Microsoft Copilot alternatives: what to use instead, and how to switch

Six options sorted by why you're leaving, US prices, and a seven-step exit plan.

The short answer: if your team lives in Word, Excel and Outlook, keep Microsoft 365 and add Claude, which runs inside Excel, Word and PowerPoint. If you want the most versatile assistant, go with ChatGPT Business. If your team runs on Google, Gemini is already in your apps. If data residency is the issue, look at Le Chat by Mistral, a European vendor. And before anything else, try Copilot Chat: it ships at no additional cost with eligible Microsoft 365 plans and covers more than people expect. We compared all six in 2026, prices and limits included.

The real reasons

Why teams are dropping Copilot

Copilot has one real strength: it reads your email, Teams meetings and files without you pasting anything. People leave for other reasons. The price stacks on top of another license, the commitment runs a full year, and many users find the answers weaker than standalone assistants. Six reasons, all checked in 2026.

An add-on priced on top of your base plan

Microsoft 365 Copilot Business is an add-on, sold only to customers who already have an eligible Microsoft 365 Business plan. The standard annual price is $21 per user per month, and $25.20 if you pay monthly. Bundled, Business Standard with Copilot comes to $23.50 per user per month, Business Premium with Copilot to $32. For a team of 10, the add-on alone runs $2,520 a year.

A discount that lasts one year

In 2026 Microsoft lists the add-on at $18 instead of $21 on annual billing. Read the footnote: it's a first-year rate for existing customers with an annual commitment. At renewal, $21 comes back. Budget on $21.

Twelve months of commitment, no real trial

Business plans renew automatically every year and cap at 300 users. On Reddit, admins complain about the lack of a real trial and of monthly cancellation once seats are bought annually. Monthly billing exists, but it costs 20% more.

Answers that trail standalone assistants

The complaints cluster around Excel: wrong formulas, invented values, slow on big files. On Microsoft's own community forum, users describe an assistant that promises an edit and then fails, plus a daily limit hit mid-task. In one survey of employees who got Copilot, many kept using ChatGPT for its memory and longer context window.

AI pushed into consumer plans

Microsoft folded Copilot into Microsoft 365 Personal and Family and raised prices with it: Personal now lists at $99.99 a year ($9.99 a month), Family at $129.99 a year ($12.99 a month), and Premium, which replaces Copilot Pro, at $199.99 a year. On Family, Copilot works for the subscription owner only, not the other members. And the Copilot bar sits at the top of Word and Outlook, sometimes with no visible switch to turn it off.

Too many products with the same name

Copilot in Windows, Copilot Chat, Microsoft 365 Copilot, Copilot Studio, Copilot Pro (replaced by Microsoft 365 Premium for new customers): it's easy to pay twice for the same thing. Copilot Chat without a license only sees files you upload. With a license it reaches your meetings, email, chats and files. That gap is the whole price difference.

Microsoft Copilot alternatives, one by one

For each option: why switch to it, who it fits, its limit, how to move from Copilot, and what it costs. Prices are list prices in US dollars as shown by each vendor in 2026. Scores come from our full reviews.

01

Copilot Chat: the alternative you already own

Stop paying

Why switch to it. Check what you have before shopping. Copilot Chat comes at no additional cost with eligible Microsoft 365 plans, Business plans included. It drafts, summarizes, answers with web results and works on files you upload. For a rep polishing emails or an assistant summarizing a PDF, that's often enough.

Who it fits. Teams that bought Copilot seats "to see" and mostly use them for writing. Pulling the add-on from light users doesn't take the assistant away.

Who it doesn't fit. Anyone who relies on Copilot to dig through their inbox or recap a Teams meeting they missed.

Its limit. Without the add-on, work data access is limited to uploaded files: no email, meetings or chats. Advanced agents like Researcher and Analyst aren't included, and model access is standard. Copilot Studio is pay-as-you-go.

How to switch. In the Microsoft 365 admin center, remove the Copilot license from those users before renewal. Copilot Chat stays. Tell them first: the button looks the same, but it no longer sees their mailbox.

02

ChatGPT: the assistant your team already uses

Most versatile

Why switch to ChatGPT. It's often the tool your people already open, sometimes on personal accounts. The most common knock on Copilot is the gap with ChatGPT: memory, longer context, faster answers. Moving to ChatGPT Business makes an existing habit official, with a company workspace and managed accounts.

Who it fits. Teams of two or more who want a general assistant for writing, file analysis, research and images.

Who it doesn't fit. A team that wants AI reading Outlook and Teams without copy-paste. ChatGPT sits next to Microsoft 365, not inside it.

Its limit. Business starts at 2 seats, and a seat costs $25 a month on monthly billing. Files come in by upload or connector; nothing matches Copilot's native inbox access. Our ChatGPT review scores it 4.2 out of 5.

