What you can automate

What can the Alegra Make integration do for your invoicing?

The Alegra Make integration links your Alegra account to Make, a no-code tool where you build scenarios: automations made of modules, each module being one brick such as a trigger, an action or a search. Its 31 modules spot new contacts, estimates, invoices and items, then create, send, update or delete records without you opening Alegra.

Estimates that go out on their own. Watch Estimates notices each estimate your sales team creates, and Send an Estimate emails it right after. Nobody has to remember the sending step anymore.

A product catalog that matches your other tools. When a product changes somewhere else, Search Items finds the matching Alegra item and Update an Item brings it in line, so the next invoice uses the current version.

Contacts that follow the customer. Watch Contacts pushes each new Alegra contact to your CRM, and Create a Contact does the reverse when a lead signs in another app.

Two limits to know before you start. The four triggers are scheduled: Make checks Alegra on the scenario's clock rather than being alerted the moment a record appears, and they only report new records. Anything the 31 modules do not cover goes through Make an API Call. To judge the tool as a whole, read the Make review; if n8n is also on your shortlist, n8n vs Make lays out the criteria, and Make pricing details the plans.

Connect

How do you connect your Alegra account to Make?

  1. 01

Copy your API credentials in Alegra

In Alegra, open the Solutions section and choose Administrar mis soluciones, then Integraciones and Integración Manual (API). Copy the email shown as your user and the API token displayed on that screen.

  2. 02

    Start the connection in Make

Add any Alegra module to your scenario and click Create a connection. A connection is your Alegra account linked to Make once, and every Alegra module reuses it. Filling the Connection name field is optional, yet handy when you manage several accounts.

  3. 03

    Paste the credentials and confirm

Enter the email and the API token you copied, or follow the instructions Make displays, then save. From there, Make can read your contacts, estimates, invoices and items when you fill in a module.

First scenario

Your first scenario: email every new Alegra invoice

GoalWhen a new invoice is created in Alegra, Make sends it by email.

  1. 01

    Create the scenario

From the Scenarios page, create a new scenario and click the +. Search for Alegra, pick Watch Invoices and select the connection you just set up.

  2. 02

    Set up the trigger

Fill in the fields Make shows for Watch Invoices. Since the connection exists, Make lists what it can read in your Alegra account, so you choose from a menu instead of typing values.

  3. 03

    Add the sending module

Click the + to the right of Watch Invoices and choose Send an Invoice. Map the invoice returned by the trigger into this module, so each new invoice is the one that goes out.

  4. 04

    Test it with Run once

Create a test invoice in Alegra, then click Run once. Make runs the scenario a single time; read the bundles each module received to confirm the right invoice was sent.

  5. 05

    Schedule and switch it on

Open Scheduling on Watch Invoices: a new scenario runs every 15 minutes by default, which is also the shortest interval on the Free plan. Switch the scenario on and Make keeps checking for you.

Triggers

Triggers: what starts an Alegra scenario

4 modules start a scenario when something happens in Alegra. A scheduled trigger is checked by Make on the scenario's schedule; an instant one is called by Alegra as soon as it happens.

Alegra1Watch Contacts

Watch Contacts

Scheduled trigger

In MakeTriggers when a new contact is created.

Watch Contacts hands your scenario every contact created in Alegra, one bundle per contact (a bundle is one item passed from a module to the next). It is the starting point for anything that should happen once a new customer record exists.

How it fires
scheduled. Make checks Alegra on the scenario's schedule, every 15 minutes by default, and collects the new contacts it finds.
When to use it
copying each new Alegra customer into your CRM or mailing tool without retyping a single field.
Watch out
it reports newly created contacts only; an edit to an existing contact does not start the scenario.
Alegra2Watch Estimates

Watch Estimates

Scheduled trigger

In MakeTriggers when a new estimate is created.

Every estimate your team drafts in Alegra can kick off a follow-up with Watch Estimates. Each new estimate arrives as its own bundle, ready to be sent, logged or shared with sales.

How it fires
scheduled. Make queries Alegra at the rhythm set on the scenario's clock, so a fresh estimate appears at the next check, not the second it is saved.
When to use it
posting each new estimate in your team chat, or chaining Send an Estimate so the prospect receives it without a manual click.
Watch out
it catches creations, not revisions, so a reworked estimate will not come through again.
Alegra3Watch Invoices

Watch Invoices

Scheduled trigger

In MakeTriggers when a new invoice is created.

This is the trigger most Alegra scenarios start from: Watch Invoices returns each invoice created in your account, one bundle apiece, with its details available to the next modules.

