonzo

3.9/5

Bonzo calls itself conversation software, and that's accurate. It's built around reaching people: calls, SMS, MMS, video messages, email and voicemail drops from one place. Pipeline tracking, drip sequences, partner management and integrations sit around that core.

Solo is $150 per seat per month, and it's the only price Bonzo publishes. Small team and Enterprise go through sales. That Solo seat includes full telephony, unlimited prospect uploads and compliance logging, which records your outreach so you can show who agreed to what.

Where it fits less well is long-term nurture. If most of your business comes from past clients and realtors, a CRM built around co-branded campaigns and loan milestones, like BNTouch, gives you more. Bonzo shines on the first 10 minutes after a lead comes in.

Tip: Solo is $1,800 a year per seat. Before you buy, count how many leads you actually call per week. Below a handful, a $39 Pipedrive seat and your phone do the same job.

Standout features
  • Calls, texts, video and email from one inbox
  • Unlimited prospect uploads
  • Compliance logging of outreach
+Pros
  • ✓Fast to reach new leads
  • ✓Published Solo price
  • ✓Simple to pick up
−Cons
  • ✗Only the Solo price is public
  • ✗Less suited to long-term past-client marketing
  • ✗$150 a seat adds up quickly for a team
Verdict

The best tool for an LO who lives on the phone. Not the one for a referral-driven business.

4
Best generic pipeline on a budget

Pipedrive

4.2/5

Pipedrive isn't a mortgage CRM. It has no loan milestones, no co-branded realtor campaigns, no LOS connection. It's here because many small shops don't need those yet. What they need is a clear list of partners and leads, and a reminder of who to call today.

That's what Pipedrive does best. Deals move across columns, and the next step is always in front of you. It was the easiest CRM to roll out in our full comparison. Growth, at $39 a seat billed yearly or $49 month to month, is the first plan with email sync and automated follow-ups. A solo LO pays $468 a year.

The limit shows up as you grow. Past-client marketing and loan stages have to be built by hand with custom fields and automations, and add-ons cost extra. At that point a mortgage CRM starts to pay for itself.

Tip: use one pipeline for partners (realtor met, first referral, regular source) and keep borrowers' documents in your point-of-sale tool, not in Pipedrive.

Standout features
  • Visual pipeline for leads and partners
  • Email sync and automations from Growth
  • Fastest generic CRM to learn
+Pros
  • ✓Cheap for one or two users
  • ✓No contract on monthly billing
  • ✓Very easy to use
−Cons
  • ✗Nothing mortgage-specific
  • ✗Paid add-ons on top
  • ✗You build loan stages yourself
Verdict

A smart stopgap for a new or solo LO. Plan the move to a mortgage CRM once past-client marketing matters.

Best free start for referral partners

HubSpot

4.2/5

HubSpot's free CRM covers up to two users, with contacts, deals, forms and basic email. For an LO starting out, that's enough to log every realtor you meet and every borrower who didn't close yet. Starter lists at $20 a seat.

Its strength is marketing. Forms on your site feed contacts straight in, and email follow-ups are easy to set up. Our full review scores its features and support highly.

The limit is the price jump. Branching automations and serious marketing sit in Professional, with a mandatory onboarding fee of around $1,500. A mortgage CRM like BNTouch costs less than that for one user and is built for the job.

Tip: stay on Free or Starter, use it for partners and newsletters, and move to a mortgage CRM when you'd otherwise need Professional.

Standout features
  • Free CRM for 2 users
  • Website forms that feed contacts in
  • Easy email follow-ups
+Pros
  • ✓Costs nothing to start
  • ✓Good marketing tools
  • ✓Large app marketplace
−Cons
  • ✗Nothing built for mortgage
  • ✗Professional is a steep jump
  • ✗Onboarding fee at Professional
Verdict

The cheapest way to start building a referral list. Not a long-term mortgage CRM.

Three questions that settle the choice

Vendor rankings sort by features. Your choice really comes down to where your loans come from, what year one costs, and who will set the thing up.

