What's the best meeting scheduling software for sales teams in 2026?

The one that books the right rep, writes the meeting to your CRM and routes inbound demo requests before they go cold. For 5 reps with round robin: $50 a month (SavvyCal) to $1,250 (Chili Piper), with Calendly at $80 and Cal.com at $60.

A scheduling tool gives a prospect a link or a button. They see open slots, pick one, and the invite lands on both calendars. For a single rep, any booking page works. For a sales team, three questions decide everything: which rep gets the meeting, does it land in the CRM, and what happens the second a lead submits your demo form.

The short answer: if your team runs on HubSpot, HubSpot Meetings is the obvious pick, free for one rep and team-ready from Starter. If you get a lot of inbound and live in Salesforce, Chili Piper is the routing benchmark, from $1,250 a month. Calendly is still the fastest to roll out, with round robin and Salesforce on Teams at $16 a seat. RevenueHero gives you Chili Piper-style routing with no seat minimum. Cal.com does team scheduling for $12 a seat and syncs HubSpot and Salesforce even on its free plan. SavvyCal polishes the invitee experience, and iClosed is built for high-ticket closing calls.

There are three families, and picking one is the first decision. Booking pages with a team plan (Calendly, Cal.com, SavvyCal). The scheduler built into your CRM (HubSpot Meetings). And inbound routing tools (Chili Piper, RevenueHero, iClosed), which qualify the lead before they ever see a calendar.

How we scored

How we compared and scored

Most top-ranking lists on this question are written by a vendor that ranks itself first, or by a blog that lumps salon booking apps in with enterprise routing. Few of them show what a five- or ten-rep team actually pays, and almost none explain that round robin, Salesforce sync and account-owner routing unlock on different tiers.

We read each vendor's official pricing page and its docs on round robin and CRM integrations, then the Calendly and HubSpot community threads where admins describe what breaks. We only ranked tools that do both parts of the core job: split meetings across several reps, and push them into a CRM. LeanData BookIt and Default don't publish prices, Cirrus Insight and Outplay didn't make our shortlist, and zcal, lemcal, Google Calendar and Microsoft Bookings miss either round robin or a native CRM. Zeeg ranks on our European pages but matters less for a US team. They're all covered below, unscored.

Our five criteria carry equal weight: it's the grid behind every review on the site, so a tool keeps the same score everywhere. Ranking order follows the US buyer's main question, inbound routing. Chili Piper and RevenueHero book straight from the website form you already have, read the CRM and route by territory or account owner before the prospect sees a calendar: that is what an inbound-heavy US team buys first. Calendly keeps account-owner routing for Enterprise, and Cal.com uses its own routing forms. That is why the two routing tools sit above Calendly and Cal.com despite a slightly lower score.

1
Best for teams already on HubSpot

HubSpot Meetings

4.2/5

HubSpot Meetings is the scheduler inside HubSpot's CRM. A rep creates a personal link, drops it into emails or on the website, and the prospect books. The meeting lands on the rep's Google or Office 365 calendar and, more importantly, on the contact's timeline in the CRM. On the free CRM there's no cap on meetings and no card required.

For a team you need a paid tier. Group links and round robin, which hands the meeting to the next available rep, start on Sales Hub or Service Hub Starter. Every rep on the link needs a paid Sales or Service seat and a connected calendar. Here's the catch admins only find out later: if no one on the link has a seat anymore, the link switches itself off. At Starter's $20 list price per seat, five reps cost $100 a month, often less after HubSpot's usual discount.

The weak spot has been distribution rules. For years, the HubSpot community complained that round robin favors availability, so the emptiest calendar gets almost everything, and the only rule is "contact owner or not". Some teams moved to Calendly over it. In 2026 a HubSpot product manager announced Meeting Rotations, with equal or weighted distribution, on Sales and Service Professional and up, at $100 a seat.

