AppFolio alternatives: where to go and how to switch without losing a rent payment

Seven destinations, from a five-door landlord to a portfolio of several hundred units, and a six-step migration plan.

The short answer: Buildium if you run a few dozen to a few hundred units and want a full suite with no 50-unit floor, Yardi Breeze if price per unit matters most and you want free onboarding, DoorLoop if you want a readable per-unit price, Rentvine if you want someone else to run the migration, and RentRedi, TenantCloud or Innago for small landlords. One thing to know first: the best-documented migration (DoorLoop) brings over properties, leases and tenants, not your accounting history. Export that yourself before you cancel.

The real reasons

Why AppFolio is hard to stay on, and hard to leave

Property managers rate AppFolio well on business software review sites. People leave for other reasons: an entry price built for 50-unit portfolios, fees that stack up, and a contract exit that some customers paid dearly for. Five reasons, taken from AppFolio's own pages and from public complaints in 2026.

A 50-unit minimum, plus a minimum spend

Core starts at $1.49 per unit per month, but AppFolio applies a 50-unit minimum and a monthly minimum spend it doesn't publish: you have to ask. Plus (from $3.20 per unit) and Max (from $5.00 per unit) carry minimums too. If you own 12 doors, you're paying for a portfolio you don't have. On BiggerPockets, landlords recommend AppFolio with the same caveat: "that's if you qualify to subscribe to it."

Fees that pile up

Onboarding fees appear on neither the pricing page nor AppFolio's switching page. In 2026 Trustpilot reviews, one property manager complains about "too many different fees", and another says moving to Plus costs hundreds of dollars more each month. Add up your real invoice, not the per-unit price.

Cancelling can cost thousands

AppFolio's BBB profile lists 80 complaints in three years, 55 of them about billing (the company still holds an A+ rating). In 2026, one customer there describes an $882 early termination fee followed by another month of service billed. Another writes: "I must pay approximately $3,600 in cancellation fees to terminate the contract." Check your renewal date before anything else. If you're comparing more widely, see our picks of landlord property management software and software for small landlords.

Onboarding is described, offboarding isn't

AppFolio's switch page explains how a dedicated team brings you in. Nothing there explains how you leave with your data. One user writes in 2026: "switching is such a monumental task that I am staying for now." That's not a reason to stay. It's a reason to start exporting early. And if you stay, see what the AppFolio Realm-X integration with Claude can do.

Trustpilot tells another story

AppFolio scores 1.9 out of 5 on Trustpilot across 791 reviews. Many come from tenants paying rent through the portal rather than from property managers, so read them for what they are: a signal of how your residents may experience the tool, not a verdict on the software.

The 7 alternatives

AppFolio alternatives, tool by tool

For each tool: why move there, who it fits, its limit, how to migrate from AppFolio, and what it costs. Prices are what vendors list in 2026, in US dollars, before tax.

01

Buildium: the natural next step for a mid-size portfolio

Default pick

Why Buildium. It's the full suite closest to AppFolio (accounting, tenant portal, online payments, maintenance) without the 50-unit floor. Essential starts at $65 a month, Growth at $202, Premium at $420, and you get a 14-day trial with no credit card.

Who it's for. Managers with 20 to a few hundred units who want one system for everything.

Who it's not for. A three-door landlord: Essential is real money next to RentRedi or Innago.

Its limit. On Growth and Premium, Buildium's onboarding service is mandatory. It includes your data import, but its price isn't listed, so get it in writing.

How to migrate. On Growth or Premium, the onboarding team handles the import. Show up with your AppFolio exports already done (see step 2 of the plan).

02

DoorLoop: the clearest migration scope

Clear migration

Why DoorLoop. Its team handles importing your data from AppFolio. Before you sign, get your quote to spell out what moves (properties, units, leases, tenants, rent roll), how long it takes and what the migration costs.

Who it's for. Managers with 50 to 200 units who want a readable per-unit price.

Who it's not for. A small portfolio: the $199 monthly minimum bites below 80 units.

Its limit. The monthly minimum, which applies whatever your unit count. One costs $2.50 per unit ($1.50 above 100 units) with a $199 monthly minimum; Connect is $4 per unit ($299 minimum) and Multiply $5 per unit ($399 minimum). Annual billing saves up to 25%.

