Arlo is training management software: you promote courses and events, sell seats and deliver the sessions. Connected to Zapier, it reports every new contact, event, order and registration as it happens, and lets other steps create or update contacts, organisations and registrations without anyone retyping them.

Three results come up again and again. First, a clean contact record: Update Contact can flip the marketing flags (newsletter subscriber, bulk email suppression) right after a learner signs up through New Basic Event Registration. Second, an order desk that never misses a sale: New Order and Updated Order fire the second Arlo records the change, so finance or sales hear about it straight away. Third, a company list that builds itself: Find Organisation, with its find-or-create option, makes sure a corporate client exists before anything else is written.

Now the part the app page skips. There is no action to create an event, an order or a registration from Zapier: Arlo only lets you update an existing registration. Nothing can be deleted either. And none of the 12 triggers reaches back in time, so registrations taken before the Zap was switched on stay where they are.

The free plan gives 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on with nothing.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into find-or-create: the setting above disappears and the step asks for the fields needed to create the missing record.
  3. If multiple search results are found?
    Three choices when several records match: keep the first one (the default), stop the Zap, or pass all of them on together.
When it breaks

When an Arlo Zap breaks

Zapier links no help article to Arlo and no Arlo-specific rate limit is documented. What breaks is the general Zapier behaviour, and on an app with this many update triggers, it shows up fast.

Four cases cover most of what you will run into. If one of them does not explain a failure, the Zapier troubleshooting page is the next stop.

  • Old registrations never come through

    A Zap only reacts to what happens after you switch it on. Bookings, orders and contacts already in Arlo are not picked up; moving that backlog is a separate job.
  • The Zap keeps setting itself off

    Updated Contact plus Update Contact on the same person, or an updated registration trigger plus Update Registration, writes where the trigger watches. It loops and eats tasks.
  • A big import gets held back

    Bulk-loading a term of events or a client's full roster can send a huge batch at once, and Zapier's flood protection may hold part of it back.
  • A search stops the Zap cold

    Find Event and Find Order need an ID. If none reaches them, the search finds nothing and, by default, the steps that depended on it are skipped.

01Is the Arlo Zapier integration free?
Yes, as long as your Zap stays at two steps. Arlo is not a premium app, so it works on the free plan, which gives 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: the free plan only allows one trigger and one action. As soon as you add a search such as Find Contact, a filter or a second action, the Zap becomes multi-step and needs a paid plan. No prices are given here because Zapier changes its grid often; check the plans page before you decide.
02How many tasks does an Arlo Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that listens for New Order and runs Update Contact uses one task per order. Add Create Organisation as a second action and each order costs two. An action that fails does not count against your plan. Watch the update triggers in particular: an order or registration edited several times starts the Zap each time, and every run bills its own actions again. That is usually where a monthly allowance disappears.
03Does Arlo trigger Zaps in real time?
Yes. All 12 Arlo triggers are instant: Arlo itself tells Zapier when a contact, event, order or registration is created or updated, and the Zap starts right away. That holds on every plan, including Free, so the 15-minute polling interval of the free plan never applies to these triggers. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type comes from Arlo's own API, so there is nothing to switch on in Zapier.
04What does it take to connect Arlo to Zapier?
An Arlo account you can sign in to, plus read or write access to any records you do not own and want the Zap to change. The connection takes three moves: open Apps in Zapier and click + Add connection, search for Arlo and confirm, then sign in to Arlo in the tab that opens and grant access. The connection is saved once and every Arlo step in any Zap can reuse it afterwards.
05Why does an Arlo Zap keep running over and over?
Almost always because it writes where its own trigger watches. Arlo has an update trigger for contacts, events, orders and each type of registration, and two update actions, Update Contact and Update Registration. Pair Updated Contact with Update Contact on the same person and every change fires the Zap again. The fix is to start from a different trigger, or to add a filter that stops the Zap when the value it would write is already there. Each lap of the loop costs tasks.
06What if the Arlo action is not on the list?
Then the integration cannot do it directly. Arlo on Zapier offers Create Contact, Create Organisation, Update Contact and Update Registration, plus seven searches. There is no step to create an event, an order or a new registration, and no step to delete anything. In those cases the work stays in Arlo itself, or goes through another platform or a custom connection. It is worth checking the action event list in the Zapier editor before planning a flow around a step that does not exist.
07Zapier, Make or n8n for Arlo?
It depends on what matters most to you. On Zapier, every Arlo trigger is instant even on the free plan, billing is one task per successful action, and free Zaps stop at two steps.