How it fires
scheduled. Make looks at Alegra on the scenario's schedule; the Free plan allows one check every 15 minutes at most, paid plans go down to 1 minute.
When to use it
sending each invoice by email, archiving it in a spreadsheet for your accountant, or alerting the account manager.
Watch out
every invoice found counts as an operation, one execution of one module that Make deducts from your plan.
Alegra4Watch Items

Watch Items

Scheduled trigger

In MakeTriggers when a new item is created.

Watch Items tells your scenario when a product or service is added to your Alegra catalog, so other tools learn about it without anyone copying it over.

How it fires
scheduled. Make asks Alegra for new items each time the scenario's clock runs, every 15 minutes unless you change the setting.
When to use it
publishing a new service in your online store or in a shared price sheet once Make spots it at the next check.
Watch out
only new items come through; a price or name change on an existing item needs Search Items or Get an Item instead.
Modules

Alegra modules: what each one does for you

Alegra gives you 27 modules. For each one: what it does for you, when to reach for it, and what to watch out for.

Alegra1

Cancel an Invoice

Action

In MakeCancels invoice by ID.

Cancel an Invoice takes the ID of a sales invoice and cancels it in Alegra. Do not mix it up with Delete an Invoice, a separate module that removes the invoice altogether.

When to use it
an order refunded in your shop whose invoice must be canceled instead of erased.
Watch out
it needs the exact invoice ID, so place Search Invoices or a trigger before it.
Alegra2

Create a Contact

Action

In MakeCreates a new contact.

With Create a Contact, a lead captured anywhere becomes an Alegra contact you can bill, with no copy and paste between tabs.

When to use it
a signed form, a closed deal in your CRM or a first order in your store, where the buyer must exist in Alegra before the invoice.
Watch out
run Search Contacts first if the person may already exist, otherwise you end up with duplicates.
Alegra3

Create an Estimate

Action

In MakeCreates a new estimate from scratch.

Create an Estimate builds a new estimate in Alegra from data your scenario already holds, so a quote request turns into a real document without retyping.

When to use it
a prospect fills in a quote form on your site and you want the estimate waiting in Alegra for review.
Watch out
an estimate is addressed to a customer, so if that person may not exist in Alegra yet, add Search Contacts or Create a Contact earlier in the scenario.
Alegra4

Create an Invoice

Action

In MakeAllows you to create a sales invoice from scratch.

Your sales invoices can be issued straight from another app: Create an Invoice writes a new one in Alegra from scratch, using the customer and lines your scenario passes along.

When to use it
a paid order in an online store, a signed contract, or a finished project in your task tool.
Watch out
test it with Run once on sample data first, since a real invoice lands in your accounting.
Alegra5

Create an Item

Action

In MakeCreates a new item.

Create an Item adds a product or service to your Alegra catalog, which keeps invoice lines consistent with what you actually sell.

When to use it
a new product goes live in your store or inventory tool and should be billable in Alegra on the same day it launches.
Watch out
check with Search Items that the item is not already there, or your catalog fills up with look-alikes.
Alegra6

Create a Tax

Action

In MakeCreates a new tax.

Need a new tax rate available for billing? Create a Tax registers it in Alegra from your scenario, alongside the ones you already use.

When to use it
setting up several Alegra accounts the same way, where each one needs the same tax list without manual entry.
Watch out
run List Taxes before creating one, because a duplicate tax makes the choice confusing on every future invoice.
Alegra7

Delete a Contact

Action

In MakeDeletes a contact by ID.

Delete a Contact removes a contact from Alegra using its ID, which keeps your customer list free of test entries and records nobody needs anymore.

When to use it
a cleanup scenario that follows deletions made in your CRM, so both tools list the same people.
Watch out
a delete cannot be undone from Make; make sure only the contacts you mean to remove reach this module.
Alegra8

Delete an Estimate

Action

In MakeDeletes an estimate by ID.

Delete an Estimate erases an estimate by its ID, so drafts that lead nowhere stop cluttering your Alegra list.

When to use it
a deal marked as lost in your CRM, whose matching estimate should disappear from Alegra as well.
Watch out
nothing brings the estimate back afterwards, so feed the module the ID from Search Estimates and test on a dummy document before you switch the scenario on.
Alegra9

Delete an Invoice

Action

In MakeDeletes an invoice by ID.

Unlike Cancel an Invoice, Delete an Invoice removes the invoice from Alegra entirely, based on its ID.

