What is the best volunteer management software in 2026?
Five tools compared on what a nonprofit actually needs: filled shifts, logged hours, and a price you can defend to your board.
The short answer: SignUpGenius for most small nonprofits, free with ads or $107.89 a year without them on one sheet. VolunteerLocal when you need a real volunteer database with a published price ($600 a year, or $200 for a single event). Bloomerang Volunteer when volunteers and donors overlap and you want the richest scheduling. VolunteerHub for event-heavy organizations tied to a donor CRM, and Salesforce Nonprofit Cloud only if you already run Salesforce. We compared all five from their official pricing and docs and from what coordinators say in reviews.
The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.

How we compared and scored
Volunteer software isn't staff scheduling software. Your people aren't paid, they have other priorities, and every extra click costs you a no-show. So we asked four questions:
- can a volunteer sign up for a shift alone, on a phone, without help;
- are hours logged cleanly enough for a grant report or an annual report;
- what does it cost per year for a 50-volunteer program, set-up included;
- can you export everything if you leave.
For each tool we read the official pricing and documentation, then coordinator reviews on review sites. We left out tools with no public price or with conflicting prices on their own site (Better Impact, Galaxy Digital, Timecounts), because a ranking built on guesses helps nobody.

SignUpGenius
SignUpGenius wins for most small organizations because it removes the one thing that kills volunteer turnout: friction. You build a sign-up sheet with slots, share a link, and people click the box they want. They get an email reminder. You see what's still empty. Review after review says the same thing: even retirees who aren't comfortable online sign up without calling you for help.
The free plan covers a lot, with one catch everyone mentions. Ads show on your sheets and during sign-up, and they look messy in front of a sponsor or a school board. Silver ($8.99/month billed annually, $11.99 month to month) makes one sheet ad-free and adds 2,500 emails and 150 texts a month. Gold ($22.49) covers 10 ad-free sheets, Platinum ($44.99) all of them.
Where it stops: after the sign-up. There's no real volunteer database with skills and background checks, and hour tracking isn't built for a grant report. One reviewer lost a slot to someone else while still filling in the form, and the phone experience gets mixed reviews.
- Unlimited sign-up sheets on the free plan
- Automatic email reminders
- 2,500 emails and 150 texts a month from Silver
- Monthly or annual billing on every paid tier
- ✓Easiest sign-up flow for non-technical volunteers
- ✓Free for basic use, no cap on sheets
- ✓A sheet goes live in minutes
- ✗Ads on the free plan
- ✗No volunteer database worth the name
- ✗Weak hour tracking for grant reports
The default pick for events and recurring slots in a small nonprofit. Move to VolunteerLocal once you need hours, applications or a proper record per volunteer.
VolunteerLocal
VolunteerLocal is the rare full volunteer platform that prints its prices. Discover costs $600 a year for an ongoing program, with 2 admin users and 10,000 texts a year in the US and Canada. Running one event instead? It's $200 for that event. Every plan includes unlimited volunteer records, applications, events, jobs and shifts, plus email and SMS, automated reminders, CSV export and a volunteer mobile app.
Grow ($2,400 a year, or $800 per event) adds 10 admins, 50,000 texts, a file library, shift-level permissions, team captains and credential badges. That's the tier for a hospital, a marathon or a museum with department leads.
Watch the add-ons on Discover. Group registration, applicant vetting and hours and attendance tracking each cost $200 a year (or $100 per event). If you need all three, Discover really runs $1,200 a year, half the price of Grow (our math). You can start without a credit card.
- Unlimited volunteers, events and shifts on every plan
- Per-event pricing for one-off events
- 10,000 texts a year included on Discover
- Volunteer mobile app and CSV export
- ✓Clear published pricing, no demo required
- ✓Per-event plan fits annual festivals and races
- ✓Texts included, not billed per message
- ✗Hours tracking is a paid add-on on Discover
- ✗Only 2 admins on the entry plan
- ✗Steeper jump to Grow at $2,400/yr
The best value once a sign-up sheet isn't enough. Price the add-ons you need before choosing Discover over Grow.
Bloomerang Volunteer
