Pendo alternatives: where to go and how to switch without losing anything

Seven destinations, one per reason for leaving, and a seven-step migration plan.

The short answer: Userpilot if your Pendo contract still has months left and you want analytics and guides together, Appcues if you want your guides rebuilt for you, PostHog if you kept Pendo mostly for analytics, Chameleon if guides must match your design, Product Fruits or UserGuiding if budget is tight. One thing to know first: Pendo doesn't export guide content, and raw event export runs through Data Sync, which only comes with the Ultimate plan. We compared the seven destinations in this guide and checked their prices in 2026.

The real reasons

Why teams leave Pendo, and why it takes so long

Pendo is a deep product, and users often praise its support. People rarely leave for missing features. They leave over the bill, how it scales with growth, and the moment they find out what stays locked inside. Six reasons, all checked in 2026.

No public pricing

Every paid plan (Base, Core, Ultimate) is "request pricing". The price blends your MAU volume and the modules you pick, with cost per MAU falling as volume rises. Two companies of the same size can pay very different amounts, and review sites carry complaints that the price seems to depend on what the buyer will pay.

A bill that tracks your growth

More active users means a bigger contract. In Pendo's own community, a customer describes hunting for their real MAU count to prepare a renewal, with no simple answer. Buyers also report firm increases at renewal. The advice that keeps coming back: get a renewal cap in writing before you sign.

Sampled reports past your limit

Exceed your MAU threshold and Pendo computes reports on a daily random sample equal to that threshold. The further over you go, the less accurate your data. Pendo's own example: 500 users analyzed out of 10,000. Everyone still sees your guides, but adoption metrics turn into estimates.

The free plan freezes at 500 MAU

Pendo Free has no time limit up to 500 MAU, with analytics, guides, a roadmap and Pendo-branded NPS. Past that, you can't create new guides, NPS surveys or segments, only edit existing ones. For a product that's taking off, that's a wall.

A steep learning curve

Tagging pages and features takes time, and styling guides often means writing CSS. On review sites, the learning curve is the most cited complaint, with users talking about months to master the tool and painful setups on complex web apps.

A hard exit

Guide content doesn't export: steps, styling and targeting get rebuilt elsewhere. Raw event export goes through Data Sync, on Ultimate only; other plans get the hourly Aggregation API and report exports. And classic Feedback was retired in 2026 in favor of Listen, with old data permanently deleted after the retrieval window.

The 7 alternatives

Pendo alternatives, tool by tool

For each tool: why move there, who it fits, its catch, how to migrate from Pendo, and what it costs. Prices are what vendors list in 2026, in US dollars. MAU means monthly active users, the billing unit of almost this whole market.

01

Userpilot: when your Pendo contract still has months to run

Contract buyout

Why move to Userpilot. It's the closest match to Pendo's promise: in-app guides, product analytics and surveys in one place. The difference is a published price. Starter is $299/month for up to 2,000 monthly active users (MAU), with 3 seats, 10 segments and one year of data. Growth starts at $849/month and adds advanced analytics, autocapture, a resource center and 5,000 session replays a month, with three years of data.

The move most buyers miss. Userpilot runs an offer for Pendo customers, valid through the end of 2026: free access until your Pendo contract ends, free migration (historical events imported, guides and surveys rebuilt), and 50% off the renewal price Pendo quoted you. If you have a renewal quote on your desk, that's the strongest lever on the market.

Who it's for. SaaS product teams with a few thousand to a few tens of thousands of MAU that want analytics and guides under one roof.

Who it's not for. A tiny user base that only needs three tooltips. $299/month is a lot for that.

The catch. Bulk import and export, data warehouse sync and mobile are paid add-ons on top of Growth. Add them up before comparing with your Pendo quote.

How to migrate. Ask for the switch offer before you send Pendo your notice. Userpilot's team imports your history and rebuilds your guides; your job is to hand over the export and the list of guides worth keeping.

02

Appcues: when you want someone else to rebuild your guides

No-CSS builder

Why move to Appcues. Appcues lives and breathes in-app flows: product tours, checklists, tooltips, announcements. Its pitch against Pendo is a visual builder you style without writing CSS, plus a migration service sold among its premium services. Appcues says it brings over your existing guides, segments and dashboards.

The billing detail that matters. Dormant accounts aren't billed, and if you go over your user limit, your flows keep showing. At Pendo, overage degrades your reports; at Appcues, it's a conversation at renewal, not an outage.

Who it's for. Product and customer success teams that ship a lot of flows and want to publish them without engineering.

Who it's not for. Teams whose first need is deep product analytics. Appcues measures your flows; it doesn't replace an analytics tool.

The catch. No public prices. Plans differ by published experiences and history: Start up to 3,000 MAU, 10 experiences, 12 months of history; Grow from 3,000 MAU, 25 experiences, 24 months; Enterprise, 100 experiences and 36 months. The no-card trial opens after a call.

How to migrate. Appcues itself estimates 3 to 5 months to evaluate and roll out. Start at least a quarter before your Pendo renewal date.