When to use it
clearing invoices created by mistake during your tests, or duplicates generated by an earlier version of a scenario.
Watch out
for an invoice that was really issued, ask your accountant whether canceling fits better; a deletion cannot be reversed from Make.
Alegra10

Delete an Item

Action

In MakeDeletes an item by ID.

Delete an Item takes a product or service out of your Alegra catalog through its ID, so discontinued offers no longer show up when someone builds an invoice.

When to use it
a product is withdrawn from your store and the catalog in Alegra should follow.
Watch out
the item is gone for good once the module runs, so confirm the ID with Get an Item beforehand.
Alegra11

Get a Contact

Action

In MakeGets a contact registered in the application by ID.

Get a Contact reads the full record of one Alegra contact when you already know its ID, and passes every detail to the next module.

When to use it
an invoice arrives from Watch Invoices and you need the customer's details to write a personal email or fill a CRM record.
Watch out
without an ID, it cannot find anyone; use Search Contacts when all you have is a name or an email.
Alegra12

Get an Estimate

Action

In MakeGets an estimate registered in the application.

When a scenario only holds an estimate reference, Get an Estimate fetches the complete document from Alegra so the following modules work with fresh data.

When to use it
before sending a reminder to a prospect, to check the estimate as it stands now rather than as it was created.
Watch out
it returns one estimate; to go through a batch of them, Search Estimates is the right starting point.
Alegra13

Get an Invoice

Action

In MakeAllows you to consult a sales invoice registered in the application

Get an Invoice pulls one sales invoice from Alegra so you can reuse its content elsewhere, in a report, a message or another accounting tool.

When to use it
a customer asks about a specific invoice in your help desk and the ticket should show its details automatically.
Watch out
it expects the invoice ID; if you start from a customer name, place Search Invoices before it to find that ID.
Alegra14

Get an Item

Action

In MakeGets an item registered in the application.

Get an Item returns the current record of one product or service in your Alegra catalog, which is useful when another tool must show the same information.

When to use it
building a quote in another app and wanting the item exactly as Alegra holds it.
Watch out
one ID, one item; for a broader lookup by name, switch to Search Items, which can return several results.
Alegra15

Get a Tax

Action

In MakeGets a tax registered in the application.

Get a Tax reads a single tax registered in Alegra, so your scenario can reuse its details rather than hard-coding them in each module.

When to use it
a scenario that prepares invoice lines in another tool and has to apply the same tax Alegra uses.
Watch out
you need the tax ID; List Taxes gives you every tax and its ID if you do not have it at hand.
Alegra16

Make an API Call

Action

In MakePerforms an arbitrary authorized API call.

Make an API Call covers whatever the other modules leave out: it lets your scenario call any endpoint of the Alegra API, reusing the connection you already created.

When to use it
an Alegra feature you need has no dedicated module in the list, and you know which API endpoint handles it.
Watch out
you write the request yourself, so keep the Alegra API documentation open and test each call with Run once.
Alegra17

Send an Estimate

Action

In MakeSends an estimate by email.

Send an Estimate emails an Alegra estimate to its recipient, which closes the loop between drafting a quote and the prospect actually receiving it.

When to use it
right after Create an Estimate or Watch Estimates, so every quote leaves without someone opening Alegra to press send.
Watch out
if some estimates need a manager's review, put a check before this module, or they will go out unchecked.
Alegra18

Send an Invoice

Action

In MakeSends a mail order invoice.

Send an Invoice gets an Alegra invoice into your customer's inbox by email, so billing does not wait for someone to find the time.

When to use it
as the second step of the first scenario above, after Watch Invoices, or after Create an Invoice when an order is paid.
Watch out
sending is visible to the customer, so run your tests on an invoice addressed to your own email.
Alegra19

Update a Contact

Action

In MakeUpdates a contact.

Update a Contact changes an existing Alegra contact, so a new address or phone number entered elsewhere reaches your invoices too.

When to use it
a customer edits their profile in your store or CRM and the billing record in Alegra should match it.
Watch out
find the right contact with Search Contacts first; updating the wrong ID quietly overwrites someone else's details.
Alegra20

Update an Estimate

Action

In MakeUpdates an estimate.

Update an Estimate edits an estimate already stored in Alegra, handy when the terms move during a negotiation and you would rather not start the document over.

When to use it
a sales rep changes the deal amount in your CRM and the estimate in Alegra should follow automatically.
Watch out
an estimate already sent will not update in the prospect's inbox; send it again with Send an Estimate if needed.
Alegra21

Update an Invoice

Action

In MakeUpdates an invoice by ID.

Update an Invoice modifies an Alegra invoice identified by its ID, for fixes that come from another system rather than from manual edits.

