The ABC GymSales Zapier integration offers 8 actions and 2 searches, and no trigger at all. Your gym's prospect list can receive data from other apps, get tagged, booked and assigned, but it never starts an automation by itself.

Overview

What the ABC GymSales Zapier integration actually does

Connecting ABC GymSales to Zapier means letting other apps write into the prospect system of your fitness business. A form, a sheet or an ad tool sends something, and Zapier turns it into a new person, a note, a tag, a booked visit or an assigned salesperson in GymSales. It works on the free plan, since this is not a premium app.

A lead that lands with an owner. A sales manager at a boutique studio can create the prospect with Create Person, then hand it to a named rep with Salesperson_Name. Nobody copies the lead by hand, and nobody has to remember who should call back.

A history that follows the prospect. A front-desk team that logs walk-in questions in a spreadsheet can look the person up with Find Person by Email and attach the question with Create Note. The next rep who opens the file sees it.

Consent that stays in sync. When someone unsubscribes in your newsletter tool, Opt Out of Email updates the same person in GymSales. Opt Out of SMS does the same thing for text messages, keyed on the mobile number.

What Zapier does not do here matters as much. ABC GymSales has no trigger, so a new prospect, a closed sale or a missed appointment inside GymSales can never start a Zap. There is also no action to delete a person or to edit an existing appointment. The data only flows in one direction: into GymSales.

If you are weighing other tools for that reverse direction, the Make vs Zapier comparison is the place to start.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts a Zap. Once the Zap is switched on, Zapier sits and waits for that event to happen.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, here inside GymSales.
Task
The unit Zapier bills. One task equals one action your Zap finished successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer by Zapier. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you chose, and stops it otherwise.
Search step
A step that looks up something already stored in an app, so the steps after it can reuse what it found.
Cost

What it really costs

ABC GymSales is not a premium app, so it runs on the free plan. The bill depends on actions, never on triggers.

  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo
  • TriggerNever billed
  • Search or filterMakes the Zap multi-step

The trigger costs nothing, however often Zapier checks for new data. Each GymSales action that succeeds counts as one task, and a failed one is not counted. The free plan gives you 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. With GymSales that happens fast, because most actions want a person ID that only a search can supply.

Connect

Connect your ABC GymSales account

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A connection is your GymSales account linked once, then reused by every step that touches GymSales.

  2. 02

    Pick ABC GymSales

Type the app name in the search box of the dialog, select ABC GymSales, then click Add connection. Before you start, make sure you have a GymSales account of your own.

  3. 03

    Sign in and allow access

Log in to GymSales in the tab that opens and grant Zapier access to the account. If the Zap will touch records owned by colleagues, your login needs read or write rights on them.

First Zap

Your first Zap: log a sheet question on the right prospect

GoalEach new row in a front-desk sheet adds a note to the matching GymSales prospect.

  1. 01

Create the Zap and pick a trigger from another app

GymSales cannot start a Zap, so the first step comes from the sheet your front desk fills in. Choose the sheet event, then connect the account.

  2. 02

Test the trigger on real rows

Run the test. Zapier brings back the three most recent rows of the connected account, so you map fields on an actual entry instead of a guess.

  3. 03

    Find the person in GymSales

Add Find Person by Email, enter your Company ID and map the email column. This search is what supplies the person ID the next step needs.

  4. 04

    Add the note

Add Create Note, map the ID found by the search into Person ID and the question column into Description. A search plus an action means a paid plan.

  5. 05

    Test, then publish

Test each step once and open the prospect in GymSales to check the note landed. Then click Publish to switch the Zap on.

Actions

The 8 ABC GymSales actions

ABC GymSales gives you 8 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Tag

Action

In Zapier“Add a Tag to a person.”

Puts a label on a person by name, which reps can then sort and segment on. You give the person ID and the tag name.