PostHog: if you kept Pendo mostly for analytics

Free to start

Why move to PostHog. Plenty of teams pay Pendo for usage reports more than for guides. PostHog is an analytics-first platform with session replay, surveys and feature flags. The first 1 million events each month are free, which covers a lot of early-stage products.

The move most buyers miss. PostHog publishes an official Pendo migration guide: export through Pendo Data Sync, convert the schema (a Pendo load becomes a $pageview), then import flagged as a historical migration. It's the only destination on this list that documents raw-history import step by step.

Who it's for. Technical teams comfortable writing the odd query, who want analytics without an annual contract.

Who it's not for. Customer success teams that need to publish guides on their own: PostHog lists no product tours module on its 2026 pricing page, so guides will need a second tool.

The catch. Historical import requires a paid PostHog plan, and Pendo Data Sync only comes with Ultimate. If you're not on Ultimate, your raw history won't leave this way.

How to migrate. Run PostHog alongside Pendo now: every day of dual tracking is a day of history you won't have to import. You can wire it into the rest of your stack with the PostHog n8n integration.

Chameleon: for guides that look like your product

Design control

Why move to Chameleon. If your complaint about Pendo is that guides never quite match your UI, Chameleon is built for that: themes, styling and fine targeting. Prices are public. Startup starts at $279 for 2,000 monthly tracked users and 10 live experiences. Pro starts at $750/month for 5,000 tracked users billed monthly, and Growth at $1,250/month billed annually.

Who it's for. Product teams with a designer in the loop who refuse generic tooltips.

Who it's not for. Teams that want one tool for everything. Chameleon's analytics measure your experiences; they don't replace product analytics.

The catch. Add-ons stack up. SSO alone is $400/month on Pro. Price it with every option your security team will ask for, not the sticker price.

How to migrate. Build your theme once, then rebuild guides one by one. Slower at first, fast after that.

UserGuiding: so you don't pay for two tools during the switch

Clear pricing

Why move to UserGuiding. The simplest option for a small team that mostly used Pendo for guides. Starter is from $249/month billed monthly, Growth from $499, on a base of 2,000 MAU, with up to 30% off on annual billing.

The move most buyers miss. UserGuiding is free until your contract with a competitor ends, and helps recreate your guides, checklists and surveys. No double subscription during the overlap weeks.

Who it's for. SMBs and startups that want tours, an in-app help center and surveys, without a big analytics project.

Who it's not for. Teams living in funnels and retention charts. Analytics stay light.

The catch. Go over your MAU limit and your content stops showing. No surprise fees, but new users see nothing. Watch the counter before a big acquisition push.

How to migrate. List the Pendo guides that still get views, send them with your segments to the UserGuiding team, and install the snippet on staging before production.

Product Fruits: the cheapest serious option

Tight budget

Why move to Product Fruits. The Prague-based vendor has the lowest prices on this list: Starter at $111/month billed annually for 1,500 MAU, Pro at $187, Business at $374. For a few thousand users, the gap with a Pendo contract is measured in multiples.

The reassuring detail. If you exceed your limit, the tool keeps working for every user. Nobody loses their onboarding mid-month because your product grew.

Who it's for. Small product teams and startups that want tours, a getting-started checklist and a help center without a sales call.

Who it's not for. Large organizations that need advanced analytics and a dedicated account manager.

The catch. No partial refunds. Go annual and change your mind, you pay the year. Start with the no-card trial, then monthly if you're unsure.

How to migrate. No Pendo guide import is advertised, so you rebuild. Start with your five most-viewed guides.

Userflow: a fast flow builder, nothing more

Builder only

Why move to Userflow. Userflow focuses on building in-app flows: tours, checklists, a resource center. It doesn't try to be a full analytics suite. A good fit if the only part of Pendo you really used was the guide editor.

Who it's for. Small product teams that publish their own flows and already run analytics elsewhere, PostHog for example.

Who it's not for. Teams that want one tool to replace guides, analytics and feedback.

The catch. We found no Pendo contract buyout or guide import from Userflow, so plan a manual rebuild. Pricing scales with MAU: check the pricing page with your real number in hand.

How to migrate. Pair it with your analytics tool from day one, so new flows are measured on the same events as your reports.

Migration plan

Switch from Pendo in seven steps

Order matters, and the date that drives everything isn't technical: it's your Pendo contract end date. Count backward from it.

01

Read your contract before you talk to anyone

T-120 days

Find three things: the end date, the notice period and the auto-renewal clause. Note your contracted MAU too; every other vendor will ask for it. If you end up staying, this is also when you negotiate a written renewal cap and no auto-renewal.

Time
one hour
Risk if rushed
another year paid for nothing
02

Inventory the guides that actually get used

T-90 days

Pull every guide, survey and segment with its views over the last three months. In most accounts, a handful of guides gets most of the views. Rebuild those first. Screenshot each kept guide step by step with its targeting: since nothing exports, that's your spec.