How to migrate. Send your exports to DoorLoop's team, then enter opening balances as of your cutover date.

03

Yardi Breeze: the lowest price per unit

Cheapest per unit

Why Yardi Breeze. The residential plan costs $1 per unit per month with a $100 minimum, and Yardi charges no onboarding, training or support fees. At 80 units you pay $100 a month; AppFolio Core's per-unit price alone already runs past that.

Who it's for. Residential managers who want to cut the bill and stay with an established vendor. There's also a commercial plan at $2 per unit with a $200 minimum.

Who it's not for. Anyone who wants to leave month to month: the contract is annual.

Its limit. Premier is the same $1 per unit but with a $400 monthly minimum. Know which plan you need before signing.

How to migrate. Onboarding is free, so use it: ask the team exactly what they'll take from your AppFolio exports and in what format.

04

Rentvine: when you want the migration handled

Done-for-you migration

Why Rentvine. Its pricing page lists a price as low as $1.50 per unit and a migration where its team handles 80% of the work, with a dedicated onboarding specialist. The rest is on you. If re-entering data is what keeps you on AppFolio, this is the offer that tackles it head on.

Who it's for. Management companies without the bandwidth to run a migration themselves.

Who it's not for. A small landlord who wants to be live next week.

Its limit. The migration comes with a one-time setup fee that isn't published, and Rentvine aims for go-live in about 45 days. Get the full quote before you give AppFolio notice.

How to migrate. Rentvine's specialist runs the transfer. Your job: hand over complete exports and check balances on arrival.

RentRedi: for the hands-on landlord

Small portfolio

Why RentRedi. One plan, unlimited units: $29.95 month to month, $20 a month on six months, $12 a month billed annually. The 50-unit minimum is gone.

Who it's for. Investors who self-manage a few rentals.

Who it's not for. A management company handling owner accounting for third parties.

Its limit. There's no free trial; RentRedi offers a 30-day refund instead.

How to migrate. With a few units, re-entering properties, leases and tenants takes hours. The slow part is getting tenants onto the new payment link.

06

TenantCloud: pay by the number of leases

By lease count

Why TenantCloud. Plans follow your lease count: billed annually, Starter is $15 a month (10 leases), Growth about $29 (30 leases) and Pro $50 (60 leases); Business starts at $100 a month. You pay for what you manage.

Who it's for. Landlords with 5 to 60 leases who want to move up a tier as they grow.

Who it's not for. A manager running several hundred units.

Its limit. The pricing page shows two different monthly prices for Starter ($18 and $25). Check the amount at checkout.

How to migrate. Re-enter or import your properties and active leases, then open the tenant portal before the first rent due date on TenantCloud.

07

Innago: stop paying a subscription

Free

Why Innago. For landlords, Innago lists "No monthly fee. No setup fee. No contract." When AppFolio bills you a monthly minimum, the difference is immediate.

Who it's for. Small landlords who want to collect rent and track leases with no software budget.

Who it's not for. A management company that needs full trust accounting.

Its limit. Free for the landlord doesn't mean free for everyone: check who pays online payment fees before moving tenants over.

How to migrate. As with RentRedi, it all comes down to switching rent payments: tell tenants a month ahead.

The comparison

The 7 alternatives side by side

For scale, take 50 units. On AppFolio Core, the per-unit price comes to $74.50 a month, but the unpublished minimum spend can push the bill higher. On Yardi Breeze, 50 units cost the $100 minimum. On DoorLoop, 50 units at $2.50 make $125, so you pay the $199 minimum. Buildium starts at $65. RentRedi is $12 a month billed annually and Innago is free. Our default: Buildium for a mid-size portfolio, Yardi Breeze when price comes first.

Migration plan

Switching from AppFolio in six steps

Order matters. Each step protects something: your budget, your books, next month's rent.

01

Read your contract before you talk to anyone

Day 1

Find the renewal date, the notice period and the early termination clause. Public complaints show fees from several hundred to several thousand dollars for leaving before term. If renewal is close, time your cutover to it.