When to use it
an order is adjusted in your store after the invoice was created and the two documents must agree.
Watch out
invoicing rules differ from one company to another, so check with your accountant which invoices your scenario may touch.
Alegra22

Update an Item

Action

In MakeUpdates an item by ID.

Keep your Alegra catalog current from another tool: Update an Item rewrites a product or service identified by its ID with the data your scenario provides.

When to use it
a price or a description changes in your inventory tool and the next invoice should reflect it.
Watch out
pair it with Search Items to get the right ID, especially when several items have similar names.
Alegra23

List Taxes

Search

In MakeLists taxes registered in the application.

List Taxes returns every tax registered in your Alegra account, each as a separate bundle your scenario can handle one by one.

When to use it
finding the ID of the tax to apply before creating an invoice, or exporting your tax setup to a spreadsheet.
Watch out
each tax returned becomes a bundle, and the modules placed after it run once per bundle, which multiplies your operations.
Alegra24

Search Contacts

Search

In MakeSearches for contacts registered in the application.

Search Contacts looks through your Alegra contacts and returns the matches, from zero to many, which is how you find an ID when all you know is who the person is.

When to use it
before Create a Contact to avoid a duplicate, or before Update a Contact to target the right record.
Watch out
when nothing matches, the next modules receive nothing; plan for that case in your scenario.
Alegra25

Search Estimates

Search

In MakeSearches for estimates registered in the application.

Search Estimates finds the Alegra estimates matching your criteria and passes each one down the scenario, which makes batch work on quotes possible.

When to use it
listing the estimates of one customer for a follow-up email, or collecting open quotes into a sales report.
Watch out
a broad search can return many bundles, and each one costs operations in the modules that follow.
Alegra26

Search Invoices

Search

In MakeSearches for sales invoices registered in the application.

Search Invoices retrieves the sales invoices that fit your criteria, so reporting and reminders can start from Alegra itself instead of a manual export.

When to use it
gathering the invoices of one customer for a statement, or finding the ID that Cancel an Invoice or Update an Invoice needs.
Watch out
the search may return several invoices; narrow your criteria when the next module should act on only one.
Alegra27

Search Items

Search

In MakeSearches for products or services registered in the application.

Search Items browses the products and services in your Alegra catalog and hands back the ones that match, ready for an update, a check or a comparison.

When to use it
syncing a catalog with an online store, where each product must be matched to its Alegra item before any change.
Watch out
no result means the item does not exist yet, which is exactly the case where Create an Item should take over.

FAQ

Alegra and Make: common questions

01Is the Alegra Make integration free?
Yes, on the Make side. Alegra is a standard app, available from the Free plan. That plan allows 2 active scenarios, a minimum of 15 minutes between scheduled runs, 5 minutes of execution per run, files up to 5 MB and 512 MB of data transfer. Paid plans (Core, Pro, Teams and Enterprise) lift the interval to 1 minute and remove the cap on active scenarios, with usage counted in operations per month. Your Alegra subscription is separate: the doc requires an active Alegra account.
02What do you need to connect Alegra to Make?
An active Alegra account and its API credentials. In Alegra, open the Solutions section, choose Administrar mis soluciones, then Integraciones and Integración Manual (API). Copy the email shown as your user and the API token. In Make, add an Alegra module, click Create a connection, optionally name it, and paste both values. The connection is then shared by every Alegra module in your scenarios, so this step happens only once.
03Do Alegra triggers in Make fire the moment a record is created?
No. All four Alegra triggers (Watch Contacts, Watch Estimates, Watch Invoices and Watch Items) are scheduled, which means Make checks Alegra on the scenario's schedule rather than being called by Alegra. A new scenario checks every 15 minutes by default. On the Free plan, 15 minutes is also the shortest interval; paid plans can go down to 1 minute. A new invoice therefore reaches your scenario at the next check, not instantly.
04What if the Alegra module you need is missing in Make?
Use Make an API Call. This module can reach any endpoint of the Alegra API with the connection you already set up, so it covers what the 31 listed modules do not. You write the request yourself, which requires reading the Alegra API documentation. If the need sits outside Alegra altogether, another app from the Make catalog, which counts more than 3,000 standard apps, can take over that step of the scenario.
05Should you choose Make or n8n for Alegra?
It depends on your team rather than on Alegra. On Make, Alegra comes with 31 ready-made modules, a connection built from an email and an API token, and a visual editor where you test each step with Run once. The same app often has an n8n node too, so check that side before deciding. The fair comparison looks at which tool your team already uses, who maintains the scenarios, and which plan fits your volume.
