Overview

What the A2Z Events Zapier integration actually does

The A2Z Events Zapier integration links your A2Z Events account to the other tools your event team already uses. It can notice when someone new joins an event as a participant, and it can add a participant to A2Z Events when something happens elsewhere. Nothing more, nothing less: two operations, one in each direction.

A heads-up for the sales team. A sponsor manager at a trade show wants to know who registered without logging into A2Z Events all day. New Participant picks up each new participant and hands it to a chat tool or a CRM step.

Registrations that start somewhere else. An agency running a partner summit collects sign-ups on its own landing page form. Create Participant takes each submission and adds the person to A2Z Events, so nobody retypes a list.

A running log for the finance desk. A conference organizer wants a spreadsheet row per participant to reconcile badges later. The same trigger feeds that sheet, one row per person.

What Zapier does not do here: there is no search, so a Zap cannot look up a participant who already exists, and there is no step to change or remove one. Anything already in A2Z Events before you switch the Zap on stays out of it. If those gaps matter, the same comparison is worth reading on Make vs Zapier and n8n vs Zapier before you build.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action the Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is reported by the app itself, the moment the event happens.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it otherwise.
Connection
Your A2Z Events account linked to Zapier once, then reused by every step in every Zap that touches the app.
Cost

What a run really costs

Short version: the trigger is free, the action is not.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap size2 steps: 1 trigger, 1 action
  • Premium appNo
  • BilledEach successful action

Watching A2Z Events for new participants never costs a task, however often Zapier checks. Each Create Participant that goes through counts as one task, and a failed one counts for nothing. A2Z Events is not a premium app, so the free plan works for this kind of Zap. Add a filter or a second action, though, and the Zap becomes a multi-step Zap (anything beyond one trigger plus one action), which needs a paid plan.

Connect

Connect A2Z Events to Zapier

  1. 01

    Open your Apps page

In your Zapier account, go to Apps and click + Add connection. Type A2Z Events in the search box of the dialog that opens, then pick it from the list of results.

  2. 02

    Sign in to A2Z Events

Click Add connection. A new tab opens on A2Z Events: log in with the account that owns the events, or one that can read and write the ones you want the Zap to touch.

  3. 03

    Grant access

Allow Zapier into the account. The connection then appears in your Apps list, and every Zap that uses A2Z Events picks it up from there without asking again.

First Zap

Your first Zap: alert the team, but only for the right event

GoalPost a message to the team each time a participant registers, filtered to the event you care about.

  1. 01

    Start a Zap

Create a new Zap, pick A2Z Events as the app that starts it and New Participant as the event, then choose your connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent participants of the account, so you map the next steps on a real one instead of a blank.

  3. 03

    Add a filter

Add a Filter step from the plus icon. Pick a field from the participant, a rule and a value. Careful: a text rule only works on text, a number rule only on numbers.

  4. 04

    Add the message

Add the chat step and map the participant fields you want into the message. Test it once and read what came back before you move on.

  5. 05

    Publish

Click Publish to switch the Zap on. With a filter inside, this is a multi-step Zap, so it needs a paid plan to keep running.

Triggers

The A2Z Events trigger

1 event starts a Zap when something happens in A2Z Events. Zapier checks for them at the interval your plan allows.

1

New Participant

Polling trigger

In Zapier“Triggers when a new participant is created.”

Each time a participant is added to your A2Z Events account, this trigger picks the person up and starts your Zap with their record. It is the only way in, so every Zap that reacts to A2Z Events begins here.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a sponsor manager who wants every new registrant pushed to the CRM without exporting a list by hand.
Watch out
a bulk import of hundreds of participants arrives as one big batch, and Zapier's flood protection can hold it back.
Actions

The A2Z Events action

A2Z Events gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Participant

Action

In Zapier“Creates a Participant”

Adds a participant to A2Z Events from data that arrives in an earlier step, such as a form answer or a new deal.

When to use it
a partner summit whose sign-ups land on an outside form and must reach the event platform.
Watch out
paired with New Participant in the same account, this action restarts its own Zap in a loop.
When it breaks

When the A2Z Events Zap breaks

Zapier ties no help article to A2Z Events, so the trouble spots below are the general ones that hit any Zap built on this pair of operations.

Four cases cover almost every surprise. For deeper diagnosis, the Zapier troubleshooting page walks through the editor side.

  • Old participants never show up

A Zap only reacts to participants added after it goes live. Everyone registered before that stays out, and moving the backlog is a separate job.
  • The Zap keeps starting itself

If New Participant watches the account where Create Participant writes, each new person triggers the Zap again, and the task count drains fast.
  • A big import stalls

When the trigger suddenly returns a huge batch after a bulk import or a migration, Zapier's flood protection can hold it back.
  • No duplicates from polling

Zapier remembers which participants it has already seen on this polling trigger, so the same person does not start the Zap twice.

FAQ

A2Z Events Zapier integration: questions people ask

01Is the A2Z Events Zapier integration free?
Yes, on a two-step Zap. A2Z Events is not a premium app, so it works on the free plan, which gives 100 tasks a month, unlimited Zaps and checks every 15 minutes. The catch is size: the free plan only builds Zaps of one trigger and one action. The moment you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. That is the limit people discover late, usually after building the whole thing.
02How many tasks does an A2Z Events Zap use?
One per successful action, nothing for the trigger. Zapier can check A2Z Events for new participants as often as your plan allows without spending a single task. Each Create Participant that goes through costs one task, and one that fails costs nothing. In a Zap with three actions, each successful action counts on its own, so it burns three times faster than a one-action Zap. Count your actions per run before choosing a plan.
03Does the New Participant trigger work in real time?
No, it is a polling trigger. Zapier goes to A2Z Events at a fixed interval and keeps only the participants it has not seen yet. On the free plan that interval is 15 minutes, on Professional 2 minutes, on Team and Enterprise 1 minute. The type comes from the app itself and cannot be switched to instant from the editor. On a paid plan you can also run a check by hand from the editor when you are testing.
04What does it take to connect A2Z Events to Zapier?
An A2Z Events account and a Zapier account. If the Zap will touch events you do not own, the account you sign in with also needs read or write access to them. The connection is made once from the Apps page with + Add connection, then every Zap reuses it. If the wrong login is used, the Zap only sees what that login can see, which is the usual reason a participant seems to be missing.
05Why does an A2Z Events Zap run over and over?
Because it writes where it watches. If New Participant watches an account and Create Participant adds people to that same account, every participant the Zap creates looks new to the trigger, which starts the Zap again. The loop drains your monthly tasks quickly. Point the action at a different account or event, or add a filter that stops the Zap on the participants it created itself, which makes it a multi-step Zap on a paid plan.
06What if the A2Z Events operation you need is not listed?
Then Zapier does not offer it today. The integration has exactly one trigger, New Participant, and one action, Create Participant, with no search and no update or delete step. Anything else, such as finding an existing participant or editing one, cannot be done with this integration alone. The honest workaround is to check whether another tool in your setup holds that data, or whether a different automation platform covers the step you need.
07Zapier, Make or n8n for A2Z Events?
It depends on the criterion, not on a winner. On Zapier, A2Z Events offers one trigger and one action, works on the free plan and needs no technical setup beyond signing in. If you need more than those two operations, or long multi-step flows on a tight budget, compare how Make and n8n count runs and what they offer for this app before committing. Pick on coverage of the steps you need, then on price per run.