Also ask AppFolio, in writing, what you can export, in which format, and how long your access stays open after cancellation.

Time
one hour
Risk if rushed
termination fees
02

Export everything while you still have access

Week 1

Export properties and units, active leases, every tenant record, the rent roll, security deposits, owner balances, and at least one full year of accounting history. Download signed leases and attachments too.

Store it all outside AppFolio. Most migrations move your current position, not your past: this export is your archive.

Time
one to two days
Risk if rushed
lost history
03

Price the destination on your real portfolio

Weeks 1 to 2

Run the price on your actual unit count, minimum included, and get the onboarding quote in writing. Ask every vendor the same question: what does your migration bring over, and what does it leave behind? DoorLoop, for one, leaves the chart of accounts and past transactions.

Time
a few days
Risk if rushed
a surprise invoice
04

Import and reconcile balances

Weeks 2 to 3

Have properties, leases and tenants imported, then enter opening balances at a cutover date, usually the first of the month. Compare the new rent roll line by line with your AppFolio export: a rent, deposit or balance that doesn't match gets fixed now, not at the first late payment.

Time
Set on your quote, per tool
Risk if rushed
wrong balances
05

Move tenants to the new payment link

One month before

This is the step landlords underestimate. One BiggerPockets member says "every switch cost me about a week of re-entering data and retraining tenants on a new payment link." Tell tenants a month ahead, send the sign-up link, and chase anyone who hasn't moved the week before rent is due.

Time
one rent cycle
Risk if rushed
rent paid to the wrong place
06

Close AppFolio cleanly

After month one

Wait until every first-month payment lands in the new system. Run a final export, send your cancellation in writing within the notice period, and keep the confirmation. Watch your next two bank statements: one customer was billed for another month after leaving.

Time
one hour
Risk if rushed
an extra month billed

Migration pitfalls

What makes an AppFolio exit go wrong

The same mistakes show up in complaints and on landlord forums. None of them is technical: they're timing and contract slips.

Signing elsewhere before reading the exit clause

If you still owe AppFolio several months, the new bill stacks on the old one. Price the early exit and compare it with the months left.

Assuming your history comes along

Migrations move today's position. Your ledger history lives in your export; without it, tax season for the cutover year gets painful.

Comparing per-unit prices without the minimums

$1.49, $1 or $2.50 per unit mean nothing without the monthly minimum. On a small portfolio, the minimum is almost always what you pay.

Switching rent payments mid-month

Cut over on the first of the month, after a month's notice to tenants. Otherwise some of them keep paying through the old link.

  • Renewal date, notice period and exit fees noted
  • List of possible exports requested from AppFolio in writing
  • Properties, leases, tenants, deposits and rent roll exported
  • Accounting history exported and stored outside AppFolio
  • Destination quote with minimum and onboarding fee
  • Opening balances reconciled line by line
  • Tenants told a month ahead with the new link
  • Cancellation sent in writing, statements watched for two months
FAQ · 5 questions

AppFolio alternatives: frequently asked questions

  • What is the best AppFolio alternative?

For a mid-size portfolio, Buildium: a full suite with no 50-unit minimum, from $65 a month. If price comes first, Yardi Breeze at $1 per unit with a $100 minimum and free onboarding. Under ten units, RentRedi, TenantCloud or Innago.

  • How much does AppFolio cost?

Core starts at $1.49 per unit per month, Plus at $3.20 and Max at $5.00. On top come a 50-unit minimum, a monthly minimum spend AppFolio doesn't publish, and onboarding fees that aren't listed either.

  • Can I use AppFolio with fewer than 50 units?

Not on the published plans: Core carries a 50-unit minimum. Buildium, RentRedi, TenantCloud and Innago have no unit floor, and Yardi Breeze's minimum is a $100 monthly charge, not a unit count.

  • Does my history come with me when I leave AppFolio?

Not necessarily. Migrations mostly move today's position: get your quote to say whether ledger history comes along. When in doubt, export your history yourself before cancelling and archive it.

  • How much does it cost to cancel AppFolio early?

It depends on your contract. In 2026 BBB complaints, customers cite $882 and roughly $3,600. Read your exit clause and aim for your renewal date.