When to use it
every lead coming from a specific campaign gets the campaign name as a tag, so the club can tell sources apart.
Watch out
a form never carries the person ID, so a search usually comes first, and that makes the Zap multi-step.
2

Create Appointment

Action

In Zapier“Adds an appointment for a person.”

Books a visit, tour or session on an existing prospect's file, with a type, a kind code and a start time.

When to use it
a scheduling tool confirms a club tour and the slot should show up on the prospect's record for the sales team.
Watch out
the start time is read in UTC. A booking tool that sends local time will shift every appointment by your offset.
3

Create Note

Action

In Zapier“Creates a new note on an existing person.”

Writes a free-text note onto someone already in GymSales. It needs the person ID and a description, nothing else.

When to use it
a chat transcript, a survey answer or a call summary from another app should sit on the prospect's file where reps actually look.
4

Opt Out of Email

Action

In Zapier“Opts a person in or out from receiving email via GymSales.”

Switches a person's email consent in GymSales, in or out, using the email address as the key.

When to use it
an unsubscribe in your newsletter tool should stop the club's GymSales emails too, without a manual update.
Watch out
the address has to match the one stored on the prospect, character for character.
5

Opt Out of SMS

Action

In Zapier“Opts a person in or out from receiving SMS via GymSales.”

Changes whether a person receives text messages from GymSales, keyed on the mobile number rather than an ID.

When to use it
a member replies STOP through your texting provider and the club's records should reflect it.
Watch out
a number written in a different format from the stored one may not match the person.
6

Create Person

Action

In Zapier“Creates a new person.”

Adds a brand new prospect to GymSales, with the contact method you pick and the company it belongs to. This is the entry point of almost every lead workflow.

When to use it
a trial-pass form on your website should become a prospect without anyone retyping it.
Watch out
the email, SMS and WhatsApp opt-out fields expect TRUE or FALSE from your form's consent box. Left empty, GymSales receives a null value, which changes announced for summer 2024 turn into an opt-out.
7

Salesperson_Name

Action

In Zapier“Assign a salesperson to an existing prospect or member. Matches on the user's name in GymSales. Requires more than 3 characters.”

Hands an existing prospect or member to a rep, matched on that rep's user name in GymSales.

When to use it
leads from the downtown location go straight to the person who runs sales there.
Watch out
the name must be longer than 3 characters and match the GymSales user. A nickname or a typo leaves the lead unassigned.
8

API Request (Beta)

Action

In Zapier“This is an advanced action which makes a raw HTTP request that includes this integration's authentication.”

An advanced step that sends a raw request to GymSales using the connection you already set up. It covers what the seven other actions do not.

When to use it
someone comfortable with the GymSales documentation needs an operation that has no ready-made action.
Watch out
it only reaches domains tied to the app, and the Stop on error setting decides whether a failure halts the Zap.
Searches

The 2 ABC GymSales searches

2 search steps look for data that already exists in ABC GymSales, so a later step can use it.

Most GymSales actions want a person ID, and no form will ever hand you one. A search step is the bridge: it finds the person from an email or a phone number and passes the ID on. Searches sit at the bottom of the action event list, under SEARCH. ABC GymSales has no find-or-create variant, so a missing person is never created for you.

1

Find Person by Email

Search

In Zapier“Find an existing person by using Email Address as a lookup.”

Looks up an existing prospect or member from an email address and returns the record, ID included, to the next steps. It also needs your Company ID.

When to use it
a webinar sign-up arrives with an email only, and you want to tag the person who is already in GymSales.
Watch out
if two records share the address, the default keeps the first match only.
2

Find Person by Mobile Phone

Search

In Zapier“Find an existing person by using Mobile Phone as a lookup.”

Finds someone in GymSales from the mobile number on file, along with your Company ID, so you can act on them in the next step.

When to use it
your phone system logs a missed call and the number should lead to a note on the right prospect.
Watch out
a number formatted differently from the stored one can return nothing and stop the Zap.

