Overview

What the 1CRM Zapier integration actually does for you

Connecting 1CRM to Zapier means building a Zap: the automation you set up once on Zapier, made of one trigger (the event that starts it) and one or more actions (what it then does for you). On 1CRM, every trigger watches a record type being created or edited, and every action creates or updates one.

Three results people usually want from it. A sales rep gets a ready-made to-do the moment a lead lands: New or Updated Lead feeds Create / Update Task. Finance sees each new payment logged elsewhere, because New or Updated Payment can push the amount into a sheet or a chat channel. And a signed deal stays in sync: New or Updated Opportunity leads to Create / Update SalesOrder, with Find Account in between to attach the order to the right customer.

What Zapier does not do here: there is no delete operation, no way to send an email from 1CRM, and nothing on documents, projects or calendars. The 27 operations cover nine record types (accounts, contacts, leads, opportunities, quotes, sales orders, invoices, payments and tasks) and only three verbs: notice a change, create or update, find. If your plan involves anything else, it will have to happen in another app of the Zap.

No n8n or Make page exists yet for 1CRM on this site. If you are weighing tools, read the Make vs Zapier comparison and the Zapier review.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are, once, in plain English.

Zap
The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for it to happen.
Action
The step that does the work after the start: it writes, sends or moves something for you in an app.
Task
What Zapier bills you for: one action that completed successfully. Your plan's allowance is a count of those.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap carry on only when what arrived matches your condition, and stops it quietly otherwise.
Search step
A step that looks up a record that already exists, so the steps after it can reuse what it found.
Connection
Your 1CRM account, linked to Zapier one time, then reused by every step of every Zap that touches 1CRM.
Cost

What a 1CRM Zap really costs

1CRM is not a premium app, so it runs on the free plan. The trigger costs nothing, and neither does Zapier listening for changes.

  • Free plan100 tasks per month, unlimited Zaps
  • Steps on the free plan2 (one trigger, one action)
  • Premium appNo
  • 1CRM triggers that wait for a timer0 of 9

You pay in tasks: one per action that succeeds, so a Zap with three actions burns three times more than a one-action Zap. A failed action is not counted, and checking 1CRM for changes is free. The free plan stops at two steps, though: as soon as you add a second action, a filter or a Find step, the Zap becomes multi-step and needs a paid plan. The interval grid below only matters for polling triggers, and 1CRM has none.

Connect

Connect your 1CRM account to Zapier

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A dialog opens with a search box: type 1CRM and pick it from the list of results.

  2. 02

    Sign in to 1CRM

Click Add connection. A new tab opens on the 1CRM sign-in page: sign in with your 1CRM account, the one that can reach the records your Zaps will read or update.

  3. 03

    Grant access and reuse it

Allow Zapier to access the account. The connection is now stored, and every 1CRM step you add later will offer it in a dropdown, so you only do this once per account.

First Zap

Your first 1CRM Zap, step by step

GoalEvery opportunity created or edited in 1CRM gets a follow-up task, but only when it matches the condition you set.

  1. 01

    Build the trigger

Create a Zap, pick 1CRM as the app that starts it and New or Updated Opportunity as the event. Select the connection you set up above.

  2. 02

Test it on a real record

Run the trigger test. Zapier brings back the three most recent opportunities of the account, so pick one that looks like the deals you care about.

  3. 03

    Add the filter

From the plus icon, add Filter, then fill the field to look at, the rule and the value. Use a text rule on text. The filter makes this a multi-step Zap, so a paid plan.

  4. 04

    Add the action

Add 1CRM again, choose Create / Update Task and map the opportunity name into the task so the rep knows what it is about.

  5. 05

    Test, then publish

Test the action once and check the task in 1CRM. Then click Publish: the Zap is on and reacts from now on, not to older opportunities.

Triggers

The 9 1CRM triggers

9 events start a Zap when something happens in 1CRM, and 9 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New or Updated Account

Instant trigger

In Zapier“Triggers when an account is created or updated.”

Starts your Zap each time a company record appears in 1CRM or one of its fields changes, and hands the whole account to the next steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keeping a customer list in a spreadsheet or a billing tool aligned with what your team types into 1CRM.
Watch out
an edit counts as much as a creation, so every edit to an account starts the Zap again. Add a filter if only new ones matter.
2

New or Updated Contact

Instant trigger

In Zapier“Triggers when a contact is created or updated.”

