What is the best veterinary practice management software in 2026?

The list price matters less than what gets added: doctors, staff seats, AI, texts, migration.

For an independent US clinic, the best veterinary practice management software in 2026 is Shepherd: $349 a month for the first doctor, $99 for the second and third, unlimited staff at no charge, and no onboarding fee. Provet Cloud bills only active vets too, and publishes US and UK pricing. ezyVet is the pick for a 24/7 hospital that already runs on IDEXX lab work.

We compared five practice management systems (PMS) on what weighs in a real clinic: medical records, inventory and pharmacy, the full monthly bill once techs and add-ons are counted, mobile work and data. DaySmart Vet has the lowest published US entry price, from $123 a month with free data migration. IDEXX Neo closes the list for small companion practices that want a price per user.

Our method

How we compared and scored

A vet PMS is a ten-year decision. Switching costs weeks of data conversion, and a broken invoice or inventory count costs money every day until it is fixed. We read each vendor's pricing, add-on and migration pages, then reviews from vets, techs and practice managers on review sites and app stores. The goal: find what hurts after the contract is signed.

The clinical workflow weighs most, because no discount fixes a system that slows down every appointment. The full monthly bill comes next: doctors, staff seats, AI note taking, texts and migration added up. Mobile work, data and setup share the rest equally, since their weight depends on your practice: an ambulatory vet lives on the road, a city clinic never leaves the building.

1
Best for an independent US clinic

Shepherd

4.3/5

Shepherd prices by doctor and nothing else. The first doctor costs $349 a month, or $299 if you process payments through Shepherd Pay. Doctors two and three add $99 each, and every doctor after that adds $49. Techs, receptionists and managers are unlimited and free.

Run the math for three doctors: $349 plus $99 plus $99 is $547 a month, or $6,564 a year. Switch payments to Shepherd Pay and the same practice pays $497 a month. A relief vet who covers a few shifts costs $99 a month, which beats paying a full seat.

Shepherd is also the only vendor here with a published migration fee: $2,475 once, or $230 a month for 12 months ($2,760 in total). There is no onboarding fee on top. That makes the first-year budget easy to build: for three doctors, plan about $9,000 with a one-time migration.

The limits are clear too. Shepherd is a US product, so a practice in the UK or Canada should look at Provet Cloud. And texting is metered: 5,000 messages cost $99, so heavy reminder campaigns add up.

Standout features
  • Per-doctor pricing, staff seats free
  • Migration price published upfront
  • Cheaper with Shepherd Pay
+Pros
  • ✓No onboarding fee
  • ✓Relief vets at $99 a month
  • ✓Easy first-year budget
−Cons
  • ✗US practices only
  • ✗Texts billed per 5,000
  • ✗Not for you if you want a free trial before talking to sales
Verdict

The clearest deal for an independent US practice. Ask for the migration quote in writing and check which records come over before you pay the $2,475.

Lowest published US entry price

DaySmart Vet

4.1/5

DaySmart Vet is the US cloud PMS with the lowest entry price printed on its own pricing page: plans start at $123 a month. It runs in a browser on any device with a stable connection, and the base subscription bundles product updates, integrated payments, client email and texting, and the PetCare client app.

Two things set it apart on cost. Data migration from your old system is free, where Shepherd charges $2,475. And support runs 24/7 by chat, email or phone, with training and onboarding included. The AI layer, Daisy Voice, turns a spoken exam into a SOAP note, but it is sold as an add-on.

The limit: $123 is a starting point, not a quote. The pricing page does not say how many users or doctors it covers, nor what Daisy Voice costs, and larger practices move to custom pricing. Ask for a written quote for your exact headcount before you compare it with Shepherd's per-doctor grid.

Standout features
  • Lowest published US entry price on this list
  • Free data migration
  • 24/7 support by chat, email and phone
+Pros
  • ✓Payments, texting and a client app in the base plan
  • ✓Training and onboarding included
  • ✓Runs on any device with a browser
−Cons
  • ✗Users covered by the $123 plan not stated
  • ✗Daisy Voice AI priced separately
  • ✗Not for you if you need to work without a connection
Verdict

The cheapest door into a US cloud PMS, with the switch itself paid for. Get the quote for your real number of doctors and staff in writing: that is the figure to set against Shepherd's $547 for three doctors.

Best for groups with large support teams

Provet Cloud (Nordhealth)

4.1/5

Provet Cloud comes from Nordhealth, a Finnish company, and it is one of the few PMS vendors with published US and UK prices. Only active vets are billed. Techs, receptionists and admin staff are free and unlimited, which matters once your support team outnumbers your doctors.