Standout features
  • Unlimited free meetings for one rep
  • Every meeting logged on the contact record
  • Equal or weighted rotations on Professional
+Pros
  • ✓No extra tool to pay for if you're already on HubSpot
  • ✓Google Calendar and Office 365 sync, reminders included
  • ✓Meetings logged in the CRM on the free plan
−Cons
  • ✗Team round robin needs a paid Sales or Service seat per rep
  • ✗Weighted rotations only from Professional
  • ✗Little reason to pick it if your CRM is Salesforce
Verdict

The default if HubSpot is your CRM: nothing extra to pay as a solo rep, and the meeting lands where it belongs. Go Professional if distribution has to be truly fair. Our full HubSpot review breaks down every tier.

Best inbound routing for Salesforce teams

Chili Piper

4.0/5

Chili Piper isn't really a booking page. It's a router. A prospect submits your demo form, Chili Piper reads the answers and the CRM, picks the right rep by territory, company size or account owner, and shows that rep's calendar on the spot. Nobody waits for a callback. For an inbound-heavy team, that's the whole point: the gap between "request demo" and "meeting booked" goes to zero.

The 2026 price list is clear, and steep. Growth is $1,250 a month, about $15,000 a year, with 15 seats; each extra seat is $45 a month. It covers booking from web forms, lead routing and assignment, fair distribution, territory rules, Salesforce, HubSpot and SSO. Scale is $3,500 a month with 30 seats. Everything is billed yearly: the vendor states that monthly billing isn't available. There's no free plan or self-serve trial, but multi-year deals get 15%, 25% and 40% off for 2, 3 and 4 years. ChiliCal, the calendar on its own, is $12 per user with a 200-seat minimum and no routing.

Users praise the round robin and the Salesforce integration, and some flag thin onboarding help. A Hacker News commenter put it bluntly: if a CRM doesn't integrate with Chili Piper or Calendly, it's most likely an insta-drop. For a 5-rep team, though, the math breaks: you pay for 15 seats and use 5. Older per-seat prices still floating around other sites don't match the current list.

Standout features
  • Books straight from your web form
  • Routes by territory, size or account owner
  • Fair distribution included on Growth
+Pros
  • ✓The inbound routing benchmark on Salesforce
  • ✓15 seats included in Growth
  • ✓Up to 40% off on a 4-year deal
−Cons
  • ✗$15,000 a year to get in, annual billing only
  • ✗No free plan or trial listed
  • ✗Rollout support called light by some users
Verdict

The right call when every demo request is worth real money and you have 15+ reps. Below that, RevenueHero or Cal.com do the same routing for a fraction of the price.

Fastest to roll out across a team

Calendly

4.1/5

Calendly is the scheduler your prospects have most likely already clicked. A rep connects a calendar, sets up an event type (a 30-minute demo, say) and shares the link. The free plan stops at one event type and one calendar, with no round robin. Standard, at $10 a seat per month billed yearly, connects up to 6 calendars and HubSpot.

For a team, you want Teams at $16 a seat per month billed yearly: round robin, routing forms that send each prospect to the right rep, and meetings pushed to Salesforce. Five reps cost $80 a month, ten cost $160. Only hosts need a seat, never invitees. Routing that looks up the account owner in Salesforce or Dynamics is Enterprise only: from $15,000 a year, 50 seats minimum.

Admins know the trap: "equal distribution" isn't equal over a week. Calendly doesn't reset the count weekly. A rep is hidden once they're 3 meetings ahead, and the count resets to zero whenever you add or remove a host. One admin reported 7 of 10 calls going to the same of two closers. Public reviews also complain about mostly automated support and hard cancellations.

Standout features
  • Round robin and routing forms on Teams
  • Meetings pushed to Salesforce on Teams
  • Only hosts pay for a seat
+Pros
  • ✓Quickest team rollout of the list
  • ✓Prospects know it and book without friction
  • ✓HubSpot connection from Standard
−Cons
  • ✗Account-owner routing on Salesforce is Enterprise only
  • ✗Equal distribution has no weekly reset
  • ✗Support is mostly automated
Verdict

The safe default for a team that wants to start this week. Set a weekly cap per rep on day one. If Calendly is boxing you in, our guide to switching from Calendly compares the exits.