How to switch. Find out who uses ChatGPT on personal accounts, open the Business workspace and invite them first. Rebuild your best Copilot prompts as shared GPTs: one "customer reply" GPT with your tone and terms replaces a dozen pasted prompts.

Claude: keep Office, change the AI

Best inside Excel and Word

Why switch to Claude. It's the obvious pick if you're not leaving Microsoft 365. Claude has add-ins for Excel, Word and PowerPoint, plus an Outlook add-in in public beta. Your files and habits stay put; only the AI working inside them changes. If Copilot's Excel formulas let you down, test this first.

Who it fits. Teams that write a lot (contracts, reports, proposals) and teams that live in spreadsheets. The Team plan covers 2 to 150 people.

Who it doesn't fit. Shops still on Office 2016 or 2019: the add-ins need a Microsoft 365 work or school account. Free-plan users neither, since the Microsoft 365 integration starts on Pro.

Its limit. Outlook is still beta, and Claude doesn't read Teams meetings the way Copilot does. Above Pro the jump is steep: Max starts at $100 a month. Our Claude review scores it 4.2 out of 5.

How to switch. Your admin deploys the add-ins from the Microsoft 365 admin center, to a pilot group first. Open a Team workspace and create one Project per department with its reference documents: that's the stand-in for the sources Copilot pulled on its own.

Gemini: the natural exit if you move to Google

For Google Workspace

Why switch to Gemini. Copilot does nothing for a team working in Gmail, Docs and Sheets. Gemini has been included in Google Workspace Business plans since 2025, with no add-on to buy and no second license to defend every year. If you're thinking about leaving Microsoft 365 entirely, this takes the AI question off the table.

Who it fits. Teams already on Google, and teams weighing the move.

Who it doesn't fit. Teams staying in Word and Excel: Gemini doesn't work inside Office files.

Its limit. On Workspace Business Starter, Gemini is limited: it's in Gmail, but Docs, Sheets, Slides, Drive and Meet need Standard or Plus. And you can't opt out, the AI is part of the price. Our Gemini review scores it 4.0 out of 5.

How to switch. Here the migration is your whole office suite. Our guide to leaving Microsoft 365 walks through mail, files and calendars. Pick Business Standard or higher if you want Gemini in Docs and Sheets.

Le Chat by Mistral: the European option

Data in Europe

Why switch to Le Chat. Copilot, ChatGPT, Claude and Gemini all come from US vendors. Le Chat is built by Mistral AI in France and processes and stores data in Europe. If you sell to EU clients who ask where their data goes, that answer matters. It's also cheaper.

Who it fits. Teams with EU data-residency requirements, and teams that want a solid assistant for less. The Team plan includes 30 GB of storage per user, domain verification and data export.

Who it doesn't fit. Heavy web-research users: its web search is still basic. The assistant builder is also thinner than ChatGPT's.

Its limit. No native add-in for Word or Excel, so you work beside Office. SSO, audit logs and self-hosting are Enterprise-only, on a custom quote.

How to switch. Open a Team workspace, verify your domain so staff join with work email, and load the documents Copilot used most into a library. Keep Copilot Chat running in parallel for the first month to compare.

Notion AI: when your team's knowledge lives in a wiki

For documented teams

Why switch to Notion AI. What teams want from Copilot is often to find something internal. If your processes, meeting notes and project pages already live in Notion, its AI searches your pages and databases and answers from your own docs.

Who it fits. Product teams, agencies and startups with a Notion workspace people actually keep up to date.

Who it doesn't fit. Teams whose documents sit in SharePoint and OneDrive. Moving all your knowledge for an AI makes no sense.

Its limit. Full AI requires the Business plan at $20 per member per month, billed annually. Custom agents cost extra: $10 per 1,000 credits. Our Notion review scores it 4.0 out of 5.

How to switch. Start with one space, the one people check most (processes, onboarding), and watch whether people ask Notion instead of Copilot.

Copilot and its alternatives side by side

Our default pick: Claude if you stay in Office, ChatGPT if you want the most complete assistant beside it. For scale, take a team of 10 on annual billing. The Copilot Business add-on runs $2,520 a year at the standard price, on top of Microsoft 365. ChatGPT Business costs $2,400 a year for the same team, Claude Team the same, Le Chat Team just under $3,000. The money is close; usage decides.

Exit plan

Leaving Copilot in seven steps

There's no data export when you leave Copilot. Nothing moves except habits. What matters is seats and timing, and this order keeps you from paying for a year you don't need.

01

Find out who actually uses Copilot

3 months out

The Microsoft 365 admin center has a Copilot usage report per user. Pull it three months before renewal. You'll usually see three groups: daily users, people who opened it twice, and people who never did.

The last two can lose the add-on without losing anything. Copilot Chat stays.