Bloomerang Volunteer (formerly InitLive) has the deepest scheduling on this list. Unlimited one-time and recurring shifts, waitlists, conflict detection, Google Calendar sync, and a mobile app where volunteers see their schedule, get reminders and check in and out. Roles are granular: a shift supervisor or check-in lead gets their own permissions without admin access.
It also goes further on onboarding: reusable forms, digital waivers with e-signatures, built-in background checks, and two-way sync with the Bloomerang CRM (from $125/month). You'll see which loyal volunteers also give.
The downsides come from users. Email blasts from the web app lack custom subject lines and a sent log, reports need editing after export, and every volunteer needs a unique email address, which trips up couples and families who share one. At $119/month billed annually, that's $1,428 a year before the CRM.
- Unlimited shifts, waitlists, conflict detection
- Mobile app with check-in and check-out
- Waivers, e-signatures, background checks
- Two-way sync with Bloomerang CRM
- ✓Richest scheduling and roles here
- ✓Unlimited users on every plan
- ✓Volunteers and donors in one view
- ✗$1,428/yr minimum
- ✗One unique email per volunteer
- ✗Limited email and report customization
The pick when volunteers and donors are the same people and you already use, or plan to use, Bloomerang CRM. Overkill for a single annual event.
VolunteerHub
VolunteerHub is built around events. Every plan includes scheduling, registration and landing pages with unlimited events, waitlists, duplicate detection, automated emails and text reminders, a volunteer database, a mobile app, hour tracking and a Zapier connection.
Its strength is the plumbing. Integrations with Raiser's Edge, Blackbaud CRM, Luminate, eTapestry and Salesforce, plus background check partners and single sign-on, are available as options. Pro includes advanced waivers, the on-site kiosk and advanced security permissions; team managers, configurable forms and data import and export stay paid options.
The catch is cost and opacity. Plus starts at $143/month and Pro at $288/month, both billed annually, and both carry a set-up fee the pricing page doesn't state. Data import and export is optional on Plus, so check it before you load years of records.
- Unlimited events per landing page
- Text reminders and waitlists on every plan
- Donor CRM integrations as options
- Kiosk and advanced waivers on Pro
- ✓Strong integrations with donor CRMs
- ✓Built for many events a year
- ✓Hours tracking on every plan
- ✗Set-up fee not published
- ✗$1,716/yr minimum before options
- ✗Import and export optional on Plus
Worth it for an event-heavy organization that needs volunteer data in its donor CRM. Ask for the set-up fee in writing before you sign.
Salesforce Nonprofit Cloud
Nonprofit Cloud includes volunteer management: you set up activities, roles, shifts and locations, with how many volunteers of which type each one needs. Volunteers check in and out, and their hours build up in their history. With Experience Cloud, they browse opportunities, sign up and take training in a portal.
The entry price looks friendly: 10 free Nonprofit Cloud Core licenses through the Power of Us program, then $70 per user per month. But those licenses cover your staff, not your volunteers, and the Experience Cloud portal may need its own licenses, so get them priced. The pricing page doesn't make clear which edition includes volunteer management, so get it in the quote.
The real limit is the project. Expect an admin or an implementation partner and several weeks before the first shift goes live. Compare lighter options in our ranking of the best CRMs for nonprofits.
- Activities, roles, shifts and locations
- Check-in and hour history
- Volunteer portal via Experience Cloud
- Same database as donors and grants
- ✓10 free licenses to start
- ✓Volunteers and donors in one record
- ✓Configurable for unusual rules
- ✗Long project, admin required
- ✗Portal licenses to price separately
- ✗Edition coverage to confirm in writing
Only for organizations already living in Salesforce. For everyone else, it's too heavy a build just to fill shifts.
Which tool for which program
Three questions settle it. Do your shifts repeat every week or cluster around one big event? Do funders ask for volunteer hours? And how many admins need access? For a year of a 50-volunteer program, entry cost (our math from official prices):
- SignUpGenius: $0 with ads, $107.89 on Silver.
- VolunteerLocal: $600 on Discover, $1,200 with the three main add-ons.
- Bloomerang Volunteer: $1,428.
- VolunteerHub: $1,716 plus a set-up fee.
- Salesforce: $0 for 10 staff licenses, portal extra.