Inbound routing without a big contract

RevenueHero

3.9/5

RevenueHero does the same job as Chili Piper: it reads the form submitted on your site, qualifies the lead, picks the rep and shows their calendar. It connects to HubSpot, Salesforce, Zoho, Freshsales and Attio, and it writes no-shows back to the CRM, so your team can follow up with every prospect who didn't show. Round robin is included.

The pricing is built for mid-size teams. Essentials is a $79 monthly platform fee billed yearly, plus $25 per seat. The vendor's own example for 10 seats comes to $329 a month; for 5 reps, figure $204. There's no seat minimum, admins are free and there's no setup fee. Month to month, the platform goes to $99 and seats to $35. Advanced, at $159 plus $35 a seat, adds a $20 handoff seat for teams where an SDR qualifies the lead before passing it to the AE who closes.

The downsides: no trial, and far less name recognition than Chili Piper. RevenueHero says it's SOC 2 Type 2; ask for the report if procurement needs it. Spam and fake-booking protection is a paid add-on.

Standout features
  • No seat minimum, free admins
  • No-shows written back to the CRM
  • SDR to AE handoff seat on Advanced
+Pros
  • ✓$329 a month for 10 seats, vendor's own example
  • ✓Monthly billing available
  • ✓Five CRMs, including Attio and Zoho
−Cons
  • ✗No trial
  • ✗Fake-booking protection costs extra
  • ✗Smaller user base, fewer public reviews
Verdict

The most sensible Chili Piper alternative for teams under 30 reps. Ask for a demo built on your own form to judge the routing.

Best value for a full team setup

Cal.com

4.1/5

Cal.com is an open-source scheduler you can use in the cloud or self-host with Docker. Its free plan is the most generous here: unlimited event types and calendars for one user, plus two-way sync with Salesforce and HubSpot. A solo rep gets a real CRM-connected tool for nothing.

Teams is $12 a user per month billed yearly, so $60 for 5 reps and $120 for 10. That's 25% under Calendly Teams, with more control: round robin weighs availability, weight and priority per rep, routing forms send the prospect to the right group, and routing can follow the record owner in your CRM. Calendly keeps that last one for Enterprise. Organizations, at $28, adds SSO, SCIM, SOC 2 and ISO 27001 for teams facing a security review.

The trade-off is setup time. There are more knobs, and the booking page is less familiar to prospects than Calendly's. Self-hosting solves data residency but needs someone to run the server and the updates.

Standout features
  • Two-way HubSpot and Salesforce sync on the free plan
  • Weighted round robin and owner routing on Teams
  • Self-hosting option
+Pros
  • ✓$12 a seat, cheapest full-featured option
  • ✓Owner routing without an Enterprise contract
  • ✓14-day trial
−Cons
  • ✗More settings, longer setup
  • ✗Booking page less familiar to prospects
  • ✗Self-hosting is yours to maintain
Verdict

The best price for a team that wants owner routing without an enterprise deal. Budget half a day for setup, and see our guide to Cal.com with Make to automate what comes next.

Best experience for the person booking

SavvyCal

3.6/5

SavvyCal starts from a complaint many buyers share: getting someone's booking link first can feel rude, like you're being told to do the work. SavvyCal overlays the invitee's calendar on yours, so they see at a glance which slots suit them. On Hacker News, users called it the best Calendly alternative they'd found, with a much nicer scheduling UI.

Pricing is simple: Basic at $10 per user per month billed yearly ($12 monthly), Premium at $17 ($20). Round robin and teams are included on both. Five reps cost $50 a month on Basic, the cheapest team setup in this ranking.

For a sales team the limit is clear. The pricing page lists CRM integrations without naming which CRMs, so check yours before you pay. There's no self-serve trial, only a 30-day refund, and no lead routing comparable to Chili Piper or RevenueHero.

Standout features
  • Invitee's calendar overlaid on yours
  • Round robin on Basic
  • 30-day refund
+Pros
  • ✓$10 a seat, cheapest team option
  • ✓Very polished booking page
  • ✓Monthly prices shown
−Cons
  • ✗Supported CRMs not named on the pricing page
  • ✗No self-serve trial
  • ✗No lead routing
Verdict

A great fit for reps who send few links to important prospects. Check the CRM connection inside the refund window.