Three vets on Core cost $249 plus two times $99, so $447 a month or $5,364 a year. In the UK, the same team pays £417 a month. Pro, built for several sites, brings three vets to $557 a month. The AI note taker, Clinical Agent, adds $40 per seat.

Reviews keep coming back to the same issues: too many clicks for a simple visit, slowdowns at peak hours, paid options and ticket-based support. There is no offline mode, a real gap for mixed and ambulatory practices. Plan 8 to 12 weeks to go live, a figure Provet gives itself.

Already on Provet and thinking of leaving? Our switch guide covers the alternatives and the migration.

Standout features
  • Techs, front desk and admin free and unlimited
  • Published US and UK pricing
  • Optional AI note taking
+Pros
  • ✓Predictable cost as the support team grows
  • ✓Multi-site on Pro
  • ✓Integrated payments with no subscription
−Cons
  • ✗No offline mode
  • ✗8 to 12 weeks to go live
  • ✗Not for you if you are a solo vet who wants to start next week
Verdict

A strong choice for groups where techs and receptionists far outnumber vets. Budget the setup time and test peak-hour speed during the demo.

Best for a veterinary hospital

ezyVet (IDEXX)

4.0/5

ezyVet is owned by IDEXX, the lab and analyzer maker. It sells one plan with every feature, from $260.50 a month, with more than 100 integrations, IDEXX lab results built in and unlimited 24/7 support. For an emergency hospital, that last point alone can decide it.

Vets rate it highly overall, and one 24-hour emergency clinic reports no downtime. The complaints are consistent, though. Some users write that it "can get terribly slow on certain days and at certain times of the day". The mobile app is slower than the desktop version. Teams dislike the number of clicks. And setup is on you: one reviewer notes "it's up to you to train your staff and figure out how to set everything".

The pricing page also leaves gaps: it does not say whether $260.50 is per user, and contract terms are not shown. Get both in writing before you sign.

Standout features
  • Every feature in one plan
  • IDEXX lab integration, 100+ integrations
  • Unlimited 24/7 support
+Pros
  • ✓Built for high volume and overnight shifts
  • ✓No modules to add
  • ✓Group quotes
−Cons
  • ✗Slowdowns reported at peak times
  • ✗Training and setup left to the clinic
  • ✗Not for you if you want a light tool for a two-vet clinic
Verdict

The hospital pick, complete and well supported. Choose it if you already use IDEXX and have someone in-house to own the configuration.

Best simple per-user option

IDEXX Neo

3.8/5

IDEXX Neo is a cloud PMS sold by IDEXX. Its base price covers three active users, then each extra user and each extra location adds a fee: $18 per user and $125 per location in the US.

For a clinic with two vets and three staff, that is five users: $273 plus two times $18, so $309 a month. That is cheaper than Shepherd or Provet for a small team. The model flips as the team grows, because every tech and receptionist counts as a user, unlike Shepherd or Provet.

That makes Neo a fit for a small companion practice more than a busy hospital, where ezyVet covers more ground. Canadian practices have their own CAD price list, with extra users at CA$27 and extra sites at CA$197.

Standout features
  • Base plan covers 3 users
  • Extra users and sites priced openly
  • Low entry price for a small team
+Pros
  • ✓Readable US pricing
  • ✓Cheap for a team of five
  • ✓Same vendor as your IDEXX lab results
−Cons
  • ✗Every staff member is a paid user
  • ✗Extra fee per location
  • ✗Not for you if you run a large team or a hospital
Verdict

A sensible entry point for a small clinic in the IDEXX world. Count every person who logs in before you compare it with per-doctor pricing.

How to choose

What vet PMS roundups forget to calculate

Most rankings at the top of Google are written by a vendor or list logos with "contact us" pricing. None of them puts the bills side by side for the same practice.

Per doctor or per user: the model decides

Shepherd and Provet Cloud charge for vets and leave support staff free. IDEXX Neo charges per user, techs included. A clinic with two vets and eight staff pays far less on a per-doctor model. A two-person clinic may pay less per user. Count your logins before you compare.

The monthly bill for three vets

Shepherd: $547 ($497 with Shepherd Pay). Provet Cloud Core: $447, Pro: $557. ezyVet: from $260.50, unit to confirm. IDEXX Neo: $273 for three users, plus $18 for every extra login. DaySmart Vet: from $123, headcount to confirm in the quote. Add migration and AI note taking before you call any of them cheap.