Fires on any person record: a contact added by hand, imported, or simply corrected. The Zap receives that contact with the fields 1CRM holds on them.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
adding each new contact to a mailing list, or flagging a changed phone number to whoever handles the account.
Watch out
if a later step of the same Zap edits that contact in 1CRM, the edit sets the trigger off again and you get a loop.
3

New or Updated Invoice

Instant trigger

In Zapier“Triggers when an invoice is created or updated.”

Reacts when an invoice is issued in 1CRM or touched afterwards. You get the invoice record as the starting point.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
posting each new invoice to the finance channel, or copying it into an accounting sheet the bookkeeper already follows.
Watch out
the trigger does not tell a creation from an edit. If you only want fresh invoices, filter on a field that shows it, and keep in mind a filter means a paid plan.
4

New or Updated Lead

Instant trigger

In Zapier“Triggers when a lead is created or updated.”

Kicks off when a prospect is entered in 1CRM or their lead record is edited. It is one of the three triggers Zapier puts forward for this app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
giving a sales rep a follow-up task or a chat ping while the prospect still remembers filling in your form.
Watch out
a lead imported in bulk arrives as a burst of events, and Zapier can hold back a sudden flood like that.
5

New or Updated Opportunity

Instant trigger

In Zapier“Triggers when an opportunity is created or updated.”

Opens the Zap whenever a deal is created or any of its details shift. The opportunity record goes to the next step.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
starting the paperwork the moment a deal reaches the stage your team treats as won.
Watch out
sales reps edit deals often. Without a filter on the stage, every small edit runs your actions and spends tasks.
6

New or Updated Payment

Instant trigger

In Zapier“Triggers when a payment is created or updated.”

Responds to a payment being recorded in 1CRM or amended later, and passes that payment along so another app can log it or announce it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
telling the account manager a client has paid, so nobody chases an invoice that is already settled.
Watch out
a Zap only sees payments recorded after you publish it. Earlier ones stay where they are, and moving them is a separate job.
7

New or Updated Quote

Instant trigger

In Zapier“Triggers when a quote is created or updated.”

Goes off when someone drafts a quote in 1CRM or revises one, and hands the quote over to the rest of the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
letting a manager know a quote is out, or keeping a pipeline board in another tool in step with your proposals.
Watch out
every revision of the same quote starts the Zap again, so a quote reworked five times may post five messages.
8

New or Updated SalesOrder

Instant trigger

In Zapier“Triggers when a salesorder is created or updated.”

Triggers on sales orders: a new order entered in 1CRM, or an existing one edited. The order is what the following steps receive.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
handing a confirmed order to whoever ships or delivers, in the tool they actually open every morning.
Watch out
if your Zap creates the invoice back in 1CRM from this order, check it does not also edit the order, or the order fires again.
9

New or Updated Task

Instant trigger

In Zapier“Triggers when a task is created or updated.”

Watches 1CRM to-dos: a task assigned or a task changed. Do not mix it up with a Zapier task, the billing unit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
mirroring 1CRM to-dos in the task manager your team prefers, or alerting a lead when their colleague closes one.
Watch out
pairing this trigger with Create / Update Task in the same Zap is the textbook loop.
Actions

The 9 1CRM actions

1CRM gives you 9 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create / Update Account

Action

In Zapier“Creates a new account or updates an existing account.”

Opens a company record in 1CRM, or edits one, so organisations from other tools land where your sales team looks.

When to use it
a new client is set up in your billing app and must exist in the CRM the same day.
Watch out
the same company spelled two ways makes two accounts. Search before you create.
2

Create / Update Contact

Action

In Zapier“Creates a new contact or updates an existing contact.”

Writes a person into 1CRM or brings an existing contact up to date with new details.

When to use it
a customer signs up on your site and should appear in the CRM with their email and company.
Watch out
attach the contact to the right company by putting a Find Account step before it.
3

Create / Update Invoice

Action

In Zapier“Creates a new invoice or updates an existing invoice.”

Raises an invoice in 1CRM, or corrects one, with the amounts and customer your Zap provides.

When to use it
a sales order is confirmed and accounting wants the invoice ready without manual entry.
Watch out
an invoice goes to a customer. Test it on a dummy account before publishing the Zap.
4

Create / Update Lead

Action

In Zapier“Creates a new lead or updates an existing lead.”

Drops a prospect into 1CRM, or refreshes the lead if it is already there, from whatever arrived in the trigger.