- Can a volunteer sign up without creating an account?
- Do recurring shifts repeat on their own?
- Is price based on volunteers, records or admins?
- Are texts included or billed per message?
- Is there a set-up fee, and how much?
- Can you export everything if you leave?
The traps, and the field tips
Pricing pages don't tell the whole story. Here's what we found in official docs and coordinator reviews, with a fix for each.
The tips
Pay per event if you run one big day
PriceVolunteerLocal sells Discover at $200 for a single event instead of $600 a year. For an annual 5K or gala, that's a third of the cost. SignUpGenius also bills by the month, so one month of Silver at $11.99 can cover a launch.
- Where
- VolunteerLocal, SignUpGenius
Price the add-ons before the plan
PriceOn VolunteerLocal Discover, group registration, vetting and hours tracking are $200 a year each. On VolunteerHub Plus, data import and export, kiosk and team manager are options. List what you need, then compare totals, not starting prices.
- Where
- VolunteerLocal, VolunteerHub
Overbook the late shifts
SchedulingEvening and last-day shifts lose the most people. Open them with one or two extra slots, and turn on the waitlist where the tool has one (Bloomerang, VolunteerHub). A 10 p.m. dropout then fills itself.
- When
- Late and final shifts
Watch the one-email-per-volunteer rule
TrapBloomerang Volunteer requires a unique email per volunteer. Couples and parents with teens who share an address can't register separately. Check group sign-up in the demo if families volunteer together.

- Bloomerang Volunteer
Kill the ads where sponsors look
TrapSignUpGenius free sheets show ads, the top complaint in reviews. You don't need Platinum: Silver removes ads from one sheet, Gold from 10. Put your sponsor-facing event on the ad-free sheet.

Log hours the same day
ReportingA year-end estimate won't hold up for a funder. Check-in and check-out in the app records real time; export every quarter so nothing gets lost when a coordinator leaves.

Volunteer management software · FAQ
What is the best free volunteer management software?
SignUpGenius is the best free option for sign-ups: unlimited sheets and email reminders, with ads on your pages. If you're already on Salesforce, eligible nonprofits get 10 free Nonprofit Cloud licenses, though the volunteer portal may need extra licenses. Most full platforms (VolunteerLocal, Bloomerang, VolunteerHub) have no free tier, so use their trials on a real event. How do I create a volunteer schedule?
Start from roles, not people. List every role (check-in, setup, food line, cleanup), how many people each needs and when, then open self sign-up. Overbook evening and last-day shifts by one or two slots, since those lose the most people. Send assignments a few days ahead and one reminder the day before. Is Google Sheets enough to manage volunteers?
It works while one person owns the sheet and you have fewer than about 30 volunteers. Past that, chasing no-shows and swaps eats more time than a $107.89 SignUpGenius Silver plan costs. The sign: you spend more evenings texting volunteers than planning the event. Our guide to form builders for nonprofits helps if you keep the sheet but want cleaner intake. How much does volunteer management software cost?
From $0 to over $3,000 a year. SignUpGenius paid plans run $107.89 to $539.89 a year. VolunteerLocal starts at $600 a year or $200 per event. Bloomerang Volunteer starts at $1,428 a year, VolunteerHub at $1,716 a year plus a set-up fee. Always ask what counts toward the price: volunteers, records or admins. How should I track volunteer hours for grant reports?
Log hours on the day, not at year end. A check-in and check-out in the app (Bloomerang, VolunteerHub, VolunteerLocal Grow) is the most reliable, and an export per quarter keeps funders happy. On VolunteerLocal Discover, hours tracking is a $200 add-on, so budget for it. See our grant management software ranking for where those numbers go next.Do volunteers need to download an app?
Not for most tools. SignUpGenius works in any browser, and VolunteerLocal, Bloomerang and VolunteerHub offer an app as an option rather than a requirement. Keep the first sign-up app-free: every extra step loses volunteers, especially older ones.Should I use my donor CRM or a dedicated volunteer tool?
Use a dedicated tool if your problem is filling shifts; use the CRM if your problem is seeing the whole relationship. Many CRMs store volunteers as contacts without shift scheduling. Bloomerang and Salesforce do both, at a higher price. Compare options in our nonprofit CRM ranking.