Migration is a line item

Shepherd prints its migration price, $2,475. Provet gives 8 to 12 weeks of setup. Others quote it case by case. Ask which records move (medical history, vaccines, invoices, inventory) and in what format, before the demo ends.

The legacy systems are still everywhere

A 2019 survey of Canadian practices found Avimark on 40.6% of them, Cornerstone on 16.9% and Impromed on 11.1%, with cloud systems still marginal. If you are leaving a server-based system, plan for data cleanup: years of duplicate clients and old price lists do not convert cleanly.

  • Price per doctor, per user or per site
  • Cost of tech and front desk seats
  • Migration price and which records move
  • Lab and analyzer integrations
  • Offline or mobile work for farm and house calls
  • Contract length and data export on exit
Billing traps

Six traps that inflate the bill

These come from the official price pages and from vets and techs reviewing their own systems. Generic roundups skip them.

01

Add-ons that stack up

Provet, DaySmart

The list price is never the final price. Provet's AI note taker adds $40 per seat. DaySmart Vet sells its Daisy Voice AI as a separate add-on. Write down every add-on you need before you compare quotes.

Example
AI notes: $40 per seat
02

Staff seats

Tip

Most clinics have more techs than vets. Shepherd and Provet Cloud bill doctors only. IDEXX Neo bills every user beyond three at $18. Over five years, four extra staff on Neo cost $4,320.

03

Text reminders

Shepherd

Reminder texts drive revenue, and they are metered. Shepherd charges $99 per 5,000 messages. Estimate your monthly reminder volume before you sign, and ask whether unused texts roll over.

No signal on farm calls

Ambulatory

A fully online PMS stops when the signal does. Provet Cloud has no offline mode, and mixed-practice vets complain about it. If you do farm or equine calls, ask each vendor to show you an invoice created with the tablet in airplane mode.

05

Peak-hour slowdowns

Check

ezyVet and Provet users both report slowdowns at certain hours. A demo at 10 a.m. on a quiet day proves nothing. Ask for a reference clinic of your size and call them during their Monday morning rush.

06

Exporting before you give notice

Exit

Your records must follow you. DaySmart Vet moves your data in for free; ask every vendor at signing for the export format and its cost, and run a full export before you send your cancellation. A full new setup takes up to 12 weeks at Provet, so do not let a contract lapse first.

FAQ · 8 questions

Vet practice management software: common questions

  • How much does veterinary practice management software cost?

From $123 a month for DaySmart Vet's entry plan (headcount to confirm) to about $560 for a three-vet clinic on Provet Cloud Pro, before migration and add-ons. Shepherd runs $547, Provet Cloud Core $447, IDEXX Neo $273 for three users. Budget the first year with migration included: at Shepherd, that adds $2,475.

  • What is the most used veterinary software?

Server-based legacy systems still dominate. In a 2019 survey of Canadian practices, Avimark ran on 40.6% of them and Cornerstone on 16.9%. Cloud systems like the five on this page are the ones growing, because they remove the local server and its backups.

  • Is there free veterinary practice management software?

None of the five we compared has a free plan. The cheapest published entry is DaySmart Vet at $123 a month, with data migration included. A free, unsupported tool usually costs you later in backups, updates and a painful migration when you outgrow it.

  • Do I pay for vet techs and receptionists?

It depends on the model. Shepherd and Provet Cloud bill doctors only, with unlimited staff free. IDEXX Neo includes three users, then $18 per extra user. DaySmart Vet does not print the headcount of its $123 plan: ask.

  • Which vet software works offline?

None of the five cloud systems here advertises a full offline mode, and Provet Cloud users report it has none. For farm and equine calls, ambulatory vets often pair their PMS with a mobile app that syncs later. Ask for an airplane-mode demo before you buy.

  • How long does it take to switch vet PMS?

Count from a few weeks to three months. Provet Cloud quotes 8 to 12 weeks to go live. The slow part is data: medical history, vaccine schedules, price lists and open invoices. Keep the old system readable for a while after go-live.

  • Is AI note taking worth it?

It can be, if your vets lose an hour a day on records. Provet's Clinical Agent costs $40 per seat a month; DaySmart Vet sells Daisy Voice as an add-on. Ask to run it on real consults during the demo and check every note before it reaches the record.

  • Why are Covetrus Pulse and Digitail not ranked?

Neither publishes a price we could read on an official page. We only rank a tool once its price is verified. Both are worth a demo if they come recommended, but ask for a written price per vet and per user first.