When to use it
turning a form submission or a webinar signup into a lead without anyone retyping it.
Watch out
run Find Lead first if you want to be sure you update the existing record rather than add a second one.
5

Create / Update Opportunity

Action

In Zapier“Creates a new opportunity or updates an existing opportunity.”

Puts a deal on the 1CRM pipeline, or moves an existing one forward with the values your Zap carries.

When to use it
a demo gets booked in your scheduling tool and the rep wants the deal opened straight away.
Watch out
to move an existing deal forward rather than open a second one, put Find Opportunity right before it.
6

Create / Update Payment

Action

In Zapier“Creates a new payment or updates an existing payment.”

Records money received in 1CRM, or updates a payment already logged there.

When to use it
your payment provider confirms a charge and the payment should appear in 1CRM without anyone typing it.
Watch out
pair it with Find Invoice so the payment lands on the right invoice.
7

Create / Update Quote

Action

In Zapier“Creates a new quote or updates an existing quote.”

Produces a quote in 1CRM, or amends one, from data gathered earlier in the Zap.

When to use it
a pricing request comes in through a form and you want a draft quote waiting for the rep.
Watch out
treat it as a draft. Someone should still read it before it reaches a client.
8

Create / Update SalesOrder

Action

In Zapier“Creates a new salesorder or updates an existing salesorder.”

Registers an order in 1CRM, or updates it, once a deal has been confirmed somewhere else.

When to use it
an order paid in your online shop should exist as a sales order in the CRM for follow-up.
Watch out
a payment retried by the customer can arrive twice, so find the order before creating it.
9

Create / Update Task

Action

In Zapier“Creates a new task or updates an existing task.”

Assigns a to-do in 1CRM, or edits one, so a person on your team knows what to do next.

When to use it
any event elsewhere that calls for a human: a call back, a contract to check, a renewal to discuss.
Watch out
never run it from New or Updated Task, or each new task starts the Zap again.
Searches

The 9 1CRM searches

9 search steps look for data that already exists in 1CRM, so a later step can use it.

A search step looks up a 1CRM record that already exists and passes it on. In the editor, the searches sit at the bottom of the Action event list, under SEARCH. Some fields also offer + Add search step, which inserts the lookup for you. Whether 1CRM wants the exact value or something close is decided by the app. 1CRM offers no find-or-create option, so three settings decide what happens next.

1

Find Account

Search

In Zapier“Finds an account.”

Looks up a company already in 1CRM so the next step can use its record.

When to use it
before creating a contact or an order, to hang it on the right customer instead of a duplicate.
Watch out
a slightly different company name may return nothing, which stops the Zap by default.
2

Find Contact

Search

In Zapier“Finds a contact.”

Retrieves a person already stored in 1CRM.

When to use it
checking that someone is already known before you write a new contact.
Watch out
two people sharing a mailbox can both match. Decide what the multiple-results setting should do.
3

Find Invoice

Search

In Zapier“Finds an invoice.”

Fetches an existing invoice so a payment or a reminder can point at it.

When to use it
right before Create / Update Payment, so the money lands on the correct bill.
Watch out
if nothing matches, the payment step is skipped by default. Switch on the first setting if the Zap should carry on anyway.
4

Find Lead

Search

In Zapier“Finds a lead.”

Checks 1CRM for a prospect that is already recorded.

When to use it
a returning visitor fills in a second form and you want to update their lead, not open another.
Watch out
1CRM has no find-or-create option, so to open the lead when nothing matches, switch on the first setting and add Create / Update Lead after it.
5

Find Opportunity

Search

In Zapier“Finds an opportunity.”

Brings back a deal from the pipeline so later steps can update it or read its values.

When to use it
a contract is signed in another tool and the matching deal should move forward.
Watch out
one account can have several open deals. Choose what the Zap does with more than one match.
6

Find Payment

Search

In Zapier“Finds a payment.”

Locates a payment already logged in 1CRM.

When to use it
before recording a payment, to avoid entering the same transfer twice when a provider sends it again.
Watch out
a search step makes the Zap multi-step, so it needs a paid plan.
7

Find Quote

Search

In Zapier“Finds a quote.”

Pulls up a quote so you can revise it or reuse its figures further down the Zap.

When to use it
a client accepts by email or e-signature and the quote should be updated to reflect it.
Watch out
several quotes can match. Keeping the first match is the default, which may not be the one you meant.
8

Find SalesOrder

Search

In Zapier“Finds a salesorder.”