02

Lock in the renewal date and tell your reseller

3 months out

Annual seats auto-renew. If you buy through a CSP partner, tell them before the date: admins on forums keep repeating there's no grace period once renewal passes. Get the exact date and the seat-reduction process in writing.

03

Pilot the alternative with five people

2 months out

Pick five active Copilot users and give them the alternative for a month. ChatGPT Business and Claude Team both start at 2 seats, so five monthly seats cost about $125. Ask each person to redo their three most common Copilot tasks and note what's better and what's missing.

04

Collect the prompts and agents that work

During pilot

Nothing exports from Copilot to another assistant. Ask each team for its favorite prompts and copy them into a shared doc. Agents built in Copilot Studio get rebuilt by hand: a GPT in ChatGPT, a Project in Claude, an agent in Le Chat.

Export
none, copy by hand
05

Write data rules before opening accounts

Before rollout

Copilot inherited Microsoft 365 permissions, so people only saw their own files. An outside assistant sees whatever it's given. Write one page on what can go in (sales docs yes, payroll no) and confirm the business plan keeps your data out of model training.

06

Remove Copilot seats before renewal

1 month out

Unassign licenses in the admin center, then reduce the seat count with Microsoft or your reseller. Unassigning isn't enough: an unassigned seat still renews. Keep one or two if a team truly depends on Teams meeting recaps.

Exit pitfalls

What makes a Copilot exit go wrong

Nobody loses data leaving Copilot. You lose money, or your team's trust. These six mistakes show up again and again on admin forums.

Budgeting on the first-year price

The 2026 discount lasts one year. A budget built on $18 jumps 17% at renewal. Compare alternatives against $21.

Unassigning without reducing

A seat taken from a user is still billed until the count drops on the contract. It's the most expensive oversight on this list.

Cutting Copilot with no warning

A rep whose Copilot suddenly can't see their inbox assumes it's broken. A one-line heads-up the day before saves a pile of tickets.

Leaving people on personal accounts

If you don't provide an alternative, staff go back to personal ChatGPT with no contract covering your data. Dropping Copilot with nothing in its place is worse than staying.

Choosing without a pilot

Complaints about Copilot are specific: Excel, long documents. A month with five people shows whether the alternative beats it there, not in a demo.

Forgetting Teams meetings

Automatic meeting recaps inside Teams are the one thing no alternative replaces one-for-one. Know who depends on them before pulling their seat.

Microsoft Copilot alternatives: FAQ

  • Is there an AI better than Copilot?

For writing and file analysis, many users prefer ChatGPT or Claude, which offer more memory and context. Copilot keeps one edge: it reads your Microsoft 365 email, meetings and files without uploads. Our ranking of AI assistants compares them all.

  • What's the best free alternative to Copilot?

Copilot Chat itself, included with eligible Microsoft 365 plans. Outside Microsoft, ChatGPT, Claude, Gemini and Le Chat all have free tiers. For client documents, skip free accounts: business contracts protect your data better.

  • How much does Microsoft 365 Copilot cost?

$21 per user per month on annual billing, $25.20 month to month, on top of your Microsoft 365 plan. In 2026 a first-year promo brings it to $18 for existing customers. Advanced AI features are billed by usage on top.

  • Is Copilot worth it for small teams?

Only if most of your work runs through Outlook, Teams and SharePoint and people use it daily. Pull the usage report after a quarter: if fewer than half the seats are active, Copilot Chat plus one standalone assistant usually costs less.

  • Copilot or ChatGPT?

Copilot if your value comes from Microsoft email, meetings and files. ChatGPT if you want the strongest general assistant and don't mind uploading a doc. Per seat they cost about the same. See our ChatGPT alternatives for more options.

  • Can I keep Office without paying for Copilot?

Yes. On business plans the Copilot license is an add-on: remove it and Word, Excel and Outlook stay. On consumer plans, Microsoft 365 Basic has no AI features, and "Classic" plans without Copilot have been offered for a limited time at renewal. Ask before you renew.

  • What's the best Copilot alternative for Google Workspace?

Gemini, built into Workspace Business plans with no add-on. Choose Business Standard or higher, since Starter only has it in Gmail. Moving off Microsoft at the same time? Our guide to leaving Microsoft 365 covers it.

  • What about Perplexity or Lumo?

Both show up in US roundups for good reasons. Perplexity is a research engine that cites its sources, handy if you used Copilot mostly to look things up. Lumo by Proton targets privacy-first users. Neither works inside Word or Excel, so we left them out of the ranked list above.

  • Which alternative keeps data in Europe?

Le Chat by Mistral, a French vendor, processes and stores data in Europe. Its Enterprise plan can also run in your own environment, on a custom quote.

  • Looking to replace GitHub Copilot instead?

That's a different product: the coding assistant. Claude Code, Cursor and Codex are its rivals. Our guide to switching from GitHub Copilot compares them one by one.
