Overview

What the 3Scribe Zapier integration actually does

The integration links your 3Scribe account to Zapier, a tool that runs automations between apps. You build a Zap, an automation made of one starting event and one or more steps that follow it. With 3Scribe, that means sending audio or video files to be transcribed and reacting as soon as a transcript is ready.

Three things people usually get out of it. First, a transcription queue that fills itself: Create Transcription Job sends a file to 3Scribe from a link, so any app that stores recordings can feed it. Second, transcripts that land where your team reads them: Job Complete starts the Zap when a job is done, and Fetch Transcript grabs the text to pass on. Third, a cleaner account: Delete Transcription Job and Restart Transcription Job handle the housekeeping, and Search for Transcription Jobs finds a job by its name.

Good news for a free plan: the only trigger is instant, so the Zap starts the moment 3Scribe finishes a job, not at the next scheduled check.

Now the limits. Zapier offers no trigger for a job that was just created or one that failed, only for a completed job. There is no action to rename a job or edit a transcript. The search only looks at job names, nothing else. If your plan relies on any of those, Zapier alone won't cover it. To weigh other tools on criteria rather than hype, see n8n vs Zapier and Make vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every Zapier page. Here they are in plain English, once, so the rest reads easily.

Zap
An automation you set up on Zapier: one starting event, then one or more steps that run each time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
What Zapier bills you for: one action completed successfully. The number on your plan counts those, nothing else.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is pushed by the app itself the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app, so the steps after it can reuse what it found.
Cost

What a 3Scribe Zap really costs

3Scribe is not a premium app, so it works on the free plan. What you pay for is tasks, and only some steps use them.

  • Free plan100 tasks a month, unlimited Zaps
  • Steps on the free planOne trigger and one action
  • Premium appNo, 3Scribe works on every plan
  • Trigger costZero tasks

The trigger never costs a task, and neither does Zapier listening for a finished job. Every action that succeeds counts once: a Zap that fetches a transcript then saves it elsewhere uses two tasks per job. A failed action is not counted. The free plan stops at two steps, so adding a filter, a search or a second action turns it into a multi-step Zap, which needs a paid plan.

Want to stay on the free plan? Keep the Zap to Job Complete plus one action.

Connect

Connect 3Scribe to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A connection is your 3Scribe account linked once, then reused by every step that needs it.

  2. 02

    Pick 3Scribe

Type 3Scribe in the search box of the dialog, select it from the results, then click Add connection. A new browser tab opens on the 3Scribe side to finish the link.

  3. 03

    Sign in and allow access

Log in to your 3Scribe account in that tab and grant Zapier access. You need your own account, plus rights on any jobs you don't own but want the Zap to touch.

First Zap

Your first Zap: transcript saved to Google Drive

GoalEvery time 3Scribe completes a job, the Zap fetches the transcript and saves it as a file in Google Drive.

  1. 01

    Build: choose the trigger

Create a Zap, pick 3Scribe as the app and Job Complete as the event that starts it, then select your 3Scribe connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent finished jobs of your account, so you can map fields on a real one.

  3. 03

    Add Fetch Transcript

Add 3Scribe again with Fetch Transcript. In the Job ID field, map the ID that came from the trigger, then test the step and read the text it returns.

  4. 04

Add Google Drive with Upload File and map the transcript into it. This third step makes it a multi-step Zap, so it needs a paid plan.

  5. 05

    Publish

Click Publish to switch the Zap on. It only reacts to jobs completed from now on. The Zapier training walks through mapping in more depth.

Triggers

The 3Scribe trigger

1 event starts a Zap when something happens in 3Scribe, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

Job Complete

Instant trigger

In Zapier“Triggers when a transcription job has completed.”

This one fires once 3Scribe has finished turning a file into text. It hands the Zap the details of that completed job, including its ID, which every later 3Scribe step needs to find the transcript.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a podcast producer who wants each episode transcript posted to the editing team without checking the 3Scribe dashboard.
Watch out
the trigger tells you the job is done, not what it says, so pair it with Fetch Transcript to get the actual text.
Actions

The 4 3Scribe actions

3Scribe gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Transcription Job

Action

In Zapier“Posts a file to 3Scribe to be transcribed”

Hands 3Scribe an audio or video file to transcribe, using a link to that file and a name you choose for the job.

When to use it
a new interview recording appears in your storage and you want the transcription started without lifting a finger.
Watch out
the link must be public, and an optional switch lets 3Scribe detect the spoken language instead of using your default setting.
2

Delete Transcription Job

Action

In Zapier“Delete a transcription job from your account”

Removes a job and its transcript from your 3Scribe account for good, using its Job ID.

When to use it
once the transcript is safely copied elsewhere and you want the account kept lean.
Watch out
put it at the very end of the Zap, after the step that saves the text, never before.
3

Fetch Transcript

Action

In Zapier“Fetches a specific jobs transcript”

Pulls the finished text of one job into the Zap, ready for the next step to send, store or post somewhere.