Where do your loans come from?

If they come from purchased or inbound leads, speed-to-lead matters most: Bonzo. If they come from past clients and realtors, you need nurture and co-marketing: BNTouch or Shape. If you close a few loans a month from your own network, a free HubSpot or a $39 Pipedrive seat does the job for now. A CRM isn't a point-of-sale tool either: document collection from borrowers usually lives in a separate portal like Floify, priced on request.

What does year one really cost?

One LO: Pipedrive Growth $468, Bonzo Solo $1,800, BNTouch Individual $2,105 with activation. Two LOs: BNTouch Team $2,470 with activation, Bonzo $3,600. Shape: ask for the same totals in writing.

Who will set it up?

Mortgage CRMs are deep, and BNTouch reviewers say it plainly: powerful, but long to configure. Shape includes expert onboarding in every plan. If nobody on your team will own the setup, pay for that help or pick a simpler tool.

  • Get a written quote for your exact seat count, activation fees included.
  • Ask how the CRM connects to your loan origination system.
  • Check whether texting is built in or a paid add-on.
  • Ask who builds your first campaigns and pipelines.
  • Ask for the export format of contacts and loan records.
  • Talk to one current customer with a team your size.
Switching CRMs

Move to a new CRM without losing a lead

A CRM switch rarely fails on the choice. It fails on a messy import and a forgotten list of past clients. Here's the order that works.

01

Export contacts and partners before you cancel

Priority

Clients, past clients, realtors, notes and tags: export everything while your old account is open, and open the file to make sure columns and dates came through.

Export
Contacts, partners, notes, tags
02

Clean the list before you import

Data

Merge duplicates and drop dead leads before they land in the new system. Every dead lead you import is one more name your follow-up reminders will push at you for months.

Rule
Import clean, not everything
03

Tag past clients by loan date

Nurture

Past clients are your cheapest loans. Tag each one with the year of their loan so your refinance and anniversary campaigns can target them from day one.

Key field
Loan year
04

Separate realtors from borrowers

Referrals

Realtors and builders need different messages than borrowers. Put them in their own list or pipeline so co-marketing never lands in a borrower's inbox.

Lists
Partners and borrowers apart
05

Set up texting last, with consent

Compliance

Turn on mass texting only once contacts carry a clear consent status. Tools like Bonzo log your outreach: keep that log switched on.

Before sending
Consent status on every contact
06

Run both systems for two weeks

Team

Keep read access to the old CRM for two weeks. New leads go to the new one, and you check nothing fell between the two before closing the old account.

FAQ

Your questions about mortgage CRMs

  • What is a mortgage CRM?
It's a CRM built around the loan cycle: leads, loan milestones, past clients and referral partners. A generic CRM tracks deals; a mortgage CRM also knows a client can come back in three years to refinance, and keeps marketing to them until then.
  • How much does a mortgage CRM cost?
Published prices run from $150 a seat on Bonzo Solo to $165 a month plus a $125 activation fee on BNTouch Individual. Shape quotes on request. A generic CRM costs less: HubSpot is free for 2 users, Pipedrive Growth is $39 a seat billed yearly.
  • Is a mortgage CRM the same as a point-of-sale or LOS?
No. The CRM handles relationships before and after the loan. The point-of-sale portal collects the borrower's application and documents, and the loan origination system processes the loan. Ask how your CRM connects to both before you buy.
  • Can I use HubSpot or Pipedrive as a mortgage CRM?
For a few loans a month, yes, as a partner and lead tracker. You'll build loan stages and past-client campaigns yourself. Once nurture of past clients becomes a real source of business, a mortgage CRM saves that work.
  • Should I use the CRM my company provides?
Use it for company leads, but check who owns the contacts. If you change companies, you may lose access overnight. Keep your own partner and past-client list exported somewhere you control.
  • Which mortgage CRM is easiest to set up?
Shape includes expert onboarding in every plan, so someone builds it with you. Bonzo is the simplest to pick up for calling and texting. BNTouch is the deepest, and its users say setup takes time.