Output
one row per guide
Tip
sort by 90-day views
03

Export what can leave

T-60 days

Three paths, depending on your plan. On Ultimate, Data Sync pushes raw events (Avro files) to S3, Google Cloud Storage, Azure or Snowflake; ask your Pendo rep, with a subscription admin. Other plans get hourly aggregates in JSON from the Aggregation API. Everyone can export visitor and account lists from reports. If you used classic Feedback, retired in 2026, make sure its data is retrieved: it gets deleted afterward.

Other plans

04

Rebuild your tracking plan in the new tool

T-45 days

Much of Pendo's measurement relies on visual tagging, and those rules don't leave. Write down the 10 to 20 actions that matter (signup, first value, teammate invite) and send them explicitly from your code. More work up front, but these events stop breaking every time a screen is redesigned.

Target
10 to 20 key events
Who
one engineer, a few days
05

Rebuild the most-viewed guides first

T-30 days

Work down your inventory by views and trim as you go: a seven-step tour people abandon at step three deserves three steps. If your new vendor offers to rebuild (Userpilot, Appcues, UserGuiding), hand them the screenshots.

Order

06

Run both tools in parallel

T-21 days

Install the new snippet next to Pendo's, but show each guide in only one tool: two overlapping tooltips lose a user. Freeze Pendo content and compare numbers for two to three weeks. A big gap on the same event means a missing tag.

Time
2 to 3 weeks
Rule
one tool per guide
07

Cut Pendo out cleanly

Day 0

Remove the Pendo snippet from your app, site and staging. A forgotten snippet keeps counting MAU and can slow your UI: one software vendor saw its web interface noticeably slowed by Pendo's script. Send your notice in writing, on time, and keep your exports outside Pendo.

Migration pitfalls

What makes a Pendo exit fail

The same mistakes keep showing up in vendor guides and forums. None of them is really technical: they're about timing and things forgotten.

Starting too late

Appcues itself plans 3 to 5 months to evaluate and roll out. Start one month before renewal and you'll sign another year in a hurry.

Assuming guides will follow

Guide content doesn't export. Without screenshots and an inventory, you rebuild from memory and miss the one guide that unblocked half your new users.

Learning late that history needs Ultimate

Without Data Sync, raw history stays at Pendo. Ask your rep before the contract ends, or start dual tracking early to build clean history elsewhere.

Comparing different units

MAU, tracked users, dormant accounts in or out, published experiences: every vendor counts differently. Get a price on your real number plus one year of expected growth.

Forgetting internal apps

If you used Pendo to train employees on internal tools, the destinations here aren't the right ones. Look at Whatfix or the tools in our guide to switching from WalkMe.

Leaving the snippet in place

A forgotten Pendo snippet keeps counting and loading. Search your codebase and tag manager on cutover day.

  • End date and notice period noted
  • Guide inventory with 90-day views
  • Screenshots of every kept guide
  • Exports downloaded and stored outside Pendo
  • Tracking plan written and sent from code
  • One tool per guide during the parallel run
  • Pendo snippet removed everywhere on cutover day
FAQ · 8 questions

Pendo alternatives: frequently asked questions

  • How much does Pendo cost?

Pendo doesn't publish prices for Base, Core or Ultimate; every paid plan is a quote. The price depends on your MAU and modules, with cost per MAU dropping as volume grows. A full 30-day trial is opened through sales.

  • Is Pendo free?

Yes, up to 500 MAU with no time limit: analytics, guides, a roadmap and Pendo-branded NPS. Past 500, you can only edit existing guides, surveys and segments, not create new ones.

  • What's the best free Pendo alternative?

PostHog, if analytics is the main need: the first 1 million events a month are free. For in-app guides, no serious option here has a lasting free plan; Product Fruits is the cheapest at $111/month billed annually. Our best product analytics tools ranking covers more options.

  • Can I export my Pendo guides?

No. Pendo exports guide events (views, clicks, with timestamps and URLs), not guide content. Steps, styling and targeting get rebuilt. Userpilot, Appcues and UserGuiding offer to do it for you, and Produktly advertises moving guides, segments and NPS in five business days.

  • What happens when I go over my Pendo MAU limit?

Nothing stops: every visitor still sees your guides. But reports run on a daily sample equal to your threshold, so they get less accurate the further over you go. On paid plans, sales reaches out to adjust the contract.

  • Pendo vs Appcues: which should I pick?

Appcues if guides are the job and you want a no-CSS builder with a migration service on offer. Pendo if you need product analytics, roadmaps and in-app guides in a single contract at large scale. Neither publishes prices, so get both quotes on the same MAU number.

  • How long does a Pendo migration take?

From a few weeks to several months. Rebuilding a handful of guides takes days; Appcues plans 3 to 5 months for a full evaluation and rollout. The tracking plan and two to three weeks of parallel running are what stretch the project.

  • Does Pendo host data in the EU?

Yes, on request: Pendo runs a separate EU environment on Google Cloud multi-region, with no personal data stored outside the EU. It also offers US, Japan and Australia hosting.