When to use it
right after Job Complete, mapping the job ID from the trigger.
Watch out
it needs a Job ID, so when the Zap starts elsewhere, place a search before it to find that ID.
4

Restart Transcription Job

Action

In Zapier“Restart a transcription job from your account”

Sends an existing job back through transcription, identified by its Job ID, without uploading the file again.

When to use it
a reviewer flags a job in your tracking sheet and you want it run again from there.
Watch out
never restart a job from a Zap that starts on Job Complete, or the job will loop and eat tasks.
Searches

The 3Scribe search

1 search step looks for data that already exists in 3Scribe, so a later step can use it.

A search step finds a job that already exists so a later step can act on it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result isn't a clean single match.

1

Search for Transcription Jobs

Search

In Zapier“Search your 3Scribe transcription jobs by job name.”

Looks through your 3Scribe jobs by name, full or partial, and returns what matches along with the job IDs.

When to use it
your Zap starts from a spreadsheet row holding a job name, and Fetch Transcript needs the matching ID.
Watch out
name your jobs consistently when you create them, since the name is the only thing this search reads.

The three settings every search exposes

  1. Successful if no search results are found?
Left as is, a search that finds nothing stops the Zap and skips the steps that relied on it. Turned on, the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
Ticking it turns a search into find-or-create. 3Scribe offers no such variant, so this box stays out of the picture here.
  3. If multiple search results are found?
Three options: keep the first match (the default), stop the Zap, or pass every match on at once.
When it breaks

When a 3Scribe Zap breaks

Zapier links no help article to 3Scribe, so the cases below are the general limits that hit this app hardest.

Most failures come from how Zaps behave in general, not from 3Scribe itself. For deeper fixes, see our Zapier troubleshooting guide.

  • Old jobs are ignored

A Zap only reacts to what happens after you publish it. Jobs completed before that won't be picked up; moving them is a separate job.
  • The restart loop

A Zap that starts on Job Complete and runs Restart Transcription Job sets itself off again on every finish, burning through your tasks.
  • Bulk uploads held back

If a large batch of jobs finishes at once, after a bulk import for example, Zapier's flood protection can hold the trigger back.
  • Three steps on a free plan

The free plan builds two-step Zaps only. Adding a filter, a search or a second action needs a paid plan before the Zap can run.

FAQ

3Scribe and Zapier: frequent questions

01Is the 3Scribe Zapier integration free?
Yes, on the Zapier side. 3Scribe is not a premium app, so it works on the free plan, which gives 100 tasks a month and unlimited Zaps. The catch is the step count: a free Zap holds one trigger and one action. Job Complete followed by Fetch Transcript fits. Add a third step, such as saving the text in another app, and you need a paid plan. Your 3Scribe account and its own billing are a separate matter that Zapier does not cover.
02How many tasks does a 3Scribe Zap use?
One task per action that succeeds, and nothing else. The Job Complete trigger is free, however many jobs finish. A Zap that fetches the transcript and saves it in another app uses two tasks per job. An action that fails is not counted against your plan. So the quickest way to estimate your monthly use is to multiply the jobs you expect by the number of actions in the Zap.
03Does 3Scribe trigger Zapier in real time?
Yes. Job Complete is an instant trigger: 3Scribe notifies Zapier as soon as a job finishes, so the Zap starts right away. The polling interval of your plan, 15 minutes on the free plan, does not apply to it. In the editor, an instant trigger shows a lightning bolt. Nothing to configure on your side for that speed: whether a trigger is instant is set by 3Scribe itself, and no setting in the editor can change it either way.
04What does it take to connect 3Scribe to Zapier?
A 3Scribe account and a Zapier account, nothing more. In Zapier, open the Apps page, click Add connection, choose 3Scribe, then sign in and grant access in the tab that opens. If the Zap should touch jobs that belong to someone else, the account you connect needs access to them. The connection is made once and every 3Scribe step in every Zap reuses it. To check it works, test the Job Complete trigger: Zapier brings back the three most recent finished jobs of the connected account.
05Why does Create Transcription Job fail on a file?
Most of the time, because the link is not public. The action takes the file through a URL, and 3Scribe has to be able to open it without signing in. A link from a private folder or one that needs a login won't go through. Check the sharing setting of the file before you map its link. The good news: a failed action does not cost a task. Test the step once with a real file before publishing the Zap.
06What if the 3Scribe operation you need isn't available?
Then Zapier can't do it directly. The integration has one trigger, four actions and one search; there is no trigger for a new or failed job and no way to edit a transcript. Sometimes chaining a search and an action gets close, for example finding a job by name before fetching it. When it doesn't, a different automation tool or a direct link to the 3Scribe account may be the better path.
07Zapier, Make or n8n for 3Scribe?
It depends on your criteria, not on a ranking. On Zapier, 3Scribe is not a premium app, so the free plan runs a two-step Zap built on the instant Job Complete trigger, and any filter, search or second action needs a paid plan. Check first that each tool offers the 3Scribe operations you need: here, one trigger, four actions and one search. Then weigh the volume of jobs, since every successful action costs a task on Zapier, and who will maintain the automation over time.