Built for high-ticket closing calls

iClosed

3.5/5

iClosed targets one use case: closing calls, where a qualified prospect books time with a closer. It qualifies and disqualifies before the booking, sends SMS and email reminders on every plan, and can import your Calendly setup. SMS reminders included on every tier are rare in this list, and they're its best argument against no-shows.

Startup is $24 a seat per month. Growth, at $59, adds HubSpot, Pipedrive and Close. Business, at $120, adds conditional routing and advanced disqualification. Five reps on Growth come to $295 a month at the monthly rate; the vendor advertises 20% off yearly without listing the amount.

The limits: no Salesforce on the listed plans, a high per-seat price, and a product designed for high-ticket remote sales more than for a classic B2B team.

Standout features
  • SMS and email reminders on every plan
  • Qualify and disqualify before booking
  • Calendly import
+Pros
  • ✓Pipedrive and Close from Growth
  • ✓7-day trial
  • ✓Designed against no-shows
−Cons
  • ✗CRM only from Growth at $59 a seat
  • ✗Salesforce missing from listed plans
  • ✗Yearly prices not shown
Verdict

Worth it when each call is worth thousands and no-shows hurt. See our Pipedrive review for the CRM side.

Real cost

What sales scheduling really costs for 5 and 10 reps

Per-seat price tells you very little: round robin never lives on the cheapest plan, and some tools force a seat minimum. Here's the same need, a team with round robin and CRM sync, at each vendor's official yearly price.

Booking pages

For 5 reps: SavvyCal $50, Cal.com $60, Calendly Teams $80. For 10: $100, $120 and $160. The spread is $60 a month at ten reps. At these prices, pick on CRM behavior and routing, not on the sticker.

The CRM's own scheduler

HubSpot Meetings is free for one rep. For a team, Starter lists at $20 a seat, so $100 for 5 and $200 for 10, often less after discount. Weighted rotations need Sales Hub Professional at $100 a seat, $500 for 5, plus onboarding around $1,500. That seat runs the rest of your CRM too, which is the real comparison.

Routing tools

RevenueHero: $204 for 5 seats, $329 for 10, no minimum. iClosed Growth: $295 and $590 at the monthly rate. Chili Piper Growth: $1,250 a month either way, because 15 seats are included, billed yearly. Routing costs money, but it replaces hours of manual lead assignment and the deals lost while a lead waits.
  • Count the reps who take meetings, not the whole team: only hosts pay.
  • Check which tier unlocks round robin.
  • Ask about seat minimums and annual-only billing.
  • Confirm the meeting lands on the contact record, not just the calendar.
  • Price it at 10 reps, not just today's headcount.
  • Write down the renewal date and notice period the day you sign.
Routing

Getting every meeting to the right rep

This is what most lists skip, and what starts the most fights on a sales floor. There are three mechanisms, at three price points.

Round robin

The meeting goes to the next available rep in turn. It's paid everywhere: Calendly Teams, HubSpot Starter with a Sales seat, Cal.com Teams, SavvyCal Basic. The trap: Calendly's "equal" mode doesn't reset weekly, and HubSpot's long favored whoever had the emptiest calendar. Give every rep a daily or weekly cap.

Form-based routing

The prospect answers two or three questions (company size, region, need) and the tool picks the rep group. Calendly Teams and Cal.com Teams do it with their own routing forms; Chili Piper and RevenueHero do it from your existing website form, so you don't ask twice.

Account-owner routing

If the prospect's company already has an owner in the CRM, the meeting should go to them. Chili Piper, RevenueHero and Cal.com Teams handle it. Calendly saves it for Enterprise, from $15,000 a year. HubSpot does it natively with its contact-owner rule. This is also where you set up the SDR to AE handoff.
  • Write your distribution rule before you pick the tool.
  • Set a weekly cap per rep.
  • Remember that removing a host resets Calendly's count.
  • Run a fake prospect from each segment through the router.
  • Decide who gets the meeting when the owner is out.
  • Review the actual split at the end of every month.
Field tips

Six settings that fill calendars

What sales teams who live in these tools every day have learned, whichever one you pick.