The three settings every search exposes

  1. Successful if no search results are found?
Left as is, a search that finds nobody stops the Zap and the following steps are skipped. Turned on, the Zap goes on without a person.
  2. Create X if it doesn't exist yet?
This box turns a search into find-or-create. GymSales does not offer it, so you will not see it on these two searches.
  3. If multiple search results are found?
Three choices when several people match: keep the first one (the default), stop the Zap, or pass every match on.
When it breaks

When it breaks

Most failures here come from two places: the missing trigger, and IDs that do not line up.

Zapier publishes one help article for this app, How to get started with ABC GymSales on Zapier. The cases below come from the general limits of Zapier and the required fields of the actions. For anything else, see the Zapier troubleshooting page.

  • Old leads never show up

A Zap only reacts to what happens after you switch it on. Prospects already in your form tool before publishing are not imported, and moving them is a separate job.
  • The search stops the Zap

No person matched the email or phone, so the steps after the search were skipped. Check the format of the value, or switch on the setting that lets the Zap continue.
  • Appointments at the wrong hour

Create Appointment reads the start time as UTC. If the incoming time is local, every visit lands shifted by your time zone offset.
  • A bulk import gets held back

When the trigger app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those items back instead of running them all.

FAQ

ABC GymSales and Zapier: questions people ask

01Is the ABC GymSales Zapier integration free?
Yes, as long as the Zap stays at two steps. ABC GymSales is not a premium app, so the free plan can run it with 100 tasks a month. The catch is that GymSales has no trigger, so your trigger comes from another app and GymSales takes the single action slot. As soon as you need a search to get a person ID, or a second action like tagging after creating, the Zap becomes multi-step and that requires a paid plan.
02How many tasks does an ABC GymSales Zap use?
One task per GymSales action that completes successfully. The trigger itself never costs a task, and neither does Zapier checking the trigger app for new data. A Zap that creates a person and then assigns a salesperson spends two tasks each time it runs. An action that fails is not counted against the plan. A few apps and actions take more than one task, so keep an eye on the task history after the first runs.
03Does ABC GymSales work in real time with Zapier?
GymSales itself cannot start anything, because it exposes no trigger. Timing depends on the app you start from. If that app has an instant trigger, it reports the event to Zapier immediately, whatever your plan. If it uses a polling trigger, Zapier checks it on a timer: every 15 minutes on Free, every 2 on Professional, every minute on Team and Enterprise. The GymSales action then runs right after. Expect that delay before the prospect appears.
04What does it take to connect ABC GymSales to Zapier?
An ABC GymSales account you can sign in to, plus read or write access on any records you do not own but want the Zap to touch. The connection is made from the Apps page of Zapier with + Add connection, then a sign-in in a new tab where you grant access. In practice, also have your Company ID at hand, since both searches and Create Person require it. Without it, nothing maps.
05Why does Create Person opt new leads out of messages?
Because the consent fields were left empty. Create Person has three of them, for email, SMS and WhatsApp, and each expects TRUE or FALSE from the consent captured in your form. When nothing is mapped, GymSales receives a null value, and the field help announces changes from summer 2024 under which that null is read as an opt-out. Map each field to your form's consent answer, and avoid hardcoding FALSE without proof of consent elsewhere.
06What if the ABC GymSales action you want is not listed?
Check API Request (Beta) first. It sends a raw request to GymSales using your existing connection, so it can reach operations the eight ready-made actions do not cover, within the domains tied to the app. It is an advanced step, though, meant for someone at ease with the GymSales documentation. Whatever needs GymSales to start the automation, such as reacting to a new prospect, stays out of reach because the app has no trigger.
07Zapier, Make or n8n for ABC GymSales?
It depends on the criteria that matter to you. On Zapier, the integration offers 8 actions and 2 searches, works on the free plan, and needs no code. The main limit is direction: nothing inside GymSales can start a Zap. If reacting to GymSales events is the requirement, check what each other platform offers for this app before choosing. If pushing leads into GymSales from forms and ads is the job, Zapier covers it well.