Finds an existing sales order in 1CRM and hands it to the steps that follow.

When to use it
a delivery is confirmed by your logistics tool and the order needs its status changed.
Watch out
search on a reference that never changes, not on a customer name that can be edited.
9

Find Task

Search

In Zapier“Finds a task.”

Spots a to-do already sitting in 1CRM.

When to use it
closing a 1CRM task automatically when the matching ticket is resolved in your helpdesk.
Watch out
generic task subjects match too many records. Make the subject specific when you create tasks.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that needed it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This is the find-or-create box. 1CRM does not offer it on any of its searches, so you will not see it here.
  3. If multiple search results are found?
Keep the first match (the default), stop the Zap, or pass every match on at once.
When it breaks

When a 1CRM Zap breaks

Zapier lists no help article and no rate limit specific to 1CRM. What breaks comes from how Zaps work in general, and from the fact that every 1CRM trigger also fires on edits.

Four situations account for most surprises. Each one is easy to avoid once you know it exists, and the Zapier troubleshooting guide goes further if a Zap still misbehaves.

  • Old records are not picked up

A Zap only reacts to what happens after you publish it. Your existing leads, invoices or payments stay put, and moving that backlog is a separate job.
  • The Zap keeps restarting itself

If a step writes into the record type its own trigger watches, such as a task created from New or Updated Task, it sets itself off again and eats tasks fast.
  • A bulk import is held back

Importing hundreds of contacts sends a sudden wave of events. Zapier's flood protection can pause such a burst instead of running all of it.
  • Edits count as new events

Every trigger here says New or Updated. A record touched five times starts the Zap five times, unless a filter lets only the right change through.

FAQ

1CRM Zapier integration: your questions

01Is the 1CRM Zapier integration free?
Yes, as long as your Zap stays at two steps. 1CRM is not a premium app, so the free plan accepts it, with 100 tasks per month and as many Zaps as you like. The catch is the step count: a free Zap holds one trigger and one action, nothing more. Adding a second action, a filter or a search step turns it into a multi-step Zap, and that requires a paid plan. If you plan to look a record up before writing, to avoid duplicates, budget for a paid plan.
02How many tasks does a 1CRM Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier does not charge for listening to 1CRM, however many records change. If your Zap has three actions and all of them work, that is three tasks for that run. An action that fails is not counted. The real cost driver on 1CRM is that triggers also fire on edits: a record edited often will run your actions often, so a filter can save more tasks than it costs in plan.
03Does the 1CRM integration work in real time?
Yes. All 9 triggers of 1CRM are instant: the app tells Zapier as soon as a record is created or edited, and the Zap starts right away. That holds on every plan, including the free one, so the polling interval grid does not apply to this app. In the editor, a Zap built on an instant trigger shows a lightning bolt. There is nothing to set on your side: the app decides the trigger type, and the editor cannot change it.
04What does it take to connect 1CRM to Zapier?
A 1CRM account, and access to the records the Zap should touch. On Zapier, go to Apps, click + Add connection, search for 1CRM, then sign in to it in the tab that opens and grant access. If it has to read or edit records owned by colleagues, that user needs read or write access to them, otherwise the steps fail on those records. You set up the connection once, then every 1CRM step reuses it.
05Why does a 1CRM Zap run again every time someone edits a record?
Because every 1CRM trigger listens for creations and updates alike. New or Updated Lead fires when the lead is created, then again for each edit. That is fine for syncing, and costly for one-off actions such as a welcome task. The fix is a filter right after the trigger, on a field that only takes the right value once. Watch for loops too: a Zap that edits the record type its trigger watches restarts itself.
06What if the 1CRM operation you need is not in Zapier?
Then it is not available through this integration. 1CRM exposes 27 operations on Zapier: notice a change, create or update, and find, on nine record types. There is nothing to delete a record, send an email from 1CRM or handle documents. You can sometimes cover the gap with another app inside the same Zap, or with a different automation tool. A specialist can help you judge which route holds up.
07Zapier, Make or n8n for 1CRM?
It depends on your criteria rather than on a winner. Zapier is the right fit if you want instant triggers set up from a guided editor, and the 27 operations listed here cover your need. Look at the alternatives if your workflows involve many steps per run, since every successful action costs a task on Zapier, or if you need operations Zapier does not expose. Compare on price per run, the operations you need and who will maintain it.