01

Offer two times before you send the link

Outbound

The "is sending a Calendly link rude?" debate never dies on Hacker News. In a cold email, suggest two or three specific times and keep the link as a backup line. SavvyCal solves it differently, by showing the invitee's own calendar.

Setting
2 or 3 times, then the link
02

Cap meetings per rep

Distribution

Equal distribution without caps ends up overloading one rep. In Calendly, each rep sets their own weekly limit, not the admin, so check every account. In HubSpot, Professional's Meeting Rotations are what make weighted distribution real.

Check
Cap set on every account
03

Ask two questions, not ten

Conversion

Every extra question before the calendar costs you prospects. Keep only what drives routing: company size and region are often enough. Your CRM knows the rest, or your rep will ask on the call.

Rule of thumb
2 routing questions
04

Remind the day before and an hour before

Show rate

HubSpot and iClosed send email reminders; iClosed adds SMS on every plan, and zcal includes SMS credits from Pro. A reminder the day before with a reschedule link beats a no-show: the prospect moves the call instead of vanishing.

Cadence
Day before, then 1 hour before
05

Add buffer time between calls

Calendar

A demo that runs 10 minutes over wrecks the next one. Add 10 to 15 minutes after each meeting, and a minimum notice (say 4 hours) so nobody books a slot five minutes out that you can't prep for.

Rule of thumb
10 to 15 minutes after each call
06

Check where the meeting lands in the CRM

Data

"HubSpot integration" doesn't mean the same thing everywhere. Book a dummy meeting and open the CRM: is the contact there, is the meeting on the record, is the owner right? If not, an automation can fill the gap, like in our guide to Calendly with n8n.

FAQ · 8 questions

Sales meeting scheduling · FAQ

  • What's the best free meeting scheduler for a sales rep?
Cal.com, for a solo rep: the free plan gives unlimited event types and two-way sync with HubSpot and Salesforce. HubSpot Meetings is the best free option if you already use HubSpot. Calendly's free plan stops at one event type. No free plan splits meetings across several reps.
  • Calendly or HubSpot Meetings for a sales team?
HubSpot Meetings if HubSpot is your CRM, Calendly otherwise. HubSpot logs the meeting on the right record with zero setup, but team round robin needs a paid Sales seat per rep. Calendly Teams is $16 a seat and works with both HubSpot and Salesforce.
  • How does round robin scheduling work for sales teams?
A team link hands each meeting to the next available rep, or the least booked one depending on the setting. Add a weekly cap per rep: without it, "equal" distribution isn't equal over a week, in Calendly or in HubSpot.
  • How much does Chili Piper cost?
At least $1,250 a month in 2026, about $15,000 a year, for Growth with 15 seats included. Extra seats are $45 a month. Scale is $3,500 a month with 30 seats. Everything is billed yearly, with 15% to 40% off for 2 to 4-year deals.
  • Which schedulers integrate with Salesforce?
Cal.com from the free plan, Calendly from Teams, and Chili Piper and RevenueHero natively. Calendly keeps account-owner lookup in Salesforce for Enterprise. iClosed doesn't list Salesforce, and SavvyCal doesn't name its CRMs.
  • How do I reduce no-shows on sales calls?
Send a reminder the day before and an hour before, with a reschedule link. SMS is included with iClosed and, as credits, with zcal. RevenueHero writes no-shows back to the CRM so your rep can follow up the same day.
  • What's the difference between a scheduler and a lead router?
A scheduler shows open slots; a router first decides whose slots to show. Chili Piper or RevenueHero read your web form and CRM, pick the rep, then show the calendar. If you get little inbound, a scheduler with round robin is enough.
  • What about LeanData BookIt, Default or Cirrus Insight?
They exist, but we didn't rank them. LeanData sells BookIt in custom packages and Default doesn't publish a price on its own site. We didn't read official pricing for Cirrus Insight. zcal and lemcal lack a native CRM, and Google Calendar and Microsoft Bookings lack round robin.
